Notes

1. Conduct of Examinations ARRIVAL : Students must arrive by 08:55 AM for morning exams and by 12:55 PM for afternoon exams. EXAM ROOMS : Students must check their Individual Timetables carefully so that they know which specific room their exam will be held in. Students must not enter the exam halls until invited in by invigilation staff. EXAM EQUIPMENT : Students must not bring in any unauthorised equipment or material as detailed in the Exam Regulations. For example: no mobile phones, smartwatches, MP3/4 players, iPods or any other device with potential technological/web enabled sources of information. Students should check the Exam Resources Sheet carefully to find out whether set texts or calculators are allowed. All coats and bags must be left in lockers. No responsibility is accepted by SWGS school staff for students’ personal belongings left outside the exam halls. EXAM START : Invigilators will start exams promptly once all students are seated and have been briefed. Students who are running late must follow the instructions detailed on the Exam Regulations. EXAM FINISH : Students that finish early will not be allowed to leave the exam halls until the official finish time has elapsed. EXAM CLASHES : Where two or more exams are scheduled for the same exam session, and cannot be timetabled “back to back”, arrangements will be made beforehand for a student to have a later exam sitting after a period of supervision.

1. Other Key Information INDIVIDUAL TIMETABLES : Students will receive Individual Timetables in their registers that display the exact times and seating arrangements that apply to their exams. Once received, students should refer to their personal timetables only since they may sit an exam at a different time and location their colleagues. EXAM REGULATIONS : The Exam Regulations can be found on the reverse of the individual timetables. They are also attached to this PDF timetable and can be accessed from the Exams page of the Frog Learn VLE under “Subjects Dashboard”. They detail the expectations placed upon students during public exams and must be adhered to carefully. EXAM BRIEFING : An exam briefing will take place in a morning assembly/PSD session a week or two prior to the start of the first written exam. EXAM RESOURCES SHEET : An Exam Resources Sheet, a list of specific equipment required for each exam, can be accessed via the Exams page of the Frog Learn VLE under “Subjects Dashboard”. It is students’ responsibility to ensure that they have checked to see whether they require calculators or set texts, for example, or any other specific materials for a particular exam. No responsibility is accepted by SWGS for students that fail to check this information and arrive to a public exam without the necessary resources. EXAM INVIGILATORS : Members of staff employed solely to invigilate the SWGS’ public exams will instruct and supervise students through each exam session. Students must adhere to their instruction closely.

Notes The first week of June always involves a lot of exam clashes, especially for A Level candidates.

An exam clash is defined as two or more papers scheduled for the same morning or afternoon that cannot be accommodated within the 3 hour window.

In these instances, students that are affected will have one or more of the papers set at a different time to their colleagues’ timetable.

As a consequence, affected students must be under supervision at all times so that they do not meet another student who has already/not yet sat the exam (as appropriate).

Every student falling in to this category will receive a letter in the post from the SWGS Exams Office with full details of the clash arrangements and for the supervision period.

Please note that the clash arrangements are not optional since the confidentiality of exam papers must be maintained at all times.

Notes For any students facing extenuating circumstances (unforeseen incidences that impact negatively upon their exam performance such as ill health or bereavement), there is a process called special consideration whereby the exam boards may make a small allowance in marks in an attempt to mitigate the effects of such situations upon a student’s results. Any student falling into this category should notify the Exams Office as soon as possible of their situation so that exam boards can be contacted. In all cases, evidence will be required to substantiate an application for special consideration. Although the deadline for making such applications is the end of June, every effort must be made to “capture” the details as they happen so that applications are accurate.

• Where too many papers are scheduled for the same morning or afternoon session (more than 3 hours), one or more of your papers will be rescheduled to the morning or afternoon of the same day.

“What if I’m running late… ?

Exam Regulations When ?

You must arrive by 08:55 for morning exams and by 12:55 for afternoon exams. Candidates sitting several units in one morning or one afternoon will go straight from one unit paper to the next with only a short interval. During this interval you remain seated.

Where ?

You may be in a different room to other candidates taking the same exam as you, so make sure that you refer to your personal timetable only.

What will you need ?

For public exams, on the School VLE you will find a resources sheet saying what extra resources you can bring to each exam. It is your responsibility to bring everything that you need to the exam. You must not depend on the School being able to help if you forget something you need.

Where no information is given for the paper you are sitting, you must assume that you can only bring the bare essentials. This means : SEVERAL BLACK BIROS. This is really important since your paper, once received by the exam board, is scanned for security reasons. Black ink shows more clearly on a scan than blue or any other colour. Moreover, biros won’t spill everywhere whereas cartridge pens may do so.

Bring a ruler, pencils, a rubber and a sharpener. If you are sitting a Science or Maths paper bring a protractor and a pair of compasses.

You can bring a pencil case but it must be see-through. No erasable pens, no Tippex or any other correcting fluids (so there is no doubt what is your work and what is the examiner’s marking). You may use highlighters in the questions only. This is because highlighters in your answers may cause problems for the exam board scanners.

Calculators are standard equipment and you should bring one just in case unless the resources sheet says that calculators are not allowed for a particular exam. Lids and instructions must be removed. Your calculator mustn’t have databases, dictionaries, language translators or any of the following : symbolic algebra manipulation, symbolic differentiation, symbolic integration or retrievable mathematical formulae. It is your responsibility to ensure the battery works.

Bring a water bottle with the label removed so that you have something to drink.

You should not bring anything else into the exam room other than your locker key. Mobile phones, iPODS, MP3/4 players, smartwatches or any potential technological/web enabled sources of communication are not allowed under any circumstances, neither are mascots allowed. Bags, coats and hats must be left in your lockers. If you bring a bag, coat, hat or mobile phone with you to the exam you will be asked to return them to your locker before you are allowed to enter the exam room. You will be allowed to put your locker key under your chair at your exam desk.

Please note invigilators will ask students to take all watches off wrists and to place them on desks.

What is the code of conduct?

You must not become involved in any unfair or dishonest practice in any part of the examination.

You must not sit an examination in the name of another candidate.

You must not have in your possession any unauthorised material or equipment which might give you an unfair advantage.

You must not talk to, attempt to communicate with or disturb other candidates once you have entered the examination room.

You must follow the instructions of the invigilator.

What if … ?

…you are running late or having difficulties getting to the exam on time (eg. stuck in traffic)…? o Please be aware that if you are late the Awarding Body will not accept your paper if you arrive after

10:00am (for morning exams) or 14:30pm (for afternoon exams); they may not accept your paper if you arrive between 09:30am-10:00am or between 14:00pm-14:30pm.

o If you expect to arrive before 10:00am for morning exams or before 14:30pm for afternoon exams, please telephone reception (01722 323326) to give an estimated time of arrival. Make sure you also leave your mobile number so we can contact you. If you are unlikely to arrive by these times then make sure you speak to Mr Evans to discuss a plan of action.

...you are feeling unwell…? o If you are still well enough to sit the exam then please see Mr Evans after the exam if you are

concerned that your exam performance may have been adversely affected. o If you feel unwell during an exam and need attention (eg. medical help or to leave the room), please

put up your hand to speak to an invigilator. o If you are too unwell to take an exam, speak to Mr Evans to discuss your options. Please be aware

that if you do not attempt the exam you will not be allowed to sit it at any other date during this exam season.
