Complain Letter:

A complaint letter requests an adjustment for defective goods or poor services, or it complains about unfair treatment, or the like. You would be mistaken to begin a complaint letter with the intention of criticizing someone. Everyone should remember that the real purpose in complaint letter is to achieve a desired result: a refund, a replacement, improved service, better business relations, or even an apology.

To accomplish the objective, an effective complaint letter is written by the following these five steps: (1). Begin with a detailed description of the product or service. Give the appropriate model numbers, size (s), quantity, color. Indicate when and where you purchased it, and also how much warranty time remains. Indicate if you are returning the product to the company and how you are sending it. If you are complaining service, give the name of the company, the date of service, the personnel providing it, and their exact duties.

(2). State exactly what is wrong with the product or service. Precise information will enable the reader to understand and act on your complaint. How many times did the machine work before it stopped, what parts were not done or done poorly, and when did all this happen? Stating that “ the brake shoes were defective” tells very little about how long they were on your car, how effectively they may have been installed, or what condition they were in when they ceased functioning safely. Reach some conclusion, even if you qualify your remarks with words like “ apparently,” “ possibly,” or “ seemingly,” when you describe the difficulty.

(3). Briefly describe the inconvenience you have experienced. In this section of the complaint letter, show that your problems were directly caused by the defective product or service. To build your case, give precise details about the time and money you lost. Don’t just say you had “ numerous difficulties.”

(4). Indicate precisely what you want done. Do not simply write that you “ want something done,” that “ adequate measures must be taken,” or that “ the situation should be corrected”. If you are asking for damages, state your request in dollars and cents, and include a copy of any bills resulting from the problem. Perhaps you had to rent a car, were forced to pay a janitorial service to clean up, or had to rent equipment at a higher rate because the company did not make its deliveries as promised.

(5). Ask for prompt handling of your claim. Ask that an answer be provided to any question you may have ( such as finding out where calls came from that you were billed for did not make). And ask that your claim be handled as quickly as possible. You might even specify a reasonable time by which you want to hear from the writer or need the problem fixed.
