COVER LETTER CHECKLIST LAYOUT/FORMAT
Use standard business format (see template on reverse), and double-space between paragraphs.
Cover letters should be one (full) page in length. Use formal writing style (no jargon, and don’t transcribe your speech). Spelling,
grammar and punctuation should be flawless. Document should be tailored to specific company and posting- employers will not read
“templates” (it usually takes most managers only 10 seconds to recognize if the letter has been tailored).
Schedule an appointment with Ivy Tech Career Development to have your writing critiqued and to receive suggestions for improvement:
HEADER Include your address (or copy the IDENTICAL header from your resume, to create
“stationary”), the date, the company name and full address, and the greeting. TIPS from the company representatives and managers:
o ALWAYS include the company name and FULL ADDRESS in the header. If the street address is not included in the job posting, search the company’s website for the information. If the company is hiring student candidates for multiple locations, use the corporate headquarters address as the default.
o Most job postings will not contain a contact name. It is appropriate to address the letter using To Whom It May Concern OR Dear Hiring Manager. (Do NOT use Dear Sir or Dear Sir/Madam)
OPENING PARAGRAPH: Explain the purpose of the letter, and include the job title and position type (e.g.
summer, Co-op, entry-level) to which you are applying. Do NOT write “I am applying to your position” – instead, write, “I am applying to (Company)’s position…” Use the employer/company name in the letter to prove that the document has been tailored.
Source of the job posting, e.g. company website, Hire Ivy. State the reason for your interest in the employer and the job. Demonstrate that you
have conducted employer research – such as indicating that you have reviewed the company website and are impressed with… (Fill in the blank). TIP from the company representatives and managers: Including employer research in the first paragraph proves that you have tailored the letter, and that this is not a “blanket” submission to the posting.
MIDDLE PARAGRAPHS: Use the keywords – both technical AND soft/interpersonal skills – from the posting in
your cover letter. Many employers now use electronic keyword searches to retrieve applications from electronic submissions.
Prove/demonstrate your abilities, experiences and skills by including concrete and specific examples.
Keep the letter positive- never point out your faults. If you do not possess certain skills listed in the
job posting, do not mention in the cover letter (address this at the interview instead, at which you may speak about the situation in a more positive manner).
Use the first middle paragraph to discuss your relevant academic (technical) experiences, and the second middle paragraph to emphasize your soft skills developed through project work, part-time/summer jobs, extracurricular activities and/or community involvement. Bullet points and/or bolding of keywords may also be considered.
CLOSING PARAGRAPH: Include details on ways in which you can be reached for an interview – telephone
number and email address. Inform employer how and when you will follow up about your application (if you have contact information for a specific person).
Include a line to thank employer (e.g. thank you for your time and consideration). Double-space after the closing paragraph, type “Sincerely,” then double-space and type
your full name (for paper copies, leave space before your typed name for a signature); if your resume is being submitted with the letter, double space and type “enclosed” –all left-aligned. Sign the letter (paper copies).

Writing a Professional Resignation Letter
Resignation letters are a professional courtesy that officially documents your departure from a place of employment. It may aid in securing a favorable letter of recommendation in the future. Considerations:
If you are quitting to move jobs, be sure you have a true offer from the prospective employer or you have formally accepted the position.
o Notify your current employer first verbally then with your resignation letter. Be sure you do not discuss plans or thoughts of leaving with other employees before
talking with your employer. This is unprofessional and will undermine the professionalism of your resignation letter.
Standard practice is to give the employer a two-week notice of resignation. o You may want to allow more time if your position requires specific skills or
training. This is a professional courtesy to extend to your employer as they work to find someone else qualified for the position.
o Be sure to consult your employee handbook to see if there are specific or additional requirements.
The letter should be given to your immediate supervisor. Formatting: Spacing
