Connie gets a message about oil leakage on pump P-3000-N001. Connie creates the work order in SAP and identifies one of the internal service teams of technicians, to get this resolved with highest priority. She creates a business workspace related to the maintenance notification and associates required documentation such as maintenance instructions, relevant documentation for the specific pump, but also related reports from service teams that had worked on past leakages in SAP GUI via Extended ECM so that the assigned service team has immediately access to all relevant documentation in the business workspace for the maintenance order.
Here Connie creates the Maintenance Notification in SAP. Via data maintained in SAP like Functional Location and equipment number, the services team will know the exact location and damaged part in the plant.
Using SAP Extended ECM, Connie identifies similar maintenance notifications from the past days or problems with the same type of pump. Her goal is to identify service report documents that could help the service team to resolve the issue. She does that mainly through contextual search – called faceted browsing – available to her on the left side in her screen.
Here Connie is now in the workspace for the maintenance notification that got created for her automatically. This is where Connie now uploads the documents she identified in addition to the existing preloaded documentation that will help the engineering team to repair the leakage.

Quentin receives the maintenance notification that Connie generated in SAP via email, including all relevant links to SharePoint sites related to the maintenance operation such as the maintenance notification workspace and the equipment workspace from the pump that‘s leaking.
By clicking on the second link in that email, Quentin checks on the business workspaces for the equipment – in this case our leaking pump – to determine the exact type of pump, access the manuals, etc. He can see all required documentation that his team will need, has access to the data like the manufacturer, part and model numbers. Quentin can also access and look at related materials and pumps of the same kind in the plant – all without leaving SharePoint.
Clicking on the second link from Connie‘s email, Quentin checks out the workspace and information for the maintenance notification that Connie already had created for him. Here he can see and access the recent uploads she made and specific documents his team needs to get the job done. Again he could also go back to the SharePoint site that holds the equipment workspace and information by clicking on the related items link.After a first inspection of the pump and the leakage, Quentin has no clue what could cause the issue.
While working on the pump, Quentin‘s team does not seem to find the error and root cause of the leakage. Quentin goes to the maintenance group in Yammer to check with his colleagues for advice. One of his colleagues is able to consult him and points him to a rubber seal that may cause the leakage and should get replaced.
Via the navigation menu on related SAP Business Objects on the right, Quentin navigates down the hierarchy and finds the material information from the rubber seal that his colleague referred him to.
In the material workspace for the rubber seal, Quentin now identifies the vendors and can check directly from within SharePoint if the required rubber seal is available on stock. With this new rubber seal, his team is able to fix the pump and stop the leakage.
Quentin creates a notification document to summarize the repair activities of his team and to provide future guidance for others on how to repair leakages for this type of pump in the future.
Quentin uploads this notification document to the maintenance order workspace.
Quentin now sends an email with a link back to Connie, notifying her about the new maintenance notification document that he created.

After receiving, the email from Quentin, Connie logs into SAP.
Connie navigates to the same notification workspace in the SAP GUI where she has access to the same notification document that Quentin just uploaded. She reviews it and adds additional meta data information that will associate it automatically to all business workspaces for this type of pump, making it part of the maintenance instructions for these types of pumps so that in the future other maintenance teams can find and repair the root cause for a leakage quicker.
