Benefits of this new Promotion Proposal Form • Helps us meet our requirement for written agreements and document retention as outlined

in the ROI Grocery Regulations

• The Promotion Proposal Form is used across all categories

• Simplifies the process for promotion set up

• Reduces the risk of incorrect or missing data

Hints and Tips • Please ensure all detail is populated on the Form from left to right

• If detail is missed when populating any columns the form will not calculate appropriate margins & forecast information

• If copy & pasting information from another sheet, please use paste “Special Values” for maintaining the format calculations on the sheet

• Do Not insert additional formulas on any cell within the sheet

Completing the details of the form

On the left top corner of the sheet you will find the basic details of the promotion. Use the below

guidelines to populate these cells:

• Promotion Cycle (Drop Down box) - An event during which a promotion activity is carried out. Please select an event from drop down list.

• Department (Drop Down box) - Tesco National Feature promotion event's name .Please select fthe department from drop down eg: Bakery, Provisions…

• Category (Drop Down box) - Product range/category. Please select category name from drop down Tesco Buyer (Drop Down box) - the Buyer who is required to review the proposal.

• Supplier Name – Type in your company name

• Tesco Supplier No. - Tesco registered supplier account number. Should not exceed 5 digits.

• Supplier Email – Type in your email address.

• Supplier Currency (Drop Down box) - Select from drop down either EURO or GBP

Column A- Promo Start Date (DD/MM/YYYY)

• Enter the start date of the promotion

Column B- Promo End Date (DD/MM/YYYY)

• Enter the end date of the promotion

Column C- Proposed Feature space/Display

• Please type in the promotion shelf, Example- "Main ends "or "shelf "

Column D- TPNB

• Enter the Tesco product number (TPNB) of the product to be promoted.

Column E- Orderable TPNB

(Only applicable for In store Bakery / Some Counter Lines)

• Please use this cell if you are proposing In-Store Bakery or Counter products

Column F- TPND

• This is the Tesco product number for the traded unit/case. This code is used by

depots/supply chain and is also a 9 digit number, which can be found on order/delivery

notes.

Column G- Case Size

• Enter how many SKU/units are in each case that you will be supplying to Tesco during the

promotion period

Column H- Contents Qty./Pack Size (In Store Bakery Specific)

• Please use this cell if you are proposing In-Store Bakery or Counter products. Enter the SKU/Product’s net weight or size, Example 250g, 2/3pack etc.

Column I - Product Description

• Produce package description. Enter the description of the SKU/Product

Column J - EAN (European Article Number)

• Barcodes. Enter the 13 digit /8 digit barcode of the product which is being promoted. If a

product is sold loose then enter PLU number

Column K - OCC (Outer Case Code)

• Enter the 14 digit barcodes of the case which is being supplied during the promotion

Column L - Price Marked Pack (Yes/No)

• Select from drop down if the product is price marked

Column M - Offer Type

• Select from drop down standard types of offers proposed– i.e. Price Cut, Meal Deal, Any Qty for a Price (e.g. Buy 2 for 5.00) & Cheapest Free X for Y (e.g. Buy 3 for the price of 2)

Column N - ROI Offer Description

• This is the description of the offer you want to appear on the POS in store. The description must be clear for our customers Eg: Half Price, Save 33%, Any 2 for €4.00 etc.

Column O - Offer Units /trigger

• No. of SKU/Products the customer should select to avail the offer. Example: If offer is Save

33% then it's 1. Buy 2 for 5.00 then it’s 2

Column P - ROI Promo Offer Price

• Enter the proposed promotional price. Example if it’s 2 for 5.00 – then offer price is 5.00

Column Q - Manufacturers Recommended Retail Selling Price "Was“

• Enter the Recommended Retail selling price of the SKU/Product ( per unit) when it is not on

any promotion

Column R - Manufacturers Recommended Retail Selling Price "Now“

• This information populates automatically - do not overwrite

Column S - VAT % (Note: There are differences between UK & ROI Vat Rate)

• Enter the VAT rate applicable for this product, this allows for the margin to be calculated

correctly. (Note: There are differences between UK & ROI Vat Rate)

Column U- Cost Buy in Start date (Specific for Reduce Cost Buy In) (DD/MM/YYYY)

• Enter the date from which the promotional cost is applicable in Tesco system. Kindly note – Cost change could be made on Sunday only according as per Tesco’s systems

Column V- Cost Buy Out End date (Specific for Reduce Cost Buy out) (DD/MM/YYYY)

• Enter the date from which the promotional cost should be reverted to Standard Cost in

Tesco system. Kindly note – Cost change could be made on Sunday only according as per Tesco’s systems

Column W- Std. Basic Cost "per case/kg"

• Enter the Standard price of the SKU/Product per case, in supplier currency

Column X- Standard "Off Invoice "value

Enter the as is Invoice bonus ( per case) of the Product - if any. If not please enter "0"

Column Y- Current Long Term Rebate value

• Enter the as is Rebate (LTA) value per case of the Product - if any. If not please enter "0"

Column Z- Goods in Depot Retro Per Case (Bill Back)

• Enter the Retro value ( billed back per case delivered ) of the Product - if any. If not please enter "0"

Column AA- ROI Excise Duty (BWS Only)

• Excise duty charges - BWS only Bond - if any. If not please enter "0"

Column AB- Cash Settlement Discount value

• Enter the as is Cash Settlement Discount value ( per case) of the Product if applicable.

Kindly enter the value in number and not percentage. If not please enter "0"

Column AC & AD- Std. Net Cost & Standard Margin %

• This information populates automatically - do not overwrite

Column AE- Funding Method

• It's the type of Funding provided for the promotion. Select funding type from the dropdown

box.

Column AF- Promotion Basic Case Cost "per case or per kg"

• Enter Basic “case cost” proposed during promotion. If there is a case cost reduction then

enter the reduced case cost in this field for admin to apply in systems. Do not use this

column for your own calculations

Column AG- Promotional off invoice discount

• Enter the invoice bonus proposed during promotion period. If none.. Then enter “0” in the

cell

Column AH- Multi save Supplier Funding %

• If the offer is percentage funded, then enter this detail ex: 40%, 60% etc. Enter the values

in number example - 40%=40

Column AI- Retro per unit/Trigger

• Enter Per unit Retro details (information used for billing). Please Note: For Trigger/Multi

buy Promotions (Any X quantity for X price)/(Cheapest Free X for Y) enter the fund amount

of respective trigger

Column AJ to AM –

• This information populates automatically - do not overwrite
