TO BOOKProvisionally book your chosen festive event. Pay a deposit of £10 per person for Christmas Parties to secure the booking, due within seven days of holding the date. Full prepayment of booking required for New Year’s Eve, for both non-residential & residential packages.
All deposits are non-refundable and non-transferable.You are required to pay the final balance for the event and any beverage pre-orders by the 1st November 2019. Once full payment has been received, no refunds, exchanges or transfers can be made. Pre-orders required for all events 14 days prior.

TERMS AND CONDITIONS
1. These conditions apply to all guests attending Christmas programme events (Event).
2. All Events are subject to availability.
3. All provisional programme bookings must be confirmed within seven days of booking and a deposit of £10 per person is required. New Years bookings must be fully prepaid at the time of booking.
4. All bookings must also be accompanied by a signed booking form and any bookings not confirmed after seven days will be released without further notification.
5. All balances must be paid in full by the Friday 1st of November 2019. All bookings made after these dates must be paid in full within seven days of booking or, if the booking is less than seven days from date of the Event, payment in full is required immediately.
6. The rate for the Event and any accommodation shall be the rate detailed in the confirmation of booking supplied by the hotel, which may be sent by fax, post or e-mail. Children are charged as detailed in brochure.
7. All prices shown are inclusive of VAT, but may be subject to any other relevant taxes/levies at the current prevailing rate in force on the date of the Event. Prices advertised are subject to change prior to booking.
8. Except as set out below, we regret that all payments received, including deposits, are non-refundable and non-transferable.
9. We regret that should your party size decrease in numbers, payments (including deposits) cannot be offset against food, drinks or accommodation.
10. If the final amount is not settled in advance (see terms in clause 5 above), the hotel reserves the right to cancel the booking.
11. ln the unlikely event that the hotel is obliged to cancel the Event, all monies will be refunded or an alternative date or location will be offered (at the hotel’s discretion), without any further liability to the hotel.
12. Special requests (e.g. dietary requirements) must be made known to the hotel at least 14 days before the Event.
13. No additional food or drinks of any kind are permitted into the hotel by party organisers or guests. Please be aware bag checks will take place on property to prevent this, any items found will be seized from the guest during the party period.
14. All data and information relating to guests is subject to the Privacy Policy set out in full on the Hilton Worldwide website.
15. Double Tree by Hilton Kingston Upon Thames will endeavour to ensure that all the information and prices are accurate. However, occasionally errors occur and Double Tree by Hilton Kingston Upon Thames reserves the right to correct prices or other information in such circumstances. If a booking has already been made, the hotel is entitled to cancel the booking without liability.
16. These conditions shall be governed by English law and the courts of England will have exclusive jurisdiction of the English courts.
17. Any accommodation booked shall be subject to our hotel booking terms and conditions (available at hilton.com).
18. The venue operate a strict challenge 25 policy and any guests that cannot produce a legal form of identification may be refused the sale of alcohol.
19. Minimum numbers for our Sopwith Joiner party nights will be 50 guests, should any party night drop below this, the hotel has the right to cancel these dates. Full refund, hotel not responsible to find another venue. Client will be informed no later than 14 days prior.
20. Festive décor will have limited for our party nights and may not be in our Lydiard suite or main restaurant. Our main reception area will include festive décor.
21. Organiser vouchers of £40 will not be valid for the night of your party and can only be used from the 1st of January 2020 to the 30th November 2020. Vouchers will be given to the main organiser on the night of the event. Vouchers cannot be used in conjunction with any other offer.
