Registration Requirements
1. Please bring along the following documents in original and photocopies (attested / self-attested).
a. Class X Mark Sheet & Passing Certificate (in case of improvement both the mark sheets
(Old and new should be submitted)- self attested
b. Class XII Mark Sheet & Passing Certificate (in case of improvement both the mark sheets (Old and new should be submitted )- self attested
c. Graduation Mark Sheets and Certificate (Those appearing/appeared in final year/semester examination should submit mark sheet of the last semester passed)-For Post Graduate Programs (If original degree is not awarded than original provisional degree to be submitted)
d. “ Sthai Niwas Praman Patra ” of the Uttarakhand State (if UK domicile applicable)
e. Income Certificate of the parents, if point d is applicable (in case of UK domicile)
f. Medical Certificate ( From Regular Medical Practitioner / MBBS & Equivalent )
g. Migration/Transfer Certificate
h. Proof of full payment of first semester course fee.
i. AADHAR card and Income Tax PAN Card of the student taking admission in MBA would be required. (Please refer point 18 of Rule 114B of Income Tax Rules).
j. Five recent passport size photographs.
k. Online registered Anti Ragging Affidavit form duly signed by parent and student (Please refer to Enclosure1).
l. Student must carry a copy of supporting docs for their address verification (Aadhar Card/Driving License/Passport/Voter ID etc.)
m. Student must carry a copy of DL if in case he is signing the “Undertaking regarding Road Traffic Assurance”.
n. Copy of Offer letter – self attested.
o. In case of Foreign Students photocopy of Passport, Visa and FRRO Registration letter should be submitted at the time of registration.
p. Once you have successfully submitted your details using above link (refer point p), a checklist will be generated, download and print the same. It is mandatory to carry the printed copy along during registration.

2. Verification of eligibility requirements for admission:
a. The onus of proving eligibility for admission lies with the student. During the course of
verification or at any stage later on, if it is revealed that a student is not fulfilling eligibility criteria for admission as per the norms of the University, the admission will stand cancelled immediately and the student will not be eligible for any refund of fees except for the security deposit.
b. The University may cancel the registration at any time if it finds that a false or materially misleading statement has been made or significant information has been concealed in the student's application form.
c. Candidates who are appearing /appeared in the final year exams/semester of their degree examination and given provisional admission are required to produce their degree completion certificate and marks card latest by October 31, 2017. Failure to submit the same within the due date or not successfully completing the degree will result in summarily withdrawal from the course.
3. Fee to be deposited at the time of Registration: Students at the time of registration are required to deposit the following fees:
a. Refundable Security: Refundable (interest free) security amount of Rs. 20,000/- is payable at the time of registration.
b. Academic Computing Fee: Rs.3300/- to be deposited during registration towards 1st
semester. Laptop should be as per the configuration mentioned in the admission offer letter or on the UPES website.
c. Medical Insurance Fee: In order to cover medical expenses students are covered
through annual Group Medical Health Insurance Policy. An amount of Rs.500/- shall be charged from student at the time of registration. For subsequent years the amount shall be communicated to students alone with semester fees.
d. Student ID Card: Amount of Rs 500/-
e. Transportation: Students residing at Dehradun city and wishing to avail transportation facility to the UPES campus can avail the same by paying a fee of Rs.20,000 for academic year 2017-18 ( Optional)
The above mentioned fee is required to be deposited at the time of Registration in the form of DD/ Cash.

UGC Fee Refund Policy shall be applicable in case a student withdrawal before or after the Registration. No fee refund will be considered from second semester onwards, except for interest free security deposit.
4. Fees to be deposited after Registration (One Time) Besides Tuition & Academic Service
Fee: a. Training & Certification Fee: In order to give real life exposure to students & to
make them industry ready professionals, short duration industrial tours/training and/or online trainings shall be organized for all students of full time programs. A charge of Rs. 21,000/- (one time) is to be paid in the 2nd semester. In case travel of industrial tour by air is necessitated, additional charges, if any, would be intimated to the students concerned for payment prior to commencement of the tour.
b. Alumni Fee: This Fee is applicable to students of all the programs of the University.
An Alumni Fee of Rs. 1,500/- is to be paid along with 3rd semester. c. Personality Development Program (PDP) Fee: To improve communication & soft
skills, it is mandatory for all the students to attend the Personality Development Program organized by UPES. PDP fee of Rs. 15,000/- payable along with 2nd Semester Fee.
d. Levies & Taxes: In case any taxes/ levies on fee are charged by the
Central/State/Local Authorities/Overseas Authorities from time to time, the same shall also be borne by the students.
e. Convocation Fee: Student will be charged Rs.1500 as Convocation fee to be paid in
penultimate (2nd Last) semester. f. Academic Computing Fee: Rs. 3300/- to be paid in 2nd Semester & Rs.3630/- each in
3rd & 4th Semester.
5. 5. Hostel facilities for students.
a. Campus Boys/ Girls Hostel – Hostel Seats are already allotted to the students
on first cum first basis as and when they have submitted their hostel fee.
a. Information about Private Hostels in the Vicinity of Campus - A large number of boys / girls Hostels are available in the vicinity of the University / Premnagar which can be approached directly by the parents / students for their accommodation needs.
A list of hostels where students of UPES have been staying earlier is given below (Enclosure-3) for reference only, with the facilities and status about various parameters mentioned against each. It is emphasized that information given herein has been provided by the hostel owners and has been collated for facilitation of parents. UPES does not have any direct or indirect tie up whatsoever with any of the mentioned hostels and does not undertake any responsibility

in this regard. Parents are advised to verify the data independently before finalizing any arrangement with the concerned hostel and also sign a written contract with the hostel owners.
6. Hostel Registration.
a. Boys/ Girls campus hostel registration and operations will begin one day prior to the Registration of respective program at respective Hostel Counter between 02:00 pm to 8:00 pm.
b. The seat/room allocation of these hostels will be done only after verifying the payment receipts.
c. All Hostel rooms will be on triple sharing basis.
d. Each student will be provided a Bed cum Mattress, Cupboard, Study Desk, Study Chair.
7. Other requirements of Boarders - Students seeking hostel admission should bring along the following items:
a. Personal Hygiene kit like toiletries, etc.
b. Bucket, mug, hangers, etc.
c. Adequate number of shirts & trousers for daily wear
d. Adequate number of under garments and handkerchiefs
e. At least 2 pairs of Towels, Bed Linen, Pillow covers and a Blankets/quilt
f. Bathroom slippers, a pair of Sports shoes, white and color socks.

10. About Dehradun City
Welcome to the picturesque Doon Valley “Dehradun” Nestled in the mountain ranges of the Himalaya, Dehradun is one of the oldest cities of India and is recently declared as the Provisional Capital of newly created Uttarakhand State in the month of November 2000. Also known as the ‘Adobe of Drona’, Dehradun has always been an important center for Garhwal rulers which were captured by the British. The headquarters of many National Institutes and Organizations like ONGC, Survey of India, Forest Research Institute, Indian Institute of Petroleum, etc. are located in the city. Some of the premier educational and Training Institutes like Indian Military Academy, RIMC (Rashtriya Indian Military College), Indira Gandhi National Forest Academy (IGNFA), Lal Bahadur Shahstri National Academy of Administration (LBSNAA), etc. are also there in Dehradun. It is a favored tourist destination as it attracts tourists, pilgrims and enthusiasts from various walks of life to its serene environs. Add to this the abundance of special Basmati rice, tea and leechi gardens which contribute in turning the city into a paradise
11. Climate & Rainfall The Climate of the district is generally temperate. It varies greatly from tropical to severe cold depending upon the altitude of the area. The district being hilly, temperature variations due to difference in elevation are considerable. In the hilly regions, the summer is pleasant, but in the Doon, the heat is often intense, although not to such degree as in the plains of the adjoining district. The temperature drops below freezing point not only at high altitude but even at places like Dehradun during the winters, when the higher peaks are also under snow. The area receives an average annual rainfall of 2073.3 mm. Most of the annual rainfall in the district is received during the months from June to September, July and August being rainiest. 12. Student Dress Code -It is mandatory for all students to observe the Dress code. Hence it is
necessary that the students come in the specified dress from the first day. The dress along with material specification is as follows:

13. Hostel Mess dress--Normal-working dress. No one is permitted in the dining hall in Pyjama,
Kurta, Lungi, night dress, Bathroom slippers, etc. Casual dress is permitted on Sundays and holidays.

15. Use of Cell Phones: Use of Cell phones in the classrooms is strictly prohibited under University rules.
Important Issues
16. As a parent/guardian, kindly ensure that your son/daughter/ward be present for registration on the due date. The Academic Session shall deemed to have commenced from the date of Registration and, there shall be no relaxation in attendance requirement for late registrants. Students are expected to adhere to the attendance norms set by the University which are provided in the Student Bulletin.
17. Students are expected to be fully involved in their Academic Program from Day 1 – i.e. day of
Registration. Not being present in the Campus on the appointed date of Registration would adversely affect the Academic learning and progress of the students as he/she would miss the instructions for assignments which will be given to each student along with Registration and will have to be submitted to their respective teachers from the next day onwards. This part of the Academic work will be responsible for 1/3rd of the Internal Assessment Marks.
18. Students not reporting for registration on the due date will be missing the Attendance of
Personality Development Classes 19. We strongly advise you to direct your son/daughter/ward to strictly adhere to the registration
schedule so as to avoid the penalty and loss of teaching days/attendance etc. 20. You are also requested to instruct your ward to take careful note of the attendance and
discipline related matter as given in this letter, Student Bulletin and as notified by the university from time to time so as to have smooth sailing in their academic progress Special mention is made on some of these.
ATTENDANCE
21. The importance of attendance has been highlighted in several communications. Students find themselves debarred from various exams and invite other penalties if they are not careful about the attendance. It must be pointed out that the attendance is given only if the student is actually present in the class room.
Therefore, absence from the Class Room on any account (on leave, on medical ground, on working with / participating in the functions would mean loss of attendance. Students are advised in their own interest to ensure that they must aim for 100% attendance but in no case they should allow it to fall below 75 % whatever be the reasons.

22. Any promise that the attendance can be made up by any special sanction even if the
student is not present in the class room is not tenable. Not only students gets into the problem with SRE in respect of appearance in the exams but the absence also means tremendous loss of learning which student suffers because of absence from the Class Room.
Therefore, student must come to campus on schedule dates, must attend classes as per the calendar and should not indulge in missing class on any activities and must, at all times keep a close tab on their actual attendance.
23. Medical Facilities Services are provided in the Infirmaries located at both the campuses - Bidholi & Kandoli. The details are as follows:
a. First-Aid services with treatment for 1 day and dressings of Injuries/ burn etc. b. Emergency Medical Services with Oxygen Administration, Nebulization & injectable
medication required with evacuation to the Hospitals in UPES Ambulance along with Nursing Assistant.
c. The services mentioned in a & b above are provided 24/7 to the students residing at UPES campus hostels and during the working hours to all the students only.
d. Up keep of Hygiene in both the Campuses by carrying out periodical sanitary rounds In Hostels, Mess and all Food- courts of both the Campuses.
e. Training of Students and Faculty for First-Aid by delivering Lectures and Practical Demonstrations by the University medical team.
f. Follow up of UPES students admitted in the Hospitals through the reference of infirmary.
24. Miscellaneous Points:
a. There will be no deviation from the eligibility criteria and selection process clearly laid out in our Information Bulletin.
b. UPES does not have any Management Quota seats.
c. UPES does not have the system of Capitation Fees for allotting seats in any program.
d. All fees and charges that have to be paid by the students have been clearly specified in the Info Bulletin. There are no “additional” charges to be paid.
e. There are no “agents” appointed by the university who can get admission for a student who is not eligible for a program.
f. UPES does not entertain any “special” requests for admission to any program. All aspirants have to go through the selection process clearly laid out in our Information Bulletin.
g. Please do not even suggest to anyone making any “special” request that they should talk to someone higher up in the university.
h. We do not guarantee placements, though we have highly competent teams dedicated to Industry Relations and Placements.
g. Hostel seats are allotted as per laid down policy and there is no deviation to that.

STUDENTS DISCIPLINE
25. Dress Code: UPES has prescribed a dress code for all students. It is expected that student will observe this dress code from the very day when they come to the campus. It is expected that the student would present themselves in their best to faculty and to the outsiders when they are in the campus. Student may note that no leniency will be shown in allowing the students enter the campus unless he/she is in proper dress code. The loss of attendance and the resulting loss of academic learning would obviously be the penalty students attract and therefore in their own interest students are advised to observe dress code strictly. 26. Students Safety
1. In the past, numbers of accidents involving our students have taken place. Some of them
have been fatal. These fall in to two broad categories as follows :-
a. Road Traffic Accidents – Two Wheelers and Four Wheelers both.
b. Students drowning in water during their visits to Pilgrimage / Picnic spots like
Haridwar, Rishikesh, Ponta Sahib, while getting into the rivers at prohibited areas at
odd night hours.
Student must carry a copy of DL if in case he is signing the “Undertaking regarding Road Traffic
Assurance” 2. In one of the incident students neither listened to a local man warning them of dangers of
water , nor they restrained themselves from entering the river even after reading the clear
cut warning by the police administration on a prominent board close to the river bank. It
has also been observed that most of the students’ victim were staying in P.G. / privately
hired accommodation.
3. You will appreciate that these unfortunate happenings can be avoided by observance of
simple safety measures as under:-
a. While driving wear securely tied helmet and seat belts in four wheelers
b. Do not triple ride
c. Drive in slow speed and not in rash and negligent manner
d. Never drive under the influence of intoxicants
e. Do not go to picnic spots at odd hours in the night, that too without taking prior
permission from the Parents / Wardens / PG owners.
f. Observe safety precautions, listen to advice of other local people present on the site
g. Do not use mobile while driving.

4. It is requested that above aspects be firmly emphasized to your ward. It is all the more
important for those students who opt to stay in PG / self-hired flats / private hostels under
their own risk and self-chosen arrangements.
5. The parents are advised not buy two / four wheelers for their wards and encourage them to
use UPES / public transport. University reserves the right to prohibit the use of Vehicle by
any student who is found driving without safety measures or found indulging in rash and
negligent driving.
6. Students residing in the Campus Hostel are not allowed to keep any Vehicle either in the
Campus or outside. Defaulters will be asked to leave the hostel.
27. Act of indiscipline (In and out of campus): It is expected that students will conduct
themselves in civilized and well behaved manner and not give opportunities for any disciplinary
action. The purpose of academics program should not be taken only for the academic but should
help the overall personality development. It is expected that our students would turn out to be
very valuable citizens of the country and therefore, are expected to observe all the rules of
proper discipline in and outside the campus. Indulging in substance abuse, rash and negligent
driving, indulging in ragging and harassment (sexual, mental or physical) of fellow students and
juniors, display of affection at public places, abusive behavior, bunking the classes, being
disrespectful to teachers, elders and fellow students, defacing the walls or destroying books,
damaging / committing theft of laboratory equipment’s, IT systems and other property in the
campus; indulging or conniving in thefts and any other act which invites disciplinary action must
be avoided at all cost.
Students also need to be advised not to venture out in nearby hilly forests, where they may become vulnerable to wild life and antisocial elements. Inhabitants of villages have also objected to conduct of students at such isolated places.
28. Student`s Conflicts/ Clashes: There have been instances of fight and skirmishes between the
Group of students and several students have suffered penalties due to their involvement with such
acts. Students are advised to take special care to avoid getting involved in any kind of violence and
devote their energies towards their academic program and personality development. Any involvement
with group indiscipline could make a student liable for severe penalty including rustication/ expulsion.

The above points are only to bring home to our students the seriousness which these issues deserve. There are, invariably, spates of representation pleadings and requests whenever students find himself/themselves debarred from exam or any other penal action been taken by Disciplinary Committee. All this would not be necessary if students take care to avoid getting involved in such incidences. It is our hope that students will take heed of the advice given in this letter and parents would counsel them on the same to ensure that their conduct is in full conformity with the requirements spelt out in Student bulletin and various notices from time to time so that they emerge from this university with flying colors and prove themselves as useful and worthy citizens of this country.
It is expected that students will familiarize themselves with all the rules and regulations concerning their conduct in the campus and outside; and would also ensure that they keep their guardians informed on their academic performance and any other developments related with the same.

Enclosure I
ANTI RAGGING AFFIDAVITS; ONLINE REGISTRATION AND FILLING OF FORMS ANNULALLY
(By Order of the Hon’ble Supreme Court of India) With effect from academic year 2013-’14 the procedure for submitting anti ragging affidavit has been revised. The same has been explained in the succeeding paragraphs. In pursuance to orders of the Hon’ble Supreme Court of India, University Grant Commission has made it mandatory for all the educational institutions, to get the anti ragging affidavits registration, and receiving affidavit form online, from the UGC supported website by every student. It is then required to be filled up by the student as also by his/her parent and then submitted to the institution, at the time of registration in July-August every year. Institution is then required to convert these into e-copy and store centrally. No stamp paper is required as per new procedure.
Online Registration process comprises of 3 simple steps;
Step 1: A student must log on www.Antiragging.in or on www.Amanmovement.Org. Step 2: A student must fill the information as requested. Step 3: On completion students will directly receive the specifically generated affidavits through E mail from the above mentioned website. The affidavit form will have students website ticket number printed on the top left corner. He / She is then required to take a print out for registration.
Hard copy of affidavits will be brought duly filled, along with signatures of the parent. UPES does not have any direct or indirect tie up whatsoever with any of the private hostels and does not undertake any responsibility in this regard to their failure to comply with the parameters. Parents are advised to verify the data independently before finalizing any arrangement with the concerned hostel and also sign written contract with Hostel owners chosen by them.

IT -CARRY YOUR OWN DEVICE POLICY
29. Keeping in view the rapidly changing nature and pace of technology, and more importantly, of student preferences for a smart device, the University has decided to adopt a CYOD (Choose Your Own Device) paradigm. As part of this initiative, the following guidelines apply:
a) It is mandatory for each incoming student to be equipped with a tablet or laptop conforming to the minimum specifications outlined below.
b) The device should have genuine operating system (OS) software pre-installed as specified below. The student requires to produce proof of genuine OS at the time of registration and to possess it throughout the duration of the enrolled program.
c) The device should be capable of connecting to an external display device through a normal VGA port for the purposes of showing presentations etc.
d) The device should be capable of connecting to a Wi-fi network and doing Windows Active Directory domain authentication of the user.
e) The device should have capabilities of entering proxy server settings for the browser. f) The device should have an external keyboard and be able to connect to a remote server using the RDP
protocol. g) The device manufacturer should have at least one authorized service centre or availability of requisite
hardware service and support in Dehradun. The student is advised to confirm this before buying to avoid loss of study hours in the event of device malfunction.
h) A student will be responsible for taking care of his/her machine including raising tickets for warranty/AMC support; adequate insurance coverage; and be responsible for its upkeep and maintenance as well as ensuring legal compliance of the system in line with OEM/ISV licensing policies throughout the duration of the program. Should loss/damage to the device occur, it will be the responsibility of the student to ensure timely rectification through the authorized service centre in Dehradun. Additionally relevant paperwork for filing an insurance claim will be the responsibility of the student.

Notes:
a) An annual charge as mentioned in student bulletin will be payable towards provisioning of appropriate software, internet access charges and IT application support services to the student.
b) The University will install a managed antivirus on each laptop/device (as applicable) entering the University network. This is for optimizing bandwidth used during virus definition updates and to ensure the device does not become a security threat affecting other users on the network. This installation is mandatory and the device will not be allowed on to the network without this.
c) The University maintains appropriate access control systems that will prevent a student machine to connect to the University network should the machine not be in compliance with acceptable policies – specifically: The machine should have a legal, appropriately patched operating system, and a legal antivirus updated with the latest definitions and patches.
d) The device should be used in conformance to the Acceptable IT use policy of the University. e) Microsoft Windows Home Basic/Premium editions will not be acceptable as these do not support
connecting to a Windows Domain. The minimum level of operating system should be Windows Professional.
f) While the University will take all reasonable steps to ensure adequate application and OS support for the device, the University will not be liable for any loss of academic hours due to hardware malfunctioning / improper functioning due to incorrect specification of the device.
I accept the above terms. My device is compliant with the above policy. In case I am not able to furnish a valid proof of genuine OS or MS Office during my tenure with UPES, the university reserves the right to discontinue IT services being provided to me including but not limited to access student portal, UPES LAN etc. with immediate effect. No proportionate refund of Academic computing Fee for the discontinued period shall be given, I agree to indemnify UPES for any liability which may accrue to UPES due to any misrepresentation made by

It is emphasized that data given herein has been provided by the hostel owners and has been collated for facilitation of parents. UPES does not have any direct or indirect tie up whatsoever with any of the mentioned hostels and does not undertake any responsibility in this regard. Parents are advised to verify the data independently before finalizing any arrangement with the concerned hostel and also sign a written contract with the hostel owners.
Parents are also advised against making advance payments without verifying the facilities themselves as also, they should insist up on a written contract with the hostel owner, which should clearly state the payment modalities for early withdrawal as also, arrangements during summer school if applicable.
The details of private hostels are listed in the three tables as follows;
a) Graded Private Hostels. i. Private hostels existing in previous academic year (with capacity of more than 30 Beds) were given option to
get themselves graded by an independent agency Cushman & Wakefield (C&W) on the criteria of infrastructure, facilities and students feedback. 41 hostels volunteered for the survey. The grading is determined on a 05 point scale as follows; Outstanding – 5 (100%), Very Good – Greater than or equal to 4 & Below 5 (Above 80%), Good – Above 3.5 and Below 4 (70 to 80%), Average – Greater than or Equal to 3 & up to 3.5 ( 60 to 70%), Below Average – Below 3 (Less than 60%). Their details are as per the Table 1.

protocol. g) The device manufacturer should have at least one authorized service centre or availability of requisite
hardware service and support in Dehradun. The student is advised to confirm this before buying to avoid loss of study hours in the event of device malfunction.
h) A student will be responsible for taking care of his/her machine including raising tickets for
warranty/AMC support; adequate insurance coverage; and be responsible for its upkeep and maintenance as well as ensuring legal compliance of the system in line with OEM/ISV licensing policies throughout the duration of the program. Should loss/damage to the device occur, it will be the responsibility of the student to ensure timely rectification through the authorized service centre in Dehradun. Additionally, relevant paperwork for filing an insurance claim will be the responsibility of the student.

Notes:
a) An annual charge as mentioned in student bulletin will be payable towards provisioning of appropriate
software, internet access charges and IT application support services to the student. b) The University will install a managed antivirus on each laptop/device (as applicable) entering the
University network. This is for optimizing bandwidth used during virus definition updates and to ensure the device does not become a security threat affecting other users on the network. This installation is mandatory and the device will not be allowed on to the network without this.
c) The University maintains appropriate access control systems that will prevent a student machine to
connect to the University network should the machine not be in compliance with acceptable policies – specifically: The machine should have a legal, appropriately patched operating system, and a legal antivirus updated with the latest definitions and patches.
d) The device should be used in conformance to the Acceptable IT use policy of the University. e) Microsoft Windows Home Basic/Premium editions will not be acceptable as these do not support
connecting to a Windows Domain. The minimum level of operating system should be Windows Professional.
f) While the University will take all reasonable steps to ensure adequate application and OS support for the
device, the University will not be liable for any loss of academic hours due to hardware malfunctioning / improper functioning due to incorrect specification of the device.
I accept the above terms. My device is compliant with the above policy. In case I am not able to furnish a valid proof of genuine OS or MS Office during my tenure with UPES, the university reserves the right to discontinue IT services being provided to me including but not limited to access student portal, UPES LAN etc. with immediate effect. No proportionate refund of Academic Computing Fee for the discontinued period shall be given,
