OVERLOADING/UNDERLOADING What is the regular load? A regular load is the number of units prescribed in a student’s curriculum. UPSE students are encouraged to follow their curricula. What does it mean to be underloading? A student who is underloading means that he is taking less than 15 units (prescribed minimum) for the current semester. He will not be eligible for latin honors once he underloads. What does it mean to be overloading? A student who is overloading means that he is taking more than the prescribed number of units for that semester + (2) units.

What does a grade of 4.0 mean?

• It is a conditional grade, which may be removed either by a successful repetition of a course or by passing a re-examination (removals) within 1 academic year.

• If the student passes the re-examination, a grade of 3.0 is incurred, if not, a 5.0.

• If the student does not retake the course or does not take the removals exam, the grade of 4.0 becomes a 5.0

What does “INC” mean?

It is a grade given to a student whose class standing is “passing” but fails to either take the final examination or to complete the requirements of the course. The student is given one (1) academic year to complete the said requirement.

Grade Averages:

• Weighted Average Grade (WAG) - weighted average of all grades received for prescribed subjects and qualified electives in the BSE and BSBE curriculum.

• Econ Weighted Average (EWA) - weighted average of all Economics subjects taken, excluding Economics 11.

   

To get the Econ Weighted  Average (EWA), multiply the  Econ course grade by the  number of units per course,  sum these products and then  divide by the total of Econ  units taken. Exclude Econ 11.

Computing WAG and EWA for purposes of determining one’s scholastic standing in the School of Economics (SE):

 Multiply the course grade by the number of units of the course. Add these products then divide the sum by the total number of units. If a grade of 4 is removed successfully through a removal exam, include only the final grade of 3, with the respective number of units of the course.

If a course with a grade of 4 is re-enrolled, the average of the 4 and the new grade are included in the calculation, without doubling the number of units. For example, for a 3-unit course, if the new grade is a 2, then the average is computed as:

[(4.0 + 2.0) / 2] = 3 x 3units = 9 The same rule applies for a course with a grade of 5, which is subsequently reenrolled and passed. that is, if a course with a grade of 5 is re-enrolled and passed, the average of the 5 and the new grade is included in the computation, without doubling the number of units. For example, for a 3-unit course, if the new grade is a 2:

[(5.0 + 2.0) / 2] = 3.5 x 3units = 10.5

Computing WAG and EWA for purposes of determining one’s eligibility to graduate from the School of Economics (SE):

To be eligible for graduation from the SE, a student must have a cumulative WAG and EWA of no more than 2.5 each which are now computed using University Rules. Specifically, in case a course is taken twice due to a 4 or 5, the average of both grades received is computed using the total number of units. For example, for a 3-unit course, if a 5 was received originally and the new grade is a 2, the computation of the average is:

[(5.0 x 3units) + (2.0 x 3units)] = 15/3 + 6/3 = 21/6 = 3.5

SCHOLASTIC DELINQUENCY

1. A student must have a WAG and EWA of not lower than 2.5 at either the end of his/her Junior Year or the summer term of it, otherwise he/she is dismissed from the SE.

a) a WAG of not lower than 2.5; b) an EWA of not lower than 2.5; c) regular grades (i.e., excluding INCs and DRPs) in at least 60% of

the units registered as of the last day of registration. Otherwise, the student will be placed under probation for the following term. Probation may be removed by satisfying requirements (a), (b) and (c) at the end of the semester or summer the student was on probation.

3. Any student who fails to satisfy requirements (a), (b) and (c) at the end of the semester or summer he/she was put on probation will be dismissed from SE.

4. A student must pass Econ 106 and Econ 131 within four (4) semesters from first enrolling in either Econ 101 or Econ 102, inclusive of the semester of first enrollment in either subject. Failure to comply with this scholastic delinquency rule will result in a student’s dismissal from the SE.

5. A WAG and EWA of not lower than 2.5 each is required for graduation.

Note: In exceptional cases the above rules on admission and scholastic delinquency may be waived by the Dean upon recommendation of the Committee on Undergraduate Admissions and Performance.

AWARDS AND LATIN HONORS For purposes of determining University awards, Latin Honors and SE awards, the WAG is computed using University Rules. University awards, awarded every semester:

In addition, a student must have taken during the previous semester at least 15 units of academic credit or the normal load prescribed, and have no grade below “3” in any academic or non-academic subject.

1) A course is qualified for credit only if (i) its course description matches that of the SE counterpart course and (ii) the course has at least the same number of units as its SE counterpart course.

2) To obtain credit for a qualified course, a student must first pass a validation Exam (to be scheduled prior to first enrollment in the School). Upon passing, the course will be credited and the grade which the student received for that course will be recognized. Failure to pass the validation exam will mean no credit and no grade. If the course is a prerequisite to higher economics courses, the student will not be permitted to enroll in those higher courses unless he/she obtains consent from an instructor.

3) Students may opt to forfeit the chance to validate prior to first enrollment and instead enroll in the course and receive a grade in the usual manner.

Additional NSTP Guideline

Since the NSTP is designed and implemented by Colleges, once students have started taking their first NSTP course in one college, they MUST finish the second course in the same college.

SOCIALIZED TUITION SYSTEM (STS) In the University of the Philippines (UP), all students receive financial support from the National Government since the full tuition is much lower than the cost of education in the University. The Socialized Tuition System (STS) was created to provide tuition discount at rates that are based on the assessment of the paying capacity of the household to which a student belongs. This assessment looks at the income as well as the socio-economic characteristics of the household.

UP students who wish to apply for tuition discounts under the STS must supply the information about the income and socio-economic characteristics of their household. The application is done online. Tuition discounts and other financial assistance from STS shall be for one academic year, renewable annually. Incoming Freshmen (student number beginning 2014 and incoming MD and JD students) who will be granted Full Discount + Stipend will receive P3,500 monthly allowance for two semesters. Said monthly allowance may be in the form of cash, dormitory privilege, and/or meal coupon. Upperclassmen (students admitted to the university before 2014) at the same level shall receive P2,400 monthly allowance for two semesters. What do I need to be in order to qualify?

1. Be a Filipino; 2. Be a bonafide undergraduate student. Except for students of Law and

Medicine, the applicant must not have a bachelor’s degree. For new students, the applicant must have an admission slip;

3. Never have been adjudged guilty of any offense that carries a penalty of more than 30 days suspension; and

4. Be in need of financial assistance as determined by the University. How do I Apply?

1. Visit http://sts.up.edu.ph/ and log in using your Student Number and 5-digit PIN.

2. Indicate your intent to apply and your consent to the terms and conditions of STS.

3. Complete your Student Profile with information about yourself and your parents/guardian and siblings.

4. Answer the Household Characteristics questionnaire. 5. Accomplish the Household Income form. 6. Review all entries before proceeding to submission. You cannot view or

change your answers after you submit your application. 7. Proceed to submission. You and your parents/guardian need to indicate

8. Confirm submission of your STS application.

STS applicants are not required to submit any documents (e.g., income tax return, employment contract, etc.) to complete the application process.

UPSE SCHOLARSHIPS The UPSEAA Scholarship Program offers financial support to students of the UP School of Economics with the objectives of:

1. Assisting students from lower income brackets who are majoring in Economics to cope with personal financial constraints during their stay in the School

2. Attracting students of exceptional academic promise to the School of Economics

3. Rewarding UPSE students for outstanding research work at the undergraduate and graduate levels

UPSEAA Undergraduate Assistance The undergraduate financial assistance consists of a stipend of P12,500 per semester. The scholars are selected as follows:

1. For the entering freshman class, the students with the two highest UPCAT scores from among all “bracket E and D” students are awarded a scholarship.

2. The batch scholars will retain their scholarships for their remaining years in the School, as long as they remain UPSE students in good standing.

3. If a scholar is disqualified for any reason, then another student will be selected from his/her batch following the above selection process, with the scholarship awarded to the student with the highest GWA in the previous year.

Affiliated Undergraduate Scholarship Program Under the initiative of UPSE alumni in the business community, the Fund Managers’ Association of the Philippines (FMAP) has undertaken, since AY 2009-10, to support an additional two scholars per batch during their third and fourth years at the School.

PROCEDURES Substitution of Subjects

1. Get 3 copies of the substitution form from SE 101 and fill it out correctly.

2. Proceed to the Undergraduate Programs Committee for approval.

3. Proceed to the department where you took the classes and have it signed.

4. Go to the Econ Department Chairman at SE 222 for approval.

5. Submit the substitution forms to SE 101. Wait until one (1) copy is returned to you.

Permit to Overload and Underload

1. Before submitting your Form 5A for the printing of Form 5, check your corresponding number of units first.

2. If you are overloading or underloading, ask for an Overloading / Underloading form from the person-in-charge.

3. Write your name and student number on the top left portion of the form.

4. Submit this form along with your Form 5A and wait for it to be returned.

5. Once you have your WAG written on your Overloading / Underloading form, seek the approval of the Undergraduate Studies Committee.

6. If the Undergraduate Studies Committee has signed the form, you may already get your Form 5.

For Probationary / Dismissed student

1. Before proceeding with any registration procedure, make sure your name is on the Master List. If not, check for your student number on the Probationary / Dismissed List. You may also check your eligibility status in CRS to confirm.

2. If you are included in the list of Probationary / Dismissed students, go to the advising room and consult an adviser from the Undergraduate Studies Committee. Make sure that the adviser signs the “Advised by” section of your Form 5A.

3. After being advised, have your CRS ineligibility status untagged. Note that you cannot proceed to any registration procedure without having all your deficiencies cleared.

Removals Permit

1. Go to SE 101 to get the Removals Form and fill out the necessary details.

2. Return the Removals Form to SE 101 for the signature of the College Secretary.

Proxy Letters (if you are not able to enrol for yourself)

1. The proxy must present two (2) copies of the authorization letter signed by the student, the student’s UP ID, and the ID of the proxy at the registration room.

2. Once the ID’s and 2 copies of the authorization letter have been returned, the proxy can proceed with the normal registration procedure.

*2 Proxy letters (original and photocopy) must be countersigned by the student records evaluator. A proxy can register for a maximum of 2 persons.

Requesting for documents – True Copy of Grades / Certificate of Good Moral Character / Certificate of non-contract / Certificate of Graduation

1. Fill out a Request Form and mark the box of the document which you would like to request for.

2. Hand the Request Form and UP ID to the person-in-charge.

3. A Payment Slip will be given to you along with your UP ID. Pay immediately at the UP Cashier’s Office.

4. Submit the Payment Slip and the Official Receipt (OR) to SE 101.

5. Wait until the person-in-charge returns to you the OR. Come back after 3 days with the OR and your UP ID to claim the documents.

*It is important that you pay right away. Requests will only be processed once you present the OR to SE 101.

Filing for Leave of Absence (LOA)

1. Fill out the online application form found in your CRS account.

2. Secure all permits needed from the adviser and department (endorsements).

3. Have your LOA application approved and printed by the college.

4. Have the Dean of your college sign the application form.

5. Proceed to the Cashier’s Office or any payment center to pay for your form.

*Instructors need to submit the class standing of the student if he is applying for LOA during or after the midterm date.

Returning from LOA or AWOL

1. Write a “Letter of Admission” addressed to the Chairman of the Undergraduate Studies Committee, and submit it to SE 101.

2. Return to SE 101 on the agreed date to pick the approval document up.

3. Fill out a Request for a College Admission Slip. Submit this along with your UP ID and the approval document to SE 101.

4. Once you have the College Admission Slip, go to the OUR to get the University Admission Slip.

5. Present the University Admission Slip at SE 101 and Request for a Permit to Enrol.

6. Lastly, do not forget to print your Form 5A.

ADD of Matriculation (ADD Mat)

1. Make sure that you already paid your matriculation.

2. Proceed to the college of the class which you want to add.

3. Once the personnel has added you to the desired class, remind him to write the subject’s details in the registration material.

4. Proceed to the registration room and present your Form 5 for validation.

5. Once your Form 5 has been retuned, proceed to assessment and printing of Form 26A at the assessment room.

6. Go back to the registration room for the signature of the college secretary.

7. Payment is at the OUR or at the Cashier’s Office.

Cancellation of ADD of Matriculation

1. In case you have decided to discontinue with the addition of the class, return to the college of the class which you have just added.

2. Ask the personnel to cancel the class you added through ADD Mat.

3. Once you are taken out of the class, you need not do anything because the CRS system will detect that you were added via Add of Mat. You are good to go with your Form 5.

CHANGE of Matriculation

1. Make sure that you already paid your matriculation.

2. Proceed first to the college of the class which you want to cancel to avoid a conflict of schedule. Have the personnel cancel the class for you.

3. Go next to the college of the class which you want to add. Once the personnel has added you to your desired class, present him your reg mat and have him write the details of the class in the space provided.

4. Proceed to the registration room for validation. Assessment and printing of Form 26A follows at the assessment room, then go back to the registration room for the signature of the college secretary.

5. Payment is at the OUR or the Cashier’s Office. Discontinuation of CHANGE of Matriculation

*Applies if the student cancels a class and decides that he would like to retain his old class. In other words, he will add his cancelled class again.*

1. Proceed first to the college of the class which you want to cancel to avoid any conflict in schedule. Have the personnel cancel the class for you and ask him to put the necessary information in your reg mat.

2. If for instance, you have decided that you want to retain the class that you have just cancelled, return to the college and ask the personnel to enlist you again in that class.

3. Once the personnel has added you to the desired class, you are A-OK and good to go with your Form 5.

4. But what if the old class is full? You need to continue with your CHANGE of Matriculation. You must enlist in another class or else, you will have a pending CHANGE of Matriculation transaction in your CRS records.

5. Once the personnel have added you to the desired class, remind him to write the information of the course in your reg mat.

6. Proceed to Add Mat procedure in your home college.
