ABOUT THE UNCLAIMED PROPERTY PROFESSIONALS ORGANIZATION The Unclaimed Property Professionals Organization (UPPO) is the premier organization for unclaimed property education, networking, and advocacy. It was established in 1994 and has since grown to approximately 420 corporate members and reaches over 1,500 unclaimed property professionals. Members represent a wide-spectrum of industries, including banking, financial services, insurance, nonprofit, unclaimed property service providers, among many others. UPPO is the voice and sole organization for unclaimed property holders and the companies that provide services to holders.

The UPPO Annual Conference is the largest unclaimed property event and boasts the highest concentration of unclaimed property professionals in the U.S. It sees a mixture of holders and service providers ranging from Fortune 500 companies to sole-proprietorships. Upon attending the UPPO Annual Conference, unclaimed property professionals will receive education from the field’s leaders, build meaningful relationships, meet with state representatives, and take home the resources to do their job more effectively.

EXHIBIT SPACE Napoleon Foyer. Note there are a limited number of booth spaces and the spaces are assigned on a first come, first served basis. To enhance attendee traffic to booths, UPPO has considered the following:

The layout of the exhibit area Food and beverage will be provided in exhibit areas during the welcome reception and each break

Breaks are 30 minutes, breakfasts 45 minutes, and lunches 60 minutes to allow ample time for attendees to visit with exhibitors

UPPO has designed the exhibitor passport program to drive traffic to the exhibit booths

Exhibitor set-up is Sunday, March 24, 2-5 p.m. Tear-down is Tuesday, March 26, 4-6 p.m.

EXHIBITOR PASSPORT PROGRAMUPPO will once again use a passport program to encourage attendees to visit each booth. Each attendee will be provided a card to bring with them as they visit each exhibitor. Please have a stamp or be willing to initial your section of the card to indicate the visit. UPPO will provide an incentive for attendees that turn in complete passport cards to UPPO staff.

Full payment is due upon receipt of application and 25% deposit will hold the exhibit space. Exhibitors will not be permitted to occupy assigned space until all fees due to UPPO are paid in full. Pay-ment is accepted by check or credit card. Checks should be made payable to UPPO.

RESERVING BOOTH SPACE Companies that wish to exhibit at the 2019 Annual Conference must complete and submit the following: 1) The Exhibit/Sponsorship application provided on page 8 and full payment. 2) Sign the Exhibitor Agreement. There will be limited booth space at the 2019 Annual Conference with approximately 25 spaces available. Acceptance of applications will be based on date contract is received and paid in full.

CANCELLATION POLICY Listed below is the refund schedule. Notification of cancellation must be made in writing and received on or before the dates listed.

Prior to Dec. 15, 2018: $100 administration fee retained

After Dec. 15, 2018: No refund of fees

UPPO will strictly adhere to the above policies regarding payments and refunds.

BOOTH ASSIGNMENTS Booth assignments are made on a first come, first served basis. Every effort is made to ensure competing companies are assigned to locations away from one another. Booths will be assigned approximately 30 days prior to the conference to all exhibitors who have contracts paid-in-full.

EXHIBITOR REGISTRATION AND BADGES REQUIRED Each exhibit space includes conference registrations for two exhibitor representatives; or four conference registrations if a double exhibit space is purchased. Each exhibitor representative will be given a name badge to identify that they are one of the designated representatives to work in the exhibit booth space, and are required to wear that name badge at all times. Only two exhibitor representatives (four if double exhibit space is purchased) may be actively working in the exhibit booth at one time.

SERVICE KIT UPPO has contracted with GES to manage the exhibit space for the conference. Complete information, instructions and pricing schedule for shipping, electrical work, furniture rental, sign paintings, storage, general labor, carpet rental (the exhibit area is carpeted), booth cleaning, florist, and telephone and computer service will be included in the exhibitor’s service kit. This packet will be available to each paid exhibitor in January 2019.

MATERIAL HANDLING Complete shipping/receiving information will be included in the exhibitor’s service kit.

LABOR REGULATIONS All material handling, installation and dismantling labor services must be accompanied by personnel having jurisdiction over this work. Order forms for services will be included in the exhibitor’s service kit. Any exhibitor using labor services other than that provided through the official service contractor must notify UPPO no later than Feb. 10, 2019, and must provide the following information: (1) name and address of the contractor; (2) name of the supervisor to be in attendance, and; (3) certificate of insurance. The outside contractor must comply with all rules and regulations and be responsible to UPPO’s official service contractor for move-in and move-out scheduling.

STORAGE Storage must comply with Fire Marshall Regulations (as per service kit). Large crates, boxes, etc., may be stored with GES. All packaging materials such as paper, etc., must be in containers.

SECURITY UPPO will provide security service for the exhibit area each evening from 5 p.m. to 7 a.m. beginning on March 24 at 5 p.m. ending on March 25 at 7 a.m. UPPO, however, will not be held responsible for the loss of any material for any cause or for injury to persons and urges the exhibitor to exercise normal precautions to discourage loss due to theft or other causes. Exhibitors are required to insure themselves against loss or damage.

CARE OF EXHIBIT SPACE The exhibitor shall keep the assigned space in good order. Nothing shall be tacked, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Exhibitors will be held responsible for any damage they inflict on hotel property.

CLEANING SERVICE Basic cleaning service for the common areas will be provided. Cleaning of individual booths may be

arranged through GES at exhibitor’s expense.

FIRE REGULATIONS All exhibitors will be required to comply with local Fire Marshall Regulations. Combustible decorations such as crepe paper, foam, tissue paper, cardboard, or corrugated paper shall not be used. All packing containers, wrapping papers etc., are to be removed from the floor. All muslin, velvet, silken, or other decorations must be able to stand a flameproof test as prescribed by the local Fire Marshall. Electrical equipment and connections must conform to the Electrical Safety Code. If any exhibitor has neglected to comply with safety regulations, UPPO reserves the right to cancel all or part of the exhibit. Exhibitors will receive an outline of fire and electrical regulations in the exhibitor’s service kit.

GENERAL GUIDELINES The UPPO shall mean the Unclaimed Property Professionals Organization, its officers, committees, agents, or employees acting for them in the management of the 2019 Annual Conference. The UPPO logo is a federally-registered trademark and is the exclusive property of UPPO. This trademark will not be used in any way by the exhibitor or any organization without UPPO’s express written approval. UPPO reserves the right to determine the eligibility of any exhibit for inclusion in the Conference, either before or after the proper execution of the exhibitor agreement. All products and services exhibited must be related to unclaimed property or be a benefit to the UPPO conference attendees.

UPPO is offering multiple opportunities for your company to get involved in the 2019 Annual Conference. To meet the unique needs of your company, we’ve made some enhancements to the sponsorship packages. We hope you find something that appeals to your company and choose to support UPPO through sponsorship at the 2019 Annual Conference, the premier event for unclaimed property professionals.

Companies who wish to be a sponsor at the 2019 Annual Conference must complete and submit the Exhibit/Sponsorship Application form provided on page 8.

In addition to the opportunities listed below every sponsor receives the following, unless noted otherwise:

Sponsor’s name will be listed in the conference program and mobile app, and logo will appear on thank you signage

Sponsors will be acknowledged at the 2019 welcome address

If the sponsor has an exhibit space, a sign for the exhibit booth indicating their sponsorship will be provided

All registered attendees employed by a sponsor company will receive sponsor ribbons for their name badge

Sponsor companies will receive a pre- and post- conference attendee list. Each list is to be used a maximum of one time

Conference Assistant Expectations: Preconference duties include bag stuffing and scanner training, conference duties include directing conference attendees as necessary, and managing the scanning process for distribution of CPE credits. They are integral to the success of the conference, so we need individuals who will be responsible and motivated to assist where/when needed. Inquire with UPPO management for dates/hours assistant is expected to be present and assisting per event.

UPPO’s Scholarship Program was established in 2012 to assist UPPO members and members’ dependents who plan to continue their education in college or vocational school programs. Two renewable scholarships are awarded each year to a deserving applicant attending an accredited institution of the student’s choice. To fund the scholarship program, UPPO hosts an event at the annual conference.
