MODERNIZE DIGITAL OPERATIONS WITH SALESFORCE LIGHTNINGSalesforce Lightning can help you reimagine your business by refining your existing processes from company-wide operations to individual user activity. In their Spring ’19 release notes, Salesforce announced that starting October 2019, Lightning will be turned on for all Orgs, which means that now is the perfect time to prioritize making the transition. Lightning functionality could accelerate your business growth, speed up your employee’s productivity, and optimize company operations.

As the next generation of the Salesforce platform user interface, Salesforce Lightning represents a major advancement in the customer relationship management (CRM) space. The new interface was built to support organizations as they modernize their digital operations. All future Salesforce innovations will be made in Lightning. For this reason, a strategic transition to Lightning will be necessary for a successful digital transformation. If your company is planning to undergo a digital transformation, the second logical step, after ensuring you have a solid data protection foundation, is to transition to Lightning.

10 STEPS TO TRANSITION TO SALESFORCE LIGHTNINGThe majority of companies, especially those who have been using Salesforce for years, shouldn’t transition to Lightning overnight. From planning out the transition and building the right team, to educating users and rolling out the transition, here are the ten steps for making a successful move to Lighting Experience.

Page 6: TO SALESFORCE LIGHTNING · 1. Build Your Salesforce Lightning Team A successful transition to Lighting will require a team that can help achieve the company’s goals. Typically,

1. Build Your Salesforce Lightning Team

A successful transition to Lighting will require a team that can help achieve the company’s goals. Typically, the team will include an executive sponsor, IT Leadership, operations, Salesforce admins, super users, and Salesforce Lightning champions.

2. Take the Lightning Experience Readiness Check

Take the Lightning Experience Readiness Check to identify any issues before you transition to Lightning. This check will produce a readiness report containing considerations and recommendations on what to do before enabling Lightning Experience. Before planning out your Lightning transition, discover which user profiles are almost ready to make the move, locate potential bugs, and understand if segments of your org may not be compatible.

3. Use the Salesforce Optimizer

Another tool to use before you begin planning a Lightning transition is the Salesforce Optimizer. This tool identifies things you can simplify, improve, or leave behind when transitioning to Lightning Experience. That way you’ll know where to concentrate your time and resources. The Salesforce Optimizer is valuable, especially for those who are interested in speeding up company operations and user productivity.

4. Speak with Users

Since each employee uses Salesforce dierently, the key to a successful change is to ensure no users feel left out or neglected during the transition process. Communication is critical during all stages of a company’s Lightning transition, including the planning phase. You should speak with all of the teams and stakeholders who use Salesforce to understand which features and customizations they’re using. If any teams or users will be impacted, whether it be positively or negatively, by any new Lightning features, you should also discuss this with them and map out an amicable solution before the transition. That way all users will be able to continue performing their jobs with minimal interruption.

5. Prioritize New Features

After speaking with your Salesforce users and stakeholders, you should understand the Salesforce Lightning features that are of interest to your company. Doing this will help you build a transition plan that prioritizes specific features, functionality, and user personas.

6. Develop a Rollout Plan

When transitioning to Lightning, we recommend a phased roll-out that is org-based, persona-based, or permission sets-based. No matter which type of roll-out you select, you’ll need to work closely with your Salesforce champion and power users throughout the process. Don’t forget to consider how you will migrate applications, integrations, and other external systems. Last, but not least, pay attention to how all of these separate pieces come together and how it impacts your Salesforce Lightning team’s schedules. Once you have a step-by-step roll-out plan outlined, you’re ready to start communicating the plan to your organization.

7. Educate and Train Users

Change is not always well-received by employees or management. You may encounter users who are hesitant to learn new processes. As you introduce the Lightning transition plan company-wide, you’ll need to stay positive and highlight the amazing new capabilities Lightning will give them and the company as a whole. Distribute easy-to-read training materials targeted to each user persona. That way they’ll be able to answer any simple questions themselves instead of asking you to remind them how to do simple tasks. Encourage your Salesforce champion and power users to help train users and further spread your pro-Lightning messages.

8. Back Up and Test Regularly

Before implementing your Salesforce Lightning transition plan, make sure you have a comprehensive backup and recovery strategy in place. This should include the ability to back up daily, monitor data changes, compare backups with previous backups, as well as completely recover Salesforce data, metadata, and attachments. Furthermore, you need to have a quality analysis (QA) plan that can be tested during and after each rollout stage.

9. Launch Rollout Stages Carefully

Before deploying a new Lightning rollout stage into your production Orgs, it’s best practice to isolate and test your Lightning transition in a sandbox. Then, after you’ve launched the first stage of the rollout, check in frequently with impacted users to make sure everything is working as intended. By checking in within the first couple of days, you’ll be able to get real feedback for improvement before users start to adjust. Before moving on to the next rollout stage, implement changes and release the updated functionality to production. Repeat this process at each rollout stage to ensure the smoothest transition to Lighting.

10. Evaluate and Improve in Between Each Rollout Stage

In addition to monitoring adoption and usage post-rollout, check in frequently with key company stakeholders to measure the success of the Lightning transition. During these check-ins, ensure the new Lightning features are accomplishing the goals you initially outlined during planning. If anything seems o, take the time to correct it. It’s better to make improvements now before usersget set in their ways.

CONSIDERATIONS FOR TRANSITIONING TO SALESFORCE LIGHTNINGSalesforce Lightning is a dierent and separate platform from its earlier iterations. While it does make development for mobile and customapplications far more user-friendly, there are considerations to keep in mind as you transition. In this section, we’ll explore those considerations.

Page 10: TO SALESFORCE LIGHTNING · 1. Build Your Salesforce Lightning Team A successful transition to Lighting will require a team that can help achieve the company’s goals. Typically,

To many admins and users, Salesforce Lightning will seem like a completely new platform. While getting used to new Lightning features may take some time, the main learning curve will be getting used to the new Lightning interface. As users get used to the new interface, mistakes are likely to occur. Assess your Salesforce user-inflicted data loss risk and ensure you lock down admin and user access so they will be less likely to accidentally delete or corrupt data.

Page Layouts Are Significantly Dierent

The page layouts are drastically dierent in Salesforce Lightning vs. Salesforce Classic. Pay close attention to this throughout the Lightning transition by investigating each admin and user view. One major dierence in the page layout is the buttons. These could easily confuse a user if there are new or dierently-placed buttons in their view. For admins, it may be easier to accidentally mass delete data, such as full list views.

Any User Can Create New Records from Lookup

In Lightning, users can create new records through the “Quick Create” view on the lookup window. Sometimes this could lead to the creation of duplicate records if a user isn’t sure that the record already existed. To remove this from specific user interfaces, uncheck “Create” in the user’s profile. Train your users on how to look up existing records and the appropriate process for creating new records.

Prominent Merge Suggestions for Duplicates

The new UI contains a Lightning Component that tells you immediately on the page if there are any potential duplicates. For example, "2 duplicates detected" appears much more prominently to Salesforce Lightning users than in Classic.

Page 11: TO SALESFORCE LIGHTNING · 1. Build Your Salesforce Lightning Team A successful transition to Lighting will require a team that can help achieve the company’s goals. Typically,

Javascript Buttons Replaced with Lightning Actions

Before transitioning to Lightning, note where your Javascript buttons are located across your Salesforce platform. These are no longer supported, because of security challenges, so Lightning components will block any standard javascript from being used. Before transitioning to Lightning, you’ll need to refactor them as Quick Actions, Lightning Actions, or Visualforce actions to prevent users from encountering any issues or bugs.

Cases UI Are Dierent Than Other Records

In Lightning Experience, cases are feed-first and display a Chatter tab first, rather than record details or related information. While this is meant to help support agents collaborate and work with cases faster, it may confuse users if they are not trained before being transitioned to Lightning. To fully benefit from the feed-first design on cases, recreate your Salesforce Classic case feed publisher actions in Lightning Experience. One benefit of recreating the publishers actions is that they appear on mobile devices, whereas the Salesforce Classic case feed publishers don’t.

New Kanban Feature Has a Drag-and-Drop UI

A highlight of Lightning Experience is the Kanban feature that allows sales users to visually review the status of their records. The user can drag and drop records from one column to another and get alerts when an action is needed on a key deal. Be careful when training your sales team on this new UI. If they’re not being careful or are working too quickly, they could accidentally drag and drop a record to the wrong column.

Update Page Layout for Keyboard Shortcut Functionality

After transitioning to Lighting, the top-down tab-key order, page up/page down, home, end, and arrow up/down keyboard shortcuts will not be supported. If your users have gotten used to using keyboard shortcuts in Salesforce classic, you may want to update their page layouts to support this in Lightning. If changing the page layouts will be too time consuming, you’ll need to train users on how to properly enter data on these pages in Lightning.

Dashboard and Form User Interface Has Changed

Users and executives who actively leverage dashboards and forms will experience a significant interface change post-transition to Lightning. Buttons may not be in the same places as before. Users will no longer be able to drag and drop fields. Train your users and executives on how to navigate this new UI before making the switch to Lightning.

Multi-Select Picklist Values Changed to Single Click

Another shortcut action your users may have gotten used to in Salesforce Classic is double clicking when choosing values for a multi-select picklist. In Lightning Experience, users have to use the arrow buttons on the UI to move items across. Remind your users that double click is no longer available to help avoid frustration during their first time using the new interface.

Related Lists “Partners” Are Missing

In Lightning Experience, the related lists “Partners” and “Competitors” are no longer available under opportunities and accounts. This could be a showstopper for certain organizations that have numerous partners involved in each opportunity. Luckily, the Salesforce AppExchange application “Partners Related List for Lightning Experience” provides a workaround. If this functionality is critical to your org, make sure you install this application.

Documents Tab Replaced with Salesforce FilesWhen you switch to Lightning Experience, the Documents tab that you had in Salesforce Classic will no longer be available. To continue using these important documents in Lightning experience, which include PDFs, email templates, and images, you must upload them again as Salesforce Files.

To prevent a major stall to business operations during your Salesforce Lightning migration, set up a data protection foundation that includes backup, monitor, and recovery of all of your Salesforce Documents and Salesforce Files.

Visualforce Pages Need To Be Migrated To Lightning CarefullyThe process of transitioning Visualforce pages to Lightning Experience could be complex, depending on your company’s setup. We suggest migrating page by page to avoid any issues. As you transition each page, you may find it necessary to develop customizations to ensure any essential functionality is still available. You’ll also need to check that none of your HTML was disrupted during the transition. The best way to ensure the end-user experience and the community is not impacted by the migration is to QA each and every page. In addition to the code and functionality, you’ll want to ensure that all of the data, cases related to Knowledge articles, and attachments were moved and mapped correctly. Lastly, you should double check that all access permissions remained the same post-transition.

Page 14: TO SALESFORCE LIGHTNING · 1. Build Your Salesforce Lightning Team A successful transition to Lighting will require a team that can help achieve the company’s goals. Typically,

Custom Code May Need ReparationSince the URLs in Salesforce Classic are generally straightforward, some Orgs could have custom code will need to be repaired. In Lightning Experience, these URLs may not work, which could impact certain custom workflows or customizations. Before making the transition to Lightning, make sure you’ve considered any custom code that needs to be updated.
