Summary

The “BC Community Events” document is a public document delivered in the context of WP5, Task 5.1: Monitoring of REEB related BC community events. This deliverable aims at monitoring and identifying important events related to the main interest of REEB project, in order to prepare dissemination material such as newsletters, flyers, presentations and own workshops.

This third edition of the deliverable includes:

• a collection of reports (communiqués) for all past dissemination actions (m1 to m21), • a report on the major 1st REEB international event held at m17 (2 events), • a report of the REEB ICT workshop event held at m19,• a new updated list of REEB relevant events for the upcoming period, • the description of some indicators for the assessment of dissemination effectiveness.

Introduction

The purpose of this document is to provide:

A short report on each past dissemination actions: each REEB partner responsible for the participation to an event is also in charge to fill-in a short communiqué that gives the main feedback and results obtained; these communiqués are listed from m1 to m21 in this edition of D5.1;

A complete updated report on the dissemination milestone (M4) of the REEB Description of Work;

An identification of relevant upcoming events: according to the feedback obtained through past actions, and the dissemination priorities established during the last EC review meeting (especially involvement of the ICT community), a selection of events where REEB could play an active role in the coming period is proposed.

A status on dissemination effectiveness, through a set of indicators.

This document has both an internal and external use. It serves first as a repository for the REEB consortium, to centralize all data related to past/upcoming dissemination actions. It is in the meantime an instrument to adapt the global dissemination strategy. In addition, every actor external to REEB is more than welcome to contribute to this document, by e.g. proposing new relevant dissemination opportunities.

The version 1 of this deliverable document was essentially dedicated to upcoming events. The previous released edition (V2) included the feedback from the previous EC review, in addition provided the resources for the evaluation of REEB dissemination activities, according to the overall dissemination and awareness plan described in deliverable D5.4. This last version (V3) is a complementary updated version including the new REEB events & workshops between the released month of the previous version (m18) and the actual released month (m21), and the identification of main events of interest for dissemination, up to the end of the project.

Presentation (in plenary session) of the REEB project, with introduction to and discussion about the objectives of REEB. Participation to a session ("ICT for Energy efficiency”), hosted by DG INFSO (unit H4) in the conference about the newly funded projects under Call 2. Organisation of the 1st REEB Ws (15th of May) dedicated to the REEB main topic, with expected meaningful contributions from the constituencies.

Purpose Develop the UK input to the E2B research roadmap building on the ECTP SRA and the national platform roadmap.

Promote a world class research and innovation eco system in Europe through goal alignment in focussed research and innovation between enterprise, academia and policy makers – Intel leadership in Europe in Technology Manufacturing Research, Innovation & Assisted living technologies

Purpose

Advance further understanding of applied strategic research in the following areas: Technology and Manufacturing (Silicon & Nanotechnology, Manufacturing including Sustainability), Information and Communications (ICT for efficiency and sustainability, Enterprise Infrastructure & services, Embedded systems & circuits), Digital Health (Assisted Living Technologies).

REEB has been invited to present its initial results to the “ICT for efficiency and sustainability” session.

The first edition of “ICT for sustainable homes” was held in Nice on November 16 & 17, 2009. It was organised by Sigma Orionis in cooperation with the Beywatch project aiming at energy efficient homes and neighbourhoods and supported by the European Commission's DG Information Society and Media.The two-day event has welcome 119 delegates from 19 countries (Europe, Japan and Canada) and featured 15 exhibitors (industrial organisations and collaborative research projects).

Event Green and Connected Cities Forum – 10 & 11 December 09 (Strasbourg)

Description

The first Euro-Mediterranean Green and Connected Cities forum, has been organized by ACIDD (Association for communication and information for sustainable development) in the European Parliament in Strasbourg on the 10th and 11th of December 2009, with the Green and Connected Cities Cluster, the European thematic ICT21 for Energy Efficiency network (information technologies for energy efficiency), the urban community of Strasbourg, the Alsace region, the Conseil général de Bas-Rhin, ADEME, the Caisse de dépôts and the Grenoble School of Management. Over 200 decision-makers and experts with 75 contributors from around twenty countries, all highly active as people in charge of local authorities, firms, researchers in engineering science and human science, association leaders, etc., decided to implement programmes and cooperation for developing the use of new digital technologies which are an incredible lever for innovation, solutions and also the adoption of sustainable development in cities. They also agreed to develop large scale training and awareness-raising programmes for all the inhabitants and users of the 21st century cities.The REEB project has been invited, as focussed on a key area of interest to the Forum (ICT for energy efficiency in the Built environment), and has been active in the context of the elaboration of a number of very practical suggestions and commitment to actions collectively drafted by the public and economic stakeholders of the territories assembled together in the European Parliament in Strasbourg. A synthesis report is under elaboration, where inputs from REEB have been provided.

Purpose

The REEB project has been presented (by CSTB – Alain Zarli) in terms of general project awareness, with presentation of the REEB project & vision in the Workshop 7: ICT & energy efficiency in Buildings, along with presentations from other key European projects (e-Diana ARTEMIS project, HOSPILOT project, BeyWatch and DEHEMS). DescriptionIBM Smart Buildings Community is an internal global network within IBM dealing with research and development of solutions for energy efficient Smart Buildings. They have a monthly telecom where they discuss issues and topics of relevance to the community. REEB had the special privilege of being invited to present to this internal global network of experts within IBM.

Purpose

Following a REEB workshop on the 27th of October, 2009 in London, REEB was contacted by Joe Potter, Associate Partner, Asset Management Solutions, IBM Global Business Solutions, to make a short presentation on the REEB project, its vision, and way forward in terms of the roadmap. He informed that the work of REEB was of particular relevance to IBM Smart Buildings Community, an internal global network that conversed via telecom once a month on relevant research and development in the area of IT for energy efficient buildingsThe IBM Webinar took place on the 14th of January, 2010. 2. REEB International conference (Milestone 4)

In the REEB Description of Work, the key milestone M4 (Conference 1) is dedicated to the dissemination of REEB initial results in an International Conference. This event is also identified as deliverable D5.33 of WP5. As planned in the Description of Work, the event took place in conjunction with the CISBAT 2009 conference at m17 (September 2009). In the meantime, the REEB consortium decided to take the opportunity to have simultaneously a second REEB workshop in conjunction with an ITOBO-Fraunhofer event planned in Duisburg on the same days (2 & 3 September 2009). Consequently, the REEB partners have split into two groups to ensure the smooth organization of these 2 parallel events. The workshop was overall very successful in the achievement of its set up goals. Participation was predominantly from academia and research in accordance with the conference profile. Nevertheless, discussions were highly practice-oriented and very active. Following an introductory presentation of Raimar Scherer (TUD), who outlined the main REEB goals and explained in detail the REEB road-mapping matrix, identifying the five major roadmap topics and their respective subtopics, a lively discussion took place in which more than 30 issues related to the roadmap were raised. These issues were ordered in the categories (1) EEB drivers & enablers, (2) objectives for future R&D and (3) barriers. They were documented at the workshop, digitally recorded and forwarded for further analysis to the REEB consortium as well as to the workshop participants.This was a very good and unbiased result from an audience that had (purposely) not been prepared afore hand.

3.1 Event Description

Objectives

The ICT workshop held in London on the 27th October 2009 was to facilitate the co-creation of the REEB vision and strategic research agenda and supporting implementation plan for ICT enabled sustainable and energy-efficient smart building constructions. In particular, the specific objectives of this workshop were to:

Raise awareness and encourage ICT industry to get involved in energy efficiency in the built environment;

Contribute to developing the EC research agenda on ICT for energy efficient buildings;

Provide expert insight into the impact of ICTs for a sustainable built environment.

Methodology

For the first working session in the morning, participants brainstormed possible impacts looking at what were the Implications, opportunities and risks on post-it notes, under time spans.

Event Workshop - REEB Roadmap for ICT Enabled Energy Efficient Buildings - Tuesday 27 October, Arup, London

Description

This workshop has been organised by REEB (and especially ARUP, CSTB and VTT) to invite key ICT players to shape the REEB European strategic research Agenda for ICT supporting Energy-efficient buildings.NOTE: This workshop is one of the actions following the first review meeting, aiming at strengthening the involvement of ICT players in the elaboration of the REEB vision and roadmap. It has been described in details in the REEB deliverable D5.33 issued 30 November 2009 (m19). Therefore description below is only a synthesis, and the reader is invited to refer to D5.33 for more details.

Purpose

Raise awareness and encourage ICT industry to get involved in energy efficiency in the built environment;

Contribute to developing the EC research agenda on ICT for energy efficient buildings;

Provide expert insight into the impact of ICTs for a sustainable built environment.

The outcomes of the meeting have provided input to the latest stages of the REEB roadmap, as well as for the E2B PPP and the Focus Area ICT of the European Construction Technology Platform.

This workshop contributed to collect inputs from the ICT sector for the REEB vision and roadmap, and lots of findings have been generated and further carefully analyzed and integrated in the major REEB deliverables (especially Vision – D4.1 – and Roadmap – D4.2).)This workshop was one of the major steps to reinforce the involvement of ICT players in the REEB initiative. It was considered as quite interesting and informative (and well run) by the attendees. A one-to-one contact will be kept with each attendee, especially for peer-review of major REEB deliverables. Especially, out from this Ws, it was decided with IBM attendees to organise a Webinar dedicated to REEB for the IBM Smart Buildings network world-wide.

With respect to the (eMobility) Mobile and Wireless Communications Technology Platform, this platform has been contacted through its Coordinator, Miss Fiona William. As a consequence of this contact, eMobility is now member of the International REEB Community(IRC) and investigations are ongoing about the possibility of participating in some workshop of the eMobility Applications WG and the "Future Network and Mobile Summit 2010" that will take place in June 2010.

The ARTEMIS ETP has been contacted too, and relationships are established as well. It is anticipated that REEB presentations may be achieved at one of the two following future events:

ARTEMIS Spring Event 2010 - March 1-2, 2010, Nürnberg, Germany; ARTEMIS Autumn Event 2010 – location and date to be defined.

On the second day there will be technical parallel sessions on the fields of Smart Buildings, Logistics and Transport, ICT Infrastructure for the Smart Grid, Improving Awareness, and the role of the Media, Energy Efficient Data Centres and New Business Models on an Energy Liberalised Market.

Exhibition: which will show projects' results as well as the European Commission and European Institutions key initiatives.

Award Ceremony: The winner(s) of the Best ICT4EE Project Award competition will receive the grand prize from the high level representatives of the two companies sponsoring the award: ENEL, from the energy field, and SAP AG from the ICT field.

The objective of this event is to become a vehicle to drive progress in the transition to an energy-efficient and low-carbon economy following the terms of the "Recommendation C(2009) 7604" adopted by the European Commission on October 9th 2009.

The ICT4EE high level event is a unique opportunity to share the REEB outcomes with the EU decision makers, and to check compliancy of the REEB approach with the EU policy framework. It is also a good opportunity for cross-fertilization and synchronization with other EU project. REEB will have an active participation on the exhibition events.

This conference is one of a series held around the world in recent years by the CIB W104 Open Building Implementation Commission, focused on developments in the building industry related to two major societal objectives: 1) an adaptable - and thus sustainable - building stock and, 2) a more user-centered process of design and construction. In regard to these two objectives, it is noteworthy that a process formerly limited to office buildings, shopping centers and a few signature laboratory buildings is now becoming mainstream, withmany notable examples found in these building types as well as in housing and health care facilities. That is, a base building is constructed, defining architectural and urban character, major fixed interior public spaces and pedestrian circulation, and primaryutility system pathways.

These “open” buildings, designed to accommodate change, are fitted-out initially and over time to meet the changing preferences of inhabitant/users. The utility infrastructure of each unit of occupancy connects to the infrastructure of the base building, which connects in turn to the higher level urban utility infrastructure. Generally, change of the fit-out of these buildings does not disturb the more permanent base building and its utility infrastructure, but a change of the base building will necessitate alterations on the fit-out level.

Because these changes on the fit-out level happen over a long period of time, we often see different parties designing and constructing the base building and the fit-out. These developments - which are happening internationally - are spawning new kinds of architecture, new businesses, the development of new products and management processes and tools, and the introduction of new regulations and financing methods to match. This conference will examine these processes, products, roles and outcomes, internationally and across many building types.

5. - Dissemination Effectiveness: Assessment Indicators

A set of indicators have been defined in the REEB DAP – D5.4, Dissemination and Awareness plan. These indicators were activated for the first time in the previous deliverable

and have be updated in the new release of D5.1, in order to check the progress of dissemination activities.

5.1 Web statistics & Number of DownloadsThe REEB Website includes a free service for the control of the visits and downloads of documents.

The visits count system has been installed since the first week of July 09 (m15) and can be consulted on the lower right place of the main page (index). Through a simple click on it, the different statistics can be accessed immediately. The system also counts the number of viewed pages for each visit.

Statistics extracted for m15-m17The number of visitors has considerably increased between m15 and m17. Even if there is probably an effect due to the end of the summer period, this result also reflects the intense commitment of all REEB partners to dissemination activities after the first review meeting, in particular for the first dissemination milestone M4 (conference 1), but also for the enrollment of new members within the IRC. When ranking the visits by referral, it is noteworthy that the Duisburg ITOBO Fraunhofer workshop had a good impact, since it is ranked n°5 of all referring URLs (see section 4 of the present report for the event description). There is a wide coverage of European countries among the different visitors, with evidently a larger part for countries represented within the REEB consortium. The statistic module offers a page ranking functionality. For the period m15-m17, the main entry page is the REEB homepage (index page), followed by the Best practices samples page.

Statistics extracted for m17-m21In this following period the increased of visit has its most important peak on October with almost 400 visits, which clearly correlates to the deadline of the PPP call (3rd of November).The activity of the REEB members and the impact on the users is well noticed, the index entry page and the IRC members page were the more visited sites, showing a good indicator in the task of enrolling new IRC members to the REEB Consortium, the improvement of visits reveal the good information and the interest of participating.

Downloads Statistics extract for m18-m21

The systems counts the downloaded documents in descendent order lists, the most downloaded document will be listed in the top list and following according the number of downloaded times. The second list of Downloaded activity will number the downloaded documents during the day. It is a precise tool to take a good knowledge of the most downloaded documents as well as the active list of documents being downloaded in real time.The most downloaded documents are: The REEB Vision, the Best Practices examples, The REEB Poster, the REEB selection & categorization criteria for European International Research on Energy Efficient and The lecture Notes.

5.2 Number of e-mails received from outside the consortiumThe number of “first requests” e-mails received from outside of the consortium (REEB partners) and outside of the community (REEB SIG, IRC) for the period m1-m17 were approximately 60 . For this new period of time the number of emails received were 70 approximately, it includes all the request information for public to all members and specially to the REEB coordinator (48 emails), which email is in each newsletter edition distributed, and is also mentioned in slideshows of workshops and presentations.

5.3 Number of participation (presentations) in conferencesREEB active presence in different conferences and Workshops has been listed (see section 1)to show the growing presence of the project in international events.For the period m1 to m17, this makes a total of 15 participations in various types of events.According to the EC instructions from the first review meeting, dissemination has been increased already in m17 (4 participations in September 09). For the Period m18- m21 there is a total participation of 7 participations, which is an increase number for this short period of time, revealing the incrementation of activities. It is also important to note the increase on m19 ( 4 participation on November 2009). It is expected that those participations will be

further expanded in the coming months, by targeting preferably events with audience coming from the ICT sector.

5.4 Number of contributions received from the REEB CommunityInternational REEB Community (IRC)

Since the beginning of the IRC members call, in July 2009, the invited people/ organizations are 207, which had been asked to contribute in some REEB tasks as e.g. provide Best practices examples. Main IRC members contributions are the provision of Case Studies (WP2) and feedback about REEB vision (D4.1). Also some events have been organized in collaboration with them (FIATECH, NEM, other projects as BEYWATCH or HOSPILOT in the "ICT for sustainable homes").

5.5 A literature search of documents reflecting to our workThe Google search provides a general indicator on the existence and presence of the project on the Web. We performed the following “advanced search” with the keywords “REEB” AND “fp7” OR “zarli”. Using “fp7” or “zarli” as mandatory keywords ensures that results found by Google are really related to the “REEB” project (otherwise a basic search only on “REEB” gives too many non relevant results).

This number reveals the increase of the REEB presence in the Web as well as the increase of material deliverable available on the internet, the result of the REEB consortium work and the persistence in the good development of the tasks.

CONCLUSIONS

This report has contributed to give an overall status on REEB dissemination activities. The dissemination actions over to periods (m1-m17) and the short updated period (m18-m21), the report contains the description of the first international REEB workshop (M4), and the following workshops organized for the REEB members, as well as the description of upcoming and past events, which were also classified. The impact of the dissemination activities was measure by the indicators, which, with the actual updated evaluation, reflects the organization work in perspective, giving an optimistic result of the growing development.

Dissemination actions along the first reporting period (m1 to m12) have been mainly targetingConstruction & Energy sectors through various events. Following, the first review meeting, REEB partners have increased their commitment to dissemination and have re-oriented the target to the ICT sector as a priority. The impact is already visible in m17 with participation to4 important events and many new contacts initiated, through the following months there was an increased of activities in which REEB was actively participating with the expected results. This deliverable also includes the information on the dedicated REEB ICT workshop which took place at the end of October in London, an important reunion which contributed to collect inputs from the ICT sector for the REEB vision and roadmap.

This general progress of REEB dissemination should continue over the coming period, especially through new participation in conferences, contacts with ICT ETPs, and also

through the contacts established within the IRC. The interaction with the REEB community, which is also fully part of dissemination, is further described in Deliverable D1.2 – Report onREEB communities.

W078 : “Information Technology for Construction” is a commission of CIB and has liaisonswith the CIB Encouraged Journals "Construction Management & Economics" and ITCon.W078 aims to establishing a liaison with IAI - the International Alliance for Inter-operability.

The W078 Commission objectives are:• To foster, encourage and promote research and development in the application of integratedIT throughout the life-cycle of the design, construction and occupancy of buildings andrelated facilities• To proactively encourage the use of IT in Construction through the demonstration ofcapabilities developed in collaborative research projects• To organize international cooperation in such activities and to promote the communicationof these activities and their results.

EPoSS is an industry-driven policy initiative, defining R&D and innovation needs as well aspolicy requirements related to Smart Systems Integration and integrated Micro- andNanosystems. EPoSS brings together European private and public stakeholders in order tocreate an enduring basis for structuring initiatives, for co-ordinating and bundling efforts, forsetting-up sustainable structures of a European Research Area on Smart Systems Integration.

EPoSS objectives:provide a common European approach on Innovative Smart Systems Integration fromresearch to production outlining the key issues for a strategic European innovation processformulate a commonly agreed roadmap for action (updating, assembling and completingexisting material and approaches) and provide a strategic R&D agendamobilise public and private human, infrastructural and financial resources, anddefine priorities for common research and innovation in the future.

The members of EPoSS are stakeholder organisations in the field of Smart SystemsIntegration including large companies, SMEs, industrial associations, research organizations,academia and others from more than 20 European Member States.

EPOSS (ETP on smart systems integration) annual Forum is open to all interestedstakeholders. This two days forum will be dedicated to different activities:The first day of theforum (8th October 2009, starting at 15:00h) is dedicated to EPoSS members and all thosewho intend to become a member. It will comprise reporting on current activities and outliningof strategic intentions of EPoSS.
