Explanation of icons

The two icons below are used in all update communication. The meaning of them is as follows:

Some of the functions have to be activated or shown to be used. They are marked with the cogwheel, which stands for adjustment.

For some of the functions, it is required that the administrator performs adjustment. These functions are additionally marked with the lightning.

Within the update communication, most of the functions are effective directly for all users without administrator work. These innovations are not marked with an icon.

Enable reply to the qualification questions subsequently

The applicant can be asked to complete his or her reply to thequalification questions of a vacancy via the «Enable questions to be answered and send e-mail» action. Please customise one of your e-mail templates for this. Responses yet to be edited are specifically marked and the recruiter can withdraw the applicant‘s ability to edit at any time. The ability to edit is automatically revoked oncethe responses are definitely sent.

Notification by changes of the applicant profile

In order to be aware of changes (like amendment of documents) performed by applicants in their profile, a flag can be activated in your personal settings. You will then get notified on the main page as well as in the applicant overview.

Extension of the unsolicited applications

People interested in your company can now attach a motivation letter to an unsolicited application. This can either be an optional or a mandatory field on the application form. Furthermore it is possible for people who already have a profile to apply to an unsolicited application.

Unsolicited application in parallel to job subscriptions and applications

An applicant can now apply to an unsolicited application althoughhe/she is applying for vacancies and subscribed to a job subscription. Due to the integration of two new application forms now, the administrator is required to perform changes mentioned under the following link: (add the new links behind ...umantis.com in your solution)

Application status search is now integrated into the extended search with the possibility to select more that one status.

Application possible directly after publication on job platforms

In the case of a publication solely via external publication providers(prospective, publiconnect, unio) the «Application possible withoutadvertisement» condition no longer has to be set. It will be set in the background if the deletion of the advertisement is run viaumantis.

Search for pool allocation

The challenge of keeping an eye on your best applicants allocatedto pools and not getting in conflict with the privacy policies, has been solved with an additional search for applicant pool allocation. This allows you to search for the applicants not allocated to pooland delete their documents based on the privacy policies.

More flexibility for data handling

New filters enable you to delete filed applications from umantis in a flexible and simple way. That way you can completely display theprivacy policy you defined. The file date is saved from the update time. Therefore you can filter out the relevant data sets via the twosearches «applications between» and «last time status was changed».

Please make sure that all older data sets haven‘t been saved with a filedate.

Easy way to find vacancies

New links on the main page and corresponding checkboxes in the search are simplifying the finding of vacancies.

«All my vacancies», «All my active vacancies», «All my vacancies inmy direct responsibility» and «All my vacancies as deputy» can be filtered.

If you have saved a signature in your user profile, it is now added at the bottom of the e-mail.

Variable for deputy recruiter

By means of a variable the deputy recruiter can be used for exportsor communication templates. The variable is [Stellen.StvPB].

Please make sure that several persons can be deputies and therefore also have to be entered if this variable is used.

Quadrilingual online help

The current version of the online help is now available in German, English, French and Italian and is displayed in the chosen language. The help is accessible via the question mark at the top right and responds to your questions. In order to attain the desired answerfaster, you can also use the integrated search within the online help.

Dashboard with applicant status in the line cockpit

Managers can benefit from a dashboard on their main page,showing number of applicants per status. By selecting on a bar, the manager can see all corresponding details.

Improvements and extensions of the line cockpit

To improve the usability and efficiency in the line cockpit, overviews have been extended to various searches and columns. All released and evaluated applications are displayed now. Pleasecheck the area /SelfServiceLine and unhide the desired information.

«Sender‘s e-mail address» of system e-mail

umantis is now providing a «From address» of system e-mails per branch to allow an individual communication with applicants. In case the e-mail address of a branch is not defined, the global one defined in the organisation profile will be applied.

Higher password security

In the settings of the application, new password security rules such as the number of login attempts, the number of characters, the complexity (lower and uppercase, digit or special characters), the validity duration and how long the same password cannot be reused, can be defined. The administrator can also define after how many minutes an inactive user will be automatically logged off.

New interface to Publiconnect

With Publicitas, umantis has found a new partner for the advertisement of vacancies in all online and print media. A data transfer from umantis to Publiconnect without media breaks is possible via a soap interface.

This service is offered in addition to the existing job advertisement partners unio and Prospective Media Services.

The first experiences made with the Single Sign On function showed that searches and actions were required in this context. These have been implemented.

Extension of umantis users profile

For all recorded users such as administrators, HR experts and managers it is now possible to enter information like department, function and cost centre into their profile. The variables of this data can be used in communication and export.

User import

As an administrator you can easily carry out the user registrationand updating via an import template. Along with the user data youcan also import restrictions on the freedom of establishment, logindata of external systems, PKI data as well as roles. The template canbe found in the online help and the data can be imported via theimport icon .

Direct hide and unhide of items

Now it is no longer required for an administrator to open the item screen in the «Adjust view» mode and tick the «Hide» checkbox to hide or unhide it. Newly with just one click on the screwdriver icon, the selected item will be hidden or unhidden.

Tip: In case you want to hide several items of a page, proceed by opening different tabs. To reduce the waiting time, the change will be shown when you reload the page or leave the «Adjust view»mode.

Bulked show or hide of an item

In order to show or hide an item (like «User-definedList1») appearing on different screens within the application, you can proceed through «Settings» and «View texts» by selecting the corresponding action.

Join together columns

You can define if a column shall be joined together with the nextcolumn and which separator shall be used to separate thecombined contents. That way more table contents can bedisplayed within the same space and your solution will become more individual.

Definition of fields

Now it is possible to define the character of each form field (with the following options):

- Entry or display field (unchangeable)

- Size of the field (between one and 25 lines)

- Mandatory field or normal entry field (recommended)

For every linked text you can define the page it shall be linked to and whether this page shall be opened in a new window or not. Please always check the desired result.

For a better overview and perceptibility of candidates, their pictures are added to the overview.

Graphical upgrading of the job market by using logos/icons

In order to individualise the job markets, you can now upload logosand pictures for each publication.

As further option to this functionality, you can load an icon for each vacancy on the job market.

Search function can be hidden

The search function located above tables is getting larger and larger. Newly this can be hidden. The table with its content is brought back into focus and you can see the major information directly without scrolling.

Formatting of the privacy policy

The privacy policy can now also be formatted via HTML. Thereforethis also important communication medium can be adjusted individually.

New variable for the footer of the personnel consultant

In the case of working with sender variables of the personnel consultant who is in charge of a vacancy, the variable for thesignature field is now available, too. For this purpose please use: [Stellen.PBFooter]
