This would include those speakers being coordinated by other committees and federal general session speakers. Also includes NASFAA President and NASFAA Chair. Update website as needed and prepare for online registration to begin around November 1. Include ground transportation and rental car information. Other information for web site (local attractions, Charity Project, Bingo, Attire, E-mail hours, NAO workshop, Menus, School Spirit Day, information for presenters, moderators and monitors) can be added as needed, when available. Continue to update tentative agenda as it evolves. Complete Executive Board report for November meeting. Ask Secretary for SASFAA note cards and stationery, if needed, for President’s Appreciation Reception and Past-President’s activity. Finalize conference agenda, except for the exact placement of concurrent interest sessions. This includes any entertainment for President’s Reception and/or other events. Hotel liaison work with SASFAA Secretary regarding room reservations for the conference. 2006 SASFAA Conference Update Financial Aid: Unmasked, the 2006 Conference Theme, is sure to be a hit with seasoned administrators and new aid officers alike. For all the latest conference information, please visit the conference mini site found at www.sasfaa.org under conferences. Be sure to make your hotel reservations no later than January 11th using the form provided on the mini site. You will also need to register by January 20th to avoid late fees. The conference registration is $185 for SASFAA members. The 2006 SASFAA Conference will convene on Sunday, February 12th with the New Aid Officers Workshop and the Opening Session featuring Roger Reece as the Keynote Speaker and conclude on Wednesday, February 16th with the Washington and NASFAA Updates. For a list of the interest sessions and tentative agenda, please access the conference site. In addition to the informative interest and general sessions, the Conference Committee has some Special Events planned to keep members entertained and involved. These are: The President’s Reception on Sunday, February 12th. SASFAA Bingo Night on Monday, February 13th. SASFAA Banquet on Tuesday, February 14th to celebrate Valentine’s Day. Plan to wear red, white or black semi-formal attire. School Spirit Day on Wednesday, February 15th. Wear articles of clothing representative of your school/agency. SASFAA’s 43rd Annual Conference Approximately 880 people were in attendance for the 43rd Annual Conference held in Greensboro, NC, February 12-15 to unmask some of the complexities of financial aid. With over 50 concurrent sessions to choose from, a humorous keynote address by Roger Reece, the all-important federal update by Carney McCullough on recent actions by Congress, and many other activities, participants not only received a wealth of knowledge to take back to their office, but had opportunities to laugh and share with colleagues. A special thank you goes out to this year’s conference committee, who put in many hours of hard work in designing the program and coordinating the conference activities on site. Conference Committee Although this year’s conference is several months behind us, there is always one to look forward to! The 43rd Annual Conference in Greensboro was a huge success, due in large part to the hard work of the conference committee. However, work is already underway in planning next year’s conference to be held at the Renaissance Hotel in downtown Nashville TN. Thanks to all of you who completed a conference evaluation form – this will assist next year’s committee as they begin to make final plans. Since SASFAA 2007 will be in the VOLUNTEER state – now is your chance to become involved. Although the conference committee consists of only one representative from each state, plus local arrangements and board ex-officio members, there are numerous opportunities to serve on various sub-committees or to help on site. Please complete the online Volunteer Form, or contact Michael Morgan, [email protected], if you are interested. Remember, this is YOUR annual conference. We want to ensure that your professional development needs are met, so when the “Call For Sessions” goes out on the listserv, we need to know not only what sessions you would like to see offered, but also if you are willing to present a session.

SASFAA Board Meeting June 9, 2006

CONFERENCE COMMITTEE ANNUAL REPORT

The 43rd Annual SASFAA Conference was held at the Sheraton Four Seasons in Greensboro NC, February 12-15, 2006. The conference theme, “Financial Aid: Unmasked” represented how we could unmask the financial aid process for students & families, the federal regulations & interpretations for us, our offices on our own campuses, and the multitude of masks we wear personally & professionally. There were approximately 875 in attendance. The Conference Committee first met at the conference site July 24-26 to begin the planning for the conference – establishing a tentative schedule, making committee assignments, and exploring the hotel site among other tasks. We met again in Charlotte NC October 7-9, to finalize the conference format and sessions, as well as reviewing details and hotel layout. Special thanks is extended to Erik Melis, Electronics Services Chair and Juanita Russell, Membership Chair. The conference committee worked extremely hard to put together a conference of this quality from general session speakers, to concurrent session speakers, to entertainment – managing all of the “minor” details to perfection in order to enhance the conference experience for all of those attending. It has been a pleasure to work with them – they deserve mountains of credit! Following were the original goals set for the committee and how successful we were in meeting them: Goal # 1: The Conference Committee will create a program which includes interest sessions to accommodate all of our members, including HBCUs, Graduate/Professional Programs, Lenders/Guarantors/State Agencies, etc.

Although we did not specifically designate concurrent sessions for HBCUs, Graduate/Professional Programs, and/or Lenders/Guarantors/State Agencies, based on comments supplied on the

conference evaluations, it appears we met member needs in terms of quality programming (i.e. sessions of interest).

Goal # 2: Exhibit fiscal responsibility by staying within the approved budget (based on estimated # of attendees)

Although conference budget is still being finalized, it appears that we will meet this goal. Goal # 3: Select a Conference Committee, representing all sectors, ethnic groups, etc., to provide active participation and new leadership opportunities for members.

The reason for selecting the committee as named above, was to provide a sense of diversity not only in institution/agency type, but years of experience, gender, race, creativity/personality, and opportunity to serve SASFAA in a high profile role (i.e. assist in leadership development). There was only one returning Conference Committee member from last year, so there were many new faces to SASFAA committees work with several seasoned SASFAA members. Although it is important to have balance and diversity, it is necessary to have a committee that will work well TOGETHER. We were successful on all accounts with this committee this year. I can honestly say that it was the most rewarding and enjoyable committees of which I have EVER been part.

A personal goal for the year was to create a “generic” conference chair handbook to outline specific details, timelines, suggestions, and basic information to be passed on from year to year. The notebook will contain sections on Generic Information (Bylaws, Policy & Procedures, Past Conference Themes, Conference Sites, etc.), Finance (budgeting, reimbursement, contracts, etc.), Conference Committee (selection, responsibilities, assignments, meetings, etc.), Conference (agenda, printing, exhibits, registration, invitations, VIPs, etc.), and Hotel (facility, food, AV, contacts, etc.). It will provide a written description as well as hard copy, diskette, and CD of sample documents. This will be supplied to next year’s chair at the Transition Board meeting in June. RECOMMENDATIONS:

In order to properly manage the Conference budget as well as providing SASFAA with a more accurate record of actual committee responsibilities & expenses, I recommend that all committee-related expenses that occur during Conference be reflected within that committee’s budget.

SASFAA Conference Committee Tasks

Audio-Visual Liaison Coordinate the AV needs for all general and concurrent sessions. Will work with Hotel Liaison, General Session Liaison, and Concurrent Session Liaison.

Local Arrangements Co-Chairs

Coordinate hotel information, local transportation, pre-conference activities, charity, hospitality, commuters…..

Publicity/Signage Liaison

Coordinate marketing and PR information to membership, signage at conference, website information, bulletin boards, etc.

Concurrent Sessions/Moderators Liaison

Coordinate overall concurrent session activities, working with all other committee members. Select moderators. Work with AV Liaison, SASFAA Diversity Chair, SASFAA Vice President.

General Sessions/VIP Liaison

Coordinate moderators, content, logistics, etc. for the general sessions. Select gifts and assign a “shadow” to special guests. Work with Hotel Liaison, Local Arrangements (transportation), and SASFAA Diversity Chair.

Special Events Liaison

Coordinate logistics, theme, decorations, etc. for the President’s Reception, First Time Attendees Reception, Banquet, and other “Fun” Activities. Work with Hotel Liaison, Local Arrangements (entertainment).

Electronics Liaison

PC Lab - Coordinate setup and staffing of the PC Lab for the duration of the conference. Work with Hotel Liaison and Local Arrangements. Technology Lab -Coordinate the “hands-on” technology lab, including sessions, moderators, content. Work with Hotel Liaison and Local Arrangements. Voting – Coordinate setup of voting area. Work with SASFAA Immediate Past President and Hotel Liaison

Hotel Liaison

Coordinate all arrangements with the hotel in regard to meeting space, setup, meals, hotel AV, reservations for SASFAA board/conference committee/special guests. Work with all committee liaisons.

Publications & Printing Liaison

Coordinate all printed pieces, including any pre-conference mailings, the printed conference program, pocket agenda and special invitations. Work with Hotel Liaison, Local Arrangements Co-Chairs, and Session Coordinators.

Evaluations Liaison

Review prior year evaluations and develop web-based evaluation form. Work with Conference Chair on overall programming.

Department of Education Liaison (if participating)

Coordinate the involvement of all federal presenters and DOE sessions. Work with Session Liaisons, Electronics Liaison and Audio-Visual Liaison.

Confirm the format of the session with your presenter(s), the order of presentations, and time frame for each speaker and the preferred procedure for handling questions. 2. Ensure that each presenter has a well-developed and organized presentation consistent with the description in the conference program. 3. Be certain that you receive the biographical information from your SASFAA session coordinator. At the conference…

1. Please arrive at the assigned session room 10 minutes before the start of the

session. 2. Prior to the start of the session, please check the following:

● Heat/Air levels – notify your hallway monitor of any problems. ● Set clean glasses and water on the presenter table, if necessary. ● Set the appropriate number of chairs at the presenter table to match the

number of presenters, if necessary. ● Verify AV/Media equipment is in working order, and presenter needs for such are in room – notify your hallway monitor (conference committee member) of any problems.

3. Assist the presenter(s) with distributing handouts. If additional copies are required, provide your hallway monitor with a set and request a specific quantity to be made. Handouts will be delivered directly to you in the assigned room.

4. Introduce the presenter(s) and provide a brief overview of the session. If needed, assist the presenter with use of PC during the session.

5. Based on the time allocations provided by the presenters, monitor each presentation to ensure all presenters have adequate time and that there is adequate time for questions and answers.

6. Field questions from the audience. 7. Develop one well-organized question for speaker(s) in case there are not

sufficient questions from the audience.

Join us February 12-15, 2006, here at the Sheraton Four Seasons in Greensboro for the 43rd Annual SASFAA Conference – “Financial Aid: Unmasked”! Although the Conference Committee will be meeting this afternoon through Monday morning here at the hotel, preliminary plans have already begun. Our goal is to continue the high quality of interest and general sessions which will enlighten, engage, and energize all of our members, utilize all volunteers, remain fiscally prudent. This session includes a review of the concepts that were incorporated into the development of a recent NASFAA monograph dealing with structing a preferred lender list. Guidance is provided with regard to developing a preferred lender list, with a focus on such topics as factors and criteria to consider in developing a list, the benefits for both students and schools of a fair and impartial list of lenders, possible tools that can be helpful in devising a fair and impartial listing of student loan providers, and examples of ways that schools have presented their lists once they have beendeveloped.

Issues discussed will include: conflicint information that may occur as a result of the verification process, when an applicant's data is updtated or corrected, when a student's status changes, or when additional information about the student is received.

CONFERENCE COMMITTEE REPORT

Planning for the 43rd Annual SASFAA Conference to be held at the Sheraton Four Seasons in Greensboro NC, February 12-15, 2006, is well underway. Our theme for the conference, “Financial Aid: Unmasked”, will address how we can unmask the financial aid process for students & families, the federal regulations & interpretations for us, our offices on our own campuses, and the multitude of masks we wear personally & professionally. The Conference Committee met in Charlotte October 7-9, to finalize the conference format and sessions, as well as reviewing details and hotel layout. I wish to offer public thanks to those members of this board who serve as crucial members of the Conference Committee – Tolly Tollefson, Heather Boutell, Keith Reeves, Crusie Lucero and of course, Guy Gibbs. There are two other members who play a vital role in helping us get the word out, so I have a special word of thanks to Erik Melis and Juanita Russell. We are all excited about the quality and content of the program. Our Keynote Speaker for Sunday evening will be Roger Reece, a dynamic and motivational speaker with a “twist”. In addition. SASFAA will be sponsoring a dance after the President’s Reception on Sunday evening the hotel’s club. We will continue to offer a series of concurrent sessions in a hands-on learning environment. The charity selected by the Local Arrangements Committee is the Victory Junction Gang Kid’s Camp, sponsored by NASCAR. They will be speaking at the luncheon on Monday. Bingo will again be offered on Monday for our die-hard bingo fans. Crusie and her committee are responsible for the “Diversity” speaker on Tuesday late morning and will be having a Diversity Luncheon. SASFAA awards will be made at the Tuesday evening banquet, with after dinner entertainment provided by The Embers. School Spirit Day will be held on Wednesday, as it is a travel day and most attendees are dressed casually anyway. We may be able to hang state banners this year, so I request all State Presidents to make plans now to bring your state banner with you and turn it in to Conference Headquarters upon your arrival. We have confirmations from the Department of Education that Jeff Baker, Dan and Ginger Klock, Kathie Makowski, Fred Sellers and Yolanda Adams have been approved to attend.

CONFERENCE COMMITTEE REPORT

The 43rd Annual SASFAA Conference was held at the Sheraton Four Seasons in Greensboro NC, February 12-15, 2006. The conference theme, “Financial Aid: Unmasked” represented how we could unmask the financial aid process for students & families, the federal regulations & interpretations for us, our offices on our own campuses, and the multitude of masks we wear personally & professionally. There were approximately 875 in attendance, and appears to have been a huge success. The conference committee worked extremely hard to put together a conference of this quality from general session speakers, to concurrent session speakers, to entertainment – managing all of the “minor” details to perfection in order to enhance the conference experience for all of those attending. This has been the best committee with whom I have had the pleasure to work – they deserve mountains of credit! Copies of the generic evaluation results have been distributed along with this report. A more detailed accounting of descriptive responses has been given to next year’s President and Conference Chair. Overall, the conference received excellent evaluations on the quality & variety of sessions, special events, and facilities. The most surprising result was “Conference Meals” with almost 85% of the respondents saying the meals were ‘above average’ or ‘excellent’! On a fiscal note, the Conference Committee budget is currently UNDER budget for the year; however, there are still some items that have not yet been finalized. A personal goal for the year was to create a “generic” conference chair handbook to outline specific details, timelines, suggestions, and basic information to be passed on from year to year. The notebook will contain sections on Generic Information (Bylaws, Policy & Procedures, Past Conference Themes, Conference Sites, etc.), Finance (budgeting, reimbursement, contracts, etc.), Reports (board & committee meetings, newsletter, annual report, etc.), Electronics/Utilities (web, committee listserv, conference calls, AV, etc.), Conference Committee (selection, responsibilities, assignments, meetings, etc.), Conference (agenda, printing, exhibits, registration, invitations, VIPs, etc.), and Hotel (facility, food, AV, contacts, etc.). It will provide a written description as well as hard copy, diskette, and CD of sample documents. RECOMMENDATION:

In order to properly manage the Conference budget as well as providing SASFAA with a more accurate record of actual committee responsibilities & expenses, I recommend that all committee-related expenses that occur during Conference be reflected within that committee’s budget.
