A Message from the Dean

I’d like to extend a warm welcome to all new students. We are delighted that you have chosen to study in the Faculty of Engineering & the Built Environment at UCT, and trust that your time at UCT will be both enjoyable and rewarding.

Although the most important challenge facing you in the long term is to be successful and graduate, our experience is that the pressing issues on the minds of new students usually relate to matters such as the timetable, textbooks, venues for lectures, etc. You will find the answers to some of these questions in this booklet and will receive further

information in due course from relevant departments. Transferring students will also need to consult student advisors in their respective departments.

I encourage you to make good use of all the activities arranged in the Orientation programme, which will introduce you to the academic, social and cultural environment here at UCT. Please familiarise yourself with the programme timetable and participate fully in order to gain the most from it. If you have any questions or problems, don’t hesitate to ask for help at the Faculty’s Orientation Help Desk in the foyer of the Menzies Building, or from one of the EBE Faculty Orientation Leaders who may be identified by their green T-shirts.

While we aim to provide you with a top-quality education, success in your studies depends largely on how hard you are prepared to work. Regular attendance at lectures, completion of assignments on time and taking full advantage of whatever study opportunities you have will all help you to succeed. We will do everything we can to help you on your way. Please make use of the services that have been specifically set up to help you. The Programmes offered in the Faculty will challenge you intellectually, emotionally and physically, but the rewards to those who succeed are great!

EBE ORIENTATION PROGRAMME 2012

The Orientation programme has been designed to introduce you to the academic, social and cultural environment here at UCT. It is important for you to participate fully in order for you to make the most of it.Each department has their own orientation programme and you will find a copy of your programme in your folder.

Each programme will include:

• A welcome and introduction to the department you will be studying in.• A safety talk – campus protection services will talk to you about security issues on campus

and provide advice on how to deal with various situations.• Student Life – the different societies and services that are offered on campus.• Financial Aid talk – for those students who will be receiving financial aid, to explain how

financial aid works, when you get payment, book money, etc.• Home Room – important messages will be given to you, preparation for registration and

some fun skits from the orientation leaders.• Nuts & Bolts – explanation of the EBE handbook – covering essential rules, explaining

terms/jargon, course codes, credits etc.• Zero Harm – how to protect your health while on campus and what services are available

to students.• Diversity – celebrating and understanding diversity on campus.• Amazing Race – finding your way around campus.• Library Tours – how to use the main library and where you find the Engineering & Built

Environment section. Students need to sign up for these tours at the Help Desk in the foyer, 3rd level, Menzies Building.

• Departmental Activities – getting to know your department and what will be expected of you as well as meeting your mentors.

Orientation Information

The aim of the orientation activities is to help you to meet people in your first few days at UCT, find your way around the campus and to introduce you to a variety of issues that are important for you as a person and a student studying at this University. The next few days will be busy, but should be fun and rewarding as well. We urge you to make full use of this time.

The volunteer student Orientation Leaders are trained to facilitate the process of helping you adjust to your new environment and to answer questions as they arise. Please get to know them (identifiable by their green T-shirts with ‘Orientation 2012’ and nametags round their necks) – they are there to help YOU.

Computer Literacy Skills Assessment During Orientation, all first-year UCT students take an online computer literacy skills assessment.

Why is this done?

To evaluate the level of computer literacy among new students arriving at UCT.

To help improve the computer skills of students who have poor computer literacy by offering them additional training.

What does it cover?

The assessment covers the basics of using a PC, Microsoft Windows XP, Word, Excel, PowerPoint (2007) as well as the internet and email. It consists of 50 randomised simulated questions which you need to complete in 40 minutes.

Is this an examination?

No, this is not a test or an examination.

How does the scoring work?

If you score less than 60%, you must participate in the follow-up training provided by your Faculty.

What if I haven’t used a computer before?

If you haven’t used a computer before, you can opt out of the computer literacy assessment, provided you commit to participating in the follow-up training provided by your Faculty.

How can I brush up on my computer skills?

Go to vula.uct.ac.za and navigate to My Workspace > LearnOnline where you’ll find a list of self-training courses and manuals.

Enquiries:

Details of the assessment and training will be communicated to you via your Faculty.

If my computer literacy skills are good enough, do I have to do this assessment?

We will consider you for exemption if you produce evidence that your computer literacy skills are good enough. This may be in the form of an international computer driving license or a school certificate or report that indicates proficiency in using computers. Show such a document to the head tutor in the computer laboratory and he/she will consider you for exemption.

Laboratory Safety Lecture (compulsory)

If you do not attend this laboratory safety lecture, you will not be permitted to use the laboratory facilities at UCT. This will prevent you from participating in important parts of your courses, so make sure you attend the lecture as scheduled.

Registering as a student at UCT

Registration is the process through which you officially become a student of the University, and involves the following steps:

1. SIGNING UPArchitecture and Geomatics students will be registering in their departments. Registration for the other departments will take place in the Design Lab, 2nd level in the Menzies Building. During the home room session, department staff will assist you in completing the pre-registration and curriculum form. You will need to keep these forms with you and take them to the Design Lab when your department is going to register.You also require proof of identity (RSA ID/Passport). Your curriculum form needs to be signed off by the Academic Advisor. WITHOUT THESE FORMS YOU WILL NOT BE ABLE TO REGISTER. Once you have registered you will be given a proof of registration which you can take to the Card Production Centre to be issued with your student card. (Students in residence may have already obtained a student card.)

2. OBTAINING YOUR STUDENT CARDYour student card is electronically encoded to allow you access to library and photocopying facilities and specified academic buildings. It is important that you get your card as soon as possible, but please plan this at a time that does not clash with any of the compulsory activities you are required to attend. Student cards are issued at the Card Production Centre, Basement Level of the Robert Leslie Social Sciences Building (08h00 – 16h00). Residence students on middle campus may, as an alternative, obtain their cards from the Baxter Learning Centre, Baxter Hall.

If not, a fee of R60.00 for a replacement will be charged (payable at the Cashier’s Office, Level 3, Kramer Building, Middle Campus). The Card Centre in the Leslie Bldg. will issue a new card on production of the proof of payment receipt and positive ID (driver’s licence, passport or ID document). NB! Remote card stations cannot issue replacement cards.

CHECKING YOUR REGISTRATION DETAILS ONLINEIt is your responsibility to check that your registration details are correct. You should do this during the first week of term by logging onto the UCT website. Check that your courses are correctly listed and report any errors to your Department/School as soon as possible. Make a habit of checking these details each semester as long as you are at UCT. You can also check your fee account balance on this page. Access your details as follows: • from a browser go to the URL http://www.uct.ac.za• position your cursor over the “Current Students” tab at the top of the page• click on “Undergraduates” on the drop-down menu• click on “Online services & resources”• click on “Student Administration Self Service (PeopleSoft)”• enter your Network login name and password and click on “login”• You will go directly to your “Student Centre” where you can navigate to “Proof of

Registration”.

Accessing the Student NetworkAll computers in the EBE computer labs are connected to a Network, and students registered for any course in the EBE Faculty will automatically have their login account enabled for these labs as well as for general computer stations around the University. You will have been given a student number and an initial password with your original letter of acceptance to UCT.

The login ID which enables you to log in to this network is your student number, followed by this password; however, if you have lost or forgotten your password, don’t panic! – see the Computer Laboratory Supervisor, Theo Armstrong (office in the Red Lab, Level 5, Menzies Building), to obtain a new temporary password.

NB: A printout of your registration details from this source may be used if you need to produce proof of registration for a sponsor or other third party.

CHANGING OR UPDATING YOUR REGISTRATION DETAILSTo apply to change your curriculum (adding or dropping courses, changing programmes, etc.) you need to complete the prescribed form which you can access and print out from the student portal on the UCT website (http://www.uct.ac.za/). See the above paragraph “Checking your Registration”; from “Current Students” drop-down menu, click on “Undergraduates” and then on “Curriculum and course changes”. Print out the form and take it to your Department’s student advisor to obtain approval for the change.

Please check the Dean’s Notice Board in the Menzies Building (Third Level) for deadlines regarding curriculum changes. Changes cannot be made after the deadlines have passed! The deadline dates are also given in your copy of “General Rules & Policies”, Handbook No 3.

CHANGE OF ADDRESS If you change your address after you have registered, you must ensure that the University is informed of the details. This includes your term-time, home, fee and next-of-kin addresses. You MUST do this through the UCT Home Page. Access by following the instructions under “Checking your Registration” .

Please note that you are responsible for keeping UCT informed of any change of address.

CANCELLATION OF REGISTRATIONIf you wish to cancel your registration for the year and not return to UCT next year, you must complete a cancellation form obtained via the Student Self Service (see Change of Curriculum). The completed form must be submitted to the Faculty Office with your registration card. The date the form is submitted will be used to determine whether you are eligible for any fee rebates. Inform Student Housing as well if you are in a residence.

PAYMENTS/REFUNDS TO STUDENTSPayments to students will only be made to valid bank accounts. If you expect to receive any sort of payment from UCT (e.g. Financial Aid, bursary advance or other form of refund) you must provide UCT with your active bank account details, via the Student Self Service System.

STUDENT EMAIL AND VULAAll registered students get a UCT email address, taking the form ‘[email protected]’. Check your UCT email account and the Vula* website regularly (see below) as administrative and academic departments will post information here and/or email certain information to you. Access Vula at www.vula.uct.ac.za and then log in with your student number and password.

Some sites on Vula may simply post announcements, course outlines and assignments. Others may include interactive elements like a discussion forum or a rich resource directory. Even more complex sites might make use of all of the above, plus a full testing module and online marksheet.

ASPECT (Academic Support Programme for Engineering)

The transition from school to university is proving to be a difficult and even traumatic one for increasing numbers of students. The quantity of work, the pace at which material is covered and conceptual complexity are all greater than you have experienced at school, even though some of the topics covered appear the same.

It is therefore important to begin the year working hard (even if some of the early material does seem familiar), and get used to the long hours and dedicated practice that will be required of you.

Experience from the past few years, and particularly last year, has persuaded us that many of the incoming students would be better off taking a reduced load in their first year and planning the curriculum over a 5-year period. You may find that early in the semester you are already recognizing that the work is delivered at a pace that is too fast for you and you are struggling to adjust to the demands of university courses, generally battling to understand concepts and solve the problems.

If this is your experience, please consider reducing your workload and extending your period of study by changing to the Academic Support Programme for Engineering in Cape Town (ASPECT).

ASPECT is the first year of a planned 5-year engineering degree programme with significant additional support activities. First-year ASPECT students register for two-thirds of the full degree programme requirements in their first year, which means a reduced workload in first year.

If, before the first term starts (during Orientation Week), you already think that you will not cope with the regular load, you can come and talk to us and possibly start on the ASPECT programme. If you would like to discuss your options, contact Mr Pierre le Roux, Room 317, Elec-Mech Building ([email protected]).

What is the Writing Centre? The Writing Centre offers a one-on-one consultancy service to students who need some advice about their academic writing. You are able to visit the Writing Centre with a full draft of an essay, or with notes to discuss an initial plan. The Writing Centre gives you the opportunity to chat about your writing to an attentive and non-judgemental reader. In this way, you can explore new ideas, make sure that your argument makes sense, and work towards more effective writing. In addition, we can help with some general academic conventions like referencing, proposal formats, and so on.

The Writing Centre also identifies and analyses the language and learning difficulties in student writing in order to provide feedback to departmental staff. We collaborate with various departments who are interested in developing their students’ writing skills.

Mentorship Programme for first year studentsMany first year students find it difficult to adjust to life at university. Familiar sources of support are no longer there to help ease the transition to an unfamiliar environment. The first weeks on campus can be a lonely time. You might get homesick. You may struggle to form friendships. University classes are a great deal more difficult than high school. Managing your time, right from the start of the semester is a crucial skill that you need to develop.

To assist you to settle in and to cope with new challenges, the Faculty has implemented a system of mentoring of first year students.

Each first year student will be assigned a mentor from their department in orientation week. Your mentor will help you to make sense of life at UCT. You are expected to meet with your mentor regularly during the first semester, especially the first few weeks of term. Expect your mentor to meet with you in the first few weeks of term and arrange how additional meetings will take place. Your department will inform you of who you should approach with any questions about the mentoring programme.

A mentor is not a tutor – academic assistance is handled in class or in tutorials by a lecturer or tutor. Your mentor is there for informal support, advice, information and referral. Your mentors are senior students who have successfully survived the first year of the engineering degree. Make use of this valuable resource. Whether struggling in class or with a personal issue, it is important to speak to someone. Do not leave any difficulties unattended – resolve them as soon as possible.

EBE Student CounsellorThe faculty has a dedicated student counsellor, Nazeema Ahmed, who is a clinical psychologist. She can be contacted via email at [email protected]

Practical training during vacationMost programmes in the EBE Faculty include requirements that students undergo some form of practical training at different stages of the degree.

During the year your Department will give you details of the practical training requirements for first year students. However, if you have any questions, you can consult the following staff members:

The EBE Student Council (EBESC)The Student Council (elected each year by the student body) is concerned with promoting the academic and social interests of the students they represent. It plays an important role in the Faculty and meets quarterly with the Dean to report on the general feeling and concerns of the student body. Members of the EBESC sit on various committees in the Faculty where their input is valued and taken into consideration.

The Class Representative System: The aim of the class rep system is to better represent all EBE students and their interests. The breakdown of the structure is as follows:

Five representatives per department are elected annually for the following portfolios: Academic, Facilities, Events, Information Technology, and Outreach.

Class representatives are part of a portfolio committee chaired by the respective EBE Student Council member.

The EBESC also organises events such as Rag float building, networking events, outreach programmes and the annual Graduation Ball. Further information concerning the Council is obtainable from the EBESC Office, Room 336, Menzies Building.

ACCESS TO THE UCT NETWORK

After applying to study at UCT you will receive a username and password which allow you to access services on the UCT network.

Log in using your username + password.

INTERNET ACCESS

Internet usage is monitored at UCT. You are required to log in before accessing the Internet. When prompted, type in your [email protected] and your password.Ensure that you abide by UCT policy and rules on email and Internet use and respect copyright laws.

Username & password gives you access to:• F: drive – 50MB for personal use• G: drive – Shared network space for coursework• The UCT network and the Internet from a student

computing lab or from a Wireless access point.

UCT provides free access to McAfee anti-virus software and to operating system and application patches. This ensures that your machine is always secured and protected.It is a requirement that your PC is kept up to date with the latest security and anti-virus patches, otherwise it will be removed from the network. New vulnerabilities are regularly discovered – to protect your machine you must update your anti-virus EVERY day.Patches downloaded from the patch-management systems do not count towards your Internet quota.

Your UCT email account is the official means of communication from the university to students. Delete old mail so that your mailbox does not become full, otherwise you won’t be able to receive new mail.

Students are not included in the UCT Campus Licence Agreement with Microsoft, and may therefore not borrow the Microsoft installation disks.

Examination Timetable: The University publishes one provisional and one final examination timetable. These are placed on the Dean’s Notice Board in the Menzies Building (Level 3) and on many other notice boards on the campus. Check the provisional timetable carefully for clashes in examination dates. Clashes in the provisional timetable must be reported to the Exams Office, Kramer Building. This is your responsibility! Also check the final timetable for any changes that may have occurred between the provisional and the final versions.

Financial Aid: If you have been offered financial aid, or wish to apply for financial aid, and would like more information, contact the Student Financial Aid office (Student Admin Bldg, Tel 021 650-2125, Email [email protected]). Please note that the closing date for renewal applications is 31 August of each year.

International students: the International Academic Programmes Office (IAPO) deals with all issues relating to international students – visa and study permit renewals, fee enquiries, advice on health insurance, work permits, accommodation, etc. IAPO is located on Level 3, Student Admin Bldg, Middle Campus. Lockers: Engineering students may hire lockers on Level 3, Menzies Building from the EBESC. Locker permits are available from the EBESC Office and the Orientation Week Help Desk.

Architectural Studies students are provided with a lockable drawer at their work station.

Lost computer passwords: If you forget or lose your computer password, you must see the Computer Laboratory Supervisor, Theo Armstrong (office in the Red Lab, Level 5, Menzies Building), to obtain a new temporary password.

Lost property: If you lose anything, first check with the cleaners and building supervisor of the relevant building, then try the Lost Property Office at Campus Protection Services, Room 104 in the basement of the Robert Leslie Social Science Building.

Notice boards: Each Department has a notice board on which information about courses is displayed. It is important to find the board that is used to display information for each of your courses. Faculty information is displayed on the Dean’s notice board in the Menzies Building foyer on Level 3.

Parking: First-year students are not allowed to bring motor cars onto the campus or residences. Motorbikes are allowed but a special parking disc must be purchased from the Traffic Office (Blue doors above the P14 car park, Ring Road, on the South side of the campus). There are 58 numbered car bays up at Rhodes Memorial for which a first year student may purchase a disc from the Traffic Office.

Photocopiers: There are photocopying facilities in the Library. The UCT Document Centre (next to Chancellor Oppenheimer Library, Tel 021 650 3372) offers a range of services including photocopying, colour copying, ring binding, and copying on transparencies. You can also pay for photocopy credits to your student card here, which can then be used at photocopying machines at any library on campus.

Public Telephones: There is a public telephone on Level 3 of the Menzies Building near the Glass House and Level 2 of Centlivres Building, and many others throughout campus. Phone cards may be purchased from the Post Office and Campus Store.

Readmission Requirements: There are academic requirements that you must meet in order to be permitted to register in the faculty next year. If these requirements are not met, you may not be allowed to re-register (see Rules F.B. 8.1,8.2, 8.3, 8.4 and 8.5 in Faculty handbook).

Transport service: the Jammie Shuttle is a scheduled bus service available 7 days a week, and includes a late night service. It operates between all residences (main terminus at Leo Marquard Hall on Lower Campus), campuses and local public transport terminals. The service is free to all UCT students and staff. Timetables are available from the Traffic Office or on the UCT website via the Staff and Student Portal.

Student Wellness Service: Full-time students are entitled to use the University’s facilities for medical consultations, eye-testing, HIV-testing, contraception, sports injuries, physiotherapy, psychological counselling and assessment. Students not receiving financial aid pay medical aid rates for consultations, but certain services are free. (Located at 28 Rhodes Ave, Mowbray, Tel 021 650 -1020/1017 for an appointment.)

ENGINEERS WITHOUT BORDERS UCT

Engineers without Borders (EWB) UCT is a platform for students from the EBE Faculty (including architects, urban designers and city planners) that allows you to practically apply the skills acquired in your courses to real-world problems in underserviced communities.

EWB UCT serves the dual purpose of making engineering and design a medium through which the pressing issues of poverty and sustainable development are tackled, while simultaneously instilling social consciousness into the work practice of students.

EWB’s strength lies in it being a networking body. We see ourselves as the link between communities, engineering and built environment students, professionals and UCT academics. In addition to that we span the entire EBE faculty, connecting all departments and all years of study – from first year to postdoctoral. This network will enrich your varsity life, while EWB projects will contribute a valuable practical aspect to your degree.

The projects we run are specially tailored to work around your busy academic timetable. They range from short-term projects that can be implemented over a weekend, to longer holiday projects and in-depth research projects spanning the entire year.

Signing up as a member does not oblige you to be actively involved for the whole year. However, it gives you the opportunity to join a project that interests you and suits your time commitments, while keeping you informed about speakers and events hosted by EWB.
