Data Feed Types & Formats

A data feed is a file that is used to process items or orders in batch. Newegg provides multiple types and formats for your convenience.

4. Item Creation and Update Feeds

There are currently three different types of data feeds that will allow you batch create and/or update items on Newegg. Each type of feed is available in four different formats: xls, csv, txt (tab-delimited), and xml. Newegg highly recommends first time users to download each type in the xls format. The MS Excel (xls) format templates include more information how to properly use the respective data feed type.

Item Creation/Update Data Feed This feed can be used to either batch create new items or update your existing items. It’s important to note that each subcategory has its own respective data feed. It’s the seller’s responsibility to download the data feed template(s) that are specifically designed for their items. It’s essential to use the appropriate data feed in order for the items to be correctly categorized in Newegg’s Marketplace: Download Data Feed Template

Existing Item Creation Data Feed This type of feed may be used if the items you wish to create already exist on Newegg’s database. This feed will allow you to batch create your items using the matching Newegg item numbers, matching manufacturer/manufacturer part numbers, or matching manufacturer/UPC numbers that Newegg currently has on their database only: Download Data Feed Template

Inventory Feed This type of feed is only used to batch update your items’ pricing information, shipping, inventory

and/or activation. For more details including where to download/upload the inventory feed, please see

the Batch Upload Inventory section.

5. Order Processing Feed

Our Order Shipping Template is the only type of feed used to process orders in bulk. The feed is available in four different formats: xls, csv, txt (tab-delimited), and xml. Newegg highly recommends first time users to download the feed in the xls format. The MS Excel (xls) format template includes information how to properly use the feed. Download Order Shipping Template

Order List File The Batch Order Shipping Template is interchangeably known as the Order List File, specifically when the template has been downloaded with unshipped or new orders populated.

Batch Shipping File The Batch Order Shipping Template is interchangeably known as the Batch Shipping File, specifically when all required shipping information (i.e. shipping method, tracking, etc.) has been entered by the seller. Orders will NOT be processed if required fields are not properly entered into the file.

Data Feed Overview Regardless of the data feed format you decide to use (xls, csv, txt, xml), it is highly suggested to download the template in the MS Excel (xls) format. The Excel Template includes the following worksheets that contain valuable information you will need to properly fill out the Datafeed.

Instructions The Instructions sheet provides an overview of how to use the template.

Basic Item Info – Definitions This sheet includes definitions and accepted values for all common fields across all data feeds.

Detail Item Info – Values This sheet includes accepted property field values that have been pre-defined for the respective subcategory (i.e. Mens Shirts). Important Data Feed Instructions Template Header

Do not remove the main data feed template header from your feed. The Version number, SubCategoryID, and Overwrite function should always be included. Warning: Setting the ‘Overwrite=Yes’ was NOT designed to overwrite any existing item information. Instead, it was designed to DEACTIVATE any items not currently listed on the respective data feed for the specified subcategory. Please see the Data Feed Header Fields section for more information about each header field.

Data field Header Names

All data fields should be included. Do NOT modify the format or remove any fields from your data feed. Doing so may cause your items from being properly created or to fail completely. If the field does not pertain to your item then simply leave the field blank.

Manufacturer Field

Only manufacturer names that have been pre-approved can be used. For more information, see the Manufacturer section.

13.2. Enter Item Information

To create new items in batch, enter each item’s information into its own row by assigning values to the Item Identification Fields. Values for the Required Fields must be properly entered to prevent the item from failing. For any items that you offer with variant options (i.e. different sizes, colors, etc.), see the Batch Group Related/Variant Items for more information. To update existing items, see Batch Update Items.

Input Image Links 13.2.1.Refer to the Item Images definition to familiarize yourself with the image requirements (may also be found in the Instructions worksheet of the data feed template). The image(s) must be provided from an HTTP URL when creating or updating your item from a data feed. A maximum of seven images may be uploaded by entering all image links as one string into the field and separating each link with a comma.

Property Fields 13.2.2.Refer to the Detail Item Info – Values worksheet. For the best search results, provide as much detail as possible. Some of the property fields are used to help consumers filter their search results. Missing any of these values, may cause your item to be excluded from the consumer’s search.

13.3. Batch Group Related/Variant Items If you offer your item in different variants (i.e. size, color, etc.) then we highly recommend that you group those related items together. This will allow consumers to select each variant from one product page rather than viewing each variant from its own separate listing.

Download Data Feed Template in the MS Excel (xls) format 13.3.1.Download each subcategory’s respective data feed to determine its required group-by properties.

Input each variant item 13.3.2.Each variant item needs to be inputted on its separate row and assigned its own unique values for the seller part #, manufacturer part #, and UPC. All items inputted should be real items NOT virtual items.

Setup variant item’s relationship 13.3.3.Consider the first variant item listed from the group to be the “parent” or “original” item. All other items are considered to be a “child” or “similar” item. Enter the parent’s seller part # into the child’s Related Seller Part #* field. The parent item should be an actual item for sale NOT a “place-holder” or virtual item. Leave the parent item’s Related Seller Part # field BLANK. Please note that additional new items may also be grouped into an existing group of related items using a data feed or via seller portal’s Create Similar Item feature.

Fill in ALL group-by properties 13.3.4.A “group-by” property is an item’s detail property that will be used as one of the variant attribute options that will allow consumers to select from one product page. Each subcategory has its own set of group-by properties. The Data Feed Template in the MS excel format will mark all of the subcategory’s group-by properties with header names in blue font. ALL group-by properties are required in order to group related items together. Even if you do not have any variant options for one of the group-by properties (i.e. Mens Shirts_Size shown in the image below) a value must still be provided. Only values found in the Detail Item Info – Values worksheet can be used for the respective group-by property field.

Order Shipping Template Overview Regardless of the format you decide to use (xls, csv, txt, xml), it is highly suggested to download the template in the MS Excel (xls) format. The Excel Template includes the following worksheets that contain valuable information you will need to properly fill out the Batch Shipping file.

Instructions The Instructions sheet provides an overview of how to use the template including a detailed review of each field in the template.

BatchShippingUpdate This is the actual worksheet in which you enter your Shipping info, using the specifications listed in the Instructions tab. This worksheet contains column headings (field names) representing each of the fields in your Ship Notice file. It has color-coded column headers to indicate whether the field is required (red) or desired (black).

16.2. Complete Your Batch Shipping File

Make sure your heading/field names are exactly the same as the template’s 16.2.1.For example, the heading/field name for one of the required fields is “Seller Part #”. If your file’s heading/field name shows “Seller Part Number” or “Seller Part#”, your file will fail to process.

Make sure you enter the correct value for each required field 16.2.2.For example, the MSRP and Selling Price fields only accept numbers. If you add a dollar sign ($) before the number, your file will fail to process.

Tracking # 16.2.3.The Tracking # is required unless the Shipping Carrier is set to “USPS” and Ship Service is set to “First Class”. The same tracking # cannot be used for different order numbers.

Multiple Item-quantity Orders 16.2.4.An item that has been ordered with a multiple quantity must be shipped and processed entirely. Items may be shipped in multiple packages with different tracking #’s but the must be processed in the same file.

Multiple Item Orders 16.2.5.If a single order contains multiple items, multiple rows with the same order number will be created. If multiple items were shipped in the same package then they must be included in the same ship notice/batch ship file with the same tracking number. All items need to be processed to complete the order and receive payment.
