Workshop OverviewThis is the Facilitator’s Guide for the Global New Employee Orientation Process Workshop. This workshop is one of several events in the Global New Employee Orientation Process. The process and the events, which are explained in the “Global New Employee Orientation Overview” section, are designed to: Help new employees quickly acquire A Pharmaceutical Company-specific

knowledge and skills Provide a consistent message to all new employees Help A Pharmaceutical Company attract and retain high-quality employees

Specifically, the process and workshop will help new employees know: What is expected of them How to add value to the company How to best communicate with their colleagues How to integrate into the company as team players

This Facilitator’s Guide describes two approaches for delivering the “Company Overview” section of the workshop. You may select the approach that you feel will work best with the participants. One approach—called shared learning—allows participants to work together to learn about A Pharmaceutical Company and then to “teach” that information to the other participants. You can learn more about the concepts of shared learning in the Appendix of this Facilitator’s Guide.

The second option requires you to present information using a PowerPoint presentation.

In addition, A Pharmaceutical Company affiliates/locations can customize the process and the orientation events (including this workshop) to meet their own needs, so you may need to customize the workshop to meet the requirements of your local affiliate/location. Workshop materials have been designed to make it easy for you to customize the presentation without having to recreate slides or other materials. Instead, you are to prepare flip chart materials and make hand-written entries into this guide.

This Facilitator’s Guide is your primary tool to plan, prepare for and conduct the workshop. It is important for you to review this guide thoroughly, well in advance of the workshop.

The Facilitator’s Guide includes information and handouts necessary to prepare and conduct the activities associated with the two approaches. Both approaches include the following activities: Presentations driven by PowerPoint slides or videos Small group activities Large group discussionsIn addition, the shared-learning approach uses small-group team learning. The small group then delivers an interactive presentation to the whole group so that everyone participates in the learning process. This approach, which is described in more detail in the “Shared Learning” section in the Appendix, will require gathering additional materials not included in this Facilitator’s Guide. A list of suggested materials participants will need for their own learning and to prepare the interactive presentations is included in the “Shared Learning Workshop Materials” section of this Facilitator’s Guide.

During the workshop, include information about all orientation activities scheduled at your affiliate/location. Make sure you know what first-day activities are planned and the schedule for the other Global Orientation Process events so you can present that information.

Make sure to schedule enough time before the day of the workshop to prepare all materials and customize the activities so that they meet the requirements of your affiliate/location.

Please read the “Shared Learning” section of the Appendix to learn more about this approach. If you have limited experience conducting workshops or are unfamiliar with the principles and techniques of adult learning, please read the “Adult Learning Theory” in the Appendix as well.

Global New Employee Orientation Overview PhasesAs shown in the diagram on the previous page, Global New Employee Orientation at A Pharmaceutical Company is an ongoing process, rather than a single event at which new employees complete documents, select benefits and learn about the organization. While important, these activities occur in one phase of the process: Induction. The entire Orientation Process includes four phases, which are defined below: Recruiting is the process of identifying and contacting potential employees. Interviewing is the process of determining whether the candidates’ qualifications

meet A Pharmaceutical Company’s standards for employment and the requirements of the job.

Induction is the process of providing new employees with information about the company and having the employees complete the documents necessary to start work.

Socialization is the process new employees go through to become fully aligned with the company culture.

The process begins with Recruiting because potential employees start to develop their expectations of the company and their role in the company at this time. They continue to develop expectations during the Interviewing phase of the process.

After being hired, new employees find out if the expectations they developed during Recruiting and Interviewing are, in fact, aligned with reality. If the employees’ expectations are not aligned with reality, then most likely their morale will be low and the company’s ability to retain them will be diminished.When individuals and organizations think of Orientation, they often think only of the activities included in Induction. However, Induction primarily is about completing paperwork. An important component of Orientation is Socialization—the process of acquiring skills and knowledge and aligning attitudes and feelings. This occurs whether or not the Socialization process is planned and systematic.

EventsThis document focuses on the events in the Induction and Socialization phases of the process. These events, which are designed to provide new employees with the right information at the right time, are: Receipt of a Welcome Packet A New Employee Orientation Workshop, a facilitator-led session which focuses on

welcoming new employees and providing them with the information and resources they need to start work

A Tour of the Facility, which is aimed at providing new employees with a physical context for their job and how they fit in

An Orientation Web Site, which provides new employees with access to information about A Pharmaceutical Company, its products and competitors, and the pharmaceutical market

Ongoing Networking and Social Events, which allow the employees to meet their colleagues, build relationships, and expand their knowledge of the company

In addition to these Orientation events, the process includes the on-the-job experience that employees gain between each event. They may also receive job-specific classroom training and/or formal on-the-job training, depending on their function and job responsibilities.

Receipt of Welcome Packet

The Welcome Packet is the first event in the Induction and Socialization phases of the process. It marks the transition from “candidate” to “new employee.” The actual contents of the package will vary according to local needs and the availability of materials. Some recommended items include: Welcome letters Directions where to park on the first day Orientation Workshop information such as:

A map showing where new employees report on their first day An agenda with a contact name and telephone number

New Employee Orientation Workshop

The New Employee Orientation Workshop is designed to take place on the new employee’s first day at A Pharmaceutical Company. It includes welcoming activities, provides new employees with the opportunity to complete all needed paperwork, and provides new employees with information that will help them understand how to work and succeed at A Pharmaceutical Company.

If time permits, first day activities may also include meetings with administrative assistants, supervisors and peer coaches who will provide additional information to help new employees be successful at A Pharmaceutical Company.

Facility TourTours should be part of the Orientation Process for all new employees, but A Pharmaceutical Company affiliates/locations will determine how best to provide the tours at their location. Some affiliates/locations may turn that responsibility over to the supervisor, administrative assistant or peer coach.

Whoever is responsible for providing the tours, they should include visits to the following locations: The main reception area All functional work areas (unless restricted) Special break areas, if applicable Dining facilities on site Special facilities such as auditoriums and training rooms Buildings at the site Guest and employee parking lots

The exact issues, timing and format of these are to be determined by local affiliates/locations. Workshop PreparationTo effectively facilitate workshop activities, it is important that you review and understand the activities and the overview of the Global New Employee Orientation Process included in this guide. You will also need to review and understand any adaptations to the process or this workshop made at your affiliate/location.

The PowerPoint presentation developed for this workshop includes a number of “build sides” that display additional information after the slide itself comes into view. Some actions require a mouse click and some occur automatically at the end of the previous action. If you are using the facilitator-delivered PowerPoint presentation, review the PowerPoint presentation thoroughly to make sure that you know when actions occur. This Facilitator’s Guide includes suggested comments for you to make during the presentation. You will need to review the presentation to help you ensure that what you are saying matches the text in the presentation.

Reviewing the handbooks for supervisors, administrators, administrative assistants and peer coaches will help you develop a better understanding of their roles. Examining the new employee checklist included in the Participant’s Workbook will help you ensure that all information is presented.

Workshop Preparation (continued)You will need to ensure that food, equipment and supplies arrive at the proper place at the proper time on the day of the workshop. In many affiliates/locations, an administrator or administrative assistant will have the responsibility to perform these tasks, but it is your responsibility to make sure that the tasks have been completed and that the proper arrangements have been made.

Discuss all logistics either directly with supervisors of the new employees or with the supervisors’ administrative assistants.

During the workshop, participants are asked to tell why they joined A Pharmaceutical Company. Contact your HR Department and ask if they would like to have the answers (without identifying the particular participant). HR may want to determine if there is a correlation between the information new employees provide during the workshop and information people provide when they leave A Pharmaceutical Company. If HR wants the information, then collect it during the workshop and send it to the department.

Workshop CustomizationThere are two kinds of customization associated with delivering this workshop: One, to take advantage of the delivery options for the Workshop Summary activity. Two, to meet the specific needs of your affiliate/location because:

There is specific content that needs to be addressed The Orientation Workshop or the Orientation Process has been modified

The optional delivery methods for the Workshop Summary are: Small Group Self-Assessment Small Group Creativity Concert Review

Details on the options for activities are at the appropriate activity in the “Activity” section of the Facilitator Guide.

For activities that require customization, record the information on a flip chart before the workshop and then display it at the proper time when you deliver the workshop. The titles of flip charts that should be prepared are included in the checklist of workshop materials. They are also indicated in the instructions that you follow to present the activities.

The agenda for this workshop does not list breaks or meal breaks. You can determine when you will need to take those. Be sure to inform participants about breaks at the beginning of the workshop.

Workshop Customization (continued) Following are the suggested titles for the flip charts, descriptions of the information to be included, and suggestions for gathering the information. Checklists for each of these are included following the descriptions.

First Day Orientation Activities

Prepare a flip chart that lists the other activities scheduled for the new employees’ first day, such as meetings with their peer coaches or supervisors. Your flip chart should include the list of activities, and the times and names of appropriate A Pharmaceutical Company personnel involved. You will need to work with supervisors, administrative assistants and HR personnel to gather this information.

You may be able to collect this information only if you are delivering the workshop to a few participants. For large workshops, collecting this information may not be possible so you will not use this flip chart.

Global New Employee Orientation Events

Prepare a flip chart that lists other events scheduled as part of the process, such as tours, function- or affiliate/location-specific orientation, or the ongoing social events. Your flip chart should include the date and time of each event as well as contact names and telephone numbers, if they are known.

At some affiliates, this information will not be known and you will not use this flip chart during the workshop.

Presenters

Prepare a flip chart with information about all your workshop’s presenters – including yourself. You should include telephone numbers if the presenters are also contacts for new employees. Other presenters may come from the HR Department and Legal Department at your affiliate/location.

Documents to be Completed

Prepare a flip chart that lists all documents new employees will fill out during the workshop. You will need to work with the HR department, supervisors and administrative assistants to make sure your list is complete. If possible, make a transparency of each document to be completed so that you can use an overhead projector to show the participants how to complete each document.

If you use the shared-learning approach for the “Company Overview,” prepare a flip chart that lists all topics. Display this when explaining the details of the shared-learning activity. In addition, you may want to prepare flip chart pages with the title of each of the eight topics. You can use these pages to mark the area where the small group assigned the topic will find source material to prepare their presentation.

NOTE: At any particular workshop, you may not have enough participants to form small groups for each of the eight topics. If that is the case, combine topics to match the number of groups available.

Workshop Set-upPlan to arrive about one hour before the workshop starts to complete your preparations and ensure that the room has been set up properly.

It is recommended that food appropriate to the time of day and local affiliate/location is made available one-half hour before the event starts. It will probably not be your responsibility to order food, but it will be your responsibility to ensure that it arrives and is set up properly.

It is your responsibility to make sure that all supplies and equipment necessary to deliver the workshop are at the proper location. Use your checklists to make sure you have everything you need to deliver the workshop.

Set up and test all equipment. Make sure you know how to turn on and turn off the computer projector, the overhead projector and the video projector. Adjust the focus and placement of projectors to make sure the material is clear and can be seen from all locations in the room. Make sure you know how to start, stop and rewind the video. Adjust the volume so that it can be heard throughout the room but is not too loud.

Make sure all power cords and connector cables are out of the way or securely taped to the floor so that they will not cause anyone to fall.

Set up your prepared flip charts so that you can easily display them when needed.

Set up any displays of advertisements or A Pharmaceutical Company products that you have.

Place the videotape of A Pharmaceutical Company products and people around the globe in the video player. Start the tape about 15 minutes before the workshop is scheduled to start.

To save time, do one of the following: Place copies of participant materials and a packet of induction documents to be

completed at each chair Place the participant materials and induction documents on a table and instruct

participants to take one of each as they enter the room

Workshop DeliveryDuring the workshop, it is your responsibility to: Be thoroughly prepared Generate enthusiasm Encourage active participation Ensure that the workshop proceeds smoothly Ensure that participants' questions are answered Build confidence

Participants need to know what to expect. Display a copy of the agenda in a prominent place. Do your best to follow the workshop schedule by starting promptly after break periods and adjusting the pace of the lessons (e.g., expanding or limiting discussions to stay within scheduled times).

Know the layout of the building and provide participants with directions to the restrooms and telephones. This information can be written on a flip chart page and posted near the door of your meeting room.

It is important to answer participants' questions. If you do not have time to answer all questions within a specific activity, ask participants to write down their questions so they can approach you during breaks or at the end of the session.

Participants might ask questions you cannot answer. In these instances, refer them to someone who can answer their questions or plan to learn the answers on your own. Then, follow up with the participant(s) as soon as possible after the conclusion of the workshop.

Compounds that make it to this stage have about an 80 percent chance of a successful launch. This final stage is also the most costly.

Phase III clinical trials are conducted worldwide and involve hundreds of thousands of patients to evaluate safety and efficacy fully. This global testing allows for simultaneous global submission followed by, upon approval, global launch.

Submission to regulatory agencies is an important and time-consuming step in the process. The agencies examine A Pharmaceutical Company’s data and ask questions. Approval often depends on data audits conducted by regulatory agencies to ensure that information was obtained using Good Clinical Practices and regulatory agency inspections to ensure that Good Manufacturing Practices will be followed.

After the compound receives regulatory approval, A Pharmaceutical Company initiates a global launch. We educate physicians about the proper usage, dosage and regimen for the compound. We open lines of communication to collect information so we can address questions quickly.

Adult Learning TheoryThis section includes tips and guidance based on adult learning theory. If you have limited experience with classroom training for adults or are unfamiliar with the principles of adult learning, please read this section.

Provide the Proper Learning Environment

Adults learn best when the learning environment is physically and psychologically comfortable. When planning to deliver training, make sure the location is suitable. For example, avoid places that are noisy, too hot or too cold, or poorly lit. Be sure the room is big enough and that there are sufficient chairs and writing surfaces for all participants.

Adults have expectations about training. Early in the training, find out the participants’ expectations and tell them whether their expectations are aligned with the purpose of the workshop and other scheduled activities.

Verbally reward positive behaviors and correct responses. When participants give incorrect answers to questions, respond politely, taking care to avoid embarrassing the participants; then respond with the correct answer. Adults tend to take errors personally and may let their errors affect their self-esteem. Consequently, they may stop participating. Remind participants that mistakes are naturally a part of the learning process.

Motivate Participants

Adults generally need specific motivation to learn. For example, change is an extremely strong motivation for adult learning. Adults will enthusiastically participate in learning activities that will help them cope with the change.

Because starting a new job represents a major life change, most participants will come to the workshop highly motivated. This workshop will help them to adapt to this change and is part of the support A Pharmaceutical Company provides to assist new employees.

Another adult motivation for learning is to enhance self-esteem. The information presented and reinforced by this workshop will enhance participants’ self-esteem because it can help them understand and adapt to the A Pharmaceutical Company culture and become productive employees quickly.

Practice Proper Presentation Skills

Your attitude and presentation skills will have a significant impact on the success of the workshop.

Carefully present the workshop content. Maintain good posture and use appropriate gestures. Speak clearly and with enough volume to be heard by all. Familiarize yourself with the presentation materials and be able to summarize them from memory. Do not read directly from the presentation materials, but use them to prompt your memory.

Shared LearningThe shared-learning activity in this workshop is based on an approach called Accelerated Learning that uses a variety of techniques designed to engage the participants in multiple ways. These techniques include: Having the participants physically move during training Involving participants in small groups activities such as games, role playing or group

problem-solving Using color and music during presentations Using activities that encourage relaxation and visualization Encouraging participants to write on, draw on or add colors to handouts

An underlying principle of shared learning is that people have individual preferred learning styles that involve different parts of the brain and body. The techniques listed above engage the brain and body on many levels that, in a sense, allow individuals to customize the training so that it fits their own individual preferred style.

The benefits of this approach are that it: Gives the training material greater impact Improves participants’ attention during the training Increases participants’ retention of the material after the training

The shared-learning approach provides participants with a richer, more satisfying experience. This workshop is based on a model that includes the following steps: Preparation Presentation and Practice Performance After the Session*

Participants go through the first three stages during their shared-learning activity. The “After the Session” activities include meetings with supervisors, peer coaches and administrators and through access to MyHOMEPAGE.
