Entertainment rates vary based on talent, experience, emcee ability, service, coordination, equipment

needed, music knowledge, mixing ability and personality.

The Disc Jockey/MC you select will be taking on the responsibility of over 80% of the success of your

Wedding Reception and often get paid less than 3% of the total budget. Yet, if the Disc Jockey is a poor

performer, or worse, doesn’t show up, your entire investment is wasted, not just that 3%.

Did you know - A full-service disc jockey company will normally invest 22 to 30 hours to present your

special event? Although it may appear that you are paying for “4 hours”, there is much preparation to be

done to ensure the success of your event! Consultations, music purchasing and editing, preparation, set-

We maintain an extensive collection of music in our library, over 30,000 songs, and our music

CD’s are updated weekly so we can meet any request. From the 1940s to today’s Top 40 hits, we

have all your favorites in Club Dance, Classic Rock, Country/Western, Oldies, Big Band,

Motown, R & B, Disco, Rap, Hip-Hop, Ethnic (all types) and much more. Our library also

includes the music for all the specialty dances such as the Electric Slide, Macarena, Cha-Cha

location two (2) hour prior to start time to set up. We offer non-stop crystal clear music from our

How to Select Your Master Of Ceremonies/Disc

Jockey for a Successful Wedding Reception

We understand that for most people, choosing a Master of Ceremonies and Disc Jockey

is often difficult and confusing, yet the most important decision you will make for your

Wedding Reception. Since everyone claims to be “The Best”, how can you really

determine who is good, and who is an amateur? For a “once-in-a-lifetime” event like

your Wedding Reception, it is in your best interest to start with a professional Master of

Ceremonies & Disc Jockey. Don’t take chances with “a friend of a friend” on the day you

have been planning for months. Although people mean well, their lack of experience

and/or skill will not prepare them to handle unexpected details.

FIRST, a Wedding Specialist is recommended. A Disc Jockey from a nightclub, school

dance, or your local tavern may be great, but they’re not necessarily right for your

Wedding.

SECOND, meet with the Disc Jockey Company, AND the specific DJ & MC you are

considering. The decision on your Wedding Entertainment is not a decision that should

be made over the telephone. You must be certain that you are comfortable with their style

and that the company is a good match for you. After all, they will be representing you at

your Wedding Reception.

THIRD, check the history and background of the Disc Jockey Company. Do they have

references? And don’t just take their word for it, call several of their references and find

out why the client loved their Disc Jockey.

Never base your decision on price alone. You will get what you pay for. If the price is

right, but your Disc Jockey ruins your Wedding Reception due to his lack of preparation,

poor performance, or if he doesn’t show up, that’s how you and your guests will

remember your event. The risks are too great to base your decision solely on price.


The Master of Ceremonies/Disc Jockey Team should

be considered the “Wedding Entertainment Directors”

A common misconception is that the Disc Jockey provides just “the music”. In reality,

the Master of Ceremonies and Disc Jockey team will and must perform the following

duties:

Meeting with the Bride, Groom and Family Members

Creating the Itinerary/Agenda

Coordinating the flow of your Reception with the Caterer, Photographers, and

their vendors

Organizing the Wedding Party, making all announcements including the

introductions and all formalities

Programming and proper timing of music and requests

Creating a fun and personalized dance environment

Performing with interaction at the level you request

Wedding Reception will help you make this very important decision.


A Few Frequently Asked Questions

How long in advance should I book my Disc Jockey? Most reputable Disc Jockeys are booked six months to one year in advance. Usually you

would book your Disc Jockey right after you have locked in your date and booked your

church or banquet facility.

What is a Disc Jockey/MC Interactive Entertainer? Our Disc Jockey/MC Interactive Entertainers are experienced, detail-oriented wedding

specialists who possess an outgoing personality. They are skilled at crowd motivation and

will keep your guests involved throughout your event using just the right mix of music,

dance, and audience participation. Our Disc Jockey/MC Interactive Entertainers will

create the party atmosphere you prefer, whether you choose elegance and refinement,

high energy and excitement or something in between.

What type of attire does the Disc Jockey wear? Our Disc Jockey/MC Interactive Entertainers wear a Tuxedo/“After Five” attire to all our

events. Different attire is worn at the request of the client.

When will my Disc Jockey arrive at my event and are there any setup or

breakdown fees? Our Disc Jockey/MC Interactive Entertainers will arrive 2 or more hours prior to the start

time of your event. This allows sufficient time to unload, setup and sound check. If your

selected venue cannot accommodate the two hour setup required, addition staff will be

required and staffing fees may apply.

What types of music will my Disc Jockey play? Our Disc Jockey/MC Interactive Entertainers will have an extensive selection of music

consisting of Club Dance, Classic Rock, Country/Western, Oldies, Big Band, Motown, R

& B, Rap, Disco, Hip-Hop, Ethnic and much more. We screen our music, so music with

questionable content will not be played. We have everything from the 1940’s to today’s

top 40, so there is something for all age groups. You select the music and we’ll play it for

you.

Will my Disc Jockey play requests? Absolutely! Our Online Event & Music Planner allows you to select your favorite songs

for your “MUST PLAY” list, and allows you to exclude those on your “DO NOT PLAY”

list. If you don’t see a particular song on our list, write it down and we will get it for you.

Our Disc Jockey/MC Interactive Entertainers will take your requests and work them in

with songs he feels will properly motivate your guests. On the day of your event, he will

be happy to take requests from your guests also.


Will my Disc Jockey & MC contact me prior to my event? A meeting will be scheduled 3-4 weeks prior to your wedding to review all the details of

your event, including the proper pronunciation for the introductions, ceremonies, and

specialty dances, etc. We will also review your music selections and make any changes

necessary.

Our office is open every day, but we ask that you please allow additional response time

during the weekend – our busiest days that we lovingly devote to our Bride & Groom.

You should not hesitate to call or email us if you have any questions or concerns.

What is the Booking Process?

We hope you’ll want Heartsong Productions for your special event. Give us a call at

817.228.1100 to see if we are available on your date. We will discuss your exact needs,

complete an Entertainment Agreement and DJ/MC Services Form for you. Simply sign

and return along with your booking fee of $100.00. We will countersign the forms and

return a copy for your files. Until you receive that, please keep a copy for your records.

You may pay by check or money order via mail, or we accept Visa, Mastercard or

Discover payments through our website.

Upon receipt of your signed Agreement, Services form and booking fee (which we apply

to your overall balance), we will reserve your date and time and send you a Confirmation

Email, your log in information for our Exclusive Online Event and Music Planner, and

the Top Most Requested Song List. We would love to also set a time to meet with you to

get more information on your event, and learn how we can help along the way. Before

our final meeting, we ask that you please complete as much of your Online Event &

Music Planner as possible – it will make our final consultation go smoothly, and allow us

to pinpoint spots that still need attention or answers. When we meet for our finalization

meeting, we will work through each detail of your event to create an Event Itinerary and

Master Song List. Final payment is due two weeks (14 days) prior to your event. Please

make checks payable to Heartsong Productions.

Personal Consultations: 3-4 Hours

Our personal consultations with you will cover all aspects of your reception, from the entrance

of your first guest to the final goodbye. During these consultations, we’ll use our creativity and

expertise in Wedding Reception presentation, combined with your personalities, style and ideas,

to create an extraordinary, once-in-a-lifetime Wedding Celebration. Our goal is to allow you to

enjoy your Reception, stress-free, while we take care of all the details.

Enhanced Introductions: 2-3 Hours

Using interesting personal facts and/or special memories from you, we will create customized

introductions for you and your wedding party or special guests, set to music. These personalized

introductions will be set to the music of your choice, which we’ll even help you create. These

introductions can be funny or emotional, it’s your choice.

Custom Voice-Overs: 3-4 Hours

We offer a variety of custom recording options. The Bride and Groom can record special

messages to each other, which we will edit to perfection, and master into the first dance. We will

also re-master the music to customize the instrumental portions to fit your words perfectly. You

may also choose a message from the bride to her father for the father/daughter dance, from the

bride and groom to their parents or guests, messages from guests unable to attend, or many other

variations.

Custom Itinerary: 1-2 Hours

We will create an itinerary for your entire Reception, which will be given to your photographer,

caterer, videographer, and anyone else who needs it. This detailed agenda will be based upon

our consultations with you so that all your wedding professionals are working together as a team

to create your ideal Wedding Reception

Pre-Reception Coordination: 1-2 Hours

We will work with any professionals or friends or family members to iron out any details of the

Reception in advance. Additional photography or video shots, unique arrivals, special songs,

readings, toasts, presentations or performances will be properly orchestrated to fit the flow of the

Reception. This will ensure that no details are overlooked.

Event Preparation, Travel & Set-Up: 4-5 Hours

Normal event preparation begins at our location about four hours prior to our start time.

Equipment is checked and cleaned and the van is loaded, props and specialty items are prepared,

and our arrival is scheduled 2-3 hours prior to the arrival of your guests. Equipment is set-up,

sound checked and customized to the room’s acoustics so that the first guest hears and sees

These unique charts are systemati-cally calculated by analyzing nearly 2 million actual client requests made through the DJ Intelligence music request system over the course of the past 12 months. The requests are com-piled and tallied to create these useful lists. Because of the massive quantity of requests, we believe it is precisely accurate. This is a generalized list for all events ranging from weddings to par-ties. MOBILE BEAT TOP 200

Writing a retrospective on the Mobile Beat Top 200 gave me the

opportunity to pull out my collection of Mobile Beat issues that date back to 2000. Flipping through the issues reminded me of the different ways the industry has changed. For instance, I came across an article from 2000 that explained what an MP3 file is. Nowadays, a 10-year-old kid knows more about MP3s than most DJs did 10 years ago!

Like the changes in technology over the years, there have also been changes in music trends. Obviously many of the clas-sics that have been played at weddings for years will continue to be played at wed-dings, probably forever. However, every year there are quite a few new songs that appear on the Mobile Beat Top 200 list. More often than not, they appear just one year because they happened to be popu-lar the previous year. A good example of this would be “Stacy’s Mom” by Fountains of Wayne, which was on the Top 200 for 2005. I would venture to guess that most mobile DJs haven’t played that song in some time.

Conversely, a new song may find a home on the list for years and years, like “Amazed” by Lonestar. “Amazed” is not only a popular first dance song, but it is also a commonly requested slow song played at any point throughout a wedding reception. As a result, “Amazed” has been on the list since 2000, the year after it was released (in fact, it debuted at #4 on the Top 200 list). Another newer song that has been on the list for quite some time is “Hey Ya” by Outkast. I’ve seen everyone from grandma to the youngest guests get out on the dance floor when that song is played.

SOME THINGS CHANGE, WHILE OTHERS STAY THE SAMEThe most interesting piece of information I gleaned from checking out the last 10 years of charts is how much newer music is on the top 200 list. I would consider anything from the last decade years to be newer. A scan of the current Top 200 reveals a lot of contemporary hits from art-ists like Justin Timberlake, Black Eyed Peas, Rihanna, Usher, and of course Lady Gaga (who has four songs on the list).

Mixed in with the newer hits are the classics, like “Don’t Stop Believin’” (which currently sits at #1), “You Shook Me All Night Long,” “Livin’ On A Prayer,” “Pour Some Sugar On Me” and “Love Shack.”

Something else that is interesting is the placement of long-time party stan-dards like “YMCA” and “The Electric Slide.” On the 2000 list, those songs were #7 and #9. On the 2010 list, they are #41 and & #174. The top line dance song on the cur-rent list is Cupid Shuffle (#17), which gets a good reaction from just about every crowd. Line dancing remains a favorite group activity at receptions; however there’s always a new song of the moment right around the corner, it seems.

The bottom line is that most brides and grooms want their guests to have a good time and dance at their wedding. So, they can use the Mobile Beat Top 200 list, or any of the other top request lists pro-vided by DJ Intelligence (see the accom-panying article for more on DJ Intelligence music lists), to help them create a request list that includes a nice blend of music their guests will enjoy. Or, they can leave it up to you to create a night of great music, featuring the timeless classics and whatever the most popular current songs are, with the help of the Mobile Beat / DJ Intelligence Top 200 list.

had voted on which songs they thought were the Top 200. Although DJs usually based their choices on what they had played most during the previous year, the DJ Intelligence list is more accurate since there isn’t any bias (I’m sure there aren’t a lot of DJs who would vote for “Macarena” for the Top 200 list but believe it or not, it sits at #112 on the current list).

So exactly how are the votes com-piled? A bride uses the DJ Intelligence music request system through her DJ’s website to choose her music for her wed-ding. She can interactively search by keyword, genre, decade or other search parameters. Once she has finished the list, she submits it to the DJ.

Behind the scenes, as thousands of brides around the world are picking their music, the DJ Intelligence system is compiling their requests in a dynami-cally updated Top 200 list. And now the Top 200 list is no longer just for us DJs: DJ Intelligence has included a “most re-quested” button in their music database tool, so, if a bride needs some help picking music, she can click that button and access the Top 200 list.

In addition to the overall Top 200 list, she can also find the top song from every decade from the 1950s to the 2000s by clicking the most requested button. If she needs help with songs for the cake cutting or the garter and bouquet, there are top request lists available for those categories as well. The Power of Primetime Popularity:

The Journey of a Classic

Song

Some songs capture a certain something that keeps them coming back year after year,

or when, most often, a TV show or movie placement brings them back into public awareness after a hiatus of popularity. For older listeners, it’s probably nostalgia that drives the iTunes download (“Ah yes, I re-member that song was our prom theme song...”). But for new listeners, the song must be hitting a musical nerve as well. This may be surprising, considering the sup-posed “generation gap” that exists between people coming of age in different decades. However, DJs would do well to realize the power of online music downloading for connecting younger audiences with many classic hits.

Case in point: Journey’s instantly rec-ognizable arena rock anthem, “Don’t Stop Believin’.” A smash in 1981 (reaching as high as #8 on the Billboard Mainstream Rock chart), the song of gritty hopefulness—“Just a small town girl / Livin’ in a lonely world / She took the midnight train goin’ anywhere...”—captures in a quick, cinematic sweep (complete with sound effects courte-sy of guitarist Neil Schon with his “midnight train” riff in the song’s intro) a scene of des-perate souls on a city street looking for their ticket to something better. But whether or not you pay attention to the story in the song’s verses, the chorus with its title hook is sure to inspire.

The song has been featured in more than 20 different TV shows and movies since its release almost 20 years ago. Two of the most recent TV settings couldn’t have been more different, but the two also had one very important thing in common. The controversial blackout ending of the final episode of The Sopranos and the initial production number in the smash Fox hit, Glee—both provided the song with a place on an extremely popular, even “historical” series episode watched by multiple millions of viewers.
