DESCRIPTION

The Stages of the Digitization Project for Ethiopian Radio Base on the announcement of Saramagd International Company, the implementer of the automation and digitization of Ethiopian national radio .it is supposed the first phase of the project accomplished and run at the middle of February. That day will be a astonishing day for the radio and will be considered as a monumental moment , but there is some things that we are concerned about, we are deeply concerned since part of our already automated and digitized archive is still incomplete and we st ill have to back to Manuel system and analog format for searching the data and transferring on air, the computer network is insufficient and incomplete as well, since neither the computer network nor the equipment are not enough so for the same reason for accomplishment of the present project and for complement of the network and equipment and the digitization of the rest of our archive the second phase is defined. We are concerned about the all efforts and the expenditure has made for phase one being unused and has not the necessary effects on the radio. Certainly such result will not be satisfactory for either country. and unfortunately the shortage of Ethiopian Radio budget accelerate the Mather and we are not able to afford it.

Section 1

The Stages of the Digitization Project for EthiopianRadio

There are several stages within the digitization project which are asfollows:

1. Receiving the reel tapes from the archive;2. Checking the reel tapes by the supervisor;3. Cleaning the reel tapes;4. Producing the required barcodes;5. Capturing;6. Transferring the captured files to a specific station;7. Controlling the captured files and checking barcodes;8. Correcting problematic captured files;9. Changing the format from Wav to mp2;10. Checking mp2 files;11. Correcting problematic mp2 files;12. Sorting wave and mp2 files;13. Transferring wave and mp2 files to LTO;14. Giving captured tapes back to Archive;15. 1- Receiving the Reel tapes from the Archivea- Radio archive official should complete the required form for

each and every one of the reel tapes;b- Radio should provide the texts related to speech and music reel

tapes and give them to the project manager;c- When receiving the reel tapes from the archive of the radio, the

project manager should sign or stamp all the forms and receiveall the reel tapes from the archive;

d- These reel tapes should then be handed to the supervisor afterreceiving a receipt. Supervisor should sign a notebook whichincludes serial numbers of the reel tapes and the receiving date;

e- At the end of the day and after finishing the work, all reel tapesshould be handed to the project manager and he should alsosign the notebook as an evidence of receiving all the reel tapesback;

f- A copy of the form will be kept in the archive and a copy willbe kept by head of the project for further reference.

2- Checking the reel tapes by the supervisor

After receiving the reel tapes from the archive of the radio, supervisorshould check all of them, write serial numbers of the tapes and checkthat how many tapes are related to each other. Some of the programsare recorded on several tapes so it is required that all the related tapesbe captured in a single file. Therefore the supervisor should check allof the reel tapes to understand how many barcodes should beproduced. This process is valid just for the speech reel tapes, becausemusic tracks should be saved individually.

3- Cleaning the Reel tapes

Some of the reel tapes may be dusty and in need of cleaning or due tothe bad archiving situation they may be glued together. As this willaffect the quality of the captured files, Saramagd decided to clean allthe reel tapes before capturing them. Therefore two of the employees

are responsible for cleaning the reel tapes before the start of thecapturing process. They should do this using a clean white piece ofcloth on two separate machines which have been specially assignedfor this purpose. After this stage the reel tapes are ready for capturing.

4- Producing the Required Barcodes

* For finding more information about barcodes, the reason behindusing them, and their structure, see the Amendment A and B.

Barcode production should be done according to the following stages:a- Turn on the computer and the printer;b- Run the Argobar Lite software;c- Choose saramagd1.agx from the File menu;

d- Point the mouse to the barcode and click on it;e- Hit the Enter key;f- In the following window set the required number in the InitialValue part and set the last two digits to zero, If you are continuingyour work from previous number you should increase the numberwhich is after the first two letters by adding a 1 to it; Also set theIncrement to zero and press OK ;

g- Press Ctrl+P;h- Set the Label in the series to 1 and press the Print button;

i- Again press the Enter button to open the Barcode Propertieswindow;j- This time set the Increment to be 1 and press OK;k- Press Ctrl+P;l- Set the number in the Label in the series part according to therequired number of barcodes (based on the number of music pieces inthe related reel) and press Print;m- Do the above stages from number 3-4 forward to produce therequired number of barcodes, but remember to check every 10produced barcodes with a barcode reader to be sure that they areworking well and can be read by the barcode reader;n- After producing and printing the required amount of barcodes pressSave button or press Ctrl+S to save the last number which is used.

5- CapturingFor capturing the reel tapes there are several things that should bedone. First of all you have to connect the reel tape readers to thecomputer. The sound card of the computer should have the requirednumber of inputs and should be able to be attached to reel tapereaders. Therefore Saramagd decided to use Lynx II sound card whichis a professional sound card with three stereo inputs, or six monoinputs and one stereo output or two mono outputs.The equipments should be attached to the computers according to thefollowing map.As you can see in these maps, Saramagd provided three sets – threecomputers with three reel tape players attached to two of them andtwo players attached to one of them.The Ethiopian Radio has provided four stereo machines and fivemono ones which are connected to those three computers.Also a barcode reader device should be attached to each computer forsaving the captured files according to the produced barcodes for them.

After attaching the equipments to the computers, the Cool Edit Pro 2.1software should be installed.

Now everything is ready for the capturing to start.

Employee’s Everyday Tasks

Each day the employees should do the following steps:a- Wearing gloves;b- Cleaning the tape players with a white clean piece of cloth and

alcohol;c- Getting the reel tapes along with the required barcodes from the

supervisor;d- Putting the reel tapes on the Not Captured shelf;e- Turning the tape readers on;f- Turning the computer on;g- Creating a new folder with the current date in the format of

ddmmyyyy as its name in drive e:\ of the computer;h- Charging the reel tapes on player machines;i- Running the Cool Edit Pro 2.1 software three times and

selecting the appropriate inputs and choosing the right settingsfor capturing. For selecting the appropriate input for each opensoftware, you should open Options in the tool bar and thenselect Device Order.

Then for each software the inputs number 1 to 3 should bechosen respectively.

After choosing the right input you should click on the Use inEV key to be able to use this input in the Edit View of thesoftware.Now the software and hardware are ready for the capturingprocess. The next step is to push the record button at the lowertool bar of the software. If you click on this button a windowwill open for you to choose the sample rate, number of channelsand bit resolution of the recording file. Saramagd decided tocapture all music reel tapes with the following specificationsaccording to the international standard:

Sample Rate: 96000Channels: StereoBit Resolution: 32 which is actually 24 because the sound carddoes not support more than 24 bits.

After you press OK the capturing will start and then you shouldplay the reel tape player right after that.

j- Controlling the devices during the capturing process and leveltuning when required;

k- Stopping the tape player and the software after the end of thecapturing process;

l- Rewinding the captured reel tape;m- Separating the different tracks on a reel and saving them

separately on the related folder by using the barcode which isalready produced via the barcode reader device (which isalready attached to the computer) with Wav format [windowsPCM (Wav)];

n- Bringing the reel tape out of the machine and sticking thebarcode with 00 as the last two digits on the reel and anothercopy on the cover;

o- Deleting the saved tracks from the software;p- Sticking the barcodes which are related to the tracks on their

specified place (for speech files the barcode should be stick to

the program description sheets and for music tracks they shouldbe stick on the back of the paper that contains their informationand number of the tape and the tracks should be written next toit);

q- Putting the captured reel tapes in the Already Captured shelf;r- After this step, all the above steps should be repeated from

letter h on, for another reel tape;

6- Transferring the captured files to a specific station This action should be done at the end of each working

day; Create a folder with the current date as its name on

partition E:\ of the specified computer; Click on My Network Places from the start section of

the windows operating system; Click on the View Workgroup Computers section on

the Network Tasks panel in the left side of the window;

Select Saramagd 1 and go to partition E:\ of that computer; Open the folder which its name is the current date; Select all the files or press Ctrl+A to select all the files; Copy the files to the folder that you have created on the

partition E:\ of the destination computer (station 4 or 5);Note: When copying the files, pay attention to the destinationfolder. It should be on the computer that you want to copy thefiles, not on the network. This problem may happen becauseboth of the folders have exactly the same name.

Do the same procedure for computer number 2 and 3. Check the copied files to make sure that they are copied

correctly. You can do this by comparing the size of allfiles on the destination folder with the size of all relatedfiles on the three computers.

Delete the files from computers number 1, 2 and 3.

7- Controlling the captured files and checking barcodes(Checker’s Duties);

a- Turn on the computer;b- Run Cool Edit Pro 2.1 software;c- Click on the Open button in the tool bar and find the folderwhich its name is the date of the previous working day;d- Use barcode reader to read barcodes which are related tocaptured files – for speech files the barcode is on theinformation papers that accompany each reel tape and for themusic tracks barcodes are stick to the related cards which hasbeen provided before;Notice: In case there is any kind of failure in the barcodereader, tell supervisor about the problem and ask for his help.

a- Separate papers or cards which all the related files in themhave been captured correctly and you can find them;

b- Also separate those cards or papers that there is a problemabout them and you can not find one or more of the relatedfiles;

c- Give those cards that are problematic to supervisor andexplain the problem to him;

d- After checking all barcodes, open each and every file whichhas been captured in the previous working day and listen tothe beginning, middle and end of the file and check that ifthere is any problem in them. In case you have found anyproblems tell the supervisor about the problem.

8- Correcting problematic captured filesa- The supervisor should check all the problematic files and ask fromthe checker about the problem that exists in each file.b- Then they should specify that this file is in which tape and if thetape has been returned to archive, it should be taken again. If it is stillthere and is not sent back to archive, they should bring it and listen toit. If the original tape has the same problem, it should be placed in theDamaged Tapes section.c- If that tape does not have the same problem, it will be clear that theerror occurs during the capturing. So it should be recaptured.d- After recapturing, the checker and the supervisor should check thefile again. If the problem persists, they should tell about it to theproject manager to investigate the case.e- All the tapes that are placed in the Damaged Tapes section, shouldbe controlled by the project manager and one archive official and theyshould decide about what they want to do with them. If a tape isregarded as useless and not worthy, then it won’t be captured and itwill be sent back to the archive. If radio officials say that one tape isvery important and they ask for capturing it even if it has a badquality, the number of that tape should be written in a notebook or aform and radio officials should sign that form. In this way, they willaccept that the bad quality of the captured tape is related to theoriginal tape and not the capturing process. If at some later stages,some radio officials or sound engineers claim that the quality of somefiles is bad, then it should be checked to see that file belong to theseforms of files or not.

9- Changing the format from Wav to Mp2;For changing the format of the captured files, the Wavelab 5 softwareis required. For changing the format of the files to MP2 follow thefollowing steps:

Open Wavelab 5 software; Click on the Tools button on the tool bar; Choose Batch File Encoding;

Click on the + sign on top of the toolbar;

Select the files that you want to change to MP2 from the relatedfolder on the computer;

Click on the Open Button;

Click on the folder icon in the Destination folder section tochoose the folder that you want to save your files in;

Click on the tab under the selected files to change the format tothe one that you want;

From the drop-down list in the Type section, choose MPEG Layer-2;

Click on the drop-down list selector on the Encodingsection and click on Edit on the pop-up menu ;

Choose 256 Kpbs option from the drop-down list of the Bitrate section;

You should change the options of the Channel section fromNo Change to Stereo.

Note: This is very important and should be noticed very carefully.There is no difference whether you chose mono or stereo files, ineither case you must change the option for the Channel part to Stereo,otherwise the mp2 files can not be played by Windows Media Playerand hence can not be played by DGL software.

Click OK and again Click OK in the previous window;

Click Start on the first window that contains selected filenames;

Wait until you can see a green circle next to all the selectedfiles, if you see that it means that all the files has beenchanged to MP2 and this stage has been completed;

Close the software;

10- Checking the mp2 Files;In this step, one of the employees should open the mp2 files and listento them quickly. The purpose of doing so is to make sure that theywill open correctly and the quality of them is good. As once thequality of the wave files have been investigated and checkedthoroughly, there is no need to do it all over again at this time. Weonly want to make sure they have a good quality and there is no noiseor bad effect in these files.

11- Correcting problematic mp2 files;If there is a problematic file among the mp2 files, it should be movedto another folder called Damaged mp2 and after checking them withsupervisor, they should be changed to mp2 again. (the wave fileshould again transform to mp2). If the problem persists, you shouldtell this to the project manager and ask from him what to do next.One of the problems that may occur for the mp2 files is the Encodingerror. This is because the original wave file was more than 2 GB andbecause Wavelab software does not support files with more than 2 GBcapacity, that file should be divided to 2 or more sections using thissoftware or Cooledit software, and each section should be transformedto mp2 separately and then they should be attached to each other usingthe same software.If the original file is not more than 2 GB and the problem occurs, youshould change the sample rate to 16 KHz, instead of 48 KHz. This isvery rare and occurs once in every 400 files and can be resolved thisway.

12- Sorting wave and mp2 files;One of the issues that may facilitate the use of the system in the futureis knowing that which files are in which LTO. Clearly, this problemcan be solved in the software system and DGL completely solves thisproblem, but if the barcodes put together in ascending order and moveto LTOs based on their numbers, accessing them will be much easier.So in this stage you should put the files in order. For doing so, a folderwill be created with the name ST00001M00 which relates to the firstLTO for example, and is completely the same as the barcode used forthat LTO. Inside this folder, two other folders will be created withnames of mp2 and Wav. The wave files should be selected based ontheir numbers and copied into the Wav folder. Then the related mp2files should also copied to into the mp2 folder. These two folders willbe moved to the LTO at last.When selecting the files for moving to LTO you should pay attentionto two things. First of all, the number of the files inside the mp2 foldershould be half of the number of files inside the Wav folder, becauseall the wave files have a pk file beside them. Also their serial numbers

should be the same so that we can make sure each wave file is next toits mp2 file.The second issue is that because we can not move more than 105 MBdata to LTOs with 200 MB of capacity, because of the mirroringtechnology and other technical reasons, so care should be taken forchoosing the files in a way that the total capacity does not exceed 105MB.

13-Transferring captured files to the media (LTO);LTO is a kind of peripheral memory which is used for archiving. Byusing this technology you can save large amounts of data for largeperiods of time. The average life of LTO is 50 years which incomparison with other technologies like CD and DVD, is much longerand much more cost effective.

The procedure for sending data to LTO tapes:

This section of the document refers to some explanations abouttransferring data to offline archive or LTO tapes.

As a first step, you should connect the tape drive to the computerand install the required software for working with LTO drive. Thenyou should run the program by clicking on the TapeWareAdministrator icon from the start menu or on the desktop as it isshown in the picture:

To open tape ware, double click onit or right click on it and chooseopen.

After that, the following page will appear on your desk top. Since thedefault has no password, just by clicking on the Ok button you can goto the next stage. In case you have a password, you should enter yourpassword.

Log in

The next page is the home page of the TapeWare program. In thispage you can choose what job you are going to do. Also one can go todifferent toolbars and select the items in them.

In this page there are some different items. For now, we are going toget a back up, so we should click on the Back up button on the top ofthe windows.

CREATING NEW OBJECT In the new object dialog box, select the available type. By

default it is a back up job.If you want to create a back up job, click on OK button. After clicking on the OK button the system brings the

properties window of the back up job.

Here in General tab, you can give a proper name to the back upyou are going to take.

BACK UP NAME

In the properties of the new back up job, type the name of theback up. So here we give a proper name such as (Back upMedia 20 Speech)

1. In the name box, type the back up name.

2. after entering the name of the backup, click only on the Apply button (donot click on the OK button at this stage,otherwise the window will be closed.)

SELECTIONIn this section we should select the files or folders that we want toinclude in our back up job.

Click Selection tab on the top of the window, then the systemshows the selection window.

Click (+) sign to expand MULTIMEDIASERV1.

MULTIMEDIASER1

3. Click on Apply.

SELECT THE FOLDER TO TAKE BACK UP

After expanding, select the files or folders which you want totake a back up from them.

As you can see here we selected the desirable Media.

1. Select the folder which you wantto take the back up from the list.

2. Click only on the Apply button. You can alsodo this at the end after setting all the settings.

*** In order to be able to have the restore database option as weexplain later, please select the Tapeware storage server disk everytime you want to take a back up as well.

OPTIONS

Click on the Options tab. Here the system gives you different options about the back up

job. As you see, for most of them we use the default setting, butthere are some items that you should take into consideration.

Adjusting Different Options

One of the items that you should take into consideration is thepassword. This option can be used to provide passwords for the tapes;otherwise you can leave it empty. Since there are so many medias inRadio Ethiopia it is recommended not to use any passwords. Althoughwhen a password is used, no one can delete the media files exceptthose that have access to that password, one may forget the passwordand later will face serious problems.

BACK UP MODE

Select and adjust different options. In the Back up Mode select Full mode. In the Write Mode, select Overwrite all tapes. In the Auto verify mode select Full Verify Mode. To change the media path, click on the browse button and select

the path. To give the media a password, click on the Media Password. To give the media a name, type the name in the New Media

Name box.

As you can see in Write Mode, there are some options that you shouldchoose one of them.

1- If the media is completely blank and you want to make a newback up, you can choose Overwrite all tapes.

2- but if previously you have some data on the media, you shouldchoose Append to all tapes. for more information you can referto the help of LTO drive but one important thing is that if youhave some data on the tape and you overwrite the tape, you willlose all your data, since the system automatically formats yourmedia.

Auto verify Mode

There are some options about verifying the backup job. For moresecurity, it is better to use the Full verify option. In Quick verify, thesystem just verifies that all the files are transferred to the media butdoes not check the correctness of the files on the media, but the Fullverify option verifies that the files on LTO are exactly the same as theoriginal ones.For more information refer to help of the LTO drive.

1. Select Full Verify from the Auto VerifyMode.

2. Click on Apply.

Compression Type

There are some options about the Compression type, which are: None Standard System Both

It is recommended to use the System option.You can choose the one that suits your requirements. For moreinformation refer to LTO drive help.You can assign a name to the media as shown here:

1. Click Option tab

2. Select system from the Auto formatmode list.

3. Click on Apply.

SCHEDUEL TASK

You can create a Schedule for future use of a back up job. Select Schedule type in the type dialog box Adjust the date of the calendar in the calendar box.

1. Click Schedule from the propertiesdialog box.

Permissions

Click on the Permission tab. In the permission tab, select the required permissions from the

right side of the window. You can Add/Remove the users which should have access to

RUN THE BACK UP FILE

By doing so,you can see the following window.Click on the Logs tap, and select the log file of the back up. Thenclick View to see the characteristic of the back up you sent to LTO. Inthis report you can see information like the criteria of back up, thenumber of files being sent to LTO, and whether the job is donesuccessfully or not.

It is better to have a copy of that log file for later use. It is notnecessary to keep these log files, but it is a good idea to keep a copyof them for future use, in case it will be required.

14- Giving captured tapes back to Archive;After all the tapes have been captured, controlled, and after all theproblem have been resolved, the tapes should be sent back to archive.For doing so, the project manager should take all the tapes from thesupervisor and give them back to the archive officer based on theprevious lists that both sides signed them. The archive officer shouldsign all the receipts and confirm that which tape at what time and dateis going back to archive. It is obvious that after signing these receipts,the archive department can not claim about the missing tapes ordamages to tapes and the project manager will have no liability afterthis process is finished.

15- Data Entry into the DGL Software;

Data entry in the software is one of the most critical stages of thisproject and should be done with great care. The job is done based onthe following stages:

Supervisor should print the text file containing the barcodes ofthe files stored in the LTO which is going to be data entried.

Using the text file, he should find all the data papers related tothose barcodes.

He should divide the papers between the operators who aregoing to do the data entry process.

Supervisor should create five copies of the LTO barcode andstick them on a piece of paper and give each operator one ofthem.

Operators should enter the data on each paper using the barcodeon the piece of paper for entering the LTO barcode. This hastwo advantages, one of which is to keep them from errors inentering the barcode, and the other is to facilitate the jobbecause they should repeat entering the barcode which is verytime consuming.

After finishing all the data papers and entering all of them in thesoftware, the operator should collect all the papers and should

compare them to the list of the barcodes in the text file andshould tick each and every barcode.

Maybe there are some of the barcodes that are not related to thatLTO which operators are doing the data entry for it, but asoperators do not know this matter, they enter that data with thesame LTO barcode that they have. In this case the supervisorwill notice this matter when checking the barcodes in the textfile, after which he should correct the mistake by searching andfinding the same speech or music barcode and enter the correctLTO barcode for it.

16- Capturing Quality Control by the Sound Engineer ofthe Radio;Radio is supposed to introduce one of its sound engineers or some onewith good archival and technical skills to Saramagd Co. This person isresponsible for coming to the workshop of the project in some timeintervals and should listen to the captured files and announce that theirquality is acceptable or not. If there is any kind of error or problem,s/he is responsible for telling it to the project manager so that he cansolve the problem. If this person does not pay enough attention tohis/her job, Saramagd Co. will not be responsible for the probableerrors. He should sign some forms to indicate that the quality of thecaptured files untill that date is acceptable. The project managershould keep all of these papers as part of the documentations of theproject.

17- Testing and fine-tuning players;Reel tape players like other devices and instruments are in need ofcleaning and maintaining. In this project, this matter has moreimportance because the program which is played by them is notsupposed to go on air just for one time, and the captured file willalways have the same quality. So maintaining, controlling, cleaning,and fine tuning these devices are very important and each month thetechnicians of the radio should control the head, azimuth, cables,connectors, and other parts of these devices.

Using your HP Smart Start CD to install your OperatingSystem

Select the server

Right click on the server and select the new scope option.

Enter a name and description for the new scope that you are about to create. Wewill name the scope EthiopianRadio and make the description the same. Clicknext.

Next you will define the range of IP that this DHCP server is going to administer.Enter the start and end ip addresses [10.6.10.11 – 10.6.10.50] of your subnet inthe appropriate box. Make sure the subnet mask is correct. The subnet mask forthis particular portion of the network is 255.255.255.0. Click next.

Here you will be able to define exclusions. These are a range of IPs that arereserved and which the DHCP server cannot allocate to other machines. Enteryour exclusion range and click Add. Follow the Network IP Address Documentto find out what should be excluded.

On the next screen change the number of days that addresses are leased to 30days.Click next.At this screen make sure the "I want to configure these options now" option isselected and click next.

Specify the IP of the default gateway for your LAN (10.6.10.10) and click add.Then click next.

Installing Active Directory

Now that we have configured DNS and DHCP, we will install the active directoryservice. We will do this by running the utility "dcpromo.exe". Go to start-> runand type in dcpromo and click ok. You will be presented with the active directoryinstallation wizard. Click next to continue. This option must only be run onservers that require to be Domain Controllers or Child Domains in the “gov.local”domain.

Section 4

NetworkingNetworkingThe purpose of networking here in this project is to provide a proprietary internalnetwork for production, storing, and retrieval of digital audio files to be sent toantenna via the DGL software. This network is independent and separate from thedata network which is already available in Ethiopian Radio, but attaching the twonetworks is also a possibility which is considered in the design of the network.In the network section, there are two different parts which are passive and activenetworking.

Passive NetworkPassive networking is consisted of two sections: trunking and cabling.

TrunkingTrunking means providing some routes for the data and electricity cables bymeans of pipes or other devices. In this design, we have used white plastic ductswith covers for this purpose. We have used them in two sizes which are 6centimeter width ducts for main routes and 3.5 centimeter width ducts forperipheral routes. These plastic ducts are placed on the walls by means of suitablewashers and screws. These ducts are very light and are also very flexible forshaping. We could simply cut these ducts and shape them appropriately for anykind of route in a short period of time.In this design, we have used two parallel ducts with 10 centimeter distancebetween them, one of which is for data cables and the other one is for electricitycables. The 10 centimeter distance is for being sure that the electromagnetic fieldsresulting from the electricity cables won’t have a side effect on the data cables.For this purpose, we also used shielded data cables which will be discussed laterin this section.We have placed the ducts on the walls based on the following general criteria:

We have used two screws and washers even for the smallest piece of duct;

We have used gloves when working with ducts to prevent them frombeing dusty and dirty;

We have cut them with high care so that the covers exactly fit the ducts;

We have placed them on the most appropriate distance from roof andceiling in all the places. In the halls and corridors, the ducts are placed in ahigher place near the roof and in the rooms they are near the ceiling toprovide ease of use and easy connection to computers.

CablingFor data cabling we used the star configuration based on the newest standards ofANSI/TIA/EIA-568B for cabling office and business buildings. Also based on thenewest standards, we used category 6 cables with the appropriate keystones, patchpanels and patch cords from the same category.Configuration of the cabling is star-like as was mentioned and the base of it is inthe server room. A rack is placed in the server room which contains a switch, apatch panel, and also the server and MSA systems as well, with all the peripheraldevices. The connection between the patch panel and switch is done by means ofone meter patch cords. The height of the rack is 40 units (nearly 2 meters) whichis enough for containing all the devices necessary for this project. Due to the factthat the height of the room is around 3 meters, there is no problem in placing therack in the server room.We have provided two data ports and two electricity sockets for each workstation.Each port is connected to the patch panel in the rack by means of a UTP category6 cable. Based on the number of ports for this phase, we have provided a 24 portswitch and placed it inside the rack in the server room.The following items are used as the passive network accessories, based on themost recent standards and guidelines:

Double UTP 4, category 6, 100 Ω cables with PVC coating (R35056). Thefrequency of the cables is 250 MHz and is available in 500 meter spools.

24 port category 6 unshielded patch panel (R305117). These patch panelsare suitable for standard 19 inch racks and occupy one unit. We used acable guide over it to keep the patch cords and make them tidy.

Two port wall-mount outlets (R925768) 78*78 mm that has white colorand contains two category 6 connection modules (R302773).

Unshielded category 6 patch cords with one meter length (R302299) forthe rack (to connect the patch panel to the switch) and with 3 meterslength (R302302) for the workstations. The cords have a PVC coating.

For each workstation we have provided a separate electricity outlet as well. Theelectricity cables are 3*2.5 shielded cables. The rack has a separate power cordfrom the workstations. We have used shielded cables and have connected theshield of the cables to the earth well.

Active NetworkThe heart of the network is a 3COM switch. It is a layer 2 switch with 24,10/100/1000 ports. The handbook and specifications of the switch are availablefor further reference.

ServerThe server is a HP Proliant DL360 server with the following specifications:

Smart array 6402 RAID controller

Modular Smart Array (MSA) SystemAn HP Storage Works MSA 20 is used for data storage. This MSA is a shelf with2-units height which is connected to a RAID controller with a Ultra 320 SCSIcable. Each unit is filled with a 500 GB sata hard disk. The hard disks are hot plugand can be inserted or removed while the system is up and running. The MSAcontains 12 hard disks which provide 6 TB of space, but as we have used RAID 6configuration which allocates some space to mirroring, parity, etc. the space isreduced to around 60 percent of the original space.The MSA 20 is installed in 2 units of the rack. The device is connected to RAIDcontroller and occupies an Ultra 320 SCSI channel. The server has a 6404 RAIDcard with 2 Ultra 320 SCSI channels, one of which is being used for RAIDconfiguration of the hard disks and the other one for MSA 20.

The Earth WellDue to the fact that there was no proper earth well available in the radio, we haveprepared an appropriate earth well for the network to avoid any probable damagefrom electricity surges. The followings were the instructions that were followedby us to provide the earth well.

1- A well with 8 meters depth and one meter diameter should be dug.

2- A 70 * 70 copper sheet should be provided with 3 to 5 mm diameterand the center should be drilled. Then a copper wire No. 35 (1 * 35)should be fixed to it with a screw and a die and then should be welded tothe copper sheet.

3- The sheet should be placed vertically inside the well which should befilled with a mixture of 40% clay, 40% pounce, and 20% smashed saltstone, for 1.5 meter. The rest of the well should be filled with soil.

4- It is better to put a pipe in the well before filling it so that every severalmonths some water can be poured in there. Of course, during the rainseason of Addis Ababa and some months after that, it is not necessary todo so.

Amendments

A-Barcode Printer Setting

Before start you may need to set up the barcode printer. You cando it according to the following guidelines.For changing the barcode roll, follow these steps:

a- Before doing anything, first turn the printer off;b- For changing the barcode sticks (if it is used completely and the

printer is run out of sticks) bring out the bar which holds theroll of the sticks;

c- Bring the empty roll out and put a new roll in it;d- Set the bar to its original place;e- Beware that the barcode roll should be adjacent to the left edge

of the inner part of the printer;f- Push the two white buttons at both sides of the ribbon holder

place and bring it up;g- Set the header part of the roll under two white holders under the

ribbon holder and put the header on the front cylinder of theprinter;

h- Bring down the ribbon holder part and push it slowly to close it.

For changing the ribbon, do the followings:a- Push the two white keys at both sides of the printer to release

the ribbon holder from its place;b- Take the lower cylinder from its right part and push it to the left

to bring it out;c- Do the same thing about the upper cylinder;d- Take the new cylinder and put the full cylinder in the lower part

and push it to the left to fix it in its place;e- Do the same thing for the upper cylinder which is empty;f- Roll the upper cylinder till the ribbon is placed smoothly on the

printer cylinder;g- Push the ribbon holder lower slowly to be fixed in its place.

The usage of the barcode system is based on this schema. For Speechtapes you should produce two barcodes with 00 as the last two digitsand one barcode with the same number in the middle part and with 01as the last two digits. For example, the barcode for one speech tapemay have the following shape:

One of the barcodes with 00 at the end will be pasted on the cover ofthe tape, another one on the tape itself, and the barcode with 01 at theend will be pasted on the paper that holds the information related tothat tape.For the music tapes, barcodes should be produced based on a differentplan. As before, here we produce two barcodes with 00 at the end, butwe should know how many tracks are inside each tape and we shouldproduce that number of barcodes. These barcodes should start from 01at the end and proceed to reach that number. For example, if a musictrack contains four tracks, then all the required barcodes are asfollows:

As before, those two barcodes with 00 at the end should be pasted tothe cover of the tape and the tape itself. Barcodes with number 01 till04 at the end should be used for saving each track individually andthen should be pasted on the back of the paper that containsinformation about that specific tape. For avoiding any unwantedmistake, the number of the tape and track number should also bewritten next to each barcode.

In addition of those barcodes mentioned above, there is anotherbarcode which is used for this project and that is the LTO barcode.This barcode is not related to those of the tapes, and just for providing

a base of coordination and integration, we use a similar pattern for it.In this barcode instead of using W which was the first letter of“Wave”, we use letter M which is the first letter of “Media”.Removing letter M is because in LTOs there are both wave and mp2files. For this barcode, the last two digits are always 00 and the middlenumber shows the number of the LTO which starts from 1 and willcontinue as much as required. This barcode will be produced in twocopies and will be pasted on the LTO and also on the cover of theLTO. The number will be entered in the DGL software. For doingthis, first wave and mp2 files will be copied to LTO and then the listof the files inside each LTO will be produced automatically by theDGL software and then the data entry will start.

Using such a system has been added to Saramagd agenda due to somereasons:

First of all, with this at hand, personnel mistakes will be avoided.With this system the person who is capturing the tapes can easily picka suitable barcode (based on the number of tracks in the reel tape) andwithout fearing from making a mistake, save each file with the anappropriate barcode in the computer using a barcode reader device.

The second reason refers to the data entry time. At this time, forspecifying that each set of information is related to each tape, you canuse the barcode which has been pasted to the information paper andread it with barcode reader to avoid any kind of mistakes during thedata entry phase.

Another usage of the barcodes is that you can simply distinguishwhich tapes have been captured so far and what files are in them. So ifan error is found during the checking phase, the original tape thatcontains that file can be easily found and recaptured.

One other usage is that the total security of the system will increase.Even if an unauthorized person can have access to the server, s/he cannot find a specific file, because all the files have been saved withbarcodes and nobody can find a specific file in a sum of thousand offiles. With this method the only way for accessing the files is throughthe DGL software. This way, everything is under control and any one

who wants to have access to files should have his/her own user nameand password.

And last but not least is that these barcodes will create a kind of linkbetween the traditional archive and the digital one. In fact, this is themost important advantage of using barcodes. The importance of thislink is because some journalists and radio personnel may not be veryfamiliar with computerized systems. They need some time to masterthe new method without being anxious and without being unable toperform their tasks and responsibilities. These people can use the oldsystem that they are used to, for finding the paper which contains theinformation related the required file. Then instead of going to the oldarchive and receiving the analogue tape from them, they can simplyread the number of the barcode into the software using a barcodereader device. Even if they can not use computer at this level too, theycan ask someone else to enter this number for them to the software,(and because of the ease of doing this job, they can be sure that thenext time they can simply do it themselves.) With passage of time,these people will learn more about the capabilities of the new systemand the ease and comfort of working with it, so they will beencouraged to learn how to work with it. Another usage is that if dueto any reason, the DGL software does not work properly, they can stilluse the old paper system to find a file they need. After finding thebarcode based on the old system, they can use DGL or if there is still aproblem, they can use the search tool of the windows operatingsystem to find the file and use it. This is one the most important andassuring aspects of creating a digital archive with this method.

C- Training Program for Radio Technicians and Journalists

Saramagd Int’l Co. has provided a training program for thetechnicians and journalists of the Ethiopian Radio to make them ableof working with the new system. This training course is mainly basedon the material and topics that are presented in this document, so thisdocument can be seen as the main training source for this program.Together, a sum of 105 people were participating in this trainingcourse and they were divided into 21 group, each of which containing5 trainees.

Time of Training

Each group received 4 hours of training in two consecutive days.Three hours of the time was dedicated to training and 1 hour forparticipating and practicing practical tasks.

Topics Covered in the Training

The topics were divided in two categories: hardware and software.

Hardware:- Definition and explanation of the meaning of hardware in

computer system;- How to connect the hardware to computer systems;- How to connect the cables to the computers and the Studer

machines;

Software:- Definition of the DGL software;- Explanation of various parts of the DGL (Digital Global

Library) software, including: How to run the software; How to enter the data into the software; How to edit data; How to create a playlist;
