The Teton Valley Ski Education Foundation is a non-profit ski and snowboard team located in
Teton Valley, Idaho. We offer programs for youth looking to take their skiing and snowboarding
to the next level, through competition and training, in addition to hosting skiing competitions
and events. We are excited for you to join our ski and snowboard community, whether your
skis are fat, skinny, fast, short, or even a snowboard. As a non-profit, we rely on donations to
keep our programs affordable to Teton Valley's youth.

HISTORY, MISSION STATEMENT & STATEMENT OF VALUES
HISTORY: The Teton Valley Ski Education Foundation (TVSEF) was founded in 1978 by local ski
racing legends Deb and Dana Mackenzie and Brad (Squeak) and Mark Melehes. They introduced
the wonder of ski racing to the youth of our Valley. The mission still stands today to encourage
discipline, respect, physical fitness, and healthy competition in the children of Teton Valley.
TVSEF has contributed to the development of regionally and nationally ranked athletes and ski
professionals including our most recognizable alums on today’s ski scene, Sage
Cattabriga-Alosa, and 2018 Olympian Jaelin Kauf.
TVSEF currently serves 175 athletes with 30 coaches across four disciplines. We have
development and competition teams in Alpine, Cross Country, Freeride, and Snowboard.
We are comprised of athletes, coaches, and parents who together form a skiing and
snowboarding community. Athletes are trained, prepared, and supported for the level of
competitive advancement that they seek. TVSEF follows the United States Ski and Snowboard
Association (USSA) guidelines on athlete development.
MISSION: Our mission is to provide affordable ski and snowboard programs for young athletes
to meet their individual potential for excellence through education and opportunity for
competition.
Our goal is to create opportunities through educational and competitive programs in Alpine,
Freestyle, Snowboarding, and Cross Country skiing that foster a lifelong love of winter sports.
OUR STATEMENT OF VALUES DRIVES THE ORGANIZATION:
MAXIMIZE ATHLETE POTENTIAL: We provide programs that assist each participant in reaching
his/her potential.
QUALITY PROGRAMS: We provide quality programs, training, and venues that support and
develop athletic excellence and personal growth. We strive to maintain an environment that is
fun and enriching.
HIGH CALIBER COACHING AND STAFF: We attract, retain and develop directors, coaches, and
staff of the highest caliber, both personally and professionally. We provide ongoing training and
learning opportunities for them.
AFFORDABILITY: We are committed to affordable and accessible learn-to-ski programs and seek
community support and scholarships to help athletes as they move up the pipeline.

ACADEMICS: We build relationships with the school system and work with participants so they
can excel in their sport and school.
SAFE SPORT: We apply best practices to maximize the safety of our participants.
VOLUNTEERS: We cultivate and grow positive relationships with TVSEF volunteers.
COMMUNITY RELATIONS: We promote positive, productive relationships with the local
community, community partners, and supporters of TVSEF.
CULTURE & SPORTSMANSHIP: We expect all athletes, parents, coaches, volunteers, and
employees to exhibit exceptional sportsmanship and contribute to the TVSEF culture and the
broader community.
NON-DISCRIMINATION POLICY
TVSEF, its directors, officers, agents, and employees shall not discriminate against any director,
officer, agent, employee, or member or any other individual on the basis of color, religion, race,
nationality, ethnic origin, age, sexual orientation, gender, class, or disability.
TVSEF, its members, if any, directors, officers, volunteers, and employees shall not discriminate
against any member, director, officer, customer, visitor, applicant for scholarship or other
TVSEF programs and services, guest, employee or any other individual on the basis of color,
religion, race, nationality, ethnicity, age, sexual orientation, gender, class, or disability in
accordance all federal and state laws that may apply. This policy applies to all aspects of TVSEF.
TVSEF is an equal opportunity organization in all regards. Upon notification of violation of this
policy, TVSEF will take action immediately, and disciplinary action will be taken, up to and
including termination of employment, dismissal from the board of directors, or termination of
membership.
TVSEF also seeks, through its scholarship, fundraising, and outreach programs, to make TVSEF
as affordable and accessible as possible to all customers and individuals who wish to participate
in TVSEF programs, activities, and events.
CODE OF CONDUCT
All athletes and parents must agree to accept and abide by the rules of TVSEF.
Athletes’ and parents’ participation in programs is an opportunity afforded them by TVSEF.

These athletes must exhibit the maturity to be successful, and parents must exhibit the support
and understanding of TVSEF principles to allow their athletes to succeed. Thus, the following
codes, rules, guidelines, and procedures shall apply in all activities within the TVSEF programs.
CODE OF CONDUCT
Each member of TVSEF, including athletes and parents, will conduct himself/herself in a manner
that exemplifies the standards of good personal behavior and sportsmanship and does not
bring discredit upon TVSEF.
While participating in TVSEF activities, including training and traveling with TVSEF, athletes and
parents are expected to show respect for coaches, TVSEF staff, teammates, race officials,
volunteers, parents, chaperones, the general public, and all athletes and competitors. Verbal or
physical abuse of anyone involved with TVSEF - staff, coaches, parents, teammates - will not be
tolerated.
While participating in TVSEF training and athletic events, athletes and their parents are
expected to respect coaches’ decisions, and athletes are expected to participate fully in the
training and racing plan designed by the coaching staff. This includes dryland and on-snow
training, competition, rest, and recovery.
While participating in TVSEF activities, including training and traveling with TVSEF, athletes and
parents are expected to show respect for TVSEF property and all property involved with training
and competition. Sharing of equipment, tools, etc., with teammates is not discouraged, but
please ask permission first. If a teammate does not wish to share his/her personal property,
please respect that decision.
TVSEF is opposed to the use of prohibited and restricted substances and contact with
individuals who are participating in the use of such substances. Substance use negatively
impacts athletic and academic performance (and research indicates that early onset of alcohol
use increases the occurrence of addiction in adulthood by four times). Alcohol and drug use
interferes in learning processes, brain development, and increases the chance of physical injury
while participating in athletic competition. As a result of these risks, and in addition to the laws
of the States of Idaho and Wyoming and the mandates of US SKI & SNOWBOARD, FIS, WADA,
and USADA re prohibited substances, TVSEF prohibits the use of all illegal and restricted
substances.

Parents and athletes shall obey the regulations of Grand Targhee Ski Resort, the Alta track, and
the rules of all other venues used during training and competition. Those athletes competing in
US SKI & SNOWBOARD sanctioned events will obey the US SKI & SNOWBOARD Sportsmanship
Guidelines as outlined in the USSA Code of Conduct and adhered to by the Intermountain
Division.
DISCIPLINARY RULES WITHIN CODE OF CONDUCT
1. Any violation of the Code of Conduct is cause for disciplinary action, including
suspension and/or dismissal from TVSEF or other disciplinary procedures.
2. Substance use and/or possession thereof, including alcohol, tobacco, illegal drugs, and
banned substances governed by US SKI & SNOWBOARD, the Fédération Internationale
de Ski (FIS), the United States Anti-Doping Agency (USADA), and World Anti-Doping
Agency (WADA) is cause for immediate suspension and/or dismissal from the program
or other disciplinary procedures. If an athlete is suspended or expelled from school for a
drug or alcohol related incident, possession, or use, the athlete and his/her parents
must tell the TVSEF Executive Director and/or Head Coach and the athlete may be
subject to immediate dismissal or suspension from the program.
3. Persistent irresponsibility and disrespectful behavior is cause for suspension and/or
dismissal from TVSEF or other disciplinary procedures.
4. Unwelcome tampering with or destruction of TVSEF property or others’ personal
property is cause for suspension and/or dismissal from TVSEF or other disciplinary
procedures.
5. Violation of state, federal, or international laws is cause for dismissal from TVSEF. Any
violation of law resulting in an arrest or conviction by civil authorities, even if not related
to team activities, may result in disciplinary procedures by the Executive Director and/or
Head Coach.
6. Failure to comply with any and all event, team, or specific activity rules (curfew,
attendance, schedules, etc.) may be cause for disciplinary action. Typically, discipline
will be initiated with a verbal warning, followed by possible suspension from TVSEF
activities. Persistent failure will be cause for suspension and/or dismissal from the
program for the remainder of the current season and could affect an athlete’s future
participation.
7. Please note: If suspension or dismissal from the program or an event occurs while
traveling, the athlete may be sent home immediately at the parents’ cost at whatever
means is most convenient. No reimbursement of program or event fees will be made.
8. Adherence to these rules and guidelines as specified herein by TVSEF and observance of
state and federal laws, are required for participation in this program.

DISCIPLINARY GUIDELINES & PROCEDURES
Disciplinary issues, including any violation of this Code of Conduct, shall be addressed primarily
by the Executive Director, who shall recommend a course of action. When an issue or violation
occurs in the absence of the Executive Director or Head Coach, a coach may take immediate
and necessary action, which will later be reviewed by the Executive Director and/or Head
Coach. Head Coaches may seek counsel of the Executive Director, the Personnel Committee,
and the Board of Directors Executive Committee.
A Head Coach may initiate disciplinary proceedings based upon information obtained from
reliable sources providing there is supportive substantial information to warrant this action.
TVSEF differentiates between code violations and behaviors observed by coaches or staff and
those that are reported by a third party. Unacceptable behavior observed by TVSEF coaches or
staff, will be dealt with by Head Coaches, assistant coaches and/or the Executive Director.
Behavior observed by a third party requires that an incident report be completed and referred
to the Head Coach for action.
In the event that a violation occurs and the offending athlete brings it to the attention of the
staff of their own free will, considerations may be applied to the consequences as a show of
good faith for self-reporting.
TVSEF will make every effort to be fair and provide due process for individuals subject to TVSEF
Disciplinary Guidelines. If an individual is believed to have violated the Code of Conduct or a
Disciplinary Rule, he/she will be given an opportunity to be heard relative to the violation(s).
SUPPLEMENTS POLICY
TVSEF does not endorse or encourage the use of supplements by TVSEF athletes. TVSEF
encourages proper diet, periodization, rest, relaxation and health education. As such, TVSEF
believes athletes do not need supplemental enhancements of any kind. Any use thereof is a
decision between an athlete and his/her parents.

COMMUNICATION PLAN
Communication between TVSEF, athletes, and parents is of critical importance. TVSEF will make
every effort to provide optimal communications, but please keep in mind there will always be
communication challenges. There are several ways of disseminating information: General
information on programming, policies, and procedures can be found on the TVSEF website, as
well as via email to disseminate training schedules. TVSEF also uses Facebook, Instagram, and
email newsletters.
Email is an important means of communication. TVSEF will send emails about events and other
club-wide matters. Coaches will email information about training schedules and competition
information. Getting the proper email addresses to TVSEF for communication and ensuring that
email addresses will accept emails from MailChimp and coaches is the family’s responsibility
during registration. Please make sure TVSEF has all email addresses to which you wish to
receive information. Please ask your Head Coach for more information on discipline specific
communications and information.
TVSEF also sends quarterly e-Newsletters, and an Annual Report to its members, donors and
supporters.
CRITICAL INCIDENT COMMUNICATIONS PLAN:
In the event there is a “critical incident” (as defined below) at Teton Valley Ski Education
Foundation, the following communication procedures will be followed:
1. A critical incident is defined as:
a. A serious vehicle accident involving TVSEF coaches and/or athletes.
b. An injury to a TVSEF athlete or staff member involving serious bodily injury or
death.
c. An act (alleged or confirmed) of abuse by TVSEF personnel against a TVSEF
athlete or staff member.
d. A natural or unnatural disaster (i.e., avalanche, fire, earthquake, lighting,
terrorist attack, other serious events) that occurs during a TVSEF event that may
involve or have an impact on TVSEF athletes, volunteers, staff.
2. All Internal primary contacts (including the Executive Committee of the Board, the
Executive Directors and relevant Head Coaches) will be contacted by the Executive
Director or the President of the Board by email/phone and informed of the Critical
Incident.
3. Internal primary contacts will assess critical incidents and determine content and extent
of communication plan. Based on that assessment, the communication plan will be

distributed by the Executive Director or President of Board to some or all of the
following contacts: current parents of TVSEF athletes, full TVSEF Board of Directors,
Head Coaches, Assistant Coaches, the public.
4. There will be one spokesperson designated by the Executive Director or President of
Board for all external media communications, and all other personnel need to defer to
that person.
Other non-critical, but important, communications will be handled as follows:
1. If there is a breach of the Code of Conduct by an athlete resulting in disciplinary action,
the Head Coach of the athlete involved will send a confidential email or communication
to the Executive Director and all appropriate personnel explaining the incident.
2. If there is a major infraction of the Code of Conduct resulting in a disciplinary action, the
Executive Director will inform the Board of Directors.
ACADEMICS AND TVSEF ATHLETES
Developing well-rounded, successful student-athletes is a core value at TVSEF. Each athlete’s
academic success is as important as his/her athletic success. To this end, TVSEF wants to see
each athlete excel in both TVSEF and school. Together with parents, teachers, and athletes we
work to ensure that all of our athletes are in good standing in their schools in order to
participate in TVSEF. Additionally, we strongly and continually encourage athletes to discuss any
current academic issues with coaches as needed to ensure appropriate attention on academics.
If any concerns are brought to our attention, TVSEF may follow up with the school to find the
best way to help the athlete succeed in school and on the snow.
PARENT RESPONSIBILITIES & BEHAVIOR
Parents are expected to do the following:
1. Read this entire handbook with your athlete.
2. Abide by the policies and procedures of TVSEF.
3. Attend an orientation meeting in the fall. It is mandatory that at least one parent attend
the meeting.
4. Be supportive of your athlete and his/her coaches, teammates, and other competitors
and not accompany your athlete in training or in the race venue, unless invited by a
coach.
5. TVSEF believes the parents’ role should be supportive in nature. TVSEF programs and
development standards are in line with USSA long-term athlete development training

models. Parents are expected to be knowledgeable about those standards and the
long-term athletic development of their son/daughter. Parents are expected to respect
these programming guidelines.
6. Naturally, you will be curious about your child’s progress and we encourage you to talk
to your child’s coach. Many times, however, direct interventions (i.e. a parent tagging
along for runs or skiing, or inspecting a race course with their child) create difficult
situations, especially at competitions. Please feel free to talk to the coach before and
after practice, should you have any concerns in this regard.
7. Communicate effectively and respectfully with your child’s coaches; set up an
appointment with your child’s coach(es) if you have questions, concerns, or something
to discuss. While we highly encourage you to get to know the staff and your child’s
coaches, it is best to make time for a conversation and not approach a coach during a
training or competition event. We also encourage your use of email for communication.
8. During races/competitions:
a. Recognize that the team is on a tight schedule and has many responsibilities
before and after the actual racing. The time available for you to spend with your
child may be very limited.
b. Do not interfere with the coaches or athletes during course inspection or at the
start.
c. Be respectful of the start and wax preparation arena and the coaches’ space in
this arena as they work to prepare skis and athletes for competitions. Please stay
out of this arena.
d. Do not try to coach your child before, during, or immediately after the
competition. Allow the coaching staff to do their job.
e. Respect the coach’s decisions. They are professionals and are trained to
maximize your athlete’s experience on each trip. If you have questions, discuss
the situation with the coach at a later time.
f. Be positive.
9. Monitor your own expectations of your child’s performance and progress, realizing that
athletes who feel that they cannot meet their parents’ expectations quickly lose
motivation.
10. Support your child’s goals and encourage and acknowledge success and achievement at
the level of your child’s potential.
11. Commit to the success of the TVSEF volunteer and fundraising programs. It is only with
fundraising that this club can survive and flourish, thus providing your child with a
platform for success.

ORIENTATION MEETING
Each fall, TVSEF programs will host various Parent & Athlete Information Meetings. This is a
good time to learn about specific program details, program goals and objectives, overview of
policies and procedures, and for parents and athletes to ask questions. This meeting is
mandatory for all team members and at least one parent.
GRIEVANCE PROCEDURE
If an athlete or parent has an issue/grievance/complaint regarding any aspect of the TVSEF
program, the procedure for addressing the issue will be:
1. Approach the skier's age group coach about the situation.
2. If resolution is not achieved, the issue may be brought to the attention of the Head
Coach in charge of the age group involved.
3. If resolution is not achieved, the issue may be referred to the Executive Director.
4. If resolution is not achieved, the issue may be brought before the TVSEF Personnel
Committee.
5. If the particular issue involves one of the individuals or entities listed in this protocol,
you must first go to that individual’s coach or superior and if resolution is not achieved,
then you may proceed to take the issue/grievance to the next appropriate level.
If an athlete or parent has a grievance or complaint, please make an appointment to talk with
the appropriate individual. Grievances and complaints will not be addressed during training,
camp, or competition days. Coaches cannot give adequate attention to your grievance without
notice. No issue shall be universally broadcast to the attention of any email listserv or to the
general club membership.
TVSEF will make every effort to address, and take seriously, parent/athlete concerns and
grievances. From time to time grievances simply cannot be resolved to the satisfaction of the
parent/athlete. If this is the case, the TVSEF Board apologizes and encourages the
parent/athlete to seek alternative programs.
SAFE SPORT GUIDELINES
Consistent with the governing bodies of our sport-US SKI & SNOWBOARD and U.S. Olympic
Committee (USOC), providing a safe environment to protect the health and well being of our
athletes is a high priority for TVSEF and at the center of all our programs. SafeSport is a valuable

partnership between the US SKI & SNOWBOARD and the USOC with a variety of SafeSport
Guidance Resources.
TVSEF follows all relevant guidelines and protocols of the US SKI & SNOWBOARD Safe Sport
program, including, specifically:
● Athlete Safety Policies & Guidelines
● Minor Athlete Abuse Prevention Policies
● Athlete Supervision, Housing and Travel Best Practice Guidelines for U-18 athletes
On occasion due to limited numbers TVSEF may make a slight adaptation to travel guidelines.
Our goal is to communicate with parents when making adaptations.
EMERGENCY ACTION PLANS
TVSEF follows best practices with regard to the safety of its participants at all trainings, camps,
and competition events. Each discipline has an Emergency Action Plan (EAP) designed to ensure
the safety of all TVSEF participants.
TVSEF PROGRAM POLICIES
Athletes and coaches are expected to ride lifts with the bar down any time they are
participating in a TVSEF related activity - training, competitions, etc.
Athletes and parents are committed to the training days they sign up for during registration.
Athletes and parents may not switch dates at any point in time without prior approval from the
head coach. Head coaches may allow athletes to switch days if they can accommodate that
request. They are under no obligation to honor that request.
If during the season, a family would like to add training days beyond what was originally
registered for, they must notify the head coach for the program to which they would like to add
and the executive director. If the head coach can accommodate the request, a prorated fee for
that additional training will be determined by the executive director.
Coaches may accept tips from families at the end of the season. Tips are not to be accepted in
conjunction with events or competitions. If a coach is offered a tip during a competition they
are required to politely decline. Tipping is not mandatory and is not expected.

TVSEF FEE POLICIES: PROGRAM, RACE, COMPETITION, AND TRAINING EVENTS
All program fees must be paid in full by November 1st for programs starting in November or
December. All other program fees must be paid the Friday two weeks prior to the first day of
participation. Exceptions may be made by the executive director.
All cross country participants are required to purchase a TVTAP trail pass at the time of
registration. Fees are structured as follows:
● $25 for devo athletes
● $75 for prep and comp athletes
● OR $100 for a family pass
All camp fees, event fees, or fees associated with additional training options paid by TVSEF in
advance must be paid in full the Thursday prior to the first day of participation.
All competition fees that TVSEF pays in advance for participating athletes including but not
limited to registration fees, lift tickets, additional coaching time, mileage, per diems, and
lodging are due as listed below.
If a participant’s payment of fees and other expenses are not received by payment deadlines,
that participant may have program/competition privileges revoked until the account is made
current.
1. Nov. 15-Dec. 1 - Athletes and parents will have discussions with head coaches about the
competition season and which comps they plan to attend. By the end of that meeting,
families should commit to which comps they would like to attend.
2. First week of December - Based on the number of attendees, the executive director will
prepare the estimated cost due to TVSEF for each competition. Estimates will be sent
out to each family to help decide whether they will commit to the competitions they
originally agreed to. Estimates are approximated expenses. It is not possible to calculate
exact costs prior to an event. Cost estimates are based on fixed and variable costs and
vary from discipline to discipline. These costs may include, but are not limited to,
race/event entries, lift tickets/trail passes, lodging, transportation (road and air), gas,
meals, banquet fees, coaches’ expenses & wages, wax surcharge, and administrative
surcharge. The trip estimate will itemize cost categories.
3. December 15 - Families must confirm which competitions they will be attending.
4. One month prior to the first day of competition (or as close as possible) - A 50% deposit
will be due. If an athlete is unable to participate due to injury, the deposit will be fully
refundable. If an athlete voluntarily removes themselves two weeks prior to the first

day of competition, the deposit will be kept on the athletes’ account for future
competitions. If there is no plan to attend another competition and enough notice is
given, the deposit will be fully refundable. If there is no plan to attend another
competition and notice is given within 2 weeks of the competition, the deposit will be
used to cover costs of the trip and a refund will be provided only if all costs are covered.
5. Two weeks prior to the first day of competition - The remaining 50% of the estimated
costs will be due. This is the last day athletes may voluntarily drop from the competition
and receive a full refund.
6. Two weeks prior to the competition - The Executive Director will attempt to contact
families with unpaid balances to collect full payment. It is not the responsibility of the
Executive Director to chase down payments. If contact is not made with each family, full
payment is still expected to be submitted. If full payment is not received one week
prior to the first day of competition, the athlete will not be able to receive any TVSEF
coaching at the event.
7. Two weeks after the competition - TVSEF will reconcile any changes from the estimate
based on actual costs incurred. A final bill will be sent to families if the estimate came in
under the actual costs. That total will be due prior to attending another competition. If
the estimate came in over actual costs, any amount remaining will be left on the
families’ account and applied to the next competition.
PAYMENT PLAN FOR ATHLETES ATTENDING MULTIPLE COMPETITION
If an athlete anticipates to participate in multiple competitions over the course of a single
season, that family may set up a payment plan monthly or bi-weekly to cover the estimated
costs. Payment installments will be based off of paying the entire estimated bill by April 15th.
An additional invoice may be sent after that time if there is any balance owed to account for
the discrepancy in estimated versus actual costs. If a payment is missed, an athlete will not be
able to receive TVSEF coaching for any upcoming competition until the balance is paid.
PAYMENT POLICIES
TVSEF will apply any payments made to the oldest outstanding balance first.
If a family has an outstanding balance, any refunds or money TVSEF owes to that family will first
be applied to the outstanding balance and any remaining funds will be refunded.
End-of-year account statements will be sent to each family, and the family may request the
credit be applied to his/her account or a refund check. Any outstanding balances will be due by
May 1st.

Any family with open balances from the previous season will not be able to participate in any
future TVSEF programs until those balances have been paid off.
REFUND POLICY Program Fee Refunds General:
1. Upon registration and initial payment of program fees, refunds may be requested
through the TVSEF office as follows:
a. Prior to November 1st - TVSEF will fully refund any payments made should an
athlete voluntary or involuntary withdrawal from the program.
b. November 1st or Later
i. Voluntary Withdrawal - TVSEF will retain 30% of the participant’s
program fee for administrative fees plus an additional prorated fee for
the period the participant was registered for the program.
ii. Involuntary Withdrawal (documented illness, season-ending injury or
family relocation) - TVSEF will retain the prorated fee for the period the
participant was registered for the program.
iii. For winter programs that start in January, the deadline is December 1st.
For winter programs that start in February, the deadline is January 1st.
iv. For summer programs this deadline is a month prior to the first day of
camp.
2. As families pay for the entire season of coaching, the program fees are not a la carte
based on the number of days an athlete participates. Therefore, no refunds will be
given for missed training due to vacation, short-term illness, or other obligations.
3. There are no refunds given due to late openings of Grand Targhee Ski Resort or Cross
Country trails.
4. There are no refunds given for force majeure events including but not limited
a. acts of God, such as severe acts of nature or weather events including floods,
fires, earthquakes, hurricanes, or explosions;
b. war, acts of terrorism, and epidemics;
c. acts of governmental authorities such as expropriation, condemnation, and
changes in laws and regulations; and
d. strikes and labor disputes.
5. There are no refunds given should it become impossible or impractical for TVSEF to
continue programs.
Program Fee Refunds 2020-21 Season Only for COVID-19 Considerations:
1. TVSEF will offer full refunds up until November 1st for any family who is no longer
comfortable with their child participating.
2. TVSEF will offer partial refunds to any family who is no longer comfortable with their
child participating at any point in time. TVSEF will retain 30% of the participant’s

program fee for administrative fees plus an additional prorated fee for the period the
athlete participated in the program. If the athlete participated in 70% of the program,
no refunds will be given.
3. TVSEF will offer partial refunds should programming be cut short as a result of
COVID-19. TVSEF will retain 30% of program fees for administrative fees plus an
additional prorated fee for the period the program was able to continue. If 70% of the
program has been completed, no refunds will be given.
Camp Fee Refunds:
If an athlete voluntarily cancels participation in a camp less than two weeks prior to the first
day of participation, refunds are not allowed. The Executive Director may consider individual
circumstances. Camp-related expenses paid by TVSEF in advance of a camp that are
non-refundable to TVSEF will not be refunded. If a refund is approved, TVSEF will retain $100
administrative fee.
Race, Competition, and Training Event Fees Refunds:
If an athlete voluntarily cancels participation in a race, competition or training event* less than
two weeks prior to the first day of participation refunds are not allowed. The Executive
Director may consider individual circumstances. Race, competition, or training event related
expenses paid by TVSEF in advance of the event that are non-refundable to TVSEF will not be
refunded. If a refund is approved, TVSEF will retain a $50 administrative fee.
If any race or competition is cancelled for any reason, refunds will be made only after expenses
that have already been incurred have been paid such as travel, additional coaching time,
lodging, venue rental, timing company fees, etc.
*An “event” is defined as a home or away race, freeride competition, and some other training
opportunities.
TRAVEL AND LODGING POLICIES
● Travel and lodging policies vary from discipline to discipline and event to event.
● Travel and lodging policies are subject to change throughout the season and will be
updated.
● If an athlete violates TVSEF Code of Conduct and Disciplinary Rules while traveling with
TVSEF or at an away event, the athlete may be sent home immediately at the parents’
cost at whatever means is most convenient. No reimbursement of program or event
fees will be made.

Cross Country: To meet the goals of TVSEF Cross Country programming and to accommodate
TVSEF families, TVSEF Cross County generally chooses to travel and lodge at away events as a
team rather than having individual families and athletes travel and lodge separately. All lodging
arrangements are made and paid for in advance by TVSEF. TVSEF attempts to find affordable,
adequate lodging. TVSEF groups athletes together in rooms and attempts to provide a full or
shared bed for every athlete.
Alpine: For winter events (excluding some camps) U12 and older Alpine racers and families are
generally responsible for their own travel and lodging at away events. The Alpine Program
Director will publish a race schedule with recommended accommodations. However, it is the
responsibility for each family to make their own hotel reservations. Although it is not required,
athletes usually stay with family members in a hotel where the team and coaches are all
staying. With the approval of TVSEF-Alpine Program Director, athletes not staying with family
members may stay in a room with same-gender teammates.
Alpine Coaches are not responsible for the supervision, chaperoning, or travel arrangements for
any TVSEF alpine athlete when traveling to away races. At times, a coach may provide a ride for
an athlete. It is assumed that athletes will be responsible for themselves. Parents are
responsible to provide supervision for their children. If Alpine chooses to travel and lodge at
away events as a team rather than having individual families and athletes travel and lodge
separately, coaches will announce the trip as a TVSEF trip. On these TVSEF trips, all lodging
arrangements are made and paid for in advance by TVSEF. TVSEF attempts to find affordable,
adequate lodging. TVSEF groups athletes together in rooms and attempts to provide a full or
shared bed for every athlete.
Freeride: Freeride competitors and families are responsible for their own travel and lodging at
away events. The Program Director will publish a competition schedule with recommended
accommodations. However, it is the responsibility of each family to make their own hotel
reservations.
Coaches are not responsible for the supervision, chaperoning, or travel arrangements for any
TVSEF freestyle athlete when traveling to away contests. At times, a coach may provide a ride
for an athlete. It is assumed that athletes will be responsible for themselves. Parents are
responsible to provide supervision for their children. At away events, the sole responsibility of a
TVSEF Freeride coach is to provide on-snow coaching.
Snowboard: To meet the goals of TVSEF Snowboard programming and to accommodate TVSEF
families, TVSEF Snowboard generally chooses to travel and lodge at away events as a team

rather than having individual families and athletes travel and lodge separately. Snowboard
competitors and families are responsible for their own travel and lodging at away events. The
Program Director will publish a competition schedule with recommended accommodations.
However, it is the responsibility of each family to make their own hotel reservations.
Coaches are not responsible for the supervision, chaperoning, or travel arrangements for any
TVSEF snowboard athlete when traveling to away contests. At times, a coach may provide a ride
for an athlete. It is assumed that athletes will be responsible for themselves. Parents are
responsible to provide supervision for their children. At away events, the sole responsibility of a
TVSEF snowboard coach is to provide on-snow coaching.
TRANSPORTATION POLICY
Teton Valley Ski Education Foundation (TVSEF) is the owner of vehicles shared by all four
disciplines on a schedule to be determined by Head Coaches and Executive Director. Vehicles
are used year-round for transportation from school and other locations to local training venues,
and for out-of-town camps, training, and competitions. The coaching staff will announce
departure, time, and place.
Please see the Head Coaches and Executive Director for schedule. Otherwise, the coaching staff
will announce departure, time, and place.
While TVSEF is attempting to provide transportation to out-of-town events, primarily for
athletes 14 and older, depending on availability and distances, athletes may be responsible for
their own transportation, as well as the cost of getting coaches to the events. When TVSEF
provides transportation for athletes to an event, that transportation may include a rental
vehicle, the use of a parent or coach vehicle, a TVSEF vehicle, a commercial bus, or other form
of transportation. TVSEF will communicate to athletes when transportation is provided and in
what form.
Fees related to TVSEF-provided transportation vary depending on the event/competition the
transportation is used for. In general, when a van is used for out-of-town travel, TVSEF athletes
will be charged an equal share of the total mileage of the trip, which is charged at the IRS
mileage rate. When a rental vehicle or a commercial bus is used, the cost of the rental or bus is
charged to the athletes traveling. For more details on transportation use and fee policies,
please contact the Executive Director.
All TVSEF vehicles used shall be returned to the TVSEF offices in a clean condition, and athletes

who use the vehicles shall be responsible for picking up after themselves and cleaning. If the
van/bus is not kept clean, there will be a mandatory rotating schedule for cleaning. Any damage
to a TVSEF vehicle caused by a TVSEF athlete will be the responsibility of the offending athlete.
Seatbelt use shall be mandatory on all TVSEF trips. While TVSEF takes athlete safety very
seriously, it is nearly impossible for coaches to enforce a seatbelt policy. Therefore, we urge
parents to initiate dialogue with their children and reinforce the necessity of wearing a seatbelt.
TVSEF expects team members not travelling in the van/bus to use other safe means of
transportation to training and competitions. Any verified reports of unsafe operation of
vehicles carrying club members to TVSEF activities may lead to disciplinary action against those
involved.
CONCUSSION POLICY
Teton Valley Ski Education Foundation Concussion Policy:
Pursuant to US SKI & SNOWBOARD Concussion policies, any Teton Valley Ski Education
Foundation (TVSEF) athlete suspected of having sustained a concussion/ traumatic brain injury
must be removed immediately from participation in any TVSEF sporting event (e.g. sanctioned
training, practice, camps, competitions or tryouts), by any TVSEF agent or coach overseeing
such sporting event.
The athlete will be prohibited from further participation until evaluated and cleared in writing
to resume participation in TVSEF sporting events by a qualified health care provider trained in
the evaluation and management of concussive head injuries. The health care professional must
certify to TVSEF in the clearance letter (the “Clearance Letter”) that he/she has successfully
completed a continuing education course in the evaluation and management of concussive
head injuries within three years of the day on which the written statement is made.
Upon removal of an athlete from participation for a suspected concussion/traumatic brain
injury, the TVSEF agent or coach making the removal will also inform US SKI & SNOWBOARD
Competition Services in accordance with the US SKI & SNOWBOARD Concussion Policy for US
SKI & SNOWBOARD members. In addition to providing a Clearance Letter to TVSEF, athletes
who have subsequently been medically cleared to resume participation must also provide the
Clearance Letter to US SKI & SNOWBOARD Competition Services in order to be permitted to
participate in US SKI & SNOWBOARD sporting events.

concussion baseline testing made available by TVSEF.
RETURN FROM INJURY POLICY
Any Teton Valley Ski Education Foundation ("TVSEF") athlete suspected of having sustained an
injury must be removed immediately from participation in any TVSEF sporting event (e.g.
sanctioned training, practice, camps, competitions or tryouts), by any TVSEF agent or coach
overseeing such sporting event.
Upon removal of an athlete from participation for a suspected injury, the TVSEF agent or coach
making the removal will also inform the athlete’s parent or guardian.
If the athlete seeks medical attention through a professional medical provider, the athlete will
be prohibited from further participation until evaluated and cleared in writing to resume
participation in TVSEF sporting events by a qualified healthcare provider.
If an athlete does not seek medical attention from a professional medical care provider, the
athlete’s parent and TVSEF coach will evaluate return to sport.
TVSEF SCHOLARSHIP PROGRAM
Funds for scholarships are raised from targeted fundraising initiatives, donor-directed funds,
and other sources. TVSEF makes it a priority to raise funds for, and give out as many
scholarships as possible in a given year. Funds, however, are not guaranteed to be available
every year.
Scholarships are available for Teton Valley Ski Education Foundation development and
competitive athletes based on financial need. These scholarships are to assist Teton Valley Ski
Education Foundation skiers and snowboarders whose participation requires financial support
beyond what their families can supply.
The Scholarship Committee is made up of five persons: one TVSEF Board Director, the Executive
Director, and three outside individuals who are not employees or Board Directors of TVSEF. The
Scholarship Committee is charged with management and oversight of the Scholarship Program.
The committee is charged with selecting need- based financial scholarship.
*Because funds are limited, scholarships will be awarded to those athletes enrolled in, and
committed to, the more full-time development/competitive programs, where the costs of

participation are considerably higher. We make every effort to keep our entry- level programs
affordable and an excellent value.

ANNUAL SCHOLARSHIP OPPORTUNITIES
Need-Based Financial Scholarship: Registered participants may apply for need-based
scholarships. For these scholarships, the ability of the family to pay program-related fees will be
factored based on information supplied in the application.
Criteria for consideration:
1. Must be a registered participant of TVSEF for the upcoming season.
2. Must pay 50% of the program fee
3. Athlete’s account must be current
4. Must submit application form and required documents by deadline
5. Must provide a letter describing the athlete's need for this scholarship (including
number in family, other obligations, such as number of children in college, and a list of
other major assets and liabilities that limit family’s financial capacity).
Need-Based Scholarship Selection Committee & Process:
The committee is charged with selecting need-based financial scholarship recipients based on
certain criteria. All committee members will review the need- based financial applications once
the deadline has passed and make selections. Awarded scholarship funds will be credited to the
athlete’s account to be applied to program fees.
General Policies of Scholarship Programs:
TVSEF athletes and families who receive and accept scholarships from TVSEF through the
Scholarship Program must agree to adhere to the policies and procedures set forth by the
Teton Valley Ski Education Foundation. If an athlete, and/or his/her family, who receives a
scholarship violates TVSEF policies and procedures, or withdraws from TVSEF for a non- injury
related reason, the athlete and his/her family may be responsible for refunding a prorated
share of the scholarship.

VOLUNTEER PROGRAM
Family Volunteer Deposit Policy:
Offering a top level skiing and snowboarding program is expensive. To help keep costs down
and aid in the fundraising of the club, families are charged a $100 volunteer deposit for
participation in Teton Valley Ski Education Foundation programs. This deposit helps the club
keep our costs down by requiring 6 volunteer hours per child or 12 hours per family (families
with multiple athletes) toward TVSEF fundraising and events. For scholarship recipients, these
requirements are increased to 8 volunteer hours per child or 16 hours per family (families with
multiple athletes on scholarship).
Note that if you are involved with the Cross Country program, the volunteer requirement is
slightly different. TVSEF requests Cross Country rec parents to volunteer as a parent helper at
practice instead of 6 hour obligations once per child for the one day a week program; twice per
child for the two day a week option.
At the end of the winter season (late April) those families who have completed their required
volunteer hours will be refunded the full amount via check. You may also choose to donate
your volunteer deposit to TVSEF and not work those hours. TVSEF does not provide any
refunds for partial completion of volunteer requirements.

mission of the organization. The committee also helps support specific program
initiatives and provide a feedback loop to the Head Coaches. Contact the Executive
