Welcome

Dear Friend of Three Treasures,

It is our pleasure to welcome you to our organization. We are very excited to be a part of you and your child’s life as he or she

grows into thoughtful and compassionate adolescents. This Youth Mentorship Program Parent Handbook will familiarize you

with our policies and procedures as well as get to know the depth of our organization. Together, we’re better and let us not

forget the ultimate goal is to continually add value to our children’s lives.

About Three Treasures

Vision Statement For Our 501c(3) Non-Profit Organization: “ To benefit society with future leaders who

have been trained and brought up with traditional Kung Fu values of Martial Virtue.”

Three Treasures is based off of how a traditional Kung Fu school was run in the old days. Not only was it a place to learn

martial arts but was also a health clinic and gave back to its community. It was a symbol of strength and high morality.

All the successful people throughout history share many of the same common strengths. These strengths are taught as a

complete set of values in traditional Kung Fu. For centuries, Kung Fu has been one of man’s greatest tools for self-

development, cultivation and empowerment. Learning to listen, feel and see internally and externally helps you learn to

handle pressure and stay focused. These values can be seen littered throughout all our programs.

Sifu Frank Dui’s vision is to serve the community beyond just his own Kung Fu students. For this reason, he chose the name

Three Treasures Cultural Arts Society rather than calling us Three Treasures Kung Fu.

Mission Statement For Our Youth Mentorship Program: “To enrich the lives of youths by introducing them

to art, music and cultural programs that build character, spirit and self-esteem.”

After a successful two year pilot program at Barnard Asian Pacific Language Academy, we are proud to launch a full program

that revolves around our Mission statement. We work closely with the principal, PTA and parents of each school so that we can

better understand the needs of our students. Currently our locations are within San Diego Unified School District and we are

proud to say our goals and values are in line with Superintendent Cindy’s Marten’s vision for the students of this district.

Philosophy

In Kung Fu, we always train the student from the “inside out.” That is, we begin with the root and from there much can grow.

Enrolling your child in a non-profit Kung Fu organization is a powerful way to help set him or her on a better path to success.

Three Treasures Youth Mentorship Program Goals

To assist parents and educators in fulfilling their goals for their students

To help unlock a child’s potential by first letting him or her know they are safe and loved

To kindle/rekindle a child’s respect for their parents, family and heritage.

About Our Youth Mentorship Program

Our philosophy and commitment to youth mentorship has earned us the distinction of being named Partners in Education

with San Diego Unified School District (SDUSD); Barnard Asian Pacific Language Academy and Confucius Institute at San Diego

State University. We hold a significant place in the Asian American Pacific Islander (API) community and we have also teamed

with professional organizations such as National Association of Asian American Professionals (NAAAP); Better San Diego and

others to help develop the scope of our programs. In addition to the YMP, we are also launching school and regional spelling

bees as well as assist with the Math and Science Olympiads for each school we are in.

We offer programs at the following locations and follow the traditional school year calendar.

Our Staff

The YMP is overseen by Cathy Trang, Three Treasures’ Program Director. Each school location is run by a site coordinator and

is assisted by Youth Leaders. Each class is taught by a Master Teacher who has at least 5 years of teaching experience in their

field. Except for the Youth Leader position, all staff must be college graduates and have a genuine desire to invest time in

youths. All staff are CPR/1st certified as well as TB tested and fingerprinted through the Department of Justice.

Program Hours

Hage Elementary: Monday, Tuesday, Wednesday, Friday 2:10 to 5:30 pm; Thursdays 12:15 to 5:30 pm Programs formally end at 5pm however our staff will be on hand until 530 pm. Students can use this time for additional homework and reading or practice their new skills. Barnard APLA: TBD

Minimum Days and Holidays

The program will be provided on minimum days but not on holidays or school breaks. We follow the SDUSD calendar.

Please note: If you would like your child to attend on a minimum day that you are not regularly signed up for, you may enroll

him or her with a Program Director for an additional charge, pending availability.

Late Pick-Up

In the event a parent should pick up their child after the 5:30pm closing time, a late fee will be assessed beginning on the third

tardy. We understand it may take a couple days to adjust to our schedule or there may be traffic issues. We charge $1 for every

minute after 5:30pm unless other arrangements have been made. Make checks payable to Three Treasures. No cash payment

is accepted and payments must be made within 48 hours.

Parents who have not notified the childcare site that they will be late can expect the following to occur:

1. For the child’s safety, we will attempt to make contact with all authorized guardians and pick-up persons on the child’s medical

release form.

2. In the event that no authorized guardians or pick-up persons can be reached within 30 minutes, the local police department will be

notified. Your child will be taken into their custody.

3. If a child is continually picked up late from our program, actions such as dismissal from our program, may be necessary.

Enrollment Policies and Guidelines

Registration

Registration is required in order for your child to begin in our program. You may download a registration form as well as make

payment on our website at www.ttcaskf.org under Youth Mentorship Program. The one-time per school year registration fee

of $60 needs to be paid first before you can proceed with the enrollment process. Once we have received your registration

form and payment, we will email you a thank you letter and password that allows you into the class registration page on our

website. At that point you may choose the package or a la carte classes that are right for your child (ren.) Please note that

priority placement is reserved for students who enroll in one of our 4 packages (Complete, Tutoring, Scholars and

Performance.) A la carte students will be admitted as space is available.

Enrollment is continuous and accepted throughout the school year. However, we only add new students at the beginning of

each month to maintain continuity and to not disrupt the current students. We will notify and post the dates of open

enrollment on our website and e-newsletter. Our monthly open house week is at the end of each month and there you can take

care of paperwork and paperwork in time for your child to start the following week. Please note that after registering it will

take at least 48 hours before your child can start in one of our programs. This is to allow time to review the paperwork

submitted and information is transferred to the appropriate site supervisor.

In the event your registration is incomplete, your child will not be able to start in our program. We will email you with updates

on any missing information.

Forms

All child care participants are required to have the following paperwork in their file to be official. All forms and documents

must be updated yearly with any changes necessary and can be found on our website.

1. Registration form

2. Informational Packet filled out (parent questionnaire; activities consent; emergency info; administer medicine form)

3. Acknowledgement sheet with your initials that you have received our Parent Handbook and will read it

4. Payment including registration fee

Tuition Payments

Fees are collected on a monthly basis via Paypal. As an enrolling parent, you are responsible for all fees related to your child’s

participation (co-pays, family fees, registration fees, late pick up fees). You are responsible for payments of all fees due. In

order to be fair to all childcare participants, those who do not pay program fees, have recurring Non-Sufficient (NSF), and/or

returned payments will be suspended or terminated from the program.

Credit and Refunds

There are no adjustments in the monthly fees for absence or non-participation. Our program runs concurrently with the

SDUSD calendar until school lets out in June. When you enroll your child, you are reserving space, time, staffing, and provisions

whether or not they attend.

Fees will be prorated to reflect two weeks in June, three weeks in April, November, & December.

Exit Policy

Participants looking to leave the Three Treasures’ Youth Mentorship Program are required to notify the Program Director in

writing at least two (2) weeks prior to your child’s last date of attendance in the program. When two (2) weeks written

notification is not received, you will be financially responsible for those two (2) weeks, regardless of your child’s participation.

Americans with Disabilities Act:

Three Treasures serves all people regardless of age, gender, race, color, national origin, religion, ethnicity or disability.

Tuition Aid

We will notify all parents of our participants when tuition aid is available.

Attendance Policies

Sign In and Out Procedures

Three Treasures staff will sign your child into the program at school dismissal time. Your child should go

directly to the program meeting place. A staff member will be there to meet your child. Kindergarteners will

be picked up and dropped off at their classrooms.

If a child does not arrive at the program location within a reasonable amount of time, and we have not been

notified of the child’s absence from the program for the day, we will report the child as missing to the

appropriate personnel.

It is a requirement to sign the child (ren) out from the program daily.

Pick-up persons will need to legibly sign their full name and note the exact time on the sign in and out sheets. Failure

to do so can result in your child’s termination from the program.

Please keep authorized or unauthorized pick-up persons current with the Site Supervisor. All authorized pick up

persons must be at least 16 years old.

Pick-up and drop-off persons are required to escort their child(ren) to and from the elementary site.

Authorized Persons for Pick-Up

For your protection, only authorized persons may pick up your child (ren).

To add persons to your child’s authorized pick up list, please include the following information: the person’s full legal name,

their phone number and their relationship the child and submit to the Site Supervisor.

All staff members are required to ask for photo identification of all persons picking up your child(ren) that they do not

recognize. Always be prepared to show your picture identification when picking up child(ren) from our programs and alert

any persons authorized to pick up your child of our policy.

Unauthorized Persons for Pick-Up

Any unauthorized persons must have a restraining order/ court order on file at the site. In addition, all child custody papers

and visitation schedules must be on file at the site if needed. Without a court order stating otherwise, we are legally required

to allow children to go with their parent.

Daily Absences

Please contact the Site Supervisor to notify them of your child (ren)’s absence. If we do not hear from you, we will contact you

to verify the absence. Repeated failure to report your child absences may result in their termination from our program.

Celebration Corner

Please check out this board to see how your child (ren) is doing. We will frequently post new information on this board.

Treasure Chest Newsletter

We send out a bi-monthly newsletter on and second and fourth Tuesdays of the month electronically via email. Newsletters

will highlight themes of the weeks, important activities, and student standout awards. Please make sure the Program Director

has a current email address for your family. Regular information will also be available on our website.

Open House and Orientation

All families are strongly encouraged to attend our monthly open house at the beginning of the school year and at end of each

month for new students. During orientation, you will get to meet and greet the staff will be working with your children and we

will review the policies and procedures of the program.

Parent Teacher Association/ Parent Advisory Committee

Three Treasures supports the PTA and foundations of our schools by donating time and resources.

Parent Concerns

Three Treasures employs an open door policy. Parents and guardians as well as educators and administration are always

welcome to sit in on any of our classes. We are dedicated to developing and maintaining high levels of service. We want to hear

from you if we have not accomplished this goal. Any one of our staff is available to assist you with your concerns or questions

and will work with you to find a resolution.

Curriculum and Activities

The Mission of our Youth Mentorship Program supports the overall Vision of our organization.

Our programming revolves around multi-cultural education and activities. Except for our main programs that are designed to

be taught throughout the school year, we rotate through different sports, musical instruments and topics.

Year Long Programs: Kung Fu, Homework/Tutoring, Abacus Math, Chinese Chess

Personal Growth Topics: Money Management, Public Speaking, Nutrition, Etiquette, etc.

Mystery Hour Topics: Builder’s club; Gardening; American Sign Language; Origami, etc.

Dance Choices: Lion Dance, Hip Hop, Contemporary, Jazz

Extracurricular: Guest Speakers; Field Trips; Movie Days

Each week’s lesson plan includes:

1. “of the week”: a word, emotion, city, country, culture of the day

2. Impromptu public speaking: sharing highs and lows of the day and how we can make tomorrow better

3. Daily and weekly contests: trivia, Chinese Chess matches, Abacus math problems

4. Recognizing a good deed of the day; Student of the Day; Student of the Week

5. Passing out Three Treasures bucks (currency to be used for prizes and auction later in the year)

Breakdown of the Classes:

The classes are divided up by age and scope of that particular lesson. There will be small and large group activities; activities

by project as well as outdoor activities. From 5 to 530 pm is free choice period where the student chooses their activity given

they have completed their homework or reading requirements for the day.

Snacks: are served to students who attend two more of our classes per day. Snack times will be posted on our bulletin board.

There is no additional cost to the parents for snacks. All food allergies must be disclosed prior to enrolling your child.

Maintaining Continuity With Our Host School:

We structure our lessons and activities around the master schedule of our host school so we can support their objectives and

goals. This way, students will have additional exposure to the aims of our host school’s activities.

Guidance, Discipline & Behavior Management

Rules and Expectations of Participants in the Program

Three Treasures abides by the rules of our host school. Their rules and regulations have seniority over ours. Our intent is that

all the participants enjoy the activities provided by understanding that they are responsible for their own actions. The rules

and conflict resolution strategies are posted at each site. We use positive reinforcement by acknowledging good behavior.

Our Expectations for Each Participant are:

Safety First

Be genuinely happy for their peers’ success

To willingly participate in activities and enjoy the learning experience knowing they are safe and respected

Show courtesy and respect for everyone

Show respect for all property and property of others

Demonstrate monthly character traits

Leave personal items, toys, sports equipment and non-instructional items at home

Be responsible for your words and actions

Behavior Management

Three Treasures maintains a positive approach to managing a child’s behavior at all times. We do so by teaching self-control

and learning to live within the expectations and guidelines set forth. Positive behavior is self-rewarding and allows the

program activities to occur. When children choose to misbehave, consequences are required to avoid future problems. The

overall safety of all our participants is our highest priority. We will use the following techniques to help with

inappropriate or misbehaviors:

Proactive Reasoning and Redirection: Every effort will be made to help the child understand why it is

inappropriate. We explain activities ahead of time and foreshadow what is to be expected so children have time to

process the transition to the next class or activity.

Removal from a Specific Activity: When reasoning has been used and the behavior has changed, transferring the

child to another activity may be necessary.

Child/ Site Supervisor Conference: When staff is not successful with correcting a child behavior, the Site Supervisor

may meet with the participant to redirect them to use the proper conflict resolution strategies.

Parent Conference: If the parent needs to be formally involved in the process, a Behavior Contract will have to be

issued. Whenever possible, the child is present and participates in these conferences. The goal is to define what

changes need to be made to help them be successful in our program.

Removal from the Program for Inappropriate Behavior

Three Treasures reserves the right to remove a child from the program if they endanger the well-being of themselves or

others. However, this is not something we want to resort to. Removal of a child only transfers the problem to someone else but

does not address it. We will work with school officials to help the child.

When a child has serious disciple problem, the parent may be called by staff to request that the child be picked up

within one hour of the call. Hitting, threatening or intimidating others, injuring another person or leaving the program

site are serious discipline problems.

Should it be decided by Three Treasures staff that a child poses a serious discipline problem; the child may be

suspended from the program for a period of 1-5 days, or may be removed from the program entirely.

All Three Treasures’ Youth Mentorship Programs follow all school rules and policies. If a child is sent home from

school or suspended from school, they are not allowed to attend the after-school program during the entire time of

suspension.

Health & Safety

Child Abuse Prevention

Section 11166 of the California Penal Code requires any Child Care Custodian (includes teachers, licensed day care workers,

administrators, foster parents and group home personnel), medical practitioner, or employee of a child protection agency who

has knowledge of or observes a child or suspects the child has been a victim of child abuse, to report the known or suspected

instance of abuse to a protective agency immediately. A phone call and written report will be filed within 36 hours of receiving

the information concerning the incident. If you suspect abuse, call Child Protective Services (CPS) at (800) 344-6000.

Medications

Any medication which needs to be administered during program hours must:

1. Be accompanied by a “Permission to Administer Medications Form” (available from the Site Supervisor).

2. Be brought to the Site Supervisor in its original container with the child’s name, physicians name and drug name

clearly labeled on the container.

3. Must have specific dosage amounts and times. Three Treasures staff members are not allowed to administer any over

the counter medication such as aspirin, and cough medicine without having written instructions and dosage provided

by the child’s physician. Three Treasures will not administer insulin shots.

Chronic Health Issues

Three Treasures will administer medications to children who have asthma, experience allergic reactions or require blood

glucose tests. Three Treasures will not administer insulin shots. Any other substitute foods for raising blood sugar such as

honey, orange juice will be maintained at the parents’ request if we are reasonably able to do so. Parents of children with

potential life-threatening illnesses must be reachable the entire time your child is in our care.

Illness During Program Hours

If your child becomes ill during program hours, they will be isolated from the other participants and you will be contacted to

pick them up within one (1) hour. Three Treasures is not equipped to handle ill children beyond securing their immediate

comfort. Please be sure to keep Three Treasures informed of any changes in your work or emergency phone numbers. If you

cannot be reached, we will contact someone you have authorized.

Any child not attending school that day may not attend Three Treasures’ Youth Mentorship Program on that day. If your child

goes home from school, call the Site Supervisor to report their absence from the program.

Injuries During Program Hours

If your child is injured during program hours, the staff member in charge will take whatever steps may be necessary to obtain

emergency medical care as warranted. These steps may include, but are not limited to:

1. Provide immediate First Aid

2. Attempt to contact a parent or guardian

3. If a parent or guardian cannot be reached, we will attempt to contact others listed on your registration forms.

4. In the case of serious injury, appropriate emergency medical assistance will be contacted (911 will be called). A Three

Treasures staff member will remain with the child until the parents or another authorized adult arrives. Three

Treasures staff may not transport program participants.

Anytime a participant hits his/her head, a parent or guardian will be contacted immediately. Head injuries are very serious

and you have our guarantee they will not be taken lightly.

Emergency Procedures

Three Treasures will adopt and abide by the emergency procedures of our host school. There will be no refunds or credit given

for closures due to natural disasters.

Sun Protection and Sunscreen

We recommend to apply sunscreen to your child(ren) every morning and pack a bottle for additional application throughout

the day. We highly encourage children to:

Wear hats while outdoors

Bring bottled water or a refillable container to keep throughout the day

Bring sunscreen and reapply it frequently

Sunscreen is kept at each site and per your request, can be given to children in our program. You must notify the Site

Supervisor of any sunscreen necessities. Please note that the staff can assist with the application of sunscreen to your children.

We also schedule in several water breaks during any of our Performance Package classes.

Adult-to-Child Ratios

Three Treasures strives to meet a 1:10 adult-to-child ratio while never going above 1:12.

Program Policies and Information

Field Trips

They are an essential part of the learning experience. Occasionally we will plan trips and these trips will be posted in our

Master calendar that is on our bulletin board. A signed parent permission slip is required. An additional fee may be required

depending on the type of field trip. If you do not want your child to participate, you will need to make alternate arrangements

in advance for that day.

Homework and Tutoring

Building a child’s love for learning is a key component to our program. We have devoted time each day to help each child

complete their homework for that day. We cannot force a child to homework or assignments however through positive

reinforcement each child will eventually see the value of being on top of their studies. There are two designated times for

homework help: the first hour of the Youth Mentorship Program and the last half hour.

Dress Code

We abide by and enforce the dress code of the school we are at. Students can also wear our Three Treasures shirt during our

program hours only. During school hours, you must follow your school’s dress code.

Toys and Games

Your personal property and toys are safest when left at home. Three Treasures will provide all instructional equipment unless

noted (ie, you can buy your own ukulele, etc.)

Lost and Found

We will have a Lost and Found bin at each of our schools.

Babysitting

It is the policy of Three Treasures that our staff do not accept babysitting assignments from families involved in Three

Treasures programs.

Bathroom Policy

Staff members will escort two or more children to bathrooms and position themselves to visually observe the child enter and

exit the restroom. Staff must have auditory awareness of the child and are not allowed to be alone with a child in a restroom.

Cell Phones

If our host school allows cell phones, they are to be collected before the start of each class and placed in a basket and put away

in a locked cabinet. Phones are returned to the students at the end of the class.

Termination

Three Treasures does not make it a practice to suspend or remove children from our programs. However, Three Treasures

reserves the right to do so if the behavior is not conducive to the safety and well-being of other children enrolled in the

program or your child’s own personal safety. Three Treasures also reserves the right to terminate services for inappropriate

behavior of parents or guardians.
