Summer 2020 Faculty-Led Study Abroad Programs Proposal Instructions

APPLICATION AND REVIEW GUIDELINES All Study Abroad Program Proposals must include the items below. The Study Abroad Proposal Rubric (pp. 3-4) details how these items will be assessed by the Study Abroad Advisory Committee.

DOCUMENTATION The following is a list of documentation that must accompany all program proposals. An English translation of all letters or statements should be provided if statement is not already in English. Payment instructions and deadlines should also be included. It is imperative that the numbers in each statement match the numbers in the program budget. If faculty would like assistance in obtaining these documents, they must provide a detailed itinerary to the Experiential Learning and Study Abroad Manager and initiate email contact with the host and/or vendor by July 15, 2019.

1. HOST INSTITUTION/ORGANIZATION: A letter from the host institution or organization confirming the use of facilities for the duration of the program and describing any student services provided by the host institution. The letter should define the costs to be charged by the host institution for use of the facilities and any student services, if applicable. This letter should also indicate an official contact person at the host institution; alternatively, if the letter from the host institution does not indicate a specific contact person, a second letter from the contact person at the host institution agreeing to serve in this role will be acceptable.

2. LODGING: A letter or statement from each hotel or institution providing housing, confirming housing for the dates of the program and the prices to be charged. If the host institution is providing housing in addition to teaching facilities, this should be included in the letter from the host institution.

3. MEALS: Letters or statements from all hotels, restaurants, or other service providers for meals. The statement should indicate the meal, date to be provided, and the cost. If the host institution is providing meals in addition to teaching facilities, this should be included in the letter from the host institution.

4. LOCAL TRANSPORTATION: Statements confirming transportation to and from airport and for

excursions or tours (if not using public transportation). Each statement should specify dates of service and the prices to be charged. If the host institution is providing transportation in addition to teaching facilities, this should be included in the letter from the host institution.

5. EXCURSIONS: Statements from any experience or excursion providers. The statement should

indicate the date the excursion will take place and the costs. If the host institution is providing excursions, this should be included in the letter from the host institution.

6. VENDOR TERMS & CONDITIONS: All documentation for contracted services should show the

dates services will be provided and the costs. When applicable, the statements should also spell out the dates for deposits, final payment, the cancellation policy, and any other terms or conditions as it applies to refunds involving program participants who abruptly cancel their program participation due to medical or personal reasons.

7. AIRLINE ESTIMATES: The Experiential Learning and Study Abroad Manager will inquire about

flight estimates with Direct Travel, the required travel agent for BMCC study abroad programs. Dates and location for the proposed program must be emailed to [email protected] no later than August 15, 2019.

GUEST LECTURERS

Please list all guest lecturers below. Guest lecturers and the role of guest lecturers should be in line with the learning outcomes of the course. The BMCC Association generally allows a maximum of 100 USD per hour to be paid as an honorarium. Any amount exceeding this would require special approval from the BMCC Association and Office of Academic Affairs. Program funding cannot be used to pay for food, lodging, transportation, nor any other personal expenses associated with the guest lecturers. BUDGET See also Excel Form Template The BMCC Association has a limited budget to fund approximately 60% of the cost for faculty-led study abroad programs. Please note that requests for funding have generally ranged between $14,000 and $38,000. Programs should aim to be within this range, or lower, as is appropriate to their specific location. Ultimately, the final budget of a program will depend on location, duration of the program and services used in-country. The use of travel agencies and “all-inclusive” packages with partner institutes are not encouraged as they can be costly. However, if this is the best option for the proposed program, please provide a detailed rationale for this cost. Faculty coordinators must provide documentation of all costs included in the program budget, including accommodations, transportation, activities/excursions and meals (it is anticipated that some meals will be “on your own” and students will pay out of pocket). Documentation can be in the form of a letter or statement and MUST include the following:
