Final mark reporting must be done on the SIS computer. Once final marks have been entered and verified, run TR72 to post the summer marks to the cumulative file (TR01 of the local school). Approximately 2 weeks after summer school is over, a file will be sent to each school to download grades for students who another LAUSD school for summer school. Secondary SIS will notify all schools by fax and send instructions to run TR71 when the files are in place. Backup. The summer session/intersession data is backed up as part of your regular school backup. Do regular backups to zip cartridges, even if you are not making significant changes to your main database. Server/Gateway. The Server/Gateway is to remain with power on, even over a vacation. The District downloads and uploads programs, student and staff information at various times. If it is necessary to have the Server/ Gateway turned off, please notify SSIS. Secondary Newsletter. Final grades. Preparing for Summer SchoolSummer school begins JULY 7 through AUGUST 15. Before entering any information for this summer, schoolsshould run NEWSUM to erase the previous summer and load in new empty files. Schools have the option ofretaining the previous CL71 (master schedule).

Entering students. Four programs may be used.

• EXTSUM - Transfers student records in mass from your main database into the summer database.

• RCVSUM - Downloads student records from a non-summer school site to its existing summer databasevia diskette.

At the sending school site:

Place the diskette in drive A: on any station.Type SNDSUM <Enter>.Use an extract to select which students records to send.Remove the diskette from the drive.

At the receiving summer school:Place the diskette in drive A: on any station.Type RCVSUM and press <Enter>.Remove the diskette from the drive.

• TR31SUM - Copies a student's records from where he/she is currently attending to your summer schooldatabase. This is used when students attend a summer school other than their home school. In order touse this program, you must know the 10 character district ID, and the location code where the student isnow.

• ID71 - Enters a student into the database. ID71 is a combination of ID01, CL04, and MR04. Use thisprogram to add students who do not attend the local school.

Grade Level - When students are downloaded into the summer school database using EXTSUM (localschool), RCVSUM (diskette), or TR31SUM their grade levels are incremented by 1. Therefore youmay have to make appropriate grade changes in ID71.

Special attendance category - Field 110. Use the following guidelines for assigning codes to students withLow-Incidence handicaps (i.e. sight, hearing, orthopedics).

Code S - Use when a low-incident student attends SPECIAL DAY CLASSES.

Code I - Use when a low-incident student attends one period in a regular class and one period ina special day class during summer school.

Deleting students. Only students who have never been assigned a class may be deleted from the databaseusing ID72. For example, students whose records were loaded with EXTSUM or RCVSUM. No showstudents cannot be deleted.

Entering the master schedule. Use CL71.

• Class numbers. Because roster printing is controlled strictly by these numbers, you should plan theirselection carefully. If you expect to print rosters in teacher/alpha order, then you should assign classnumbers in that order. If you expect to print rosters in some other order, then assign class numbers in thatorder. Plan carefully before entering your master schedule.

• Program codes.

If the student will be in the 11th or 12th grade in the Fall, and taking a course during a summer session isthe only way to fulfill a specific graduation requirement, use the Graduation requirement program code.

If the student has already passed the mathematics competency test, use Remedial or SB813 programcodes for mathematics.

If the student has passed all three English-related proficiency tests, use the Remedial or SB813 programcodes for English courses.

Except for the three cases described above, if the English or Mathematics course being taken duringsummer session helps prepare the student to pass any of the competency tests, use the Proficiency code.

If a student in enrolled in DRW-ELA courses, use a 'W' in the program code.

• District course numbers. Course numbers may be printed with the program COURSES. They mayalso be looked up in Memorandum No. M-34 entitled "2003 Secondary Summer Session: Programs forSecondary Students", dated March 31, 2003, or using the <F9> help key in CL31.

• Credits. Each course is 5.0 credits .

Special education classes are 10 credits but must be listed in CL71 as two 5 unit classes. If two 5.0credit classes are listed, the cum label reflects individual class names and an attendance roster isgenerated for each class.

Classes such as Geometry AB must be listed in CL71 as two 5.0 credit classes with the title listed asGeometry A and Geometry B. Students are required to attend 4 hours for all 6 weeks. Teachers oftengive different marks for the A & B sections. This may be accomplished by assigning the period one classthe A section and the period two class to the B section. Teachers can then give different marks for the Aand B section of the class.

Assigning classes to students.

Once the master schedule is set with CL71, a student may be assigned a class with ID71. To change astudent's program with ID71, simply overtype the old class number with the new class number. If the changeis after Day One, you also need to enter the first day the student will attend the new class.

To change a student's program with AT76, press <F4> to get to the second screen (E/L), move the cursor tothe appropriate date and overtype the old class number with the new class number.

Traveling Students.

All traveling students attending single track secondary schools may enroll in a traditional calendar summerschool program at the nearest single-track calendar summer school site. The school of attendance willcomplete the application with the counselor's signature affixed and sent to the summer school site selected byJune 2, 2003.

The only traveling students eligible for summer transportation from their resident middle or high school to theirnormal receiving school are : 1) student in grade 11 and 12 who have failed specific required courses neededfor graduation, which they cannot take in the fall to be eligible for graduation with their class, or 2) 8th and9thgrade students enrolled in Developing Readers and Writers Course Spring 2003. These eligible studentsneeding transportation should be marked with a "Y" in ID71, field142 by June 20th in the SIS of the receivingschool.

Programs to run prior to the start of summer school.

• CL72- Prints student schedule cards.

Type CL72,3 and press <Enter>At student selection

103=A and press <Enter>(A is the code for an active student. Any student who has been assigned a class is active)

At sort selection, select appropriate fields for your school (alpha, grade, etc)

• CL73 - Prints class schedule summaries for office (similar to CL23 printout)

• CL74 - Prints attendance rosters.

Since a roster spans a maximum of 4 weeks, CL74 is run at least twice during summer school. SISSupport recommends that for the first roster interval, only weeks one and two be run for the first part ofsummer school. For the second half, weeks 3-6 should be printed.

Summer school files contain two sets of rosters, thus printing rosters for the next interval can be donebefore attendance is entered on the last day of the interval.

The courses listed below are for the DRW-ELA Summer/Intersession classes. They are to be enteredinto CL71 with a program code of W for DRW-ELA. Each student is to be programmed into a 4 hourblock. For example, in CL71 list Literacy Connection 1A (232511) for period 1 and LiteracyConnection 1B (232512) for period 2. Program each student into both period 1 and period 2.

AttendanceThe SIS Computer must be used for attendance accounting and reporting. State law requires reportingattendance for each hour of class. ADA is collected for a student who is present for any part of the hour.Period one rosters should be sent to the computer operator for processing after the end of the period. Schoolsmay wish to collect period two rosters as the teachers check out for the day.

Teachers must record only attendance on the computer generated attendance roster. Any otherentries are made on separate marking sheets.

Marking attendance-two hour class. An example of the attendance symbols appears in the 2000 SummerPolicies and Procedures Guide. The attendance box on the roster is divided in half - the upper half for the firsthour and the bottom half for the second half. On the first day when the student is to report to class, SSISSupport recommends that teachers write an E in the appropriate hour of the day the student enrolls in class.For example,

Student enrolls during the first hour and Eremains through the second hour.

Student misses the entire first hour and"comes in" during the second hour. E

Student enrolls the first hour and misses Ethe entire second hour

Student is a no show. He didn't showup during either hours. This isdifferent from the slash which is usedduring regular session.

A student who is present any part of a 1-hour block, whether the first hour or the second hour,is considered present for the entire 1-hour block.

At the start of the period,if the student is present,leave the box blank.

if the student is not present, draw aline accross the middle of the box.

At the end of each hour, darken the (Student missed entire first hour and wasthe appropriate block, if the student missed present at least a portion of the second hour.)the entire hour.

Day One of Summer School. The teacher writes an "E" in the portion of the box (either 1st hour or 2nd hour) inwhich the student officially enters the class. A student on Day One is either present 2 hours or 1 hour or a noshow.

Use AT72 or AT76. One hour absences are entered with AT76.

AT72 - Enter absences/no shows from rosters.

If a student is not present for two hours wand/type the line number. The student's status changesto no show.

AT76 - Enter 1 hr absences/no show status for individual students.If a student is not present for one hour type a "1" .

If a student is not present for two hours press <F4> E/L Data and then press <Tab> to changethe status to no show.

Day 2 and after. Once a student's enrollment status is "no show" it is no longer necessary to wand the student"no show". (CL73 will print No Shows).

Return a student's no show status to active status by using one of folowing programs

AT71 - Wand/Type the line number. Preferred method.

AT76 (optional) - Press <F4> to get to the E/L Date and type the class number next to the appropriatedate. The program code defaults to the code in CL71. The program code may have to be changed tothe program code appropriate for the student. Pressing the right arrow key moves the cursor toperiod 2 .

Enter absences with either AT72 or AT76.

Run other programs as needed.

AT73 - Prints days absent report.

AT77 - Prints PRCs.

AT74 - Prints the telephone number of where to fax report and prints the classification report.

TD29 and TD71-Use the Phonemaster to call homes of students who are absent.

• Withdrawing a Student. Two programs may be used to change a student's status to withdrawn.

ID71 - Press <Tab> to blank out the class number. This will place the L on "today's" date. If the date isincorrect, it should be corrected with program AT76.

AT76 - Press <F4> to get to the E/L screen. Using the arrows, go to the correct period and date ofwithdrawal and press <Tab> to remove the class.

Students with EC49079 OffensesAll teachers must be notified of any student in his/her classes who has committed certain acts covered by Ed Code49079.When EXTSUM is used to load student records from your school, abbreviated EC49079 information isincluded in the student's record. For students from other schools and for those whose information in the computerwas entered manually, EC49079 information in fields 125 and 126 is blank. After SIS Support downloads EC49079information gathered during YEAREND, schools need to run ECIN to update records needing EC49079 info.

Preparation. Since the data being downloaded from the District is keyed by the previous school, summer staffshould run CL78 to print rosters with student names, last school, birthdate, sex, home address and telephone andrequest teachers to verify the correctness of the printed data. Any corrections should be entered in ID71 prior torunning ECIN.

ECIN. DO NOT RUN ECIN UNTIL YOU HAVE BEEN NOTIFIED BY SIS SUPPORT. This programupdates any EC 49079 information. If there is an exact match on the birthdate, sex and previous school butdifferent spelling for the name, the operator will be asked if this is the same student and if the record for thisstudent should be updated with the EC49079 data. The program may take up to 25 minutes to process and may berun as many times as necessary.

The five digit code displayed in field 126 (field immediately follows the yes in field 125) indicates the counts asdescribed below.

1st digit = suspension from class 4th digit = OT cancelled2nd digit = suspension from school 5th digit = expulsions3rd digit = OT’d to another school

In the example above, the student had

42110: 4 class suspensions, 2 school suspensions, 1 OT to another school, 1 OT cancelledand 0 expulsions.

Note: Counts more than 9 will be coded as 9. Therefore, “9” represents 9 or more incidents.

The original EC49079 database collected at the end of the Spring Semester includes suspension codes andcomments. Summer schools may use program ECRQST to print all the suspension codes and comments forEC49079 summer school students entered by the previous school for the last school year.

The exclamation point (!), indicates that the student'srecord contains at least one of the following moresevere problems:

• Expulsion• O.T. for Assault, Drugs, Extortion, Fighting,

Threatening, Robbery, Weapons,Sexual Harassment

• Suspension for Injury to Person, DangerousObject, Intoxicating Substance, Robbery,Extortion, Sexual Harassment.

All data that is stored to comply with EC49079 is strictly confidential. The Ed Code specifies that theprincipal or a single designee must maintain a file containing this information. The cover letter to theteachers should inform them how to tell if any of their students has reportable data. The Y or Y! onthe CL74E and CL74C rosters is the only visible evidence given to a teacher.

Mark ReportingAll summer schools must use SIS to post final grades. Grades must be finalized on the last day of summer schoolfor District reports. SIS Support recommends that you DO NOT use scan sheets for mid-term gradesbut use the hand written report cards.

There are three phases to mark reporting: preparation, data collection and report printing.

PreparationScanner. The scanner should be tested during the week of July 28th.

DataVerify Rosters. Use CL78 to print rosters with last school, home address & telephone. Have the

teachers verify the Last School and add/delete names as necessary. A line through the student'sname indicates the student has checked out. A cover letter should accompany these rostersexplaining that marks will be forwarded to the last (previous) school, which is why teachers are beingasked to check the accuracy of this entry with the students.

Delete Midterm Marks. If midterm marks were entered in the computer, use MR80 to blank outmidterm marks if midterm grades were entered. The program removes only midterm marks of Athrough D. F's remain but will be overwritten if the final mark is higher.

MR89 - may be used to delete all midterm grades for all students.

Print Names on scanner forms. Use MR71 to print names on brown, aqua or green scan forms.

Print Rosters for manual input. Use MR77 to print rosters for input of hand-written marks.

Data Collection.Input grades. When the scan sheets are returned, they are scanned with MR72 or manually entered

with MR73. Rosters printed by MR77 may also be entered with MR73. Grades for individual studentsmay be entered with ID71.

Verify grades. Use MR78 to print mark verification rosters which are distributed to teachers for correctionand changes. When the verification rosters are returned, use either MR73 or ID71 to enter thecorrections.

Note: As with the District summer report cards, comments are not printed on the computerized report cardseven if the teacher bubbles in the comments on the scan forms.

Printing Reports• MR74 - Prints report cards.

If report cards are printed more than five days prior to the end of the session, the heading prints withMidterm instead of Final, and the message at the bottom prints:

To the Parents or Guardians:This report is to inform youof midterm marks in Summer Session.

Final marks will be availablemm/dd/yy

There are three report card forms

a. Plain white paper. Reports are printed two per page. A paper cutter is used to separate theforms.

b. Blank Mailer. Form 34-H-77 is the blank attendance mailer used with program AT05. With thisoption, the soft cover becomes a permanent record, and the mailer is sent to parents.

c. Report Card. Form 34-H-85 is the standard mailer used during the regular school year. It’s useis identical to that of the blank mailer described above.

Form 34-H-79 is a non-mailer. It allows the most options. It may be printed with or withoutmarks.

With marks. Use the same procedures as with plain white paper or blank mailer.

Without marks - midterm marks only. Teachers have the preprinted form, relieving them ofthe task of filling in names, etc., but they still have the opportunity to adjust marks right up to thelast minute.

Report cards are printed for the following students:

a. Students who are active on the last day of class, regardless of whether a mark was entered in thecomputer or not.

b. Students who have withdrawn, but for whom marks had been entered in the computer.Students who have an L date entered in the computer for a class (withdrawn), must have a markentered in the computer prior to printing, or there will be no information about that class on thereport card. This is true even if a student is still enrolled in another class during the other period.If the student dropped class for both periods, and no marks have been entered for either class, noreport card will be printed.

There are two sorting options, by previous school or by period.

a. Previous school option. Use this option if the report cards are to be mailed. The report cards aregrouped by previous school saving much manual sorting time.

b. Period option. Generally only used for midterm marks. The actual sort order depends on whethermarks are printed, or teachers are allowed to enter them at the last minute.

If marks are printed, reports for students who have a period two class will be sorted by theirperiod two class number, those with only period one will be sorted by their period one class, and thosenot currently enrolled in either class will be separated in a group for holding at the office.

If marks are not printed, reports for students who have a period one class will be sorted by theirperiod one class number, those with only a period two by period two.

If the plain paper option is used, the period option should be selected. This will be correctfor distribution to students. You may also want to print a second time using the previous school option.This will give you a set for sending to the previous schools.

If the option to print absences on the report cards, the number printed will be a tally of full periodabsences as shown in AT76. Any entries bubbled on the scan sheets will be ignored.

If you choose to print tardies on the report cards, the only method of obtaining this information is forteachers is to bubble the numbers on a scan sheet.

• MR75 - Print labels for cum records for summer grades. If printed in school order, labels may besent to previous school.

• MR79 - Print final grades of students. The students may be listed in student name order or in order byprevious school.

d. NM for final mark, without being checked out. If doing mid-term marks, NM will be deleted.

c. DROP FAILIn ID71, enter F.Delete class from ID71.

Final Reports• AT75 - Statistical. Schools should run a sample statistical with AT75 and correct any errors before running

the final statistical on 8/15/03.

• AT79 - Apportionment Data. Summer session apportionment data should be printed on plain white paperafter the statistical is run. To start printing cards for all students who attended Summer School press <Enter>.To restart printing, a student's name may be typed.

Tuesday, August 19, 2003Ensure attendance and marks data are final.SSIS Support will collect summer school data overthe gateway Tuesday evening.

Closing Activities at Summer School Site

• TR72 - Transfer Data. Summer school/intersession grades are posted in TR01 for students attending theirown school. This also updates the Intervention Fields in ID17 with marks and hours.

Post Activities at ALL School Sites

• TR71 - Transfer Data of students who attended a summer school at another LAUSD school.Approximately two weeks after the close of summer school, grades are transferred to secondary schools. Totransfer the marks of students who attended a summer school other than their home school into TR01, schoolsmust run TR71. Secondary SIS will notify schools by fax when they can run TR71

There are a few differences between Intersession and Summer Session that are highlighted below.

Preparing for Intersession

To create a new database for intersession type INTERM at the SIS menu and press enter. You will beprompted to enter the track, fall/spring, the year, the start and end dates, and the dates of any holidays for thatsession. For the purposes of intersession fall is July through December and spring is January through June.

Once a database has been established it can be accessed at any workstation by typing INTER at the SIS menuand choosing the desired database.

To enter students into your database type EXTSUM at the SIS menu and press enter. You may use an extractto select a group of students to move to your database or you may select one student at a time. Be sure yourworkstation is connected to the correct database before using EXTSUM.

ID72 can be used to delete students who have not been assigned classes.

EC49079 Offenses

Use CL74E to print rosters to notify teachers of students in their classes who have EC49079 offenses on theirrecords. (see p. 10 of this newsletter for more details.)

Other Programs

Scheduling, Mark Reporting, Attendance, Statistical and Classification Reports, and Closing Activities are essen-tially the same for Intersession and Summer Session. See the applicable part of this newsletter.
