ProjectNetWorld Workspaces
ProjectNetWorld oers customized tools for planning, mana-
ging and controlling your projects. This project management
solution supports project managers, project portfolio mana-
gers, internal and external project employees as well as
company management.
ProjectNetWorld provides a central and secure work environ-
ment for all project participants independent of the comple-
xity, project duration or number of project employees.
Using the ASP model projects can be started immediately
and without time-consuming implementation. The cost for
leasing ProjectNetWorld are easy to calculate and transpa-
rent. There are also no additional investments required for
hardware and software as well as application operation.
The technical requirements for using ProjectNetWorld are
minimal. The system only requires Internet access and a
current web browser..
ProjectNetWorld was developed to provide a uniform work
environment for all project participants such as company
management, project portfolio managers, project managers,
project employees, external employees and partners.
The system oers three workspaces that guarantee a
targeted information and communication ow, and support
individual user work as well as cooperation within a project
group, department or company.
The workspaces are used to structure how information is
managed and organized. The advantage to the user is that
information is easy to store, manage and nd. This also
guarantees transparency and saves time.
ProjectNetWorld provides each user, independent of their
authorization, access to the three workspaces and their tools.

Project structuring Views
The system enables you to organize projects into phases,
transactions (and collected transactions), milestones,
deadlines and delivery items, and allows you to adjust them
easily to company-specic requirements and standards.
The project structure can be displayed in the form of a
structured list, task list or Gantt diagram.
Sorting and filtering functions
Resource planning
Various sorting and ltering functions enables you to custo-
mize the user-specic perspective to dierent project
situations (e.g. late transactions). Colors and icons support
the display of specic criteria (e.g. critical path). Status
reports also provide a current overview of the project status.
A resource-specic work calendar is created when you assign
project members to individual transactions. It displays the
current workload for individual project members. A wizard
supports the allocation of resources and provides a warning
when there is a resource overload.
When project members are assigned a task, they will automa-
tically receive a conrmation via e-mail. All assigned tasks are
clearly displayed in the personal workspace of the projectmember.
A current picture of the degree of completeness and/or
progress of individual tasks is used to provide a status check.

Templates
Deviations from the base schedule are determined via an
archiving function. A target / actual comparison provides a
quick overview of the project status, enables corrective
measures to be taken as quickly as possible and is used to
analyze how the project went when completed.
Project structures can be dened once and approved to be
used as templates for future projects.

The requirements of a modern project management system are diverse and include the efficientplanning, management and control of schedules, costs and resources. Recording, editing andevaluating project information in a central system is very beneficial to all project members. Thisprovides real-time information about project progress and project member workload. Overview Project categorization
The project portfolio view oers a customizable and structu-
red display of all projects. In addition, the projects of these
views are assigned dierent project status data and core
information depending on the requirements (e.g. total
project status as well as extent, time and costs, stoplight
functions, etc.) These views fulll the requirements of management and project management according to strate-
gic information that comes from the operational results of
individual projects.
Projects can be assigned to dierent categories within the
project portfolio. For example, projects can be collected and
sorted by project type, strategic signicance, project size,
locations, start and stop times, as well as other freely-
denable criteria.
Project reports
Detailed information in the form of project reports (e.g. monthly reports, etc.) can be displayed in the overview and also saved as a
PDF le. Project reports can be arranged according to individual requirements. Specic requirements for the layout of the project
report such as the corporate design for the company and/or project can also be implemented. Project reports provide project
managers an easy source of information and enable a quick overview of all important project dates especially when several projects
are being carried out simultaneously.

ProjectNetWorld enables the superordinate management of several projects within a companyand supports comprehensive monitoring and control functions for projects and project portfolios.
The significant advantage of project portfolio management is the ability to simplify the coordina-tion of projects.
Document Management
Information in the form of documents is a central source of knowledge for every company. Forthis reason, the management of this information is very important. The goal of a documentmanagement system is to support the management of all documents (from simple documents toprotocols and plans). Prerequisites for optimal management include the structured storage andcentral availability of information. The system enables the storage and management of any le
formats. Basic document information such as author, format,
size, date, version, etc. are recorded automatically. Additional
information such as editing status, descriptions, comments
can also be added by the user.
An automatic document naming system, which can be custo-
mized, simplies he document storage and searches.
Standardized folder structures can be applied for future
projects as a template.
Notications are used to inform users about document
creation and/or modication. These notications are sent
automatically via e-mail either immediately, weekly or once
per month as desired.
Versioning and archivingLinks
The system allows you to manage all document versions –
from creation to archiving.
When a document is being edited by a user, the associated
document is blocked for other users = checked out. Read-
access is still available for the document. However, other
users cannot make any changes to it. When editing is
complete, the document is released in the new version for all
users = checked in. This mechanism controls the editing of
documents by several users.
A consistent description of all accesses and actions for a
document provide a more transparent and secure identica-tion of who, when and which documents have been read
and/or edited.
Links enable you to connect associated information easily
thus providing logical coherence. The linking of information
goes beyond the document management system. For
example, a document can be linked to a schedule or a
meeting agenda. This function makes it easier and faster to
nd associated information.
Full-text search
A full-text search is an essential requirement for searching all
documents for specic content and information quickly and
easily.
Search results can be customized to individual requirements
using numerous search parameters, sorting and display
options. Even hits of numerous les are displayed within a
few seconds. Thus time-consuming searching is reduced
signicantly.
Authorization concept
The authorization concept is the rst line of protection for
data and enables users to only access those documents for
which they have an authorization. This concept aects both
documents as well as the folder level, and can be person-
specic as well as role-specic.

Form designer
Versioning and archiving
The form designer supports the easy creation of electronic
database forms such as specications, project sheets, risk
lists, to-do lists, construction journals, defects list, replies, etc.
The form designer provides text elds, various selection
menus, checkboxes, calculation and currency elds, etc. to
enable the entry of the desired data types. Once a form has
been created, it can be used for as many projects as desired.
It also supports data exchange using MS Excel or MS Access.
The system allows you to manage all form versions – from
creation to archiving.
Archiving creates an automatic log of all access to forms and
form elds such as creation or changes. This makes it
transparent as to who accessed or edited which form or
form eld and when.

Once data has been entered into a form sheet, it can be
added to dierent views and results lists using various
search, lter and sorting functions. You can easily dene
standard lists for analysis purposes. These lists can be saved

Workows and individual process steps are dened in the
workow designer. Workows as well as individual steps can
be customized to individual company or project-specic
processes.
Documents and forms controlled by a workow are subject
to the respective version control of the individual tool when
changes are made (see Document Management or Form
Management).
This concept ensures only authorized access to a workow.
The assignment of access rights can be person-specic as
well as role-based.
Control of work processes
Workows are used to control and document work processes
automatically. Individual work steps are assigned to persons,
person groups or roles. When a work step is completed, the
next employee in the processing chain is automatically
assigned the next work step. This procedure enables you to
access the status and/or progress of a process at any time
thus enabling the reduction of throughput times.
Notifications
When a user is responsible for a specic work step, he/she
will be notied immediately by the system when action is
required. These notications are sent automatically via
e-mail.

News Calendar functions
The News area displays new information and proposals
regarding a project for all project participants. Each user can
be notied by e-mail when there is a new entry in News.
The project calendar is used to coordinate schedules from a
central location. This schedule comprise events, meetings,
transactions and milestones. When planning a meeting,
open schedules can be checked in advance and agendas
created. Invitations to scheduled items are sent via e-mail toparticipants and can be transferred to MS Outlook. Each
participant can conrm, reject and add additional informati-
on to schedules.
The linking function allows the user to link relevant
documents, forms, transactions, etc. to a scheduled item. This
makes preparation easier for all participants because the
relevant information is bundled with the scheduled event.
Discussion forum
A discussion module provides a structured format for the
exchange of opinions between project participants. The
arrangement of topics into discussion groups simplies the
organization, oers transparency and secures the available
and developed knowledge of the project group. Project-
related problems that occur are recorded and stored in the
system. Users can be notied by e-mail when new entries are
made for specic discussion groups.
You can also directly discuss each document and form
uncoupled from the central discussion forum.
Notifications
Certain news and changes to a project can be of interest to a
user. Because the same information is not required for each
user, notications can be customized for all projects and
system areas. This ensures that important information is
provided immediately and prevents an unnecessary ood of
information. Automatic system notications include invita-

The exchange of knowledge and experiences is also important here as well as the simpleadjustment and coordination of schedules. User management
The management of participants and their master data, responsibilities and tasks incl. status can be carried out both on the organi-
zational level as well as the project level. This data is recorded automatically by the system when a user registers.
Authorization concepts are very important especially for IT systems. Authorizations serve to ensure proper access to data and
information within a project. These authorization concepts (customized to company-specic requirements) dene the rights for
editing data (view, read, change and delete) as well as access to the individual tools. This prevents unauthorized changes and
improper use of functions.
In general, authorizations are assigned at system level, functional level (e.g. document management system), eld level or object-related level (e.g. a specic document). In addition, you can also distinguish between person-based authorizations and role-based
authorizations.
For person-based authorizations, access rights are assigned directly to a person (e.g. to documents).
For role-based authorizations, rights are bundled based on organizational functions and assigned to the user or user group. When
new users are created in a project, they are assigned one or more roles depending on their function in the project.
When there are changes to responsibilities (e.g. change in employees) or changes to business processes, roles are simply custo-
mized once to the changes. This ensures that the authorization concept always remains consistent and transparent..
Project templatesProject templates simplify the creation of new projects.
Proven projects or sub-projects can continue to be reused for
future projects (best practice). In addition, company-specic
project standards (e.g. project manuals) can also be copied as
a project template without an existing project (template
pool) and used for future projects. Dierent structures
including authorization concepts can be applied. This
includes folder structures, project structures as well as forms,
workows, schedule plans, etc.
Project templates enable you to set up and start projects in
the shortest amount of time. Project standards can be
continually improved and implemented in projects.
ReportsReports are evaluations of project data. They enable you to
summarize project information recorded in the system and
view it in an organized fashion. Reports can be created for
late transactions, due transactions, resource workload, new
project participants, etc. in HTML format or a PDF le.
