1.0 INTRODUCTION

1.1 Purpose

The User Manuel (UM) provides a guide on how to use the Senior Project Database System. 1.2 Scope This document describes how to navigate and use the Senior Project Database System. 1.3 Definitions, Acronyms and Abbreviations

2.0 COMPONENTS This section contains instructions on how to navigate and use the SJSDS.

2.1 Main Menu

1. Open the SPDS. 2. The main menu will appear on the screen as shown:

2.2 To Add A New Resident

1. From the main menu, click on the “New/Search Resident” button. 2. The following screen will appear:

3. Click on the “New Resident” button in the upper right corner. 4. The following screen will appear with a blank record:

5. To complete the form, fill out all the fields. Resident’s information will be saved automatically.

Then close the form by clicking on the “x” in the upper right hand corner of the screen.

Note: To move the cursor around the fields, you may use the mouse to click the desired field or press the <TAB> button until you arrive at the desired field.

2.3 To Search For A Resident

1. From the main menu, click on the “New/Search Resident” button. 2. The following screen will appear (which will not have the same records shown here):

3. To search for a resident: click on the button at the end of the desired record to select it.

Selected resident’s record will appear on the screen.

2.4 To Enter Closing Notes and Exit Information

1. Open an existing Resident’s record. 2. With the desired resident’s record shown on the screen, click on the “Closing Notes” button.

3. The following screen will appear with the name of the Resident whose record is currently being updated along with the Resident’s SSN. The rest of the fields may or may not have information displayed depending on if the Resident has had a prior stay at St. John’s Shelter for Women and Children:

4. To complete the form, fill out all the fields. If a field already has information from a prior stay,

then you may choose to add to that information in the notes section or you may overwrite the old information with the new information. Then click the “OK” button. Resident’s information will be automatically saved.

2.5 To Add A Contributor

1. From the main menu, click on the “New/Search Contributor” button 2. The following screen will appear (which will not have the same records shown here):

3. Click on the “New Contributor” button in the upper right corner. 4. The following screen will appear:

5. To complete the form, fill out all the fields. Then click the “Close” button. Contributor’s

information will be automatically saved.

2.6 To Search For A Contributor

1. From the main menu, click on the “New/Search Contributor” button. 2. The following screen will appear (which will not have the same records shown here):

4. To search for a contributor: click on the button at the end of the desired record to select it.

Selected contributor’s record will appear on the screen.

2.7 To Enter Nightly Summary Information

1. From the main menu, click on the “Nightly Summary Input” button. 2. The following screen will appear:

Input information will be automatically saved.

2.8 To Generate A Report

1. From the main menu, click on the “Reports” button. 2. The following screen will appear:

3. Then click on the button with the name of the report to be generated. Desired Report will be

displayed on the screen.
