Introduction

This guide provides instructions for setting up and using the UPS OnLine

Interface, which is the integration of one of the following UPS software package

with your FASPAC® system.

• OnLine Office®

• OnLine WorldShip®

• OnLine Professional®

The UPS software packages are shipping and tracking systems from UPS (United

Parcel Service) that provide comprehensive information management for high

volume shipping. The software allows you to:

• Customize settings to match your shipping activity

• Process shipments more efficiently

• Generate management reports

• Validate entries automatically

• Define criteria to selecting packages for tracking

• Easily look up UPS domestic and international rates

• Receive automatic software upgrades and rate information updates

• UPS OnLine Professional is for use with Windows® 3.1

• UPS OnLine Office are for use with Windows 95® or Windows 98®.

• UPS OnLine WorldShip is for use with Windows NT®.

INTRODUCTION

1Prerequisites

You must meet the following requirements before using the UPS software with

FASPAC.

FASPAC host server

• FASPAC is version 3.4 or later.

• The FASPAC system is attached to an Ethernet network and the connection is

operational.

• You know the IP address of the FASPAC host server. Write it in the space

below:

IP Address: ________________________________

UPS PC

• The UPS software is installed on a PC and is operational.

• The UPS software must be OnLine Professional version 3.1 or later, OnLine

Office version 5.5 or later, or UPS OnLine WorldShip.

• The UPS OnLine PC is attached to an Ethernet network and can communicate

with the FASPAC system.

• The PC has either a CD-ROM drive or access to a CD-ROM drive on the

network.

• You have the Hummingbird NFS Maestro Solo software and the box it came

in (the serial number is on the bottom of the box).

• The PC has 5 MB free disk space to install NFS Maestro Solo.

PREREQUISITES

2Getting Started

This chapter describes the steps for setting up and configuring the UPS OnLine

Interface. They include the following:

1.1. Install Hummingbird’s NFS Maestro Solo on the UPS PC and map a

network drive to the FASPAC host server.

2.2. Tell FASPAC how to use the UPS OnLine Interface:

a) Set up system parameters.

b) Create a download file.

c) Map a network drive to a directory on the FASPAC server.

d) Create the import map for the FASPAC/UPS PC transfers.

e) Create the export map for end of day transfers.

The following pages describe these steps in more detail.

Install NFS Maestro Solo

NFS Maestro Solo is the interface (“bridge”) between the UPS PC and FASPAC.

It allows you to map the UPS directory on the FASPAC server as a network

drive.

Note: We can provide basic assistance for initial installation and configuration.

However, detailed assistance is provided by Hummingbird Communications Ltd.

Before you install Maestro, close all open Windows applications (such as Word

or Excel). Then follow these steps.

1.1. Insert the NFS Maestro Solo CD in your CD-ROM drive and close the

drive door.

After several seconds, the Install Wizard runs automatically.

If the Wizard does not run automatically, follow these steps:

a) On your Windows desktop, double-click My Computers.

b) Double-click the CD drive icon.

c) Double-click msetup or msetup.exe.

2.2. When the installation program starts, select the NFS Maestro Solo

option.

3.3. If you are asked for a language, select English.

4.4. Follow the instructions in the rest of the installation windows:

a) Accept all defaults and click Next.

b) Be sure to select a Typical installation.

c) When you see a window similar to the following example:

• Enter the Serial Number from the bottom of the Maestro

cardboard box.

• Skip the Site/Volume License Number.

• For the Site Contact Name, enter the name of the person at your

company who will be your contact with Hummingbird

Communications Ltd.

d) When you are asked to register now or later, select the Register Later

option. If you want, you can register the software at another time.

e) When asked, create a Windows shortcut.

5.5. Various messages are displayed as the program checks the Windows

driver information database and builds a driver.

6.6. When the program displays a Properties window:

• In the Default Protection area, click the RWX check boxes for

Group and Other.

• In the Default Links area, click Unix Compatibility and

Preserve Case.

• The dialog box should look similar to the following example:

7.7. When asked, restart your PC. Be sure to remove the NFS Maestro Solo

CD from the CD-ROM drive.

8.8. After your PC restarts, a Parmset Configuration window similar to the

following example displays:

Configure NFS Maestro Solo

After you have installed Maestro, you must make sure that the configuration is

set up properly between Maestro and FASPAC, and then map a network drive.

Check Services

First make sure the services required on the FASPAC server are running.

1.1. If The NFS Maestro Solo window is not open, double-click the Maestro

icon.

2.2. In the NFS Maestro Solo window, double-click the Rpcinfo icon.

The Rpcinfo (Portmapper) window displays.

3.3. In the Host box, type the IP address of the FASPAC host server and

click Rpcinfo.

The services that are running on the FASPAC server display:

4.4. In the Program column, check that the following services are displayed

for the udp Protocol. They are necessary for Maestro to work properly.

• portmapper (see example on the screen above)

• mountd (see example on the screen above)

• nfs

• pcnfsd

Note: These services may be displayed more than once.

5.5. If all services are listed, click Cancel to close the window.

Note: If one or more of these services are not listed, contact Faspac Technical

Support before you continue.

Check the FASPAC Directory

After you have confirmed that the four services are running on the FASPAC

server, check that Maestro can see the directory path where the UPS interface

files will be stored on the FASPAC server.

1.1. In the NFS Maestro Solo window, double-click the Exports icon.

The Exports window displays.

2.2. In the Host box, type the IP address of the FASPAC server and click

Exports.

The FASPAC directory that can map from the UPS PC displays:

Note: If no path displays, contact Faspac Technical Support before you

continue.

If you have multiple data sets, the name of the data sets will be in the

path (such as /u/work/dataset/upstemp).

3.3. If the path is correct, click Cancel.

Map the Network Drive

After you have checked for the FASPAC directory, map it to a network drive.

1.1. In the Maestro window, double-click NFS Network Access.

A NFS Network Access window similar to the following example

displays.

2.2. Click in the Network Path box and then click Browse.

3.3. Select the IP address of the FASPAC server and the path to the directory

you noted on the previous page.

4.4. In the Drive drop down list box, select a network drive letter.

5.5. In the Username box, type fpuser.

6.6. Make sure the Permanent check box is selected.

7.7. Click Connect. A message similar to the following example displays:

Device X: linked to \\IP address\directory path

If you look in Windows Explorer, you will see this path mapped to the

drive letter you selected. If you get an error message instead, check that

the IP address and directory path are correct.

8.8. Click OK.

9.9. Click Exit in the NFS Network Access window, and then close the

Maestro window.

Set Up System Parameters in FASPAC

Now you must tell FASPAC about the UPS software.

Sign on to FASPAC using your regular sign on ID and use the following

programs to enter system parameters:

• UPS System Specifications (SYS/OPT/UPS)—Set up system parameters

• Warehouse Control Specifications (SYS/WCS)—Set up warehouse

parameters

• System Code Maintenance (SYCD)—Set up freight codes

These programs are discussed in the following pages.

Note: Only those fields pertinent to UPS are discussed in this manual. For more

information about each screen, refer to the FASPAC reference documentation.

UPS System Specifications (SYS/OPT/UPS)

Use this program to define the default system-wide parameters for the UPS

interface.

1.1. In field 01, enter Y to download UPS orders to the UPS PC.

2.2. In field 02, enter the action to be taken if you manually enter an amount

in the Freight Amount field on the order, and the UPS software also

specifies a freight amount. The typical entry is R.

• A = Add the UPS amount to the amount entered manually.

• R = Replace the amount entered with the UPS amount.

• I = Ignore the UPS amount and leave what was entered manually.

3.3. In field 04, enter /u/work/upstemp. This is the directory on the

FASPAC system where the download file resides.

4.4. In field 05, enter /u/work/upstemp. This is the directory on the

FASPAC system where the upload file resides.

5.5. Skip fields 06 and 07. They are only used in UPS Manifest.

6.6. In field 08, enter Y to print UPS tracking numbers on the invoices.

Warehouse Control (SYS/WCS)

Note: If you have only one warehouse and one shipping point, skip this program.

Use the third screen of this program to override the settings in UPS Parameter

Maintenance (SYS/OPT/UPS).

If you have multiple warehouses and shipping points, this is where you create

multiple upload and download directories.

1.1. In the Whse field, enter the warehouse number. Then enter the following

information in fields 12 to 16 for this warehouse.

2.2. In field 12, enter Y to download UPS orders to the UPS PC.

3.3. In field 13, enter the action to be taken if you manually enter an amount

in the Freight Amount field on the order, and the UPS software also

specifies a freight amount. The typical entry is R.

• A = Add the UPS amount to the amount entered manually.

• R = Replace the amount entered with the UPS amount.

• I = Ignore the UPS amount and leave what was entered manually.

4.4. In field 15, enter /u/work/upstemp. This is the directory on the

FASPAC system where the download file resides.

5.5. In field 16, enter /u/work/upstemp. This is the directory on the

FASPAC system where the upload file resides.

6.6. Repeat these steps for the next warehouse number.

System Code Maintenance (SYCD)

Use this program to define the Freight code (FR) for the UPS interface.

1.1. In the RT field, enter FR for Freight.

2.2. In the Code field, press CMD-L and select a freight code.

3.3. Press Enter to accept the description.

4.4. Skip the Amount field.

5.5. In the Charge Freight field, specify whether you will charge the customer

for freight.

• Enter Y to charge the customer for the freight amount from the

UPS upload data. The program automatically enters Y in the next

field (Require Freight).

Shipment confirmation cannot be completed until a freight

amount has been updated from the UPS system to the order.

• If you enter N to not charge the customer, shipment confirmation

can process without freight updated from the UPS system to the

order if Require Freight is N.

6.6. If you entered Y in the previous field, the Require Freight field is

skipped. If you entered N in the previous field:

• Enter Y if shipment confirmation cannot be completed until a

freight amount has been entered on an order.

• Enter N if the freight amount is not required on an order.

7.7. In the Create Download field, enter U to create and download a file to

the UPS PC, and allow uploaded information to update an order.

Create the Import File

The next step is to run the Create UPS Download File (UPSI/UPDL) program

and create the import file (REPUPSDL.CSV) that will store data for transferring

to the UPS PC.

Note: The REPUPSDL.CSV file must exist before you can configure the UPS

OnLine Interface.

1.1. From any FASPAC menu, type UPSI/UPDL and press Enter.

The following screen displays.

2.2. Press F1 to create the REPUPSDL.CSV file.

The prompt “Run Report? (Y/N)” displays.

3.3. Enter Y to run the program.

Set Up the UPS PC

After completing the initial setup in FASPAC and creating the download file

(REPUPSDL.CSV), you are ready to set up the UPS Interface system. The setup

process varies depending on which UPS software you are using.

During the UPS End of Day process, which sends the information for the day’s

shipments to UPS by modem, an export batch file is created to update FASPAC.

Again the process varies depending on which software you are using.

Before You Begin

• You must have installed the UPS software supplied by UPS.

• You must have created the REPUPSDL.CSV file in UPSI/UPDL (in the

FASPAC software).

• You must have access to the REPUPSDL.CSV file created in FASPAC using

a mapped network drive on the UPS PC.

• You should be familiar with the UPS software.

• You are familiar with navigating in Windows.

UPS OnLine Professional

The UPS OnLine Professional software uses a batch update process and custom

import and export templates. The Batch Processing Module is described in the

UPS documentation.

Note: The following activities vary greatly depending on your setup, and cannot

be documented in this manual. Your UPS representative can provide assistance

with creating the custom templates.

First, you must create a custom template for importing data from the FASPAC

REPUPSDL.CSV file to the UPS PC.

REPUPSDL.CSV is a comma-delimited file with quotes around the text. Table 1

lists the information contained in the file. Use it to help in creating your template.

Note: The “key” field for batch processing is ORDERID.

Then create a custom template for exporting data from the UPS PC to FASPAC.

Export all fields using a .CSV file, and include headers.

OnLine Office and OnLine WorldShip use ODBC (Open DataBase Connectivity)

to read the REPUPSDL.CSV file using a data key. You do not have to import the

data into UPS to use it; UPS can read it directly from the REPUPSDL.CSV file

by using an import map that you create.

Data is exported for FASPAC during the UPS End of Day process by using an

export map that you create.

Note: These activities vary greatly depending on your setup and cannot be

documented in this manual. Your UPS representative can provide assistance with

creating/defining the necessary import and export maps.

Add an ODBC Driver

Before you create the import and export maps, you must create the FASPAC

ODBC data source that will be used by UPS.

1.1. From the Windows Start menu, select Settings > Control Panel.

2.2. Select 32 bit ODBC.

A window similar to the following example displays.

3.3. Select the User DSN tab and click Add.

The Create New Data Source window displays.

4.4. Highlight Microsoft Text Driver and click Finish.

The ODBC Text Setup dialog box displays.

5.5. Type FASPAC in the Data Source Name field.

6.6. Type a description in the Description field.

7.7. Clear the Use Current Directory check box and click Select Directory.

The Select Directory dialog box displays:

8.8. In the Drives drop down list box, click the drive letter you mapped on

page 2-7.

9.9. In the Folders list box, click the path to the mapped FASPAC drive.

10.10. Click OK to finish. The ODBC driver is added to your PC.

11.11. Click OK to exit the ODBC Text Setup dialog box.

12.12. Click OK to exit the ODBC Data Source Administrator window.

13.13. Close the Control Panel.

Now you tell the UPS software how the FASPAC data is defined.

SET UP THE UPS PC

Define the Import Map

Run the UPS software and define/edit the import map. Keep the following steps

in mind during this process.

Note: We can provide basic assistance for creating or editing the import map.

However, detailed assistance is provided by UPS.

1.1. Select the option for keying import data from the ODBC database to the

UPS software.

2.2. Select the FASPAC ODBC data source you set up in the previous

section.

3.3. Map the FASPAC ODBC Table fields to the UPS software fields.

4.4. Set ORDERKEY as the defined key for the file. Note that a key icon

displays next to the ORDERKEY field.

5.5. Using Table 2, connect the FASPAC fields to the UPS software fields.

• You can map one FASPAC field to more than one UPS field.

• The ORDERID and UOLSOURCE fields are not used.

6.6. When you are finished connecting the fields, select the map you just

created as your default keyed import map and then enable it.

Define the Export Map

Map the export data to a .CSV file using ODBC. Keep the following steps in

mind during this process.

Note: We can provide basic assistance for creating or editing the export map.

However, detailed assistance is provided by UPS.

1.1. Select the option for exporting from the UPS software to a CSV file.

2.2. Use the mapped FASPAC drive letter you set up on page 2-7.

3.3. Be sure to select the options for Overwriting the existing file and

Including header row.

4.4. Connect the UPS software fields to the FASPAC fields in the .CSV file

as shown in Table 3.

Caution! It is very important that you rename the columns exactly as

specified in the Your CSV File column of the table. The CSV file names

must be in upper case with the underscores exactly as shown.

GETTING STARTED

3Process UPS Shipments

This chapter describes the steps for processing UPS shipments and updating

FASPAC.

Overview

Note: Functions performed on the UPS PC are supported by UPS. We will help

you with our interface files, however we do not support operation of the UPS

software.

Create shipment orders in FASPAC

1.1. Generate orders in Order Desk (OD).

2.2. As needed, run the Create UPS Download File (UPSI/UPDL) program to

refresh the UPS database. This database should always be current.

Process the shipments in the UPS software

The REPUPSDL.CSV file is used with UPS OnLine Office or OnLine

WorldShip through ODBC and keyed imports, or with UPS OnLine Professional

using the imported file from the UPS Batch Processing Module.

1.1. Select an order from the information downloaded from FASPAC:

• For OnLine Office or OnLine WorldShip, use the keyed import

feature.

• For OnLine Professional, select it from the available orders in the

list in the Batch Processing Module.

Do not enter the order number manually in the UPS software.

2.2. Enter any remaining information (such as type of service and weight)

needed to process the shipment.

3.3. Repeat steps 1 and 2 for each shipment.

4.4. Run the End of Day process. It transmits the shipment information to

UPS and exports the data to the file that will be uploaded to FASPAC.

Update FASPAC with UPS Shipments

5.5. Run the UPS Upload Processing (UPSI/UPUP) program to update

FASPAC with the UPS shipping information.

6.6. After the UPS information has been updated, run Shipping Confirmation

(OP/SHP/SC) to prepare the orders for invoicing.

7.7. Use the Order Expediting (OE) program to view the shipment history for

an order, including package count, UPS charges, tracking numbers, and

the date UPS picked up the shipment.

Create Replacement Download (UPSI/UPDL)

Run this program to refresh the information in the Batch Processing Table on the

UPS PC.

If you are using the UPS Batch Processing module, run this program before you

create shipments on the UPS PC. If you are using UPS OnLine Office or OnLine

WorldShip, run this program periodically to clean out the file.

This program is the only method for cleaning the file. It deletes the file and

creates a new one with any open orders. If you do not run this program on a

regular basis, it will continue to grow and take up disk space.

Your options in this screen are:

• Press F1 to create the file.

• Press F9 or CMD to cancel and exit the screen.

• Press F12 to delete this process from the answer file for an automated

schedule. Refer to the Automated Processing Reference Manual in Volume 5

for information about schedules.

On the UPS PC

Create UPS Shipments

After you have refreshed the data in the REPUPSDL.CSV file by running UPDL,

process shipments for the orders in the UPS software.

Note: If you have difficulty running the UPS software, contact your UPS

representative for instructions.

For OnLine Office or OnLine WorldShip

1.1. When you select the Keyed Import, enter the FASPAC order number as

it is printed on the pick list, including the leading zeroes, hyphen, and

suffix (such as 000018-00).

The UPS software will display the information from the

REPUPSDL.CSV file.

2.2. Enter other information for the shipment (such as type of service and

weight).

3.3. When finished, process the shipment.

4.4. Repeat these steps for all orders.

For OnLine Professional

1.1. Import the information into the Batch Processing Module, discarding

duplicates.

2.2. Using the Batch Processing Module, select the order from the list of

available orders to process.

To find the order quickly, you can use the order number without the

hyphen, and suffix.

3.3. Enter other information for the shipment (such as type of service and

weight).

4.4. When finished, process the shipment.

5.5. Repeat these steps for all orders.

Note: The End of Day process will create an export file to be uploaded and

processed by FASPAC.

UPS End of Day

After you have created all shipments for the day, run the UPS End of Day

process on the UPS PC as instructed by your UPS representative. The UPS

software performs the following tasks:

• Closes the UPS orders and sends the shipment information directly to UPS by

modem.

• Removes previous data in the batch file and then exports the current shipment

data to the export batch file. This file will be uploaded to FASPAC.

Caution! Remember to run UPS Upload Processing (UPSI/UPUP) in FASPAC

immediately after you run the End of Day process, especially if you run End of

Day more than once a day. If you do not, you will lose the shipment information

because it will be removed the next time you run End of Day.

ON THE UPS PC

In FASPAC

After you have created shipments on the UPS PC, upload the UPS batch file to

FASPAC.

UPS Upload Processing (UPSI/UPUP)

It is very important that you run this program immediately after you run the UPS

End of Day process. Otherwise, you may overwrite the UPS batch file and lose

the shipment information before FASPAC can process it.

This program produces an exception report of items that did not process, posts

the freight to the orders (based on the system parameters), and creates entries in

the shipment history file. This report is printed to the Other Printer.

1.1. From any FASPAC menu, type UPUP and press Return.

2.2. In the Whse field, enter the warehouse number or press Skip for all. You

can also use CMD-L (Lookup).

3.3. In the UPS Upload Directory field, press Return to accept the default

directory.

For a specific warehouse, the default comes from SYS/WCS.

For all warehouses, the default comes from SYS/OPT/UPS.

4.4. In the UPS PC File Name field, enter the file name (such as upload.csv)

that was created during the End of Day process on the UPS PC.

5.5. In the Print (A)ll or (E)rrors field, enter A to print all information on

the log, or E to print errors only.

The program runs immediately.

If the UPS billing code is Prepaid, FASPAC updates the freight amount in the

order based on the FR code and the type of update (A, R, or I).

If the billing code is Collect or some other code, UPS or someone else is

handling the freight charges and FASPAC will not update the order header.

After the order is found (downloaded, not canceled, not shipped) the freight code

will be tested to determine if updating is to take place. If the freight code is set to

charge freight (Charge Freight field = Y), the type of update will be tested:

• A—Add the uploaded UPS freight to any current order header freight amount.

• R—Replace any order header freight amount with the uploaded UPS amount.

• I—Ignore the UPS uploaded freight amount if there is any freight amount in

the order header file. However, if the order header freight amount is zero,

update the order header with the uploaded UPS freight amount.

During the process an error audit is produced. If an error message is produced,

the order header is not updated with the freight amount from the UPS upload.

Audit Report Messages

CUSTOM1 Must Be before NET_SHIPPER_CHG in RecordProcess Aborted ==> Please Correct Export Template

You have mapped the CUSTOM1 and NET_SHIPPER_CHG fields in

the wrong order in the Export template. No transactions were processed.

Freight option set to not updated

The freight code on the order is flagged N in the Update Freight field in

SYS/SYCD. No updating will be done on this order.

Invalid UPS pickup date

UPS has changed the format of the date field, which does not match the

format in FASPAC.

Missing UPS Field

The export file from UPS does not contain all the fields required to

update FASPAC.

If the field is required by FASPAC, the following message will also be

displayed:

All Required UPS Fields Are Not in Export FileProcess Aborted ==> Please Correct Export Template

The Export template does not contain all the fields required to update

FASPAC. No transactions were processed.

IN FASPAC

Pickup ID already posted

The pickup ID in the upload file is already on the order-tracking file. No

further processing will be done.

Order canceled

The order exists on the order header file but has a canceled status. This

order will not be updated.

Order invoiced

The upload order, although not on the order header file, is on the invoice

header file. The freight amount is not updated on this order. However,

package tracking is updated.

Order not found

The order on the upload file is not in the order header or invoice header

file.

Order shipped

This order is on the order header file with a shipped status. The order

will not be updated.

Order was not downloaded

This order was not downloaded by Create Replacement Download

(UPSI/UPDL). The order will not be processed.

Order Expediting (OE)

When UPS shipping information is posted from the UPS software to FASPAC,

the option S-Shipment Detail displays in the header screen of this program. The

Shipment Detail prompt is only displayed if shipment history information is

available.

1.1. To display the header screen, press F5 (see Hdr) in the first OE screen.

2.2. In the SELECT prompt, enter S to display the Shipment History screen,

discussed on the next page.

IN FASPAC

Shipment History

This screen displays UPS information about the shipment posted from the UPS

software to FASPAC. Shipment information includes UPS Pickup Number, the

Pickup Date, the Freight Amount, and the UPS Tracking Number, Weight, and

Freight Amounts for individual cartons.

Note: The Weight and Freight Amount details per carton only appear in OnLine

Professional. They do not appear in OnLine Office or OnLine WorldShip.

4Update Process Examples

This chapter provides examples of what happens to orders when the Update

Process and Shipment Confirmation programs run with different parameters

marked.

Example 1a

SYS/SYCD Freight code fields: AMOUNT: 1.30

CHARGE FREIGHT: N

REQUIRE FREIGHT: Y

CREATE DOWNLOAD: U

Freight charge from UPS PC: 2.50

Orders using a Freight code will have a download file generated by Create

Replacement Download (UPSI/UPDL), and can be processed by the UPS PC.

The update process will post the shipping history, but will display the message

“Freight option set to not update” and will not update the order freight amount

with the $2.50 from the UPS PC.

The order will be updated with a default of $1.30 from the SYCD Freight

Amount field, which you can override. However, you cannot enter zero because

freight is required on the order.

Example 1b

Same as Example 1a except for the following field:

SYS/SYCD Freight code fields: REQUIRE FREIGHT: N

The order will be updated with a default of $1.30 from the SYCD Freight

Amount field, which you can override. In this case, you can enter zero because

The handling charge of $1.50 and the $2.50 from the UPS PC will be ignored

because the $1.30 from the SYCD Freight Amount field is used as the default.

5Troubleshooting

This chapter provides solutions for some common problems you may encounter.

The download process does not run properly.

When creating downloads, the system code for freight must be flagged to

Create Download. The order must have that code in the Freight Term

field in box 2 of Order Expediting.

Run System Code Maintenance (SYCD) and check the code.

The same information is exported every time.

In the UPS software, check the Auto End of Day settings and be sure the

“UPS to FASPAC” option is selected (that is, there is a check mark next

to it).

The UPS reference number is not printing on the package labels.

In the Reference section in the UPS software, make sure that “Use on all

packages” is selected.

The upload does not work.

Call Faspac Customer Support.

The message “Missing UPS Field” displays.

An export field was not named correctly or at all during the export

mapping process.

Refer to Chapter 2–Getting Started and check all export mappings.
