Less is more when it comes to your supply chain.

Tail Management is the strategy of consolidating those suppliers who account for a small amount of your procurement spend but who are large in number (frequently around 80%) and disproportionately time-consuming to manage. This non-critical or ‘tail’ spend often goes overlooked but it is particularly important in the retail sector as, in RetailTeam’s experience, there are substantial savings to be made. Our account management brings structure and control to what is normally an ad hoc behaviour.

OfficeTeam’s GNFR Tail Management service has provided a flexible solution which takes the cost and time out of LVMH’s procurement, and allows the group to enjoy excellent levels of service in relation to next day delivery and the supply of quality products. OfficeTeam manages the existing supply chain, dealing directly with suppliers to improve business process efficiencies and allowing them to benefit from a commercially incentivised cost reduction program.

OfficeTeam actively works with LVMH’s stakeholders and procurement staff to reduce costs across the board and provide specialist product and service advice and support. A dedicated account team is in place to deal with all day-to-day enquiries, orders, returns and product information. Service levels are extremely high and LVMH now enjoy proactive account management across all levels of the business.

Through new product recommendations and product alternatives, OfficeTeam has provided an immediate reduction in spend for LVMH. By leveraging spend across multiple product and service categories and utilising bulk buying capability; OfficeTeam has been able to provide savings of 20% over the incumbent suppliers.

Reduced costs through streamlined ordering and consolidation.

Poundstretcher has over 400 locations and a central warehousing operation in Yorkshire. It needed a supplier that would be able to work alongside its marketing team, providing it with excellent onsite account management to reduce the workload of the Marketing Manager.

The Challenge

Prior to OfficeTeam’s involvement, the 409 stores had to email order requests through to the Marketing Manager; while stock was held in three locations and from three different providers. The ordering process was complicated; deliveries were ad hoc and resulted in

multiple invoices. An online solution with consolidated stock management was a key driver.

The Solution

PrintTeam provided a consolidated and streamlined solution, increasing efficiency and reducing the total cost of print procurement and distribution costs of marketing collateral. Through our multi-vendor supplier base we were able to service all varieties and volumes of work without the need for multiple contracts/suppliers.

Through the introduction of an online ordering site individual stores could order their own required items, with full visibility by the marketing team. Items are charged back to individual cost centres reducing invoice processing time, while our pick and pack facility reduced costs.

PrintTeam’s national logistics platform provides free next day delivery, based on a sustainable cost to serve model, and the full POD facility significantly reduced lost stock.

PrintTeam offers full campaign management and fulfilment to all stores, working closely with the Marketing Manager to ensure all requirements were met with weekly onsite meetings. In addition, stock has been consolidated to one location with weekly stock management and full automated reporting.

‘‘ Hobbycraft StoreOpening Packs

As part of our partnership with Hobbycraft, OfficeTeam provides new

store opening packs to support this growing chain. These packs have been designed to include

everything required to get a new store up and running, aside from the stock itself. Alongside

the consumables, such as till rolls and pricing labels, the kit includes staff

uniforms and furniture items as well as janitorial supplies such as

washroom dispensers.

saved significant procurement and management time.

NEW STOREOPENING PACKS

At RetailTeam we invest a lot of energy in product and service innovation to enable our customers to trade more effectively. That’s why we offer customers a unique New Store Pack which includes everything the busy retailer needs before opening its doors. Each pack is designed to meet each store’s specific requirements and ready-made packs are then held in stock and available at a moment’s notice; or packs can be made up once we are informed of the store opening date (this is also useful if different stores have different requirements).

Typically, we work closely with Retail Operations to ensure we are included in any ‘new store’ information. This gives us advance warning of upcoming plans and ensures we are fully aware and fully prepared for each opening.

RetailTeam has a proven bulk-ordering capability. As a single source supplier for many of our retail customers, we manage the ordering and replenishment of huge volumes of stock on their behalf.

Our expansive warehousing capacity and SO99 inventory management system give us the ability to meet regular, ad hoc and emergency demand. The system uses past data and identifies seasonal trends to forecast future demand, so we can replenish stock based on your usage. We run daily re-order reports and when a stock item reaches its pre-agreed re-order level, we’ll use this data to ensure the most cost-effective amounts are replenished based on past and future demand. You’ll receive a weekly stock report detailing all stock lines, the current stock levels, the last six months’ usage, the value of slow-moving stock, monthly demand patterns and any items that need replenishing. In addition, real time stock reports are available via our online ordering portal. To reduce your capital outlay, and improve your cash flow, we can offer a shelf stock agreement by which we’ll underwrite your stock. Typically, we hold three months’ unpaid or up to six months’ paid stock which we’ll hold for free in our warehouses.

The Challenge

With 2,300 betting offices in operation, William Hill is one of the UK’s largest bookmakers and a FTSE 250 company. Previously, it had run its own national distribution centre to keep its betting offices stocked and used a third party carrier to transit items to shops. However, this approach generated significant operational and carriage costs which could be eliminated by outsourcing this entire service to OfficeTeam, using our warehousing and logistics network.

The Solution

We now operate an end-to-end supply solution on behalf of William Hill. We source the goods, stock them at our warehouses, prepare consignments for dispatch

and then deliver them direct to stores, saving William Hill the overheads and administration every step of the way.

We now handle over 150 orders each day from William Hill, delivering to over 2,000 sites a month. The range of goods we source and supply spans everything the betting offices require for trading, such as betting slips, cleaning materials, refreshments and display items. We source these goods from a variety of suppliers who we manage on William Hill’s behalf, trading with several of its own existing specialist suppliers where there is a preference.

Our commitment to delivering a reliable service to William Hill is supported by our service level agreement. The agreement includes an order fulfilment rate of 98%, critical stock penalties and a query resolution within four hours.

Working with OfficeTeam our outsourcing project has been a success, we have been able to reduce our operational costs considerably and rationalise our supply base whilst still having some control over where our product is sourced.

OfficeTeam has presented savings on key product lines which will deliver further financial benefit in the forthcoming months.

Moving our operation into OfficeTeam was a considerable project but we were well supported by the Account Management team and the implementation went very well.

The Challenge

As part of their growth and increase in staff numbers, New Look required more furniture which needed to match existing items. Furthermore, it wished to create a new comfortable environment for staff to relax in during their scheduled breaks. New Look required robust, quality items of furniture in keeping with its existing corporate identity underpinned by a responsive, flexible and proactive service.

The Outcome

The team was forward-thinking and able to draw upon their experiences to execute the task effectively. We had a new café area designed and built, as well as a complete re-vamp of our storage areas complete with replacing all the desks which in itself was a project to the value of £100k.”

CASE STUDY PAPA JOHN’S

Papa John’s

Papa John’s is a successful pizza company with over 4700 restaurants and they have baked, produced and delivered pizzas in 37 countries and two U.S territories. John founded the company in 1984 and last year it celebrated 30 years in business. It continues to drive the pizzeria world by developing and always trying to bring new ideas to improve what they do.

As one of the first to offer online ordering, today, over 50% of all of their pizzas in the UK are ordered online. This ensures its customers are given a better pizza experience.

The Challenge

Papa John’s was about to launch its 300th UK store in style, and to do this they decided to hold a Guinness World Records Official Record Event beside Tower Bridge with 338 people tossing pizzas simultaneously. Each member of staff required a uniform; a total of 400

red t-shirts and 12 green t-shirts to be exact. With very strict branding guidelines from both Guinness World Records and Papa John’s, they needed a company which was reliable and could provide a quick turnaround as the clothing was needed for the Guinness World Record event 14 days hence.

The Outcome

With expert industry knowledge, WorkwearTeam was able to provide Papa John’s the service it required. As this project involved great complexity, advanced technology was used to create each t-shirt with prestige. This involved Screen Printed Transfers for theback of the t-shirts, and digital transfers for the front left breast, as this contained an image of Papa John. This enabled fast turnaround of over 400 Papa John’s t-shirts.

The final outcome was t-shirts of superb quality and with high praise given from both Guinness World Records and the team at Papa John’s.
