    SUMMER INTERNSHIP PROGRAM (SIP)

    Post Graduate Diploma in Management (PGDM)

    (Class of 2010-12)

    1. INTRODUCTION

    The SUMMER INTERNSHIP PROGRAM (SIP) forms an integral part

    of Post Graduate Diploma in Management (PGDM) of Kohinoor

    Business School and Center for Management Research (KBSCMR). It is

    an attempt to bridge the gap between the Academics and the

    Corporate World by providing the students the opportunity to apply

    their skills and knowledge in real world application. At the same time

    this will also help them in developing more skills which will help them

    when they get into their jobs.

    At KBSCMR, the student will undertake SIP for 2 months in the

    companies during the intervening period between the close of

    Trimester 3 and the commencement of trimester 4. The Internship

    program aims at providing the students with experience that will

    improve their work culture, learn about time management and the

    most important in business world, the critical thinking skills which will

    help them in gaining full time employment.

    At KBSCMR, the students are expected to actively participate and

    take responsibility for the ownership and to experience the professional

    environment, thus making their internship meaningful to the Company

    and to oneself in their career path.

    SIP team has been formed to ensure help the students to

    undertake internship assignments with different companies in India.

    The faculty mentors will help in successful completion of project. The

    company guide will be your mentor in all operations pertaining to the

    project.

    2. OBJECTIVES OF SIP

    The objectives of the Summer Internship Program are

    To provide an opportunity to students to apply the concepts

    learnt at KBSCMR in business environment.

    To allow the students to pursue their career dreams through hard

    work and determination.

    To provide a platform to take up on the job training and develop

    a network which will be useful in enhancing career prospects.

    SIP is broadly classified into a) Training and b) Project Report.

    Training: The student is required to undertake training in the company

    for a period of 2 months or as agreed with the Company. The training

    gives direct exposure to execution and support functions of the

    department. This will motivate the intern to achieve the desired targets

    and in accomplishing the required tasks, through professionalism and

    business integrity. The student will gain a deeper understanding of work

    culture, deadlines, pressure etc. of an organization and thereby provide

    a good scope for developing necessary managerial skills and positive

    attitude.

    Project Report: After the successful completion of the training, the

    student has to prepare a detailed project Report that includes

    everything the intern has carried out during his/her tenure in the

    company.

    3. VARIOUS LITERATURES AND DOCUMENTS

    Student Registration Form: The Student Registration form should be

    submitted to the SIP Coordinator before proceeding for summer project.

    SIP Confidential Report (CR): The student will handover the CR to the

    company guide at the time of joining the Program. The Confidential

    Report should be posted to college, addressed to the SIP Coordinator by

    the Company guide. A favorable CR will pave way for a pre- placement

    offer and any hostility with the Company will result in the cancellation of

    SIP and rustication of the ward.

    4. PROFESSIONAL CONDUCT

    SIP is a unique opportunity provided by the College for students to get

    exposed to Company operations and corporate culture aimed at

    developing managerial skills. The Student should optimize his / her

    learning and convert the SIP Internship into placement opportunity

    through dedication commitment and hard work. This requires discipline,

    positive attitude, focused approach and inquisitiveness to learn.

    Student Interns are the Brand Ambassadors of Kohinoor Business

    School and Center for Management Research (KBSCMR) and should

    conduct themselves in the manner befitting the KBSCMR professional

    and social standards.

    KBSCMR also expects that the Student Interns should at all times

    conform to the rules and regulations of the place of work. It is

    particularly important to be regular, punctual, obedient, honest and

    sincere at work. Unprofessional behavior, dishonesty, misconduct,

    indiscipline, irregularity at work and unsatisfactory performance will lead

    to cancellation of Internship. Consequently students will not be

    permitted to register for Trimester 4 and will attract any other form of

    penalty from KBSCMR.

    5. DOS AND DONTS DURING SIP

    Dos: you should

    Get an overview of the company/industry in which you are placed. This

    includes understanding the core business of the company,

    organizational chart, key personnel in the company, manufacturing

    units, marketing channels, financial policies etc.

    Obtain a copy of the latest annual report and analyze the performances,

    wherever applicable.

    Make an analysis of the company vis--vis the industry and prepare

    SWOT analysis.

    Always maintain formal dress code.

    Always be polite in dealing and maintain cordial relationship with the

    Company Executive.

    Always be positive and open to suggestions.

    Always make a note of the important points during

    Meetings/discussions.

    Get in touch with the Faculty Guide, if situation warrants.

    Maintain strict confidentiality of Company information.

    Refer to text books to reinforce relevant concept or consult Facultymentor.

    Always submit bills in time when reimbursement is to be claimed. Get

    conversant with companies policies/ rules before incurring

    expenditure.

    Donts: You should not-

    Criticize the company policies and/or Company Executive.

    Criticize or make adverse observation about Company/Faculty mentor.

    Attend work place in informal dress.

    Get into arguments and lose temper.

    Misuse the facilities offered by the company.

    Go to meetings and presentations unprepared or ill- prepared.

    Be late in reporting whenever required.

    Leave the office without prior permission from the company guide.

    Be impolite or rude to Company Executives.

    Exceed the mandate given by the Company Guide.

    Hold back any material/equipment/ accessories provided by the

    Company on a returnable basis.

    Borrow money or any other personal possession of the Company

    Executives.

    Encourage friends visiting work place during office hours and cause

    inconvenience to others.

    6. RESPOSIBILITIES OF STUDENT INTERN

    Each student intern is assigned to a faculty mentor at the beginning of

    the SIP. He / She should discuss with the Faculty Guide the variouscomponents of Executive Training/Project/Research work and seek

    clarification on any matter related to them. You shall strictly follow these

    SIP guidelines.

    Prepare a brief on the industry/company and submit it to the

    Faculty Guide.

    Have continuous interaction with the Faculty Guide on a regular

    basisReport constraints if any, to Faculty Guide without delay.

    Take presentation as an opportunity to impress the host company

    and ensure its success.

    You should also endeavor to secure placement offer in SIP

    Company through dedicated work and result orientation .

    7. WILLINGNESS TO PURSUE ADDITIONAL SIP WITH

    DIFFERENT COMPANY

    Student Intern will have to pursue the SIP with the company DECLARED

    in the Student Registration form. However if the Student Intern has

    completed the SIP from the company in record of the Institute and is

    willing to do additional SIP from different company, then he/she should

    adhere to the following conditions

    A student Intern should keep SIP cell of the college and SIP

    Coordinator in writing in a prescribed format given inAnnexure-II

    8. EVALUATION OF SIP

    The whole evaluation of an SIP is classified into a) Evaluation through

    SIP confidential report b) Viva c) Project Report.

    The SIP confidential report is given to the Student Intern who will

    submit it to the company guide at the time she/he reports to the

    company. The company Guide evaluates the Student Intern on certain

    criteria mentioned in the Confidential Report after completion of the

    Training and should be posted by the Company Guide to the SIPCoordinator. Then the Faculty Guide evaluates the Student Intern on

    the basis of the confidential report given by Company Guide. (See

    Annexure-I)

    The student Intern can be called for a viva-voce session if the Institute

    is not satisfied with the presentation of the SIP report. She/he will be

    evaluated on the basis of the presentation.

    The dates for Viva-voce will be announced as and when it is required.

    The whole process of evaluation of Management Report consists of 2

    stages a) Evaluation of Project Report Details & b) Evaluation of Project

    Report. The project report should follow the structure given as per

    annexure. This report should follow a pattern described under the

    head Guidelines in writing the Report. (See Annexure IV)

    Summer Project is a non- credit course and is compulsory. A student isrequired to do a Summer Project with a company for 8-10 weeks at the

    end of the first year (April-June). While registering for Term IV, a

    student must submit a Summer Project Completion Certificate from

    the Summer Project Company Guide.

    A student who does not complete the Summer Project satisfactorily, and

    who does not comply with the requirements will have to do another

    Summer Project before becoming eligible to receive the Certificate.

    Students who receive adverse comments from their company Guides

    will be liable for disciplinary action.

    9. SIP COMPLETION

    On successful completion of 2 months SIP Program you must collect a

    relieving letter, no dues certificate and project completion certificate

    from Company. These certificates are then attached in the

    Management Report in the format shared by Reference Guide. And

    the Report should be approved by faculty mentor and submitted to

    SIP Co-ordinator.

    10. GUIDELINES FOR WRITING SIP REPORT

    A Project/Research Report is a written presentation of the work carried

    out by student on a given project/research. It is important to bear in

    mind that even though the project/research report is submitted only at

    the end of any given period, in reality it is a culmination of your

    continuous efforts.

    Writing a Project/Research Report: Care should be taken to ensure that

    the quality of the report is of a high standard. General guidelines on

    writing a project/research reports are described below.

    The first part of report should describe the company you are working

    for, the type of activity of the company and the specific focus of your

    SIP. In a generalized sense an ideal project/ research report should cover

    following aspects:

    1. Cover page- This is the first page of the report. It should contain thetitle of the report, name(s) of author(s), name of the organization and

    date on which it is submitted. The format of this page is given below and

    should be adhered to.

    2. Certificate from Company- This is a certificate given by company to a

    student on successful completion of internship.

    3. Certificate from Institution- This is a certificate given by college onsuccessful completion of Summer Internship Program.

    4. Declaration : A Declaration form is to be attached thereafter.

    5. Acknowledgement- Proper acknowledgement of any help received

    must be placed on record. There must be a number of persons who

    might have helped you during the course of the project/research.

    Customarily, thanks are due to the following persons in give order:

    a. Head of the organization c. Faculty Guide

    b. Company Guide d. Others

    6. Contents Page- This section will give the reader an overall plan of the

    report. The main topics as well as the subtopics should be listed in

    sequence with page numbers as they appear. It helps the reader locate a

    particular topic or sub-topic easily.

    The charts, diagrams and tables included in the report should be listed

    separately under a title List of table & illustrations with the page

    numbers. While preparing the table of content you have to bear in mind

    the following points:

    Leave a one and a half inch margin to the left, and one inch to the

    right, on the top and at the bottom.

    Write the heading Table of Contents on the top center in CAPITALS.

    Write the serial number of the item to indicate the sequence of

    items. After the number, leave three or four spaces and then type the

    first heading.

    Indent second- order headings by three or four spaces.

    Leave two spaces between main headings and sub- headings.

    7. List of tables: a detailed list of the charts or diagrams that would be

    incorporated in the report should be given along with the page numbers.

    8. Abbreviations- The abbreviations should be listed in alphabetical

    order with the respective expanded forms. E.g. PAQ- Position AnalysisQuestionnaire.

    9. Abstract and Summary- Summary is the essence of the entire report.

    The objective of the summary is to provide an overview of the content. A

    summary should be independent and should stand alone. Its advisable

    to write it after the report has been written.

    10. Introduction- Objective and Limitations: Introduction should

    provide the context and scope of the project. It should include the

    objectives, specifying its limitations, methods of enquiry and collecting

    data, and main finding/conclusion. This serves as a background to the

    subject of the report that subsequently follows. The reader should to get

    a fair idea about the project/research.

    11. Research Design/Methodology- This section brings out how the

    enquiry was carried, interviews were carried out or any questionnaire,

    that was used. It also looks at how the respondents for the interview

    were chosen. The data should be presented in an organized and logically

    sequenced method. Usually it has several sections grouped under

    different headings and sub headings. The analysis of data and

    description of the activities leading to certain conclusions are contained

    in this section.

    12. Review of the literature- Detailed view of related work did in the

    past by other researchers and scholars.

    13. Empirical Analysis- For developing and using analytical skills, theintern should reach to some findings/inferences.

    14. Findings and suggestions- Once if the findings are over by an intern

    there suggestions should be made for betterment of enterprise.

    The result should be presented as simply as possible. There are a

    number of ways:a. Tablets

    b. Graphs

    c. Pie charts

    d. Bar charts

    e. Diagrams

    15. Conclusions and/ or Recommendations- The Conclusions and/or

    recommendations are the most important part of the project that is of

    interest to the reader. These are to be substantiated by the study done

    during the project period through the analysis and interpretation of the

    data gathered. It would be helpful to reader if alternatives, other than

    the stated conclusions and/or recommendations are projected.

    16. Appendices- The contents of appendix are essentially those whichsupport or elaborate the matter in the main report. Given below are the

    items, which normally form part of appendix:

    a. Flow charts

    b. The questionnaire

    c. Computations

    d. Glossary of terms etc.

    17. References- In this section all the references should be given in

    alphabetical order by the authors last name or when the author is

    unknown, by the title of reference.18. Glossary- A glossary is an explanation of technical words used in the

    report. If the number of such words are small, they are generally

    explained in footnotes.

    11. IMPORTANT TIPS

    Apart from giving an exposure to real work situation, the SIP provides a

    meaningful opportunity to learn the art and skills of information/ data

    identification, collection, classification, acquisition, processing and

    presentation. Projects under the SIP could be of significance to the

    host organization- in terms of their objective of Technical

    Documentation aiming at updating or modernization of Business

    Systems. Therefore you should take care to properly document your

    work. You should consult your Faculty Guide for any problems you

    might encounter. You are advised to strictly adhere to the deadlines of

    submitting reports and making presentations. Non- submission of

    reports by the due date may lead to non-fulfillment of the course. You

    are advised to submit the project report to the host organization for

    their perusal.

    Here are some of the guidelines to be remembered while preparing

    and drafting the report.

    Abstract The proposed topic or the central question or the overall

    goal of the project/research should be specified. The main problem

    should be addressed explicitly and stated clearly in the first fewparagraphs. Abstract may include a brief note about why the need for

    the project arose, its importance to the organization and when and

    why did the problem occur. Is the problem already solved? What is to

    be done then? An outline of the intended approach, information

    sources and the expected result should be sketched under this

    heading.

    Objective The expected outcome from the project or the possible

    value addition to the company should be sketched under this heading.

    Limitations- Limitations of the study should be mentioned.

    Methodology- It should provide information on the possible strategies

    and the analytical tools to be employed. The intended sources of data

    or information should be stated under this heading. It should also

    include how the data will be collected, analyzed and presented.

    References- The books/ websites should be enlisted in alphabetical

    order.
