Introduction RentalRelations.com has been designed to be a useful, practical tool to make managing your properties and tenants a less stressful and easier experience. If you have any specific questions regarding our software, which are not covered in this manual, please do not hesitate to contact our Helpdesk team on [email protected].

Starting up

What information do I need to get started? Information relating to your properties can either be typed into the RentalRelations.com system or documents can be scanned and uploaded. We recommend you scan and upload your lease and inventory as standard. You will also require your tenant details and their email address.

How to login to the RentalRelations.com system

Logging into the system is simply done by typing your username and password into the login window found on our homepage. Please note you need to tick the appropriate box as to who you are, for instance if you’re a landlord you need to tick the landlord box and then submit your username and password.

How to change your details

Editing your account Once you have logged into your secure area you will be presented with your Member Panel. This is the homepage where you can navigate through your information.

You will be presented with a number of tabs from which you can amend your details as necessary. We recommend you change your username and password every 4 weeks to safeguard your information (as you would an email account such as hotmail / gmail etc).

Lost username / password If you have lost or cannot remember your password you can simply click the “Forgot Password” link underneath the login window. You will then be asked to type in your username. Once this has been done an email with your login details will be sent to your personal email account. If you have forgotten both your username and password please contact us at [email protected].

Renewing your subscription A month prior to your renewal you will find a tab appear on your Administration Panel (see above) you can renew your subscription through this, or alternatively through our email reminders which will be sent through to your personal email account on a regular basis until date of renewal.

Your property details

Adding a property / Uploading details Once you have subscribed to RentalRelations.com you are ready to upload a property. You simply input any information you have on your property in the appropriate area. Your property data can be uploaded through the “Enter your Property data here” button. Files can be uploaded in the normal manner (by clicking browse you can select the document and upload into the system). If you want to add an extra property to the system then you simply click the Add Extra Property button on your Homepage.

Amending property details During the tenancy you may require to amend / add certain details. This can simply be done by overtyping / replacing the original documents. Please note however any new uploads will be date stamped therefore highlighting any changes to the property information.

Buying an extra property to add to your RentalRelations.com portfolio If you wish to add a new property to your RentalRelations.com portfolio you can simply click the “Add an Extra Property” button on your Administration Panel. This will enable you to add more properties to your online portfolio.

Your Tenants

Adding a tenant to the system During your input of a property you will see the Property Users window. This is where the tenant information is required to be submitted. When you have updated the property using an the update button on this page an email will be sent to your tenant with their username and password.

Editing a tenants information on the system This can be done by simply overtyping the information on the property detail screen (as shown in the picture above).

Removing a tenant and replacing them with a new tenant When you need to replace a tenant you can simply change the tenants’ details (as explained above) and upload new information. Please note any changes made to information uploaded will be date stamped.

Tenant access – what information do you want to publish to your tenants? You can show your tenant any information you want by simply ticking the “show to tenant” box located on each element of your property detail screen.

Update Button When you are happy with the information you have provided and want to save it, you need to click the update property button at the bottom of the page. This button effectively saves the information to the system. You will then be presented with another window asking whether you simply update, or update and email your tenant with changes / details. Once you have selected an option your details will be saved to the RentalRelations.com system.

Your property contacts You can save property contacts to your RentalRelations.com system and allocate them to your property. These contacts can be used both for you as a private reference point but also can be shared with your tenant. Many of our clients use this feature when away on holiday (notifying the tenants through the system that the numbers are available) in order to ensure all information is available to their tenants should they need any help. ie for any maintenance numbers etc.

How to add a property contact – the Useful Property Contacts button This is where you can input all of your property contacts. If you have multiple properties you can assign contacts to a specific property.

How to make these contacts available/unavailable for my tenant to see The contacts can be shown to tenant through the useful property contacts screen, by simply ticking the “show to tenant” box.

System comments & communication Property comments can be made through the Administration Panel (by clicking on the Property Comments button), or through the comments tab on the property detail screen. Once a comment is made by any party, it cannot be removed or altered in anyway. The reason for this is that each comment is date stamped to reduce miscommunication. Bearing this in mind, care must be taken when submitting a comment. When a comment is made an automated email is sent to the receiving party’s personal email account detailing the system message. All property comments can be viewed through the Homepage button (as shown above) or specific property comments can be viewed through the Property Portfolio button.

How to submit a comment A comment can be submitted by clicking on the Create Comment button on the Comment screen.

How to reply to a comment If you are replying to a comment; then when viewing the comment click on “detail” this will then allow you to respond to the specific comment, as shown below.

General information and points to note You will find that throughout your subscription updates will be made to RentalRelations.com software in order to enhance your experience and provide extra services. In addition to this basic help you will find that throughout the software many shortcuts are available which will enable you to navigate around your portfolio swiftly and efficiently.

It must also be re-iterated that any amendments to the property information will be date stamped so all parties are made aware of changes.

Whether you are subscribed as a landlord and property manager the underlying system is the same. The fundamental difference between the two is simply that the property managers manage landlords, properties and tenants whilst landlords on the system manage properties and tenants.
