intimate setting for your ceremony. We feature unrivaled reception areas including the vast Estate Cave and the beautiful Vineyard Terrace.

The Estate Cave is a dramatic venue that accommodates up to 130 guests for a truly unique wine country reception experience. The Vineyard Terrace is an outdoor venue for

up to 250 guests set against the backdrop of our eight acre private vineyard.

We also offer private wings with guest rooms and suites so that wedding parties and family members can enjoy additional privacy during their stay. Our beautiful spa, Spa Terra, features special treatments for the bride and mother of the bride, as well as innovative

group and couples treatments.

That’s why we have a professional catering manager and your on-site wedding planner dedicated to making your big day not only memorable, but effortless. OUR LADY OF THE GRAPES

Our beautiful private wedding chapel, Our Lady of the Grapes, offers an intimate setting for your ceremony.

The Chapel can accommodate up to 50 guests and has a facility fee of $1,500.00 on Saturday evening and $750.00 for a weekend daytime ceremony.

THE ESTATE CAVE is a dramatic venue that accommodates up to 250 guests for ceremony and up to 130 guests for dinner and dancing. This is a truly unique wine country ceremony experience. The Facility fee ranges from $2,500 to $5,000 for a Saturday events

DINING LOCATIONS

THE VINEYARD TERRACE is an outdoor venue complete with overhead sound and heaters. The Vineyard Terrace can accommodate up to 250 guests and has a facility fee of $750.00 to $1,500.00.

In consideration of our hotel guests, we do require all music and dancing inside.

IN THE HEART OF THE EARTH

THE ESTATE CAVE is a 3800 square foot entertainment cave that is complete with an overhead sound system and central heating and air. A seated dinner can accommodate up to 200 guests in a warm, intimate setting. The cave has a facility fee of $2,500 to $5,000.00. Food and Beverage minimums apply. Please inquire for these minimums as they are seasonal.

THE GRAND SALON

The spectacular Meritage Grand Salon offers 10,500 square feet which can be easily configured for large and small wedding dinner and is the newest and largest Ballroom in the Napa Valley. It has an appealingly Italian flair, with dark wood trim against cream-colored walls, and imposing chandeliers decorated with stylized grapes. The ballroom’s simple and studied stylishness make it easy to imagine gliding onto the dance floor, swept up in good cheer and joyful music.

Spa Terra features special treatments for the bride and mother of the bride, as well as innovative bridal party and couples treatments.

Located entirely underground in our 22,000 square foot Estate Cave, Spa Terra at The Meritage Resort is an experience unique unto itself. The hushed serenity of the cave,

with natural stone, water features, and extravagant furnishings, offers guests an environment the renewal of the body and the mind.

Spa Terra is an escape from the stress and pressure of ordinary life, and an opportunity

to indulge in a world of sensory pleasure and relaxation. It is a spa experience like no other.

THE FORMALITIES AGREEMENT Once you have selected your preferred date, The Meritage Resort and Spa will issue an agreement for Catering Facilities. We require that a signed, original copy of the contract and the non-refundable deposit be returned by the date indicated on your contract to secure the date. DEPOSITS The first deposit and signed catering agreement confirm your event date and time (the first deposit will vary depending on the size of your event). All deposits are non-refundable and will be applied to the final balance of your event. Should you need to change the date of your event, please inquire with your Catering Manager. PAYMENT Direct billing is not available for social events. A credit card for all events is required for final payment in the event direct billing is not extended. Full payment of all estimated charges including food and beverage minimum will be due 10 days prior to event. GUARANTEES The expected number of guest must be communicated to The Meritage Resort and Spa Catering Department a minimum of 72 business hours prior to the event. This number will be considered a guarantee and is not subject to reduction. If we do not receive a guarantee outside this time frame, the number of guest expected on the catering contract will be considered a guarantee and charges will be assessed accordingly. Your final bill will be charged for your actual attendance or guaranteed guest count or food and beverage minimum, whichever is greater. Additionally, the resort will select appropriate space for your event, based on your attendance and setup requirements. Should the factors change through the course of your planning, your event locations will also be subject to change. Contact your catering manager prior to printing event locations in an agenda or invitation. SURCHARGES When a full meal is served in a private room for fewer than fifteen guests, a 20% surcharge will be applied to all menu pricing. Extra labor charges will apply for room set-up changes with less than 12 hours advance notice or unusual set-up requirements. CANCELLATIONS Functions cancelled after deposit(s) are received will forfeit the entire amount of the deposit(s). Functions cancelled less then six months prior to the scheduled function will be charged the full price of the planned meals, rental equipment and facility fee. The Meritage Resort and Spa must receive all cancellations in writing. No telephone cancellations will be accepted or considered valid.

VENDORS Upon contracting with The Meritage Resort and Spa, we will provide a complete referral list of vendors who may assist you with flowers, photography, cakes, music and transportation. If you prefer, you are welcome to make arrangements with your own professional vendors. Outside vendors must be professional vendors and we ask that you advise them to contact The Meritage Resort and Spa for instructions on our vendor policies. The Meritage Resort and Spa reserves the right to approve or refuse any vendors. AUDIO / VISUAL Our complete Audio/ Visual Department is available twenty-four hours a day to assist you. Therefore, the hotel will be the exclusive provider of audio/ visual equipment and rental. In the event that an outside provider is permitted, they are required to follow the terms of our outside vendor policy. FACILITY FEES

Facility fees for all our private dining rooms will be quoted by the Sales staff at the time of contracting. Facility fees will vary depending on the room(s) and times reserved. Your facility fee includes event coordination, tables with full length white linens, banquet chairs, votive candles, stemware, and glassware. All set-up, clean-up and banquet staffing of your event is included. Meritage-Owned Chaivari chairs are available exclusively for events held in the Estate Cave. Meritage-owned Chaivari Chairs are available for use in the Meritage Ballroom for a fee of $5.00 per chair. DECORATION It is our pleasure to consult with you on your decorative preferences. Decorations or displays brought into the resort by the guest must be approved prior to arrival by your Conference Services Manager. Items may not be attached to any stationary wall, floor, window or ceiling with nails, staples, tape of any other substance. FUNCTION ROOMS Function rooms are assigned by The Meritage Resort and Spa according to the guaranteed minimum number of guests anticipated. Round tables of eight (8) or ten (10) guests are customary. The Resort reserves the right to assign another room for a function in the event that the room originally designated for such function shall become unavailable or inappropriate in the Resort’s sole opinion. Contact your catering manager for your meeting room set-up needs. The Meritage Resort at Napa will provide Executive Set (note pads, pens, pitchers of ice water with lemon, glasses and hard candy) in all meeting rooms. MENU SELECTIONS The food items listed is merely a sample of the services and amenities that our Catering and Conference Services staff is able to provide. We welcome the opportunity to create custom menus to meet the needs and suit the preferences of your guest. Unless noted, buffets and entrée selections are limited to one choice per group. Please note that the rates quoted are subject to 21% service charge and California State tax, currently 8.75%, applicable to all food, beverage, audio/ visual equipment, room rental and service charges. When planning your menu, we suggest selecting a common main course for all guests; however you may offer a choice of main course options if the following guidelines have been met:

A maximum of two main course options, plus a vegetarian alternative, may be offered. Additional surcharge of $10.00 per person will apply. The Catering Department must be provided with an exact breakdown of the two main courses

selected no later than three (3) business days prior to the event. The higher priced main course will prevail for both meal selections. Common accompaniments and complementing courses are required for multiple main course

luncheons and dinners. Each guest must have a pre-set place card that includes a symbol indicating the main course

selected. Prices on the enclosed menus are subject to change, but will be confirmed ninety (90) days prior to your event. Total costs vary according to the menu selection and type of event. We suggest that you budget $75.00 - $100.00 per person for daytime events and $125.00 - $160.00 per person for evening events, plus service charge, sales tax and facility fees. All food and beverage must be provided by The Meritage Resort and Spa. Please consult your Catering Manager for weekend minimums. The Meritage Resort and Spa is the only licensee authorized to sell, serve or distribute any food and beverage on property. No food or beverage of any kind will be permitted to be brought into the resort by any guest. In the event a group is permitted to bring in their own wine, a corkage fee of $20 per bottle will be assessed.

ALCOHOLIC BEVERAGE POLICY The sale and service of all alcoholic beverages is regulated by the California State Liquor Commission. The Meritage Resort and Spa is responsible for the administration of the regulations; therefore, it is our policy that no alcoholic beverage(s) are brought into your private event. In the event a group is permitted to bring in their own wine, a corkage fee of $20 per bottle will be assessed.

CONFIRMATION OF ATTENDANCE In order to ensure the success of your event, it is necessary for the Catering and Conference Services office to be notified with your final guest count no later than seventy-two (72) business hours prior to the event date. This number will not be subject to reduction. If the catering office is not notified by the time the guarantee is due, the estimated attendance as noted on the banquet event order will serve as your guarantee. The Resort will not be responsible for identical service to more than 5% over your guarantee, should your attendance increase suddenly or unexpectedly. CONCIERGE SERVICES We will be happy to make arrangements for any special needs such as car rentals, buses, tours or limousine service. Other special needs such as babysitters or restaurant reservations may be arranged through one of our Guest Service Managers.

SECURITY The Meritage Resort and Spa shall not assume responsibility for damage or loss of any merchandise or articles brought onto the property or for any item(s) left unattended. If necessary, security officers may be arranged through the Catering and Conference Services office at an additional charge. DAMAGES The Meritage Resort and Spa reserves the right to inspect and control all private events. Liability for damages to the premises will be charged accordingly. The host of the function is held responsible for personal property or equipment brought into the function area. One of our Catering and Conference Services representatives will be pleased to answer your questions.
