HANDOUT Unit 5: Record Keeping and Taxes Making Money Count | © 2012 University of Missouri Extension Handout 5-N.1 Setting Up a Record Keeping System When you set up a home filing system, keep in mind how you operate. Are you good at keeping up with your filing each month or do you need a box to hold materials needing to be filed because you prefer to do the filing only every third month? The best system for you is one that fits your style of operation and one where you can find important documents quickly and easily. Most home filing systems have some characteristics in common. • Typically files will be in alphabetical order. It is therefore important to think about your headings ahead of time. • Allow for flexibility and expansion. • Keep your active files (those that you need to consult on a regular basis) separate from those that you seldom consult but keep “just in case” or for nostalgic reasons. • Files and records you refer to on a regular basis should be kept in the “prime” storage area such as your home office or business area. Files you rarely use, your “inactive files,” can be stored in your basement or attic. • List the contents on the outside of the box. “Inactive files” might include tax records over three years old or the paperwork on the last home you owned. The inactive file area might also be the appropriate place for old letters, report cards or drawings done by your children. Below is a suggested home filing guide. Change it to fit your needs. This is given only as a starting place. Last, but not least, all filing systems should have a file index at the front that tells where information can be found, listing headings and the kind of information to be filed under that heading. Setting Up a Record Keeping SystemWhenyousetupahomefilingsystem,keepinmindhowyouoperate.Areyougoodatkeepingupwith

yourfilingeachmonthordoyouneedaboxtoholdmaterialsneedingtobefiledbecauseyouprefertodothefilingonlyeverythirdmonth?Thebestsystemforyouisonethatfitsyourstyleof operationandonewhereyoucanfindimportantdocumentsquicklyandeasily.

Mosthomefilingsystemshavesomecharacteristicsincommon.
