tour planning exercise
DESCRIPTION
An exercise in tour planning complete with budget and income analysis. Please note: Some numerical situations are based on educated guesses when factual numbers were unavailable to me as a student and on partnerships and negotiations that were created to encourage a broader approach to the assignment rather than as a suggestion of an actual relationship.TRANSCRIPT

Artist Considerations:
Digitalism will be the headlining artist on all dates for a fee of $7,500/show.
Additionally, Acid Girls will perform at their same rate in San Francisco, Vancouver,
Chicago, and New York, Destructo will perform at his own rate (air at his own expense)
in New York and Miami, and Classixx will perform at their same rate in Miami, Austin,
Mexico City, and Grau will perform at a reduced rate of $250/show at all shows.
Travel and Accommodations:
The traveling party will consist only of Digitalism, their tour manager, and opening acts
(with the exception of Destructo who provides for his own travel arrangements). Each
member of the traveling party will receive a stipend of $40/day to be spent on meals and
other necessities unless otherwise noted. The travelers will be lodged 2 to a room unless
otherwise noted.
A driver has been provided in all cities on behalf the of the venue promoter. In all cases
the driver will be responsible for the following routes: from the airport to the hotel, from
the hotel to the club and back (an additional trip will be made the night before should the
artist arrive in time to become familiar with the venue), and from the hotel to the airport
for the connecting flights. The driver will also be available for any venue-approved
transportation such as dinner with the promoters, any professional meetings dealing with
the show at hand, and any emergency that the driver may reasonably be expected to help
with (at no additional liability to him or her).
Cartage will consist of Digitalism and Openers' gear and will be picked up by venue
representatives and stored in the venue's storage facilities at the owner's liability.
(Digitalism - Macbook Pro, Behringer BCF2000 MIDI Controller, Korg microKORG,
Akai drum pad, and other KORG synths and drum kits; Acid Girls - ...; Classixx - ...;
Grau...)
Marketing:
Marketing in each city will be activated by a number of local promoters' e-mail lists as
well as the SCION lists available in New York, Miami, and Austin. 10,000 flyers will be
printed for each city at a cost of $322.64. The graphics have already been provided for
the Los Angeles show and the general layout will be used in all cities. An additional $700
has been allocated to each city for a street team of marketers. Additionally, the website
will continue to function as a source for information for all tour dates.
Los Angeles - The Shrine Expo Hall (June 12 - June 14 @ Bardot, June 16 @
Cinespace)
Expenses = $85,116.2
Potential Profit = $56,633.8
For full breakdown please see midterm project.
Please note: After the Kick-Off show Digitalism will perform one Surprise Performance
at Dim Mak's Banana Split Sundaes at Bardot, and wil make one Guest Appearance at
Dim Mak's weekly club night at Cinespace on Tuesday (they are not obligated to play on
Tuesday, but are not by any means forbidden). Neither of these shows will be advertised
with any connection to the band except by the designation "Surprise Guest". In reparation
for the performances the band will receive $500 for their Sunday performance as well as
premier ad space on Dim Mak e-mail blasts and social network event listings.

The Mezzanine SF has played host to a multitude of international electronic music acts
similar in nature to Digitialism: everyone from MSTRKRFT and DJ AM to Justice and
Soulwax. The club even carries a separate rider specific to electronic DJ sets (see Tech).
The venue is paramount to the electronic music scene in Northern California.
Rent is $7,500 for a Friday or Saturday night rental. So while the original plan was to
have the show on Friday night, June 19th, we've had to reconsider our options to make
the night profitable and opt for a Thursday night show. This will not hurt the
marketability and attendance of the show - as The Mezzanine is known to have packed
out shows on weeknights as well as weekends. The fee for a Sun-Thurs rental is $5,000.
The venue covers security, doors, clean up, bar and venue staff, and sound/light tech. For
a rental deal they keep the bar, and the tour keeps ticketing.
An additional benefit at this stop in the venue is that the opener Grau are natives of San
Francisco, still living in the city and have an active fan-base here as well as Los Angeles.
Travel and Accommodations:
Flight from LAX to SFO: $56/person x 7 = $392 (American Airlines 1954, leave 6/18
2:30pm, arrive 3:50pm)
Cartage: UPS Next Day Air picked up 6/17 and delivered to The Mezzanine on 6/18 =
$446.96
Hotel: Hotel Milano: $159/night x 2 nights x 3 rooms* = $954 (Since the members of
Grau are natives to SF, they will be helping the tour by staying at home)
Transportation: Provided by Grau's supporters
Stipend: $40 x 2 days x 7 people = $560
Marketing:
The Mezzanine has an excellent promotions team in San Francisco to advertise their
shows. Their services are available for a small fee. Because of the effectiveness of their
campaign the marketing strategy in San Francisco will be altered as follows:
Only 5,000 flyers will be printed for a reduced rate of $195.56. For a fee of $1,000 The
Mezzanine will advertise the event on their website, give coverage to the show in their
weekly e-mail blasts to their mailing list, and place the details in their weekly ad strip in a
popular free indie newspaper. For this fee they will also activate their street team which
will consist of flyering, postering, and hand to hand flyering outside of other venues. The
website will continue to function for this stop as well.

Canada and Vancouver in particular have always been great supporters of the electronic
music scene and Solid Entertainment has long been an active promoter of such events.
For our Vancouver stop we will be co-promoting with Solid Entertainment who hosts a
weekly electronic music night on Saturdays at Fabric Nightclub (Essential Saturdays).
While the capacity of Fabric is somewhat limited in comparison to other stops of our tour
- the experience and credibility in the market that Solid can offer will offset our lack of
knowledge about Canadian culture (and my lack of ability to make international calls and
therefore having to rely on who would e-mail me back) to our benefit.
Solid, already in contract with Fabric, will take care of rent and all venue expenses
including security and doors as well as provide in-city transportation and accommodation
(of which they receive a large discount). Solid will also provide 100% of marketing. The
tour will continue to cover artist costs and travel. Solid will take 100% of its normal bar
percentage and 20% of ticketing.

Metro Chicago has been home to many great live performances since its opening in 1982
and its 21+ bar SmartBar has been a goto venue for a number of big electronic acts.
However, due to SmartBar's limited capacity of 400 people, this tour will be utilizing the
1,100 capacity main room, also taking advantage of its 18+ policy, rather than 21+. We
believe that with the additional age allowances and with proper marketing, using the buzz
of the big LA kick-off show and with the backing of big-buzz sponsor HARD, the venue
will not be a challenge to fill.
The venue charges $4,500 for a weeknight rental and will retain full bar. The venue
provides, security, staffing, bar, sound/light tech, doors, and clean-up. The tour will take
ticketing.

A technical rider was not available to me during conversation with the venue. However,
SmartBar has full staging for DJ set performances and I have been assured that the
staging can be moved to Metro. Sound, dancefloor lighting, and main stage lighting and
spots are provided by the venue. Additional lighting effects appropriate for DJ acts are in
place at SmartBar as well and can be "rented" from the venue for a minimal, negotiatble
fee in the range of $300-$700 including the staging as well. (For the purposes of this
assignment I have decided to use $600 as the applicable rate).

The Grand Ballroom at Webster Hall is the premier in hip and intimate concerts in New
York City - hosting a number of large acts including, in our interests, Hot Chip,
Fischerspooner, Peaches, and more. The venue features a number of different concert
rooms, offers a club night featuring live musical acts, and is extremely close to Union
Square and NYU. The place is a breeding ground for breaking artists and feeding music
lovers - its atmosphere is intoxicating and its crowds on event nights are always large.
The rental for the venue on a Friday night is $10,000. The rental includes security,
staffing, doors, clean-up, and sound/light tech. It also includes a mention on the marquee
and in the weekly newspaper ads. They keep the bar and take a $2 facility fee from every
ticket sold. It is pricey but the preminence of the venue is worth it. The New York show
is intended to be in direct comparison with the kick-off party in Los Angeles. It is
intended to be a buzz-worthy event and will feature the HARD name as a main sponsor
as Destructo will be performing and the HARD lights operator will be on hand with the
Webster Hall lighting staff to make sure the HARD high-quality lighting show comes
through perfectly.
Additional Expenditures:
Due to the importance of the event an additional $5,000 will be budgetted for providing
for a confetti and balloon drop at the venue, 50 brightly colored large sized beach balls,
1,450 glowsticks (to be given in exchange for each ticket), and any additional props the
acts and tour manager may have an interest in presenting to the public.
