Section 6 Advanced Use
This section describes the advanced use of functions other than the mail functions.
●6.1 Using Folder
By default, the received mail is saved in the INBOX (receiving tray). You can create folders to sort and save
mail. The folders can be classified into three types.

Mail folder. The folder can be created according to purpose
except the system folder.
Mail folder (not allowing mail storage).
Location available for classifying mail folders
Address book Address book folder. Available to register contact information
such as mail address.
Tips
Manage folders in a hierarchical manner by separating the folder and subfolder name with a slant
(half-width slash). The folder placed at the top of the hierarchical structure is called the parent folder
and the lower levels of folders are child folders. The hierarchy varies depending on the number of slants
inserted.

Caution
When a folder name identical to the existing folder name is created and [Create] is clicked, the
following error message is displayed in the lower part of the folder pane. Be sure to type a unique folder

Procedure
1. Click [Add New] in the folder pane.
2. The [Folder Management] screen is displayed.
3. Type an arbitrary folder name in the new folder name field.
4. Specify a folder type from the list (Mailbox and Address Book).
5. Click the [Create] button.

Procedure
1. Click [Add New] in the folder pane.
2. Type the folder name in the new folder name field in the format of (created) parent folder
name/subfolder name).
3. Click the [Create] button.
4. The subfolder is created under the parent folder.

■ When a folder with the typed folder name is not found, the parent and subfolder can be created at
the same time but the parent folder is not available to save mail ( ).
■ When there is a subfolder, a symbol is displayed to the left of the folder. Clicking + or - part,
and the hierarchy will be expanded or folded.

◆6.1.3 Renaming folder
You may rename the created folder later if necessary.
Procedure
1. Click the folder icon you want to rename in the folder pane.
Be sure to click the icon rather than the folder name.
2. The folder setup screen is displayed.
3. Type the new folder name and click the [Rename Folder] button.
When renaming the folder, including one or more subfolders, select the checkbox for
[Rename Sub-Folders].
4. Once a renamed folder appears in the folder pane, the message “Folder has been renamed” is
displayed.

You may move a created folder between hierarchies.
In addition, you can move a subfolder into another folder or change a subfolder into a parent folder by
separating the folder and subfolder with a slant (half-width slash).

Tips
■ When moving to an upper hierarchy by one level, delete the upper folder name and the slant

◆6.1.5 Deleting folder
You may delete folders.
Warning
Deleting the folder causes all the mail and contacts in the folder to be deleted as well.
Note that operations will vary depending on whether to delete the folder itself or delete mail or contacts in
the folder (refer to ◆4.8.3 Deleting mail for details).
Procedure
1. Click the folder icon you want to delete in the folder pane.
Be sure to click the icon rather than the folder name.
2. The folder setup screen is displayed.
3. Click the [Delete folder] button.
When there is a subfolder, select the checkbox for Remove Sub-Folders.
4. The corresponding folder is deleted and the message “Folder has been removed” is displayed.

Tips
■ [Delete all messages] allows you to delete all the contents of the folder at once without deleting
the folder itself.
■ [Delete folders] allows you to delete all the mail and the folder itself.
Caution
When deleting the parent folder including subfolders:
■ Selecting the parent folder and deleting it without selecting the checkbox for Delete subfolders
causes the contents of the parent folder to be deleted. In this case, the parent folder itself can be
displayed but the folder is no longer capable of saving mail ( ).
■ Delete the parent folder not capable of saving mail with the following procedure:
1. Delete a subfolder if it exists.
2. Delete the parent folder.

●6.2 Using Email Rules
Mail rules provide for automatic processing of received mail.
They allow you to make various settings for forwarding mail, sending an absence notification, distributing
mail, or other actions.
◆6.2.1 Redirecting mail
You may automatically send the received mail to the specified destination through settings to redirect mail.
You can set up a maximum of five destinations. For example, if you set a mail address of your mobile phone
you can confirm the received mail on your mobile phone without the need for logging into Waseda-net Mail
via your PC. If you want to redirect mail under certain conditions, you should create a rule (refer to ◆6.2.3
Setting automatic operations for various processing).
Procedure
1. Click the [Mail Rules] menu in the upper left main menu of the screen.
2. The [Settings] screen is displayed.
3. Select the checkbox for Enable for mail redirection.
4. Type the redirection destination mail address.
When there are several mail addresses, be sure to separate each address with ",(commas)
" or a linefeed after each address.
5. Select the checkbox for Keep a Copy.
When you do not want to select the checkbox for Keep a Copy, incoming mail is not saved
in the Waseda-net Mail spool.
6. Click [Update].
The setting is not enabled unless you click [Update] .

◆6.2.2 Setting Vacation Message
When the Vacation Message setting is made, you can send a reply automatically with the desired text at the
time of mail reception. This setting is helpful when you cannot use mail for a long time because you are
traveling.
Tips
■ You may automatically send the Vacation Message in response to each incoming mail immediately
after this setting is made.
Note that the received mail itself is returned.
■ The starting date cannot be specified. The Vacation Message is enabled immediately after this
setting is made.
■ This function is not effective for mail sent from your mailer.
■ "Re:" is prefixed to the subject of the mail reply by means of the Vacation Message function.
■ Once a Vacation Message is sent to an address, it is never issued again to the same address.

Procedure
1. Click the [Mail Rules] menu in the upper left main menu of the screen.
2. The [Settings] screen is displayed.
3. Select the checkbox for Enable for Vacation Message.
Ending date: Specify the ending date for the Vacation Message setting. Unless the ending
date is specified, this setting remains limitlessly effective until the checkbox is cleared.
Contents of Vacation Message: Specify the text of the Vacation Message.
4. Click [Update].
The setting is not enabled unless [Update] is clicked.

Tips
■ If you will not use the Vacation Message function, be sure to clear the checkbox for Vacation
Message.
■ The Replied Addresses can be confirmed according to the following -2- description.
■ Once mail processing for the absence is completed, be sure to remove the Replied Addresses
(refer to the following -3- description).
-2- Checking Replied Addresses
While the Vacation Message setting remains effective, mail with preset contents is returned to the sender of
the received mail automatically. The mail address of the opposite party for automatic mail return is registered
as the Replied Addresses. When using the Replied Addresses after the Vacation Message is cleared, you
can easily send mail to people who received the Vacation Message. If necessary, you can refer to the
Replied Addresses by consulting the address book at the time of mail creation (refer to ◆5.2.1 Viewing
address book for details).

◆6.2.3 Setting automatic operations for various processing
You may set a condition and an action at mail reception to make automatic settings for sorting folders, mail
redirection, and sending incoming mail notifications.
Caution
When a user mail rule change permission has been “Disabled” by the administrator, the user is allowed
only to browse according to the predetermined rules and cannot make changes.

-1- Creating a new rule
When creating a new rule, create a condition by combining data, operations, and parameters and then
define processing by a combination of actions and parameters. Each item must be set as follows.
Refer to -3- Mail rule setup example for details.
Comment Type a description for a rule.
Data What is used as the standard for processing? Specify something available as the
standard.
Operation Specify the relationship between data and parameters.
Parameter Specify the contents of the data.
Action Specify what kind of processing is to be performed.
Parameter Specify information required for action.

Caution
■ A mail rule name can be specified in half-width and full-width alphanumeric characters and the
allowable length is up to 50 half-width characters.
■ A wildcard "* (half-width asterisk)" may be typed in the parameters.
In this case, the wildcard "* (half-width asterisk)" indicates any number of characters including the
absence of characters (0).
Example: *character string = any number of characters at the beginning of a character string
including the absence of characters (0)
■ When the name or importance of a rule is changed in the rule list, be sure to click [Update].

Tips
■ Multiple actions can be set for one rule. When setting actions, care should be taken about the order
because they are executed from the top.
■ Once one action is set, the next input field is created automatically.
■ When specifying multiple mail addresses in the parameters, be sure to separate each address with
commas.
■ When deleting the set rule, select the checkbox for Delete on the mail rule list screen and then click
the [Delete Marked] button.
-2- Setting the importance when there are multiple rules
When setting multiple rules, you can change which rule is given priority, namely the importance of the rule
later. Once any setting is changed, be sure to update the setting by clicking [Update].
The setting is not enabled unless [Update] is clicked.
Tips
■ When there are multiple rules, they are executed in order depending on the importance, namely in
descending order of numbers from the most important.
■ When multiple rules have the same importance, they are executed in the order of character codes
for rule names.
■ Select “Inactive” when it is necessary to temporarily make the rule unavailable.
■ "Discard", "Reject with", and "Stop Processing" is specified as the action, the subsequent handling
of the importance does not take place.
■ The importance of Vacation Message is 2 and that of Mail Redirection is 1.

●6.3 Customizing Waseda-net Mail Favorably
You may customize various settings required for Waseda-net Mail. Here is a description of General, Folders,
Compose, and Contacts tabs concerning the settings screen.
Warning
Once changed, you cannot use some setting items normally. When changing the settings, we
recommend that you update the setting each time one setting is changed to check whether the
operation takes place normally.
◆6.3.1 Setting procedure
Click the [Settings] icon in the upper left main menu of the screen and then make the settings on each tab.

You can change the settings for language, time zone, text encoding method, and the like. To suppress
problems as much as possible, we recommend only confirming the contents of settings without changing the
