FOREWORD

UMP Postgraduate Association (PGA) had just officially established in March 2016.

We would like to express our gratitude to the Vice Chancellor, Prof. Dato’ Dr. Daing Mohd

Nasir Daing Ibrahim, the Deputy Vice Chancellor of Student Affairs and Alumni, Prof.

Dato’ Dr. Yuserrie Zainuddin and staffs at Student Activity and Association Unit for

assisting and acknowledging the establishment of UMP Postgraduate Association.

We owe deepest sense of gratitude to our advisor, Prof. Dato’ Dr. Hasnah Haron,

Dean of Institute of Postgraduate Studies (IPS), Prof. Datin Mimi Sakinah, Abdul Munaim,

Deputy Dean, Mr. Shahrizai bin Haji Sharif, Mrs. Kalpana Ramachandran, Mr. Ahmad Zarif

Ahmad Fauzi and all dedicated IPS staff who had been constantly assisted PGA during

embarking a new journey up to the whole year.

Infinity of thanks also goes to the academic and non-academic staffs who had

involved directly and indirectly in the activities and events organized by PGA.

Our sincere gratitude and apologize to all postgraduate students who had been

volunteering, supporting and trusting us. We were not able to meet everyone expectation,

yet, we had tried our level best to serve the members for the short period of time. We wish

that the new elected committee members will continue creating the best legacy.

Last but not least, it is a genuine pleasure to thank all committee members who had

been profoundly attached for the whole year. It had been the greatest opportunity for us to

be selected as the very first committee members. The beginning is always the hardest. There

are lots of improvement needed to be done. Nevertheless, we believe that lessons well learnt

and each single moment is priceless memory.

Above all, we really hope that PGA is able to achieve its vision and mission. We

would really love to share PGA theme with everyone especially UMP postgraduate students:

CHAPTER 1

INTRODUCTION

1.1 UMP Postgraduate Association (PGA)

New committee members for UMP Postgraduate Club (PostAc) was announced

during Postgraduate Dinner organized by Institute of Postgraduate Studies (IPS) on 18

December 2015. During first meet up of new members and former member, it was found

that PostAC had never been registered as an official association under University. Upon

meeting with the Dean of IPS, Prof. Dato’ Dr Hasnah Haron and IPS Personnel Mdm.

Kalpana Ramachandran, it is decided that PostAc will be officially reinstated and as one of

the students’ associations of University Malaysia Pahang under brand new name; UMP

Postgraduate Association (PGA).

The request for the establishment of UMP Postgraduate Association (PGA) had been

endorsed by the Vice Chancellor, Prof. Dato’ Dr Daing Nasir Ibrahim and officially received

by PGA 2016 Committee on 17 March 2016. The core of the establishment is orientation of

academic and leadership. Pursuing higher degree of studies requires great discipline, higher

level of maturity, various skills, capabilities and knowledge beyond the intellectual

intelligence. It is highly expected that the establishment of PGA will encourage the

postgraduate students to excel well in both academic and leadership skills. Honing both

aspects will be a priceless manifestation for developing future leaders. The establishment of

PGA is seemed to be beneficial and bring greater advantage to UMP stakeholders especially

postgraduate students who come from different countries, religions and nations.

1.2 Vision

“To be a recognized postgraduate association at national, regional and international

levels by contributing towards the development of academic, social and personal

development of postgraduate students of Universiti Malaysia Pahang”.

1.3 Missions

i. Becoming source of reference/information, providing assistance and bridging

connection between postgraduate students and university administrations with

diplomatic approach that is beneficial to all parties.

ii. Creating close relationship with other postgraduate associations for sharing of ideas,

new insights and resources available to assist postgraduate students.

iii. Encouraging postgraduate students to be actively involved in co-curricular activities

within campus and off-campus.

1.4 Objectives

i. Act as a liaison between postgraduate students and university administration

especially Institute of Postgraduate Studies (IPS).

ii. To assist postgraduates students in organizing events and activities of various aspects

including but not limited to academic, volunteerism, social work and

entrepreneurship.

iii. To enhance leadership skills among postgraduate students

iv. To facilitate networking amongst the UMP Postgraduates, Faculty Members,

Academia or Industrial Experts benefitting for:

(a) Professional enhancement.

(b) Career development.

(c) Knowledge-experience sharing.

CHAPTER 2

ACTIVITIES / EVENT REPORTS

2.1 Introduction

Since UMP Postgraduate Association is newly embarked on its journey, a lot of

ground works needed to be done. Starting from the first meeting on 22 December 2016,

UMP PGA 2016 were able to conduct some activities and events. There are lots of

weaknesses and improvement to be done. This chapter and the following Chapter 3

presented the details of activities’ / events’ report organized in year 2016.

2.2 Steve Andrew English Class

Introduction

English has become the fundamental medium of communication in both verbal and

academic writing. Nevertheless, most of the postgraduate student especially local

Malaysians and non-English native countries such as Middle East students are having

difficulties in either conversation or writing. Therefore, as an alternative approach to help

overcoming this issue, PGA organized a tuition-based class for these students.

Objective

i. To improve English speaking and writing abilities of postgraduate students

ii. To boost self-confidence and enhance the graduate employability as well as quality

of the postgraduate students.

Proposed Program Implementation

The program is supposed to be facilitated by Mr Stephen Andrews on Saturday or

Sunday depending on the participants’ availability. Five percent (5%) of the total gross

income will be given to PGA for operating cost purpose for this class or other PGA activities.

There will be two different type of classes offered:

i. Conversation Tuition

Focus will be put on improving language use involving pronouns, past tense, present

tense and future tense. Exercises will include white board illustrations with discussions

concerning the content. The ultimate goal is to increase the comfort level of students to

verbally communicate in English. This is a service normally offered at RM10/hour and an

exclusive rate for UMP students will be RM15 for two hour sessions.

ii. MUET Tuition

The MUET tuition course will be using current MUET syllabus and the typical class

is based on writing short essays explaining diagrams, charts, graphs, dictation and case

studies. In addition to written work will commonly be speeches. Of course, this tuition will

always be using official syllabus. This is a service normally offered at RM40/hour and an

exclusive rate for UMP students will be RM40 for two hour sessions.

Execution of Program

The first meet-up i.e. was successfully conducted on 27 February 2016 at 10:00 am

and the following class was supposed to be held weekly starting on the March 2016 onwards

until end of the semester.

However, only two classes were conducted and it was stopped due to very limited

numbers of participants.

Issues and Improvement

Reflecting from the students’ feedback, they really wanted to attend English classes.

Some students requested for communication classes, however, most of them inquired the

English classes that teach technical and scientific writing. As for communication class, the

facilitator’s style of teaching and approach plays important role. Since most of the

participants were postgraduate students, they may seem the classes are not contributing

much for their English language improvement. Therefore, it is highly suggested for PGA to

offer various English class on regular basis by collaborating with professional and academic

staff from Centre of Modern Language and Human Sciences (CMLHS).

2.3 PGA 2016 Kick-off Workshop

Introduction

As a kick-off event after the official announcement of New 2016 UMP Postgraduate

Association committee, this workshop is very crucial to develop close and great team since

all members are mostly strangers to each other. The main objective was to organize each

Exco objectives and activities for 2016 thus ensure that the team can contribute their effort

as the postgraduate students’ representatives.

Issues and Improvement

A great organization usually starts and sustains because of existence of a great team.

Developing an effective team requires time and tremendous efforts. Team building is one of

the best ways to develop close and mutual relationship among all new members who are

strangers to each other. Unfortunately, our team building activity was not able to be done as

per initial planning and was replaced by this kick-off workshop attended by 20 committee

members. The workshop contents had included all Exco 2016 details plan. However, since

it was conducted almost in the middle of first semester, there was not much notable

achievements able to done. This is because in between the time towards the second semester,

the members kept switching in and out. Most members were also not very clear about their

job scope and responsibilities, added by the time constraints while doing their studies and

association activities; causing the members to quit or being inactive.

In order to ensure the development of best team, team building activities are very

crucial and should be taken seriously. Through team building activity, members will able to

get to know each other and thus creating harmonious relationship where everyone can

perform to their level best. It is highly recommended that team building activities should be

done within one to two month after the selection of new committee members. To save time

and budget, team building activity may be conducted together with the planning of whole

year calendar where each of the members should be clearly define their job scope and

responsibilities to carry on.

Besides that, since PGA is new and not really associated with other undergraduate

associations in UMP, there were a lot of things that need to be covered. It is highly

recommended that the team building activity, added together with the year planning should

be also included the section where members are briefly explained on know-how of

conducting event, how to make proposal, how to obtain sponsorship and et cetera. This can

be executed through experience sharing from former members / alumni or invitation of

respective person who are able to give all the tips and know-how skills such as staff from

IPS, SAFFAD, The Sponsorship Movement (TSM) and so on.

2.4 PGA Interaction Day (Bon Appetite Barbeque Party)

Introduction

PGA has finally been approved as one of the official associations in Universiti

Malaysia Pahang on 18/3/2016 after all the efforts taken by the committee since the

announcement of re-establishing PostAc. For the purpose of introducing PGA and to achieve

the following ojectives, this event has been conducted.

Objective

i. To gather all UMP Postgraduate students and get to know with each other.

ii. To introduce PGA committee members and get direct interaction with the PG

students with regards to any issue of academic and non-academic matters.

iii. To gather IPS staff together with the students to enhance the professional relationship

and convey any messages directly in person.

Issues and Improvement

This was the very first and big project for the committee. It may be rated as

successfully executed and attendees enjoyed a lot. However, at the management part, there

was lot of improvement needed to be done. First and foremost is clear job scope for each

unit should be made earlier and prior to the event. Even so, if something happened in

between, each committee should know how to back up and cover each other position in order

to ensure the successfulness of event. For this, the committee members showed a very good

spirit and teamwork. Yet, it is highly recommended that in future, the clear job scope will

ensure the work effectively done and thus will not be burden to others.

During event, the floor manager role is crucial. Each micro tentative must be clearly

explained and each committee should be at their own position. The flows starting from

registration, until the end of the event must be briefed to the person in charged together with

the provision of tools / materials required for each unit / part. Post event, post mortem should

be done right away and should be recorded well for future reference. As for each event to be

conducted in future, committee should prepare the feedback form to participants. Thus, it

can be recorded and improvement can be made through their recommendation. Event report

should be documented within one to two weeks after event.

2.5 Voice It Out Survey

Introduction

As an approach to be closer and to get to know current situation of fellow

postgraduate students, ‘Voice it Out’ online survey form was conducted. Fellow PG students

may submit their issues and concerns that they wanted to highlight to IPS. The survey form

was posted online in the official UMP PGA FB Group as well as printed out at IPS Counter

from March until September 2016. We had able to collect around 80 responses (both online

and offline). Most of the responses were requiring or commenting on same issues. The

summary of responses can be seen from Figure 2.4 and Table 2.1.

Action Taken and Further Improvement

There were lots of issues addressed both through online form and direct approach by

students. Some were settled directly, but some issues needed to go through certain level of

reporting which requires time and commitment of various parties. The biggest step taken

was by arranging a meeting with the Deputy Vice Chancellor of Student Affairs and Alumni

Depatment, Prof. Dato’ Dr. Yusserie bin Zainuddin with PGA and related department such

as Bursary Department, Residential College Management, International Office and IPS.

Further report details are as follow.

2.6 Meeting with Deputy Vice Chancellor

Introduction

On 10th August 2016, the meeting was successfully held at JHEPA from 5:00 pm till

7:30 pm. Prior to the meeting, PGA representative had emailed and sent hardcopy of

complied report regarding the outcome from the Voice It Out survey. Facts and figures had

been presented in proper and professional way in order to obtain the positive and clarity

feedback from the respective departments. The meeting was attended by 18 members

altogether from various department as shown in Table 2.2.

Meeting Agenda and Feedback

The meeting started with discussion on international students’ issues and problems

related to the process of acquiring visa, student i-card and insurance. Upon meeting, IO had

prepared proper documentation for student to refer at IO. As for other matters such as new

rules and restrictions, etc. are depending on the instructions obtained by Department of

Immigration Malaysia and related authorities which are often an immediate and prompt

notification. Therefore, IO has to follow the sudden change which might cause international

students to feel absurd. Nevertheless, IO is trying their best to ensure that every information

for new requirement and so on will be delivered to students via various medium. Students

should remain alert and seek for IO staff for further clarification.

Regarding the payment issue, IO clarified that they are not taken any money from

student. Students are required to pay the amount accordingly to their visa status, immigration

and EMGS. IO is only acting as intermediate for assisting the documentation. All payment

made through Bursary Department. As for time taken for processing documents, IO

responded that the office sent in application by batch. Thus, it would be an issue if someone

is missing their document, the overall batch would be affected. Instead of that, it is advisable

for new students to apply themselves through EMGS. Thus, PGA suggested IO to conduct

briefing session by inviting EMGS personnel as well as immigration department.

The second agenda of discussion was regarding the movement of female students

from Block A to F at Residential College 5, Pekan Campus. Students had been given

notification to move out from the hostel without clear explanation. There were safety issues

and thus, PGA requested the hostel management to give safer option.

Regarding the hostel issue also, the management of residential college (RC) had

prepared lengthy documentation describing previous condition and status of RC fees. They

had facing too much issues of payment from student amounting bad debt for almost RM

200, 000 every semester. University had to suffer these loss which is why they are not able

to charge monthly. As for the increasing fees for the upcoming semester, it had been

approved by the Board of University upon series of consideration. It might not be possible

to lower down the fees, but, they promise to upgrade the students’ facilities.

Due to absence of research and Innovation Department, the issues regarding the

payment of Student Working Scheme and Research Assistant would not be able to be cleared

off. PGA had suggested E-trace system for students payment process, so that, everyone able

to track current process. The Deputy Vice Chancellor promised that further action will be

acquired from PNI and other related department.

PGA had also requested a PGA Operation Centre in order to optimize the assistance

provided to postgraduate students. Unfortunately, due to our limited time and shortage of

volunteers, progress of meeting outcome were not able to be done. Therefore, new

committee of PGA 2017 may consult again with the Deputy Vice Chancellor for follow up

progress especially regarding the hostel issue and payment of SPB and SPPS. Other relevant

issues can also be highlighted for next meeting. Proper approach would be through

discussion of issues at IPS level first followed by necessary actions to be taken as approved

by the advisor.

CHAPTER 3

EXECUTIVE COMMITTEE REPORTS

3.1 Introduction

PGA Constitution has been endorsed with four main Executive Committee (Exco)

i.e. (i) Exco Event and Activity; (ii) Exco Alumni and Public Affair; (iii) Exco Multimedia,

Publication and Documentation and (iv) Exco Welfare and Academic Affairs.

3.2 Exco Event and Activity (EAA)

EAA has two major scope of works that are; (i) To lead and arrange PGA major

annual event such as Family Day, Annual Dinner and Annual Grand Meeting as well as

other regular Exco activities which may include workshops, interactions, et cetera and; (ii)

To assist IPS in postgraduate matters by leading and arranging subcommittee for events such

as NCON PGR, 3MT Competition, and “Jom Sambung Master” UMP. For every event and

activity proposed, the following working procedures are followed which is also applied to

other Exco as well.

3.2.2.1 LaTeX Workshop

Introduction

A high quality professional presentation way is supported by most of scientific

academic publishing in order to enhance and improve the research being presented. As a

free and open source tool, LaTeX is one of the preferred formats for many journals and

international conference. It becomes an important tool for the postgraduate students to

present and publish their works as well as writing their theses. This one-day workshop aims

to provide and support comprehensive information for the postgraduate students to have

effective skills and ability to write thesis and journal papers in Latex format. The program

was conducted by Dr. Taha Hussein Rassem from Faculty of Computer Systems and

Software Engineering with full 30 participants attended each session.

Issues and Improvement

This program was successfully carried out at Gambang, Pahang and suggested to

research students gain knowledge about latex in writing thesis or report easily. But it not

widely used among students nowadays than Microsoft words because of there are no

exposure. All participants are required to use and try Latex and let them have personal

opinion whether latex or M.Word is easy to use. In other matters, this workshop must carried

on among students and have advisor in each faculties.

Introduction

The purpose of PGA establishment is to ensure the interaction among all UMP

postgraduate students, IPS staffs and other academic/non-academic staffs. This interaction

can be in terms of academic activities and non-academic activities. Thus, PGA Refreshment

Day i.e. Bowling Tournament.is one of the interaction events that was held by Exco to

achieve the following objectives. There were 40 participants involved in this event.

know with each other while releasing stress in a healthy competition.

3.2.2.3 Time Control Workshop

Introduction

Most of the postgraduate students are having difficulties in managing their time.

UMP Postgraduate Association (PGA) treat this matter seriously, thus, has arranged a

training that exposes postgraduate students on effective methods in time control to achieve

most productive outcome in completing their studies. It is an opportunity for postgraduate

students to reduce the friction in management of their project under time constraint. The

participants are limited to 30 attendees only as per requested by the speaker. On the actual

day, there are 26 participants involved.

The main objective of EAPA is to promote interaction and collaboration between all

post graduates (National/International) with UMP official department including IPS and IO.

Next objectives are to have connection with other PGAs of different universities to share

experiences in both academic and non-academic activities as well as to have correspondence

with UMP Postgraduate Alumni.

For the year 2016, several events and activities had been suggested to be conducted

under EAPA. Due to certain situation, these events/activities are not able to be executed.

successfully sold PGA T-shirts as main source of income generation for PGA 2016.

PGA T-shirt was welcoming business things among PGA students and the money

was generated by this source. The T-shirt was designed in short and long sleeve in blue-

black colour. This is one of the achievement to get unites among PGA in every activities.

This idea must be proceed and be addressed further with another things such as PGA cap,

PGA bag also car stickers and so on for the sake of the PGA students.

3.3.3 Suggestion for Future Events / Exco Improvement

3.3.3.1 Alumni Database

One of the EAPA main responsibilities is to create the database for all postgraduate

alumni with their contact and current details. Alumni database is very important to update

any events and activities. PGA may seek help from alumni in terms of experience haring,

working opportunities or sponsorship opportunities related to respective field. Updated

database will ensure good relationship between current students and alumni. In order to have

reliable database system, it is suggested to create Alumni Section under PGA Website /

Portal. The website will update news for all upcoming events, research news and funding

required by PGA. The current database of Alumni may be obtained from IPS Online System

with the help of Mdm Kalpana or Mr Zarif or directly contact Alumni Unit under

Department of Students Affairs and Alumni (JHEPA). At the moment, some initiatives have

been taken by the Exco members; yet, it is not able to successfully develop the updated

database due to certain circumstances. Once the alumni database are available, PGA may

arrange the interaction activities with them to gain ideas and insights, experiences and

advises which will be highly useful to reduce uncertainties in the journey of studies and

professional life.

3.3.3.2 Bridging with Other Postgraduate Associations

Having interaction with other PGA of different university especially the technical

university i.e. UNIMAP, UTHM, and UNITEN as well as other Malaysian local universities

such as UPM, UTM, USM, UMS, and UNIMAS or international universities is highly

recommended for exchanging ideas, sharing of events and resources. It will provide the

motivation and healthy environment for researchers. This will also provide the platform to

promote University services and facilities. This can be done by arranging get together plans,

arranging study or campus visit in break the ice among the students.

3.3.3.3 PGA UMP Privilege and Speciality Program

One of the responsibility/Scope of EAPA to find the sponsors, to the run the events

smoothly. Prepared database also the influential factor to find the sponsor. One can be ask

to assistance records. In past, we approached different companies and academic consultants

and faced their partially agreements. The most important thing all of sponsors need official

verification other than student matric card to show we are assisting university in

development of healthy educational environment. For this reason we suggests it would be

great if PGA members will provide sort of business card that would be easy for us to

introduce our selves.

3.3.3.4 Conclusion

Last but not least, the journey of PGA will go longer to support UMP platform. It

required strong team building, active team bounding and importantly hard work.

3.4 Exco Multimedia, Publication and Documentation (EMPD)

Exco Multimedia, Publication and Documentation was first known as Exco

Publication and Multimedia. After PGA has been established as an organization in Universiti

Malaysia Pahang, the name was then changed to the current one. The exco acts as a unit that

provides supports in regards to publication, social networking sites and matters related to

technical issues.

3.4.1 Scope of Work

A medium to spread the news of events to UMP Postgraduate Students.

Create media social page to make sure UMP Postgraduate Students know any update

or information from IPS.

Publish pictures or videos of the activities from UMP Postgraduate Students.

vi. Use Twitter as medium to share new, articles, or any relevant information. Also,

Twitter can be used as a medium to interact with other postgraduate students in UMP

or from other universities (locally and internationally).

3.4.5 Conclusion

Throughout 2016, the members of EMPD had worked hard in order to achieve the

vision, missions and objectives of PGA within Exco’s scope of work. Everyone played their

role in the exco and showed their best work ethics towards one and another. Teamwork was

a fundamental element implemented by EMPD members in everything that was done for the

benefit of PGA. In spite of members’ endless love towards PGA and EMPD, it is the time

to pass the baton to new 2017 exco members. It is highly expected that the new exco

members can bring EMPD (and PGA as whole) towards excellency.

3.5 Exco Welfare and Academic Affairs (EWAA)

Exco Welfare and Academic Affairs (EWAA) stands as one of the pillars of the

Postgraduate Association (PGA) itself. As its name proposed, EWAA mainly focused on

the welfare and academic affairs faced by all UMP postgraduates. EWAA consists of

postgraduate students from both of UMP campus; UMP Gambang and UMP Pekan. This

structure allows the EWAA to operate strategically on achieving its vision, mission,

objective and scope of work. In order for the EWAA to fully fulfil its purpose, the EWAA

has its own direction baseline. This direction was determined so that EWAA activities won’t

steer away from its true purpose.

3.5.1 Vision

3.5.2 Mission

To create a comfortable and conducive environment for postgraduate studies in UMP

3.5.3 Objectives

i. To shorten the gap between postgraduate students and the PGA

ii. To expose necessary aid for postgraduate students in both academic and other aspect

i. To create a medium for students to be more connected with the PGA

ii. To create connections with other responsible bodies in UMP that may help in

providing facility

iii. To create awareness among students on the facilities provided by other responsible

bodies in UMP

iv. To organize and promote activities that benefit students

3.5.5 Exco Committee

EWAA members consists of PGA members from both Gambang campus and Pekan

campus. This was done to ensure the smoothness of the organization in delivering their best

3.5.6 Exco Activities

Only a handful of the EWAA activities were able to be carried out compared to the

ones planned. Here is a list of activities with their current status: -

i. Badminton Friendly Tournament

Building Network and Interaction among. Faculty – The program was put on hold

due to the date clashing with IPS program.

ii. A Trip to Graduate Aspire Career and Postgraduate Fair

The program was called off due the misinformation on the event.

3.5.7 Issues

i. Members commitment

It is understandable that the commitment of exco members is a major problem faced

by almost all exco. Balancing studies, personal life and EWAA was a major issue within the

exco. However, the involvement of our core members managed to smoothen most of the

exco activities.

ii. Lack of communication with IPS

Two of our activities i.e. Badminton Tournament and Graduan Aspire Trip were put

on hold due to our own lack of communication with the IPS.

3.5.8 Suggestion for Future Events / Exco Improvement

i. More exco members

More exco members means more manpower. Our previous issue was too reliant on

a handful of our members. This issue can be solved with additional exco members. I would

suggest that each faculty provide with at least two postgraduates as exco members.

ii. Get in tally with IPS programs

IPS itself is providing academic programs each semester. It would be great if the

EWAA could help to promote these programs and at a higher extent, help out with the

programs. This way, the EWAA and other exco can held their programs too without clashing

with IPS programs.

3.5.8.2 Conclusion

Throughout the year, it can be concluded that it was a good start especially for a new

and rising organization even though not all objectives were fully achieved. Combining effort

with other exco, EWAA 2016 was able to successfully assisting numbers of major events

organized by PGA and IPS. It was unfortunate that two of the proposed events were unable

to be completed. The paperwork was all prepared for these events. It is hope that this ground

work may serve as a stepping stone for the future members of EWAA as a great step for the

direction of the exco and PGA 2017. Being a part of the committee was a memorable

experience, full of hardship and challenges. Yet, it is also a journey of knowing oneself and

friendship that is precious and unforgettable.

4.1 Introduction

This section summarized the overall PGA expenses and profit from organized events

in 2016. The activities are workshop, interaction day, PGA t-shirt selling and refreshment

day. Since this was the first year for PGA, most of the events were not targeted for huge

income generation.

CHAPTER 5

ISSUES, RECOMMENDATION AND CONCLUSION

5.1 Introduction

PGA is officially registered on March 2016 handled by postgraduate students under

purview of IPS. As reported on previous section, various type of events had been carried out

in order to introduce PGA to all postgraduate students. For the past ninth months, the time

period was too short to make big changes and maybe was seemed indifference. There are

lots of issues to be improved in future.

5.2 Issues, Suggestion for Improvement and Future Recommendation

5.2.1 Committee Member Commitment

Initially, all PGA 2016 committee members were obtained by the name list proposed

by each faculty. However, it was not really effective. From total of 20 names suggested,

only few of them remain towards the end of their tenure. Thus, it required lots of efforts for

the remaining members to cover up the event or activities planned. Remaining active

members were more on volunteerism basis. Due to this, lot of activities planned at initial

stage were not able to be done.

Therefore, it had been proposed that interview session should be conducted for top

position and IPS had the upper hand to consider the name elected. Especially for the

upcoming five years in order to create ways and right direction for the association to move

on. Once the top position members selected, it is highly recommended that each Exco only

obtain five core members who are willing to commit until end of the year. These five

members consist of the head, deputy head, secretary, treasurer and special task. Any planned

event under each Exco may be opened for other volunteerism of postgraduate students to be

part of organizing committee. Last but not least, teambuilding is highly crucial event to be

conducted for new upcoming core members in order to create the bonding between

members. Therefore, it can be ensure that all activities are able to execute as planned.

To attract members to be part of core committee, it is highly recommended that the

concept of Undergraduate Student Council (MPP) is applied. This is related to the

highlighted social benefits gain from joining the association. For example, having personal

name card of PGA to show the professionalism. On top of that, IPS may also create a system

such as Universiti Sains Malaysia, whereas all students’ participation in event especially for

leadership skills and etc. is automatically graphed and shown in student profile system where

students can print and include them in their resume/CV.

5.2.2 PGA Acknowledgement by Postgraduate Students

The existing PG students are approximately 1300. In the constitution, all

postgraduate students are automatically member of this association. However, most of them

are not aware of this maybe because of PGA is newly established organization. Therefore,

it requires lot of efforts from upcoming committee members to close the gap between PGA

and its members by all means of communication such as FB, Instagram, and email etc.

It is highly recommended for the new committee to conduct more events that

encourage bonding between PG members. It would be great if such event like open

interaction between students and the respective departments at UMP such as IPS, IO, PNI,

JHEPA, and so on will be conducted. Upon receiving students’ complaint, a flowchart and

progress mark of the issues should be always updated to students so that they are aware of

any action taken.

5.2.3 Welfare Taker

In order to realize above issue, it is crucial that PGA can represent themselves as the

welfare taker of postgraduate students. As undergraduate students are defended by JHEPA

and MPP, PGA should be able to work along with UMP management level especially IPS

to preserve comfortable and conducive environment for existing and future postgraduate

students. It is important as postgraduate students are part of the contribution for university

research ranking. It has been found out that most of the students are not granted by any part

of the university, which had been clearly supporting undergraduate students for most of the

cases such as laboratory facilities etc. IPS seem to be the only care taker for most of the

issues. PGA committee should have direct communication bridge with IPS staff and take

more assertive approach to reach out the concern to other departments and at higher level of

university management.

5.2.4 Financial Support

PGA financial status is currently unstable without any specific fund, most of the

events are paid or partially funded by IPS. It is difficult for the PGA committee to handle

event according to timeline as layered approval are necessary for all events. Approval from

different parties are time consuming. Thus, it would be great if PGA is allocated specific

amount of money as the initial cash out. This seed money can be used by the committee for

entrepreneurship activities or fund raising event.

5.2.5 Five Years Projection Plan

It might seem difficult to carry out lots of things and tasks in such limited time

particularly at just start up point. It is crucial for IPS to be caretaker of PGA especially these

first five years in order to keep PGA on the right track and sustainable development. Vision

and mission has to be clearly define within two years. New appointed committee members

should plan ahead for at least one whole year according to that particular year target or aim.

First upcoming year of 2017 should be emphasized on “getting PGA to be known and

acknowledged as association representing all postgraduate students”. PGA should have a

formal office or centre for postgraduate student where they can use it for meeting, students’

discussion, lounge and so on.

The following year, PGA may execute bigger scale of event by focusing on national

development between university and industries. This will be one of the ways to extend PGA

functions exclusively in generating funds and knowledge sharing. Collaboration between

industries enable funding from their behalf to beneficial students activities and research

activities. This will be great contribution to UMP.

The collaboration may also take place in terms of realizing UMP Strategic Planning

of communitizing technology. Smaller scale of project can be done for example by adopting

the “Young Enterprise” program introduced by United Kingdom leading charity

organization, where university with collaboration of industries can harness the

entrepreneurship skills, project and event management skills and other related technical

skills of the youth.

5.3 Conclusion

As mentioned earlier in the first part of the report, the beginning is always the hardest

time. However, through commitment and efforts given by future committee members, all

difficulties seem insignificant. It is greatly anticipated that PGA will be one of the great

platform to polish members’ social and leadership skills which will enhance our resume and

curriculum vitae. Last but not least, PGA Committee 2016 would like to express our deepest

gratitude and deep sense of apology to everyone. We are glad that we are given the golden

opportunity to be part of the great legacy. PGA is always a family.
