This module provides information on some of the payroll reports available on BTS.

The reports included in this module are display HR master data, employee list by cost center, employee list for positive time reporting, display working time, vacation balance report, and final time report.

From the Detailed Navigation, click on the PA20‐Display HR Master Data.

The Display HR Master Data (PA 20) report provides information on employee’s assignments. When you click on the icon shown here, you will be directed to a window that displays more detailed information on the employee’s assignment.

A list of personnel assignments is displayed, along with the record status (active, inactive, withdrawn, retiree, etc.). Time can only be reported on a record with a status of “Active”. Move the horizontal scroll bar at the bottom of the dialog box to display additional information.

The employee list by cost center is a report that lists all employees currently at your cost center.

This is a sample of the selection screen. The required selection criteria for this report are the reporting period and the cost center. Enter a specific reporting period or select “today” for current reporting period. You have the option to select a pay area (CE, CL, SM) or leave the payroll area blank for all employees at your location. The cost center defaults to your cost center. If there is more than one cost center, click on the green box under the yellow arrow to the right of the cost center. Choose the desired cost center from the drop down list. Click on execute.

The default view displays records in numerical order by Person ID. Each of the columns can be sorted in ascending or descending order by clicking on the appropriate button on the menu bar. The Employee List by Cost Center provides information on each employee, such as the person ID, personnel number, first and last name, cost center, pay area, job number, job text, daily working hours, and work schedule rule. The time reporter can use this report to determine eligibility for time anticipation, as well as to report time for employees. To access a time sheet, double click on an employee record and you will leap to the CAT2 Time Sheet: Initial Screen for that employee.

As you can see, the employee’s information is populated in the initial screen. The key date defaults to the current date. Click on the Enter Times button to proceed to the employee’s time sheet.

At the time sheet, enter time as needed, then click on the save button.

Hitting the save button returns you to the Employee List by Cost Center. Click twice on the next employee and repeat previous steps.

The Employee List for Positive Time Reporting queries time Management Status 1 (TMS) employee records with missing time entries. From the Detailed Navigation list, click on ZCATC‐Employee List for Positive Time.

The date will default to the current payroll period. You have the option to select another payroll period by changing the dates. You also have the option to select a payroll area (CE, CL, SM). The cost center defaults to your cost center. When you have selected your criteria, press the execute button.

The report will display the employee’s reported hours and dates as well as the missing target hours.

The Display Working Time report is used to display the processing status of time entries applied to employee time sheets. Time must be entered by the time reporter to display working time on this report.

From the Detailed Navigation screen, click on ZCATS_DA‐Display Working Time.

Enter the personnel number to search for one employee or leave personnel number box empty to search for all employees at your cost center. The cost center will default to your cost center. Click on execute.

The time will be displayed in alphabetical order. Take note of the columns at the top of the report. The icons in the status column indicates if the time has been approved. The green checkmark indicates the records have been approved by the time approver. A yellow triangle indicates that the time has been reported but the time has not yet been approved by the time approver. Only time approved by the time approver can be processed and paid. Please note that only positive time and any additional or negative time is displayed on this report. Regular Time for TMS 9 employees does not appear on this report.

This is the right side of the Display Working Time report. Information on who entered the time, approved the time, dates entered and approved, and time, is displayed in this area of the report.

This is the Vacation Balance report. You have the option to generate the vacation balance report for all employees at your cost center or you can generate the report for one employee. To generate the report for all employees at your cost center, leave the Person ID/Personnel Number box empty. To view the vacation report for one employee, enter the employee’s Person ID number in the box. Press the execute button to proceed to the next screen.

This is a sample of a vacation report for one employee. The Vacation Bank are vested hours accrued before the 1994 vacation policy was in place. The Projected Excess Hours are the hours an employee must use before July 1 of the fiscal year. Waived Vacation Hours are the excess hours from June 2009 and/or hours prohibited from using. These hours are included in the Current Balance. An employee will lose unused excess hours on July 1 and no further vacation hours can be accrued over the maximum allowed.

The Final Time Report is used to view and print a summary or detail of employee time for a specified date range.

From the Detailed Navigation list, click on ZTMIMERPT‐Final Time Report.

Enter a specific payroll period. You have the option to choose a payroll area (CE, CL, SM). Enter your cost center. If you have more than one cost center, click on the green box below the yellow arrow that is to the right of the cost center box and click on the desired location. Press the execute button at the top of the screen.

The Final Time Report displays a break down of the total hours reported for each employee. For example, the first line indicates that for employee Smith, there was a total of 52.8 hours reported. 48 hours of regular time and 4.8 hours of vacation.
