Further instructions on using Short Assessments in Microsoft Office 365

Accessing your version of the Short Assessments 1. To access the duplicated Short Assessments, visit www.office.com and log in to your

account (Department email and password). 2. Select Forms.

3. Select My forms to view Assessments duplicated.

4. Then select one of the Short Assessment forms.

Edit options The title, text and images can be edited. Questions and their responses can be added or deleted. Order of questions can be changed. Text boxes can be added (recommended to add student name for each Assessment). Colour and theme can be changed.

1. Use the Theme option or select the question for editing options.

Sharing options 1. Select Share and options will automatically appear including: Only people in my

organisation can respond (recommended so that the respondents can be identified) or Anyone can respond (please note, the respondents appear anonymous unless a question is inserted asking the student’s name).

2. Remember to Copy the link. Please note, the URL can be edited by the teacher to make shorter/simpler to share with students.

There are different options available for teachers to share the Short Assessment with students, these include: o Email: teachers can email the link to students. o Whiteboard: Teachers can put the link on the classroom whiteboard (physical or virtual)

for students to copy and add as an URL in their browser.

o Chat functions: Teachers can post the link via chat functions (such as WebEx Teams) for students to access.

o Microsoft Teams: teachers copy the link and post in the Microsoft Teams chat (tip: to send to multiple students, create groups in the Microsoft Teams so that the Assessment can be sent to students in the group chat). Or add a tab to Microsoft Teams channel and students can then access in Microsoft Teams added tab. See below for more details.

Steps to share the Short Assessment using Microsoft Teams chat 1. Select Teams.

2. Select Join or create team. There is an option to select an existing team or create a new team.

3. Select New conversation.

4. Post the Assessment link in the chat.

Steps to share the Short Assessment using Microsoft Teams tab 1. Select Teams.

2. Create or select existing Team(s). 3. Select New conversation. 4. Select + to add a tab.

5. Select Forms.

7. Select the Short Assessment to add to the tab and press Save. Students can then access the Short Assessment (students will be able to complete and submit the Assessment without being able to edit the Assessment questions).

Teacher access to student responses 1. Select the Responses tab of your form. Student responses, average score and status i.e.

the time taken to complete the Assessment, can be viewed by the teacher as soon as the student submits the Assessment.

2. Click on View results if you want to view all individual responses.3. Open in Excel option exports all data with student names and responses to questions.

Student access to their responses 1. Students select Submit when the Assessment is completed. The Assessment can only be

submitted once all questions have been answered (otherwise an error message will appear).

2. Students can also select Send me an email receipt of my responses. If this is selected the student will receive an overall score and which questions they answered correctly or incorrectly (see below for how to select or deselect this option).

3. Students will immediately receive a message once they have submitted their Assessment.

4. Students are not able to repeat the same Assessment unless the teacher shares the Assessment again.

Teachers - select or deselect ‘Send me an email receipt of my responses’ option1. Select Settings in the top right corner.

2. In the Options for responses section under Notification check or uncheck Send email receipt to respondents. Note: email confirmation receipt is only available when your students belong to your organisation.

Other useful Microsoft Form features

Immersive Reader - the student can select the Immersive Reader icon and the text will be read aloud. There is an option to customise the text by colour, size and spacing. There is also the option to translate the text to another language which can also be read aloud. (Recommended to use Chrome or Microsoft Edge for this feature.)

GOOGLE G SUITE FOR EDUCATION Google G Suite for Education quick instructions

1. Select the link to open the Assessment template. 2. Select Make a copy.3. The copy will save automatically to your Google My Drive.4. Edit.5. Start sharing with your students using options in Send button.

Google Classroom: Paste the link in Google Classroom or in the Stream tab or Classwork tab.

Teachers access to student responses 1. Select the Responses tab on your form.

2. Use the tabs Summary, Question and Individual to select the preferred response data to view. Student responses by individual, group and by question is available, average scores are displayed and a summary of responses can be viewed by the teacher as soon as the student submits the Assessment.

3. Create spreadsheet option exports all data with student names and responses to questions.

Student access to their responses 1. Students can only Submit their Assessment once all questions have been answered

(otherwise an error message will appear).2. Students can also select View Score. If this is selected the student will receive an overall

score and which questions they answered correctly or incorrectly. Please see for steps on how to include or remove the View score option.

Teacher - select or deselect View score option

2. Check or uncheck the Response receipts option and press Save.

PDFPDF instructions

1. Select the PDF link to open the Short Assessment template. 2. Select Open with and choose the preferred format OR 3. Select Print to print a hard copy OR 4. Select Download and save to the preferred location. 5. Share the Assessment using the preferred method, e.g. hard copy format or electronically

via email or via chat functions (such as WebEx). 6. Please note the PDF format does not provide responses.
