Expectations Show up for your scheduled hours Sign-in when you report to work and sign-out when

you leave for the day. Never sign-in & out at the same time! (Failure to follow this procedure can result in you not being paid for the time you worked and reassigned to another location).

Office Procedures Telephone Etiquette

– State your name and departmentwhen answering the phone

– Smile. It can be heard in your voice– Speak clearly– Direct calls to the appropriate person or take a

message– Do not provide personal information about

your co-workers to the caller

Office Procedures When Accidents Happen…

Don’t just leave them there for someone else to resolve. Either fix it or contact someone who can fix it.

Examples: Paper jam: Ask a co-worker for help. Copier is out of paper: Check with your coworkers

for extra paper and learn how to refill the machine. Made a mistake on an assignment or didn’t

understand.

Cell Phones Usage: Cell phone usage while working, during orientation or

trainings is not permitted, keep cell phone or any electronic device on vibrate or put away at all times except for extreme emergencies!

Missing Work

If you must miss a day or part of a day of work

Contact your supervisor one/two hours before your start time.

Inquire about making up missed hours.Make sure to indicate the correct hours you

worked on your time sheet.

Resigning Position

In the event that you resign your Federal Work-Studyposition, it is customary to provide two-weeksnotice in writing to your supervisor using the Reassignment Process.You must also contact the Federal Work-Study Office with a signed letter stating you are not interested.

This courtesy allows the office to make otherarrangements before they become short-staffed.

Total Credit Hours

You must maintain six credit hours throughout your FWS employment. In the event that you drop your classes, please make sure you have two classes equating to six credit hours for that particular semester if you are still working as a FWS student.

FWS students who drop below six credit hours funds will be removed and their FWS employment must stop immediately!

Customer Service Greet each guest with a smile. Help them to the best of your ability. If you do not know the answer to a question,

find out from a co-worker and/or direct theguest to the department where they canreceive the assistance they desire.

You may be the first impression a visitorreceives of WCCCD. Make it a good one!

Confidentiality FERPA Guidelines (Family Educational Rights and

Privacy Act) restricts the release of certain typesof information about students and theireducation records.

Students have a right to expectthat this information will be keptconfidential unless they grantpermission for it to be released.

Do not release any studentinformation without permission of your supervisor.

Confidentiality

Confidentiality also applies to students’class schedules

Do not divulge the details of a WCCCDstudent’s class schedule or whereabouts toanyone

A confidentiality agreement is included in thehiring packet and must be signed uponaccepting your Federal Work-Study position.

First Impression is a Lasting Impression Your first interview will be the FWS orientation you

attend. When you meet with your potential supervisor, what

you wear will determine whether or not you are hired that day.

If you take yourself, your job and/or career serious, you will dress appropriately.

and your department do not have a specific dress code, it is wise to follow these guidelines:

Dress: Guidelines Short shorts, stretch pants, spandex, leggings, Gym shoes, blue jeans, offensive odors, Children, tank tops, wife beaters, hats worn indoors, Du-rags, intoxicated, flip flops, tight revealing clothing, see through garments, and club attire, low-cut tops, and Bare midriffs are inappropriate, i.e. (stomach, backless, inner

thigh & cleavage) Undergarments should not be visible Reframe from unnatural hair colors, Tongue rings and excessive piercings

are inappropriate in the office Tattoos should not be visible, if possible Pajamas should only be worn at home Profanity and vulgar slogans should not be worn

Dress: Guidelines In general terms, your wardrobe should not be a

distraction. Positions that involve direct interaction with

customers call for more conservative and professionalattire.

The way you dress reflects on the college , yourdepartment and yourself.

Regardless of your style of dress, you should alwaysportray an appropriate degree of professionalism.

District Placement Procedure In order to be placed in the Main Building/Central Administration Building

(CAB), you must contact the Federal Work-Study Office for placement.

Once students are placed in the CAB, you are not allowed to roam throughout the building, stay in your assigned location unless authorized by your supervisor.

All FWS students working inside and outside of the CAB must sign-in at the security desk upon entering and go to the location specified on the sign-in sheet.

Any student caught not following these rules will face consequences leading to dismissal from assignment.

Phone Numbers Please give a valid phone number if you want to be

placed in the FWS program.

If the Federal Work-Study or your potential supervisor cannot contact you, you will automatically forfeit your FWS funds.

We will attempt to contact you only three times, after the third attempt, we will send your name to the Financial Aid Office for cancellation of your FWS funds.

Authorization Process Once a student has completed the FWS orientation,

they are not authorized to begin their assignment.

Once their paperwork has been processed, they and their supervisor will receive an email confirmation stating that they have been authorized to begin their assignment with the start date.

If the student begin working without valid authorization, they will not be paid for the time they worked. No Exception! Without written authorization from our office via email, students are not authorized to work.

Do Not List Students are NOT to volunteer to work! If you work without authorization, you will NOT

be paid! Do NOT work without email confirmation! Do NOT transfer from one location to another! Once a supervisor sign your authorization form,

Do NOT have another supervisor sign an additional form because you don’t like the location!

Make sure you are sure about where you want to work!

Supervisors cannot tell you when you’re authorized without an email confirmation!

FWS WORK LOAD FWS funds may not be used to pay students for

more than 30 hours per week.

During periods of enrollment, students cannot have more than 30 hours of work.

If a FWS student does not have funds, they are to stop working immediately, No Exceptions!

FWS students working without FWS funds will not be paid!

FWS students only work 7.5 hours in one day or less.

Pay Procedures Paychecks are distributed once every two weeks on

Fridays. Pay Rate:

First Year $8.50 an hour Second Year $9.00 an hour

Three consecutive semesters constitute 1st year Off Campus Tutors $11.00 an hour-Offsite tutors are under authorized locations Only!

In order to be paid, your timesheet must be completed and turned in on time!

Confirm location to pick up your check once your work location has been determined.

FWS TIMESHEETS Late timesheets will not be processed until the

next pay period. No Exceptions!

Incorrect/Incomplete timesheets will not be processed until correct timesheets are received, payment will not be provided until next pay period. No Exceptions!

FWS Students’ timesheets should indicate their total number of hours worked.

Off-Site Locations

All timesheets for the off-site locations should be faxed to our office no later than 5:00 p.m. every other Thursday to 313-962-0324. Further, an electronic timesheet confirmation should be sent to Mrs. Buckley using the electronic timesheet.

Please note that faxed time sheets along with electronic verification need to be received by 5:00 p.m. on the due dates. Absolutely no exceptions! Students are no longer required to bring their timesheets to the District office.

FWS students can chose which ODI training they would like to attend or they will be requested by their supervisor to attend the mandatory orientations.
