2,600 customers, it is one of the largest software providers, worldwide, in the field of business process automation.

“We had been working successfully with prevero professional planner since 2003”, says Thomas Bauer, Director of Financial Planning & Analysis at Automic Software GmbH. “However, due to the growth of our company, as well as our international operations, we decided to introduce a flexible and comprehensive all-in-one BI solution. With prevero, we opted for another member of the prevero product family.”

Automic had a number of clear requirements for the new software. It was to provide web access, a high degree of flexibility when setting up BI models, decentralized data collection, as well as individual reporting. Further items on the list were an optimized workflow, integrated financial planning, an Excel interface, a database with SQL access, scenario and sensitivity analyses, data import options for data warehouses and databases, as well as activity logs.

All-in-one BI solution“Originally, we were only looking for an upgradeable, flexible planning solution, but we ended up finding an all-in-one BI solution”, explains Thomas Bauer.

“With prevero, we can create reports easily, have direct access to the data warehouse, as well as a default browser. Supported by a graphical user interface, the data structure is a convenient addition to the data warehouse and enables decentralized data collection. Moreover, the standardized modules of prevero provide finished solutions that are ready to use, but can be modified easily. Moreover, they enable users to create individual solutions.”

It only took a few months to introduce prevero at Automic Software. In June 2014, the employees completed a basic training for two days and had another two-day coaching session with a prevero consultant in July. In August, they were already able to create BI solutions on their own, including workflows, individual reporting, planning and data collection.

From workflow to planningThe workflow includes a permission concept, enabling employees from different departments and countries to work on one platform. If a status changes (i.e. if certain conditions are fulfilled), actions such as emails, calculations or jobs are triggered automatically. These actions are also logged automatically, including time, user and other corresponding information. As a result, the process becomes much more transparent and the workload of the IT department is lightened considerably.

“In prevero, individual reporting and ad hoc analyses can be carried out with a comprehensive permission structure, significantly higher performance compared to Excel, as well as individual grouping”, adds Thomas Bauer. “Cost reporting is carried out for each cost center and month, including a plan/actual comparison on different levels and in different currencies without any distribution problems arising. prevero offers Excel exports and various commenting options. Full cost transparency for the management can be ensured by live data transferred from the accounting system, as well as detailed plan data.”

Sales, quotes, consulting days and opportunity developments can be entered and planned flexibly and with clear visualization options. This makes it possible to create hierarchies, calculate accounts automatically, collect data centrally and easily add further key figures.

Further advantages of the new solution include interactive analysis options, as well as direct access to salesforce data via the data warehouse.i

Due to Automic’s positive experiences with prevero, the integrated solution will be extended continually in the future. As a first step, a self-service portal for managers and employees is to be launched. Budgeting is going to be extended by adding integrated financial planning, data collection and liquidity planning. Further planned steps include analyses of travel expenses, campaign tracking for the marketing department, headcount reporting, customer analyses and checklists. Moreover, the currently used purchase order tool is to be replaced.n phase
