Introduction

Sites were introduced in Recruiting Solutions 8.9 as a mechanism for customers to control the Apply Online experience (applicant self-service) for any particular audience. By setting up different Sites, customers can segment the jobs that display to an applicant applying via that site, manipulate the text that is displayed (labels, instructional text, etc.), the templates that are used as part of the application process, and a number of other functional elements of the feature. This allows for more focused and targeted recruiting.

STRUCTURE OF THIS RED PAPER This Red Paper provides a basic overview of the set up of Sites and discusses several technical and functional aspects of the feature in the context of some typical implementation strategies. It is intended to be a more thorough, practical investigation of the use of Sites than is available in other documentation, but should not be considered a comprehensive discussion of the feature.

RELATED MATERIALS This paper is a general introduction to Sites functionality. It is important to realize that Sites interacts with all major functional and architectural elements of Recruiting Solutions 8.9 and with PIA security and architecture, and that therefore a solid understanding of PIA, portals, Peoplesoft Security, and Recruiting Solutions architecture is required to properly analyze and deploy the feature.

To take full advantage of the information covered in this document, we recommend that you have a basic understanding of system administration, basic Internet architecture, relational database concepts/SQL, and how to use PeopleSoft applications.

Setting Up Sites

The set up of a Site is very straightforward but very flexible; Sites take advantage of existing PeopleTools and Recruiting Solutions structures to manage the look and feel of the application for each Career site through the creation of distinct Site Ids.

Before you can set up a Site, you must first set up:

Core Row Level Security – this security structure controls which job openings are visible or available to a particular user (both in Career sites and in Recruiting Solutions generally). For more information on setting up Core Row Level Security, please see the PeopleSoft Enterprise Talent Acquisition Manager 8.9 PeopleBook.

Resume Templates – Resume templates control the information that is requested of an applicant and the order or layout in which it is requested. For more information on setting up Recruiting Solutions templates, please see the PeopleSoft Enterprise Talent Acquisition Manager 8.9 PeopleBook.

Portal Definitions – A Career site is defined navigationally within the Peoplesoft Portal structure. This provides flexibility in the presentation of a site, and takes advantage of the page-level security and navigation architecture of PeopleTools. For more information on defining portals and portal objects, please refer to the Peoplesoft Enterprise Portal Solutions and Enterprise PeopleTools People books as appropriate.

(Optional) Resume Extractor Vendor – The new Open Integration Framework in Recruiting Solutions 8.9 allows for the deployment of one or more resume extractor vendors; resume extractors parse incoming resumes and autopopulate data fields based on that information. The use of a resume extractor is not required to implement Sites. For more information on setting up Resume Extractors, please see the PeopleSoft Enterprise Talent Acquisition Manager 8.9 PeopleBook; you will also find additional information on resume extractors and the OIF in several of the red papers listed in Chapter 1.

DEFINING A SITE A Site definition consists of 11 data elements, of which only four are required.

To access the Site Setup page, in PIA, navigate to:

Set Up HRMS>Product Related>Recruiting>Sites A Default Site has been delivered as part of System Data. This is the Site definition that will be used if you do not otherwise set up new Sites or change the default Site ID.

Note: This Default Site (Site ID 1) is delivered on the Recruiting Installation table. To change the default Site, navigation to: Set Up HRMS>Install>Product and Country Specific>Recruiting Installation and on the Installation Options tab in the Apply Online group box, select your desired Default Site from the list of Sites you have defined.

Site Setup page, Site Values

Site ID Displays the ID that you entered when you added a new site ID value. This value is used as a parameter on the URL to direct users to the correct site.

Row Security

Enter a row security permission list. The row security permission list determines the job openings to which an applicant has access. Candidate Gateway uses the same row security structure implemented throughout Recruiting Solutions. This value determines the job openings that are visible/available to an applicant on a particular Career Site by filtering job openings based on department, business unit, country, or location, or a combination of them.

Resume Template ID

Select the resume template you want to associate with this site. If the job opening to which the applicant is applying is associated with a resume template, the system uses that resume template. If the job opening to which the applicant is applying is not associated with a resume template, or if the applicant is not applying to a specific job opening, the system uses the resume template that you specify here. Define resume templates by using the Setup Resume Template component. Besides the Site ID itself and descriptions, this is the only value that is required for a Site. Without a default resume template, the system will not know what information to gather or how to gather it.

Applicant Type

This field is informational, to help administrators tag a site for an intended audience. This does not control the Applicant Type that is assigned to an applicant; that value is determined by the navigation used by the applicant (i.e., if an applicant registers via an External link, the applicant will be created as an External Applicant).

Country Select a country to use for resume extraction. Some resume extractors can use this field as a default in identifying the country of origin for the resume. Define countries by using the Country Table (COUNTRY_TABLE) component.

Default Extractor

Select a default extractor. The system uses the resume extractor that you specify here to extract information from applicants’ resumes. If you do not select a value, applicants can attach resumes but the system cannot extract information from the resumes. Set up resume extractors by using the Setup Vendor (HRS_VENDOR_SETUP) component.

Default SetID

Select a default setID. The system uses this setID to segment or determine the data that is available via prompts on setID-keyed fields. In Candidate Gateway 8.9, the Locations field in Advanced Search uses this value, such that only those locations keyed by Business Units that have a relationship with this SetID will be available. Define setIDs on the TableSet Control page.

Default Portal

Select the default portal. The system uses this portal, and the node associated with the portal, to define the URL for redirection to this. Define portals on the Portal Definitions page.

External ERP Site

When a person is referred by an employee accessing the Employee Referral Program from the current site and if the referenced person is sent an email requesting additional information, they are redirected to the site specified here. For example, Bob, an employee of Megacorp, is browsing the online jobs via the internal employees Careers site when he sees a job for which his friend Jane would be a good candidate. He can refer the job to Jane and an email will be sent to Jane alerting her to the job. The email will contain a hyperlink, but because Jane is not an internal employee, it would be inappropriate and functionally/technically incorrect to send her a link to the job opening via the site through which Bob found it. The link in Jane’s email will be via a site set up for this purpose, as defined here.

INTERNAL AND EXTERNAL LINKS In order to assist customers with the implementation and deployment of sites, the Site Set Up page includes the Test Links group box. These provide an active hyperlink, as well as the full URL which that hyperlink points to as a means to quickly test the validity of the link that is being built out. The URL can be copied for use in linking from an external location or from a newly created CREF. This URL is constructed automatically based on values entered in the Site group box above.

Site Setup page, Test Links The URL, like all PIA URLS, is composed of several elements. The most important of these, for the discussion of Sites, are (using the example above):

The name of the Portal as defined in the Default Portal field. The URL is built based on the node associated with the portal. The node is associated with the portal on the Portal Definitions component. Once the node is known, the base of the URL is defined on the portal tab of the node definition component.

The menu/component combination within PIA toward which this URL points. For internal links the user is redirected to component HRS_CE for page HRS_CE_HM_PRE through menu HRS_HRAM_EMP; for external links, through menu HRS_HRAM. Though the component/pages are identical, logic exists in the feature that modifies functionality based on whether you access the Internal or External link to a Careers site. The link can be used to test the site and the URL can be copied for use in linking from an external location or from a newly created CREF.

Using Sites to Control the User Experience

The small number of variables above, combined with use of the Text Catalog (see below), can provide a great deal of flexibility in determining the information presented to a particular audience, how it is presented, and how it is handled by the system.

SITE DEFINITION VALUES IN ACTION How exactly do the values in a Site definition affect the behavior of a site?

As an example, let’s use the delivered Default site (Site ID 1) to see how changing some of the values changes the experience for the user in Candidate Gateway.

Let’s start with the following settings as a baseline.

With these settings, a user accessing this site will see the following:

Careers Home (Default Site) Notice in particular the Job Openings available to this user via this site – this list (for ease, we will just consider the jobs shown in the Latest Job Openings grid, but the same behavior on a larger scale would be seen while searching for jobs) is controlled by the ROW SECURITY value in the Site Definition (HCDPALL). In this case, all of the job openings that are set up for display to applicants are available on the site.

But what happens if we change that value?

Site Setup, Modified Row Security With a row security set to display only job openings available under the parameter of the core row level security permission list HCDPDEU (a row security permission list filters by SetID DEU01, which in turn is tied to Business Unit DEU01), the list of Job Openings available to the user changes.

Careers Home with modified Row Security in place Another good example of the dynamic way in which the Site definition values change the user experience is in the use of templates. As noted above, the Resume Template defined for a site is used in those instances when a job opening does not have an associated resume template, or when an applicant is not applying to a specific job opening.

Returning to the delivered Default Site (Site ID 1), we see that the resume template included on that Site definition is Resume Template 1000. This template has the following pages and sections defined:

USING THE TEXT CATALOG WITH SITES In many ways, the Text Catalog is the next evolutionary step from the Message Catalog. Where the Message Catalog allows the customer to have a central repository for text objects (i.e., page text or error messages) and frees them from hardcoded text on a page, the Text Catalog allows the customer to dynamically change text on the page based on specific criteria or conditions.

Candidate Gateway makes use of the text catalog in the deployment of Career sites using two criteria: Site ID and Applicant Type (Internal, External, Non-Employee). Combinations of these criteria allow a great deal of flexibility in customizing the experience (in the form of on-screen text) for applicants. For example, users accessing the sites of a multi-company corporation could see different page titles for each of the Apply Online pages when accessing the Careers site for Company B than users accessing the Careers site for Company A. Similarly, external users of the Company A site might see much different instructional text throughout the Apply Online experience than internal/employee users, who might be assumed to be more familiar with the corporation’s application process.

Example of Text Catalog Entry Let’s take a very small practical example. Megacorp uses the Default Site (Site ID 1) as its primary site for internal applicants. Applicants have access to all posted jobs (see Row Security above), and the site makes use of the default text. They also have a separate site for their division in Germany to be used by external candidates (Site ID 5). Focusing again purely on the Job Openings grid on the Careers Home page, the text catalog entry for the Job Postings groupbox might look like this:

Accessibility Compliance

Candidate Gateway meets compliance requirements for both the Americans with Disabilities Act (ADA) and Section 508 standards design and can be made more accessible to people with visual impairment and other disabilities. This accessibility mode requires a specific site setup that is enabled on a per user basis.

Since external Candidate Gateway websites bypass signon and use a guest user, another guest user which has the accessibility setting enabled must be created. This user must then be associated with a new external applicant site.

Your main website should then provide an additional link to the accessibility configured site indicating that this website should be used for users who will be utilizing an assistive technology screen reader.

STEPS TO CREATE AN ACCESSIBILITY COMPLIANT WEBSITE 1) Login as a user with technical administration access. 2) Determine the web profile that you use for your external candidate website.

Some Notes about Real World Implementations

The Sites functionality was developed under the assumption that the direction of traffic to various Careers Sites would take place outside the context of straightforward PIA/Employee Portal implementations The standard HCM Employee Portal navigation includes two Careers links. The internal Careers link is found at Self Service>Recruiting Activities>Careers

This corresponds to the “Internal Link” in Site Setup in that this CREF points to the menu.component structure HRS_HRAM_EMP.HRS_CE. The external Careers link is found at the root level (below the folders):

Utilized purely in the context of the Employee Portal, these CREFs will use the Site ID defined as the Default Site on the Recruiting Installation page as their SiteID parameter. to the Employee Portal and clicking on either of those CREFs in the left hand navigation will see the Careers site as defined by the values in the Default Site setup. So how does a company expose URLs with non-default SiteID parameters to users?

Directing External Users

For external users, the answer is fairly self-evident, in that external applicants by definition do not have signon access to the application via PIA. In this case, a URL would be exposed in some externally facing location, i.e., a public website. This URL would be the External Link to the appropriate Site.

Using an example Site Setup for Site ID = 11, set up to be a site specifically for use by external applicants to Megacorp Software (which is one company within Megacorp Corporation), the URL that could be cut and pasted into the above Jobs at Megacorp link would be: http://megaserver/psp/HCRSDB/EMPLOYEE/HRMS/c/HRS_HRAM.HRS_CE.GBL?Page=HRS_CE_HM_PRE&Action=A &SiteId=11

Deployed in this fashion, the PIA instance will need to have the appropriate security settings in place to allow the bypass of signon to take place (when clicking on the link, the user is not presented with a signon page to enter PIA; rather, they are signed on using a generic login which bypasses the standard signin screen and taken directly to the Careers home page). Directing Internal Users

Internal users will be able to log into the system using their own unique PIA userid and password. When these users access an Internal Link to a site, the system recognizes them and automatically logs them into the Careers Home page. This is, in essence, what the delivered Self Service CREF is – a predelivered internal link. There are several strategies for providing navigation for internal users to a non-default Careers Home page in instances where multiple Sites are being deployed to distinct internal user audiences.

CREFS Within PIA

For deployments that make use of standard PIA navigation paths (the left-hand menu structure), new CREFs can be added to the portal structure that include the Site ID in the CREF Additional Parameters field. The delivered CREF for the Self Service Careers CREF (Self Service>Recruiting Activities>Careers) is shown below:

Delivered Careers CREF The Portal structure will not allow multiple instances of the same menu.component combination. However, the use of Additional Parameters in the Component Parameters groupbox allows the Portal to recognize the entry as unique. For example, adding a CREF to the Careers Home page for Megacorp Publishing (Site ID 11) would look like this:

More practically, permission lists and roles would be defined in PeopleTools security that would provide access only to those Careers links that were appropriate for the individual user so that, for example, employees of Megacorp Publishing might only see the Careers at Megacorp Publishing CREF in the navigation.

Other Possibilities

Another possible strategy might be the deployment of custom pages within PIA or within the Enterprise Portal that includes links to internal Career Home pages. These links would make use of the Internal Link URL as defined on the Site Setup,; and in turn, these custom pages would only be made accessible (via role/permission list security) to specific audiences.

Another possibility is that, similar to access for external applicants, an Internal Link can be made available on a publicly accessible website. In this case, one would not want to employ the bypass signon functionality, since you would want the user to have to login as themselves, not as a default background signin. Instead, per standard PIA functionality, on clicking the link the user would first be required to sign in via the standard PIA signon screen, and upon successful signin would be automatically directed to the Careers Home page as specified by the URL.
