PPI-ECS PROPOSAL TO INITIATE IDEA

1.0 OBJECTIVE

Cardno PPI’s ECS has fallen behind in their communication technology use, especially when compared with other related companies or with clients’ needs and wants.

Cardno PPI operates at maximum efficiency when these four fundamental tenets are in action:

1) Operating with the image of a technologically superior company 2) Going beyond “meeting” the clients expectations 3) Learning during and after every project 4) Improving communication within every project workflow

The objective of this proposal is to highlight the current and upcoming deficiencies found within our methodologies, tactics, standards and procedures and then to provide the needed solutions in a coherent fashion.

2.0 SCOPE

This proposal will clearly spell out the five solutions that would create

x Advanced mobile offices and abilities to fetch data, information and project intelligence x Dynamic workflows between office, field crew, and client x Client satisfaction and a higher ratio of problem-to-solution turnovers x Company-wide standards and .dwt’s that implement Cardno PPI’s unified vision and approach to ECS x A unique “Mapping” culture within Cardno PPI fueled by the newest implementation of a dynamic SOP

The delimitations to the following documented proposal are that this will not provide a step-by-step on how to improve nor will it cover the exact methods and standards needed to implement the claimed solutions. The standards, methods and processes that will be required to implement the proposed solutions are prepared to be covered in detail after the spoken proposal is given.

This proposal is available for all ECS employees of Cardno PPI in hopes that other great ideas and feedback will be provided in the weeks to come. The solutions provided are geared towards the upper leadership/management involved with the implementation of new technologies and methods, however, any employee of Cardno may inquire of this proposal and its’ contents but is not required to do so. smaller in scale than Enervest (mentioned below) and consist of pad as-built’s and easement plats. The two case studies cited within the proposal came from work accomplished on Chesapeake projects.

2) Enervest Operating, L.L.C x Currently the other main provider of work at the Fort Worth office. Field to office

workflow’s have been tested heavily by means of this project since it is larger in scale, thus forcing us to further document standards for alignment sheet sets, profiles, etc.

5.0 PROPOSAL

5.1 Existing Issues

The issues listed below are a combination of actual existing issues known by a few team members and some issues of which Cardno PPI: ECS knows little about, nor has addressed in recent years. The specific reason why there are un-discussed issues listed is because there is no definite prediction of the future regarding modern advances in CTEC; paying careful attention to client needs/wants and similar companies’ trends gives us a clear indicator of where we lack. Every issue has been carefully selected as a major need to address within Cardno PPI: ECS and there is research to support the claimed issues, as follows:

1) Capitalize on cloud technology

Each office for Cardno PPI that utilizes ECS services needs to have every single file related to a current project accessible via the “cloud”. This means, whether on SharePoint, Cardno’s intranet, or MS ODR, the files need to be accessible both in and out of office. The preferred method is by app.

The method that has been tested and proven efficient is one of office managed ODR accounts that can be shared with anyone chosen. In ODR, the manager of the account can choose whom to share and which level of permission to grant (edit only, view only, etc.).MS SyncToy is an application that runs on a schedule and will copy files from a server to a cloud drive. This method has proven faithful and effective within FTW ECS. The proposal will not push a particular cloud system because SP is being rolled out and may be the solution.

2) Provide iPad’s

*Cost breakdown is provided in Section 8.3.4 Page 17 *Case study analysis is provided in Section 5.3 Page 9 iPad’s are the direction to move in for an ECS company. iPad’s provide a variety of apps we can utilize:

x Evernote – to streamline project communication/collaboration x Autodesk360 – to provide project file management x AutoCAD 360 – to allow mobile CAD editing, viewing and intelligence gathering x SP Newsfeed- to track new developments happening on the Ops Portal x OneDrive – to access project files/data x DMS Convert – to quickly convert from decimals to degrees, minutes, seconds x Elevation – to quickly determine elevation x Google Earth – to analyze digital imagery x Camera – to capture project sites/details x IFTTT – to streamline project workflows and task schedulers for syncing data

iPad’s provide for real time collaboration with the actual CAD file that provides clients with:

x Satisfaction x Visuals to better comprehend project site x Improvements on the survey crew and client’s ability to problem solve x Route planning analysis with abilities to measure, draw, manage layers, x Direct uplink to Evernote (communication/collaborative software) x Markups/Revision editing x And so much more!

3) Implement Intelligent Applications

The primary apps to implement are as follows:

a. AutoCAD 360 – This app will provide Cardno PPI ECS the ability to access CAD files virtually anywhere. This boosts performance, improves project problem solving, increases communication between field-office-client workflows and provides an added layer of project intelligence to any party, anytime, anywhere.

i. ADSK TrueView – Primarily used for clients to view drawings in Model space. ii. ADSK Design Review – Primarily used to view .dwf’s (dynamic .pdf) and draw markups

b. Evernote – This app will provide seamless and continual sync’d communication for each individual project, phase and portion of a project. Evernote is private, administered by Cardno PPI: ECS and we will have full ability to choose privileges for client communication. The app is easy to use and will increase our productivity, communication and quality of work provided.

Every app listed above is accessible and seamlessly able to sync via PC (desktop), tablet, smart phone and Web.

To review why the proposed solution for note taking is Evernote rather than MS OneNote, refer to Section 7.0

4) Develop companywide standards/.dwt’s

Based on the research that was conducted, PPI has typically documented standards via word documents and .pdf’s that after compilation become distributed to multiple offices and utilized as a go-by for projects. Before it is discussed how this is an outdated practice (covered in Section 5.2.5 Maintain a SOP), it must first be established that Cardno PPI: ECS needs to develop templates, design standards and layouts that all share identical elements. Naturally, each office will have minute differences in the way their clients want to see a product (or another similar discrepancy) but the need for standards remain. In order to better market Cardno PPI: ECS, maintain an image of excellence and quality, and to ensure we are maintaining quality work- standards must be set companywide.

5) Maintain a Dynamic SOP

As mentioned in the prior section, PPI has typically documented standards via word documents and .pdf’s that after compilation become distributed to multiple offices and utilized as a go-by for projects. These stand-alone SOP documents fail in many areas, such as:

x NO collaborative document creation x NO dynamic edits x NO links to tutorial videos x NO link to contact creator/user group x NO weekly/monthly/quarterly updates x NO ECS involvement/feedback (typically

written by single, or limited sources)

By constructing a SOP that is dynamic, Cardno PPI: ECS will benefit in enormous ways both internally and externally. Described below are the proposed methods, ideas and structure behind the SOP.

x The SOP would be a “site” within SP x The SOP would be constructed as a wiki (compare to Wikipedia.com)

o Collaborative authoring o Multiple internal sources o Updated as often as ECS has need o Links to any other site/webpage would be made available (help videos, images, etc.)

x There would be a small team within ECS employees that oversee the posts and topics o Every ECS employee would be invited (and preferred) to suggest changes and

standards to document. x The need to create a dynamic SOP, and the employees desire to make a difference in the

following areas is why this SOP would create a sub-culture within Cardno PPI: ECS, as illustrated below:

o Quality improvement o Standard documenting o Procuring future training material for new hires o Excellence in project completion quality o Improved company image

Those are a few of the benefits from implementing a wiki styled SOP within the SharePoint ECS portal. All of this new collaboration and desire to be heard undoubtedly will foster learning, development, improvement and will create a tighter knit family among ECS employees. This new “mapping culture” will shine throughout Cardno and be an example for other divisions of Cardno.

5.3 Researched Entities

Research Overview:

1) Chesapeake a. Case Study #1 – 1386-03-0007 BAHAN PAD

- Issue: The client was confused why there was a specific easement conflict between an existing easement and a proposed easement. The easements in question were not supposed to overlap, but after Oncor placed the power poles, we identified the problem and had to find an alternate route that avoided existing gas lines and stayed within the needed specifications of the project. - Solutions Implemented: #1 Cloud Storage, #2 iPad, #3 MS ODR, ADSK AutoCad 360 - Outcome: We re-routed the easement, avoided placing a power pole within the existing gas line easement running perpendicular to our route, measured distances to calculate new points not found in the .csv, identified areas to clarify in paper space, provided 110% satisfaction to client. - Quote: [from client contact A] “I’m absolutely thrilled. This saved us time and probably an extra trip.”

b. Case Study #2 – 1387-03-0559 CHARLES DEAN EVANS PAD - Issue: The client needed to place a power pole at a very precise location and due to the precision required, needed to ensure that when the NWC of the property was staked that is was 100% accurate. When the field crews arrived on site there was no calculated points or point map because it had been left in the office by mistake. - Solutions Implemented: #1 Cloud Storage, #2 iPad, #3 MS ODR, ADSK AutoCad 360 - Outcome: With calculated points and a point map digitally in the palm of my hand, I sent the .csv point file from the cloud to our survey crew lead. I visually relayed information to the surveyor and they took advantage of viewing the drawing from the iPad to gain an idea of where the points were. Approaching the NWC, we were able to precisely pinpoint where the stakes needed to be placed by digitally zooming into the corner to identify the exact metes and bounds of the corner in relation to the monumentation, thus resulting in 110% client satisfaction. - Quote: [from client contact B] “You know, looking at something in front of you is one thing, but looking at the objects represented by 3D lines in front of you on a tablet is totally different. I think being able to use this in the field would save both of us money!”

6.0 FINAL REMARKS & CONCEPT

INTELLIGENT design for ENGINEERING APPLICATIONS

6.1 Concept:

In the exact same way Ivan Sutherland invented CAD in 1961 while attending MIT, Cardno PPI today has the opportunity to brand an advanced redesign of the methods and systems we use to design. No longer are we relying on computer programs and hardwares that are “standalone” and “static”. Today we live among a vast array of digital data and access that is beyond our imaginations. In order to solidify our new tactics and to create branding, unified vision, marketability and a new trademark, we implement “IdEA”. What began to me as IAD (Intelligent Aided Design) as opposed to CAD (Computer Aided Design), became IdEA with the help of the wise Professor Ricks, M.A.

Today, we can redefine CAD and use constantly emerging and new technologies and ideas in the form of IdEA.

Intelligent Design for Engineering Applications.

6.2 Summary:

By utilizing the 5 solutions proposed above, #1 Cloud Access, #2 iPad’s, #3 Intelligent Applications, #4 Companywide Standards and #5 Dynamic SOP - Cardno PPI: ECS stands poised to launch into a new era of success and progress. We are on the brink of major changes across the ECS industry with new technologies, and- we must act now.
