Smartling Translation Resources and

Agency Manager Start Guide


Once a client has captured and authorized content for translation, Translation Resources Managers and Agency Account Owners are responsible for setting up a translation team, assigning the team content to translate, and making sure that translations are submitted in a timely manner.After you have received an invitation to work on a project, login with your Smartling credentials at:

ProjectsWhen you log in to the Smartling Dashboard you are automatically directed to the Projects view. There, you’ll find a searchable list of all the accounts and projects you have been assigned to.


Projects

Search and Filter Projects by keyword.

Get project-level stats at a glance.

Mouse over a project card and click View Project to enter a specific project.

Filter projects by accounts


TranslationsAll of the content can be found under Translations: The Translations view gives you a high-level overview of project-level activity. Strings in translation are located under In Progress. Strings already translated and published are displayed under Completed.


Summary

Left-Hand NavigationUse the left-hand menu to navigate from one section of the dashboard to another: • Translations: Manage

content and content-related settings.

• People: manage user access.

• Settings: manage Workflow, Translation Memory, Fuzzy Matches.

• Reports: See your translation team’s word count.

View and access Jobs with due dates

See translation progress on a per-language basis

See translator activity


In Progress

Select Strings and apply any Actions from the drop-down located at the top of the list view

Indicates that a string is part of a Job

Click Add Translation to access the Translation Interface.

Filter and Search content

Add or Create Issues, see Instructions or History


Filter & Search

Smartling offers a combination of filters and search options so that you can easily and quickly find the strings you want:

Filter by string status Filter by translation workflow step

Search by keyword and/or filter by job, tags, file name, URL or domain.

Filters and keywords are displayed on top of the results and can be removed or added at any time.


Actions

Push to the next workflow step: Push content from one step to another. I.e. a string can be pushed from In Translation to In Review, skipping the editing step.

Add/Remove Tags: Tag strings which can then be filtered using the search box located in the upper right corner of the page.

Add Translator Instruction: Add instructions for the translator on a per-string basis. Instructions will be displayed to the Translator both in the In Progress and Translation Interface view, across all languages.

Assign/Unassign Translators: Assign or unassign content for translation to or from one or more translators

Use the Actions drop down menu to manage content in translation: First filter and search strings, then select the strings to which you want to apply an action.


Issues

The Issue feature is used by the translation team to communicate with content owners, ask questions, or raise concerns about the content they are translating without having to leave the platform . For the most part you won’t be the recipient of the questions, but we recommend that you still monitor issues and intervene as you see fit. Whenever an issue is submitted, answered , or resolved you’ll get an email notification.

Translation ResourcesAll of the content can be found under Translations: The Summary view gives you a high-level overview of project-level activity, while strings in translation are located under In Progress. Strings already translated and published are displayed under Completed.


Team

Smartling lets you manage Translation Resource access:

The translator or editor receives an e-mail notification informing them that they can now access the project. Until they’ve set up their profile new users are listed under Pending Users. Click on any user profile to edit or to remove access.

Smartling lets you manage Translation Resources access(1) Add the user’s e-mail address. (2) Select a user role. (3) Select languages and workflow steps for your Translation resource.(6) Click Invite.


Assign Translation Resources

(1) Go to In Progress.(2) Filter strings Pending Assignment. (3) Select the strings.(4) Under Actions, click Assign Translations. (5) Enter the number of words you want to assign to each translator on your team.(6) Click Check Availability . Please note that this a reminder to check directly with the translator that he or she available to take on the work assigned. (7) Click Assign.


Word Count Reports

Access word count reports, including Fuzzy match breakdowns, by Translation Resource and/or language in a selected date range.


SettingsAs an Agency Account Owner you are given access to a number of dashboard Settings: Style Guide, Glossary, Translation Memory, and Fuzzy Match estimates. Make sure to communicate with the Account Owner before you make any changes to the current settings.


Style Guide

Select, edit, or assign a style guide on a per-language basis.


Glossary

Add new terms, edit existing terms, and export the glossary as a .csv


Translation Memory

Download published and/or pending translations in a .tmx file format.


Fuzzy Match

Generate and download your current fuzzy match estimates.
