We are pleased to offer you and your students the opportunity to participate at the 2011-2012 Provincial Competition. We promise you and your students a remarkable experience of professional learning and networking.

The Board of Directors and the Advisory Council have been working diligently to make this DECA year our best yet. The information in this package will familiarize new chapters with the events and registration process for the Provincial Competition, and will highlight any changes to the competition from the previous year for experienced advisors. Information important to us all, are the dates below. Please mark them in your calendar and adhere to due dates so we can collectively contribute to an efficient program.

Details:Student registration must be completed online through the Advisor Control Panel. From there, the advisor may drag and drop student names beside their corresponding competitive event. Please note:

1. Students may only compete in one event.2. Students who qualified based on their achievement at the Regional Competition will automatically appear in their

existing categories.3. Should a qualifying student wish to change their event to a written event simply remove them from their existing category

(i.e. HLM) and place them in their desired written category (i.e. ENW). 4. No substitutions. For example, if that same qualifying student in HLM changes to ENW, another student from your

chapter cannot compete in HLM as a substitute.

Once registration is complete, an invoice for the total amount due to DECA Ontario will be available online, again, through the Advisor Control Panel. Print the invoice, attach a cheque for the stated amount, and mail these two items to the DECA Ontario office [see footer for address]. The cost for each student to participate at the Provincials regardless of category is $25 per person for Overnight Registrations and $35 per person for Day Registrations.

ADVISOR REGISTRATION

If your chapter size is less than 50, there must be 1 advisor present who will be scheduled to run an event at the Provincials. If your chapter size is over 50 members, 2 advisors must sign up to run an event. Each competitive category will have at least five assigned advisors. As always, all advisors who are scheduled to run an event will be invited to a hot, sit-down lunch. More than two advisors from the same school can be signed up to run an event and you may request whom you would like to work with. Advisors MUST be contactable by cell phone for the duration of the conference [24 hours a day - February 13, 2012 6:00 a.m. to February 14, 2012 midnight].

Advisor Training – MANDATORYThe primary purpose of this meeting is to train advisors on their duties for the Provincials (roster of duties will be posted online by January 27, 2012). Advisors will also receive name badges, time cards, and gifts for their students. As a condition for participation at this year’s Provincials, NAME BADGES MUST BE WORN AT ALL TIMES. This includes all day registrants as well as all overnight registrants (i.e. must be worn when in the halls of the hotel, using the pool or fitness facilities, attending the show, etc). The name badges will include the students’ individual times as well as the event room number.

Post-Provincials Meeting – MANDATORY for Advisors onlyAt this meeting, advisors act as representatives for students placing in the top 10 of any event. The meeting will IMMEDIATELY follow the Awards Ceremonies and will be a forum for announcing if students who qualified for ICDC are able to go. In the event that a student is unable to go to ICDC, the next highest standing student/team will be given the opportunity to attend. Prior to this meeting, advisors should have confirmed with their students’ whether or not they are able to go. In the event that an advisor is not at this meeting when a student from his/her chapter is called, the opportunity will automatically be given to the next student/team on the ranking list. Schools that have students cancel after the post-Provincials meeting will have a $100 cancellation fee assessed per cancellation.

Judge RecruitmentEach school needs to recruit judges to officiate our events for Monday, February 13, 2012 8:00 a.m. to 4:30 p.m. The ratio is 1:20 based on chapter membership. Please have your referrals register directly online under the Judges menu on deca.ca.

Staying OvernightSupport the Sheraton for supporting DECA! By staying overnight, you help to make the competition less expensive for us all! Students and advisors attending the 2-day competition are strongly encouraged to stay overnight at the Toronto Sheraton Centre Hotel. Rooms may be reserved for the nights of Sunday, February 12th, Monday, February 13th, and/or Tuesday, February 14th.

One-night package:- 1 night accommodation in King or Standard room- 1 Hot breakfast- 1 Dinner (gratuities included)

Two-nights package:- 2 nights accommodation in King or Standard room- 2 Hot breakfasts- 1 Dinner (gratuities included)

Caveats:1. Due to the nature of our agreement with the Toronto Sheraton Hotel, DECA chapters (individual members and advisors)

that have made alternative hotel arrangements will not be allowed to participate at Provincials and risk their status as members in good standing. Further consequences may ensue.

2. Teacher advisors must be present. Students who book overnight accommodation at the Sheraton without their teacher advisor present will be banned from the competition.

3. If more than 10% of the chapter’s membership has defied the rules, the chapter may face suspension and lead to expulsion from future DECA events. Re-instatement will be on a case-by-case basis.

Room ReservationsTo make a reservation, complete the online reservations form found at deca.ca home page > ADVISOR LOGIN. Please note, you will need all details including student names and room assignments in order to submit and reserve. A representative from the Sheraton will contact you via email to confirm once your reservation details have been processed. Credit card information will be required at that time. One Dinner included for all overnight GuestsSeating based on first-come first-served basis. ALL chapters checking in on Sunday night will have dinner on Sunday night in Sheraton Hall any time between 5:00 pm – 8:00 pm (seating based on availability). Chapters checking in on Monday will have dinner on Monday night any time between 5:00 pm - 8:00 pm in Dominion Ballroom.

CurfewAdvisors’ responsibility to ensure that students who are staying overnight at the Provincials adhere to the 10:30 pm curfew. This means that students are in their registered rooms and quiet by 10:30 p.m. If a registered DECA student for this competition breaks curfew, is defiant, disruptive, or acts inappropriately (see Code of Conduct), he/she may be banned from the hotel and/or disqualified from any further participation in this competition. Toronto Sheraton Centre security has been hired. Any student in the hotel after curfew who is not a registered guest will be disqualified from the Provincial Competition, with no refund.

Clean Team ChallengeChapters staying overnight have the opportunity to participate in the DECA Ontario Team Program and earn up to $400! Please see DECA.ca for more information.

Each Chapter Advisor MUST discuss the Code of Conduct and Dress Code with their chapter members prior to any DECA Competition or Conference. Each student registering for any DECA event is acknowledging and accepts all the requirements for the Code of Conduct and Dress Code. Please see the website for a comprehensive Code of Conduct.

Wearing a blazer or jacket, for both males and females, is recommended, but is strictly optional. We recommend that females wear pants but if they choose to wear skirts/dresses, then it MUST be at knee-length at all times. It should be understood that all "appropriate business attire" is clean and pressed.As per the September 27th, 2002 Annual General Meeting, students will NOT be permitted to wear school uniforms at a Competition. This includes school-crested blazers or shirts; ANY clothing that may identify your school will NOT be permitted. For competition purposes during the Orals only, DECA blazers will NOT be allowed.

The dress code will be in effect during competition hours 8:00 a.m. to 6:00 p.m. and on floors where events are taking place

Tasteful casual wear will be accepted during specific social functions as designated during orientation sessions (only if applicable)

Students who violate the Dress Code or Code of Conduct will be issued an infraction notice. The severity of the infraction will determine the consequences ranging from a 10 and 25-point penalty, removal from the premises, or police charges.Reminder: Curfew for DECA students is 10:30 p.m. on Sunday and Monday nights. Any food deliveries must be delivered by 10:00 p.m. in accordance with curfew. Any deliveries to the hotel after 10:00 p.m. are considered a curfew violation and will be subject to a 25-point deduction (assessed to the role play). The Sheraton will have pizza for sale prior to curfew.Curfew violations almost always result in loss of chapter LDA spots for ICDC and may include chapter suspensions for the following year. In all likelihood, any point penalty will either limit or altogether eliminate a student’s eligibility of qualifying.

We hope that this clarifies the Code of Conduct and Dress Code, and all students and advisors will adhere to the code at any Conference or Competition. Each student registering for any DECA event is acknowledging and accepts all the requirements for the Dress Code and Code of Conduct.

In addition, 1 hardcopy submission must be delivered to the DECA Ontario office between February 10-12 by 4pm. No entries will be accepted after this deadline. APPENDIX D: LEADERSHIP DEVELOPMENT ACADEMY

Important changes are taking place within our Ontario LDA program. With the increases that we have been experiencing in the last couple of years, how students are being selected for the 2012 International LDA program has been revamped. In the spirit of fairness and equity, the Advisory Council in consultation with the DECA Board has devised the following plan.

EVERY Chapter registered for the Provincials will be entitled to submit one (1) candidate for every ten (10) registered DECA students to the Provincial LDA Program taking place Monday, February 13, 2012 at the Sheraton Centre. Students registered in the LDA program cannot compete in any other event.

Each Chapter may sponsor applicants at a ratio of 1:10 of their chapter membership

By the very nature of the leadership training and the content of the workshops, competing and attending the Leadership Development Academy at the Provincials, is not possible. Cost to attend the LDA Program is $25 or $35 per person.

As a suggestion, participation in the Provincial Leadership Development Academy should be based on the following criteria. BEFORE the advisor slots a student into the LDA program, the student may:

Be presently enrolled in Grade 9 to 11; Grade 12 students typically have already had extensive leadership training in the course of their high school career and are not recommended

Not have qualified at the Regionals and is not interested in competing in general Be too new to DECA and new to the whole competition process Not have a strong command of the English language and perhaps the LDA program would be a more valuable option for them

Wisely choose the students you slot into the Provincial LDA Program. Based on the following, your school will then qualify for the International LDA lottery that will take place at the Post-Provincials meeting.

Scenario – Attendance and Active Participation

If East York CI sends two delegates to the Provincial LDA Program and Mary leaves after one hour and decides to go shopping, the facilitators of the LDA Program will document her absence. East York CI forfeits the opportunity to enter the ICDC LDA Lottery altogether.

If a disproportionate number of students from a particular chapter are found breaking curfew, drinking, defacing public property or are in general, breaking any aspect of the Code of Conduct, the Advisory Council or Board of Directors have the right to revoke the Chapter’s participation at ICDC even if they win the lottery for leadership this April.

ALL chapters are automatically entitled to send down TWO delegates to the International LDA Program in Salt Lake City, Utah. THE CHAPTER ADVISOR FROM THAT SCHOOL MUST ATTEND. A $100 LDA deposit per student MUST be submitted on Saturday, February 4, 2012 to secure a spot. The cheques/cash will be held in trust until Tuesday, February 14, 2012. Based on your chapter’s success with competitors, you may choose to REMOVE your request for LDA spots at which point you will immediately be given your LDA deposit back. Otherwise, the money will be kept by DECA Ontario. Cancelling after the post-Provincial meeting means the LDA deposit will be kept as a cancellation fee. Should you ultimately send an LDA to ICDC, then the $100 will be deducted from the ICDC cheque amount.
