1 General description

1.1 Principle

The asset master record contains all the data required in order for a company to be able to monitor and evaluate the asset throughout its life.

Data included in the asset master record are divided into the following 2 areas:

The General Master Data, contain concrete information about the fixed asset. In the specific section, the following field groups exist:

General information (description, quantity, and so on) Account assignment information Posting information (such as, capitalization date) Time-dependent assignments (such as, cost center, plant) User fields & Allocations Leasing conditions Entries for net worth valuation Information on real estate & similar rights Insurance data Information on the origin of the asset Inv. account assignment Physical inventory data Investment support measures Equipment assignment

The Depreciation Area Data, contain information referring to values calculation regarding the asset. In the specific section, the following information is mainly updated:

Depreciation key Useful life Depreciation start date Changeover year (if any) Index (if any) Individual Scrap value (if any)

During the asset master creation, each asset must be assigned to a company code and to an Asset Class.

From customizing, through the asset class entered, the account assignment of the specific asset transactions is determined in the General Master Data part.

From customizing, through the company code & asset class entered, the available depreciation areas of the specific asset are determined in the Depreciation Area Data part.

1.2 Main business constraints

Asset Master


There’s a standard list of asset classes used throughout S&B independent of country or company code. New asset classes may exceptionally be created during the local country implementations only after the approval from the S&B headquarters.

From customizing, through the functionality “Deactivate Asset Class for Chart of Depreciation”, each country for its own chart of depreciation, may block specific asset classes that are not going to be used by the specific country.

From customizing, through the functionality “Chart of Depreciation dependent data”, each country for its own chart of depreciation, may define its own Account Determination & Screen Layout Rule per asset class.

From customizing, through the functionality “Determine Depreciation Areas in the Asset Class”, each country for its own chart of depreciation, may completely deactivate a specific depreciation area for an asset class and also must define the default depreciation area data (depreciation key, useful life, depreciation area screen layout) per asset class.



2 Data business rules

2.1 Global rules

The basic characteristics of each Asset Class are the following : Account determination (accounts used during the asset life) Screen layout Number range Default depreciation characteristics

From the above basic asset class characteristics, only the number ranges are defined cross chart of depreciation. The rest of the asset class characteristics, through customizing, can be differentiated per country (chart of depreciation).

The asset numbers are assigned per company code. Both, Asset numbers and Asset sub-numbers, are internally assigned by the system. The asset number length is 12 digits.



3 Codification rules

The length of the asset number is 12 digits. The assets are numbered according to asset class/account determination assignment. Different

number ranges are assigned to asset classes with differentiation of the 4 first digits of the account determination code e.g. number range 12, which represents asset numbering from 110000000001 to 110099999999, is assigned to all asset classes whose 8 digit code starts from 1100 (“11000000 BUILDINGS – FIXTURES”, “11000001 REVAL. BUILDINGS – FIXTURES”, “11000002 BUILDINGS – FIXTURES”, “11000003 BUILDINGS – FIXTURES” and “11000022 BUILDINGS - PARNASSOS INSURANCE”).

Analysis of an asset and its environmentThis report determines the environment of an asset (master data, annual values, line items, control parameters) in order to facilitate the analysis of problems which might arise.

Incomplete AssetsThis report selects incomplete assets for a specified company code and provides detailed information on their level of completion. The system measures the level of completion using a completeness indicator. This indicator can be used in order to limit the search when the report is started.

Recalculate DepreciationIt might be necessary to recalculate planned annual depreciation in certain company codes or for individual assets. This might be necessary if : a depreciation key has been changed mass changes scheduled by the user have been performed and these

changes affected data relevant to depreciation calculation of subsequent revaluation is necessary (after the legacy data

transfer is closed) using current index figures. In order to correctly calculate replacement values, only index series that calculate historically can be used.

Program RAAFAR00 can be used to recalculate planned annual depreciation (also in test mode). Depreciation is calculated using the depreciation terms that are valid at the time the report is executed. However, recalculation of planned depreciation can only be performed for fiscal years that are still open.

It is recommended to execute report RAAFAR00 before creating the annual financial statement (after all year-end closing postings are made) in order to ensure that all asset values are current.

The depreciation posting program will correct the periodic depreciation for the fiscal year according to the newly calculated annual depreciation and the periodic depreciation that has already been posted.
