  • MODULE 3 – Project Management

    What is a Project?

    • A temporary effort of sequential activities designed to accomplish a unique purpose

    • A group of inter-related activities, constrained by time, costs and scope, designed to deliver a unique purpose

    • A temporary endeavor undertaken to create a unique product service

    • An undertaking that encompasses a set of tasks or activities having an identifiable starting point and well defined objectives

    A project can create:

    - A product → component of another item or end item

    - A service → a business function to support production

    or logistics

    - A result → an outcome

    or document

    - The purpose of a project is to achieve its objectives

    and then terminate

There’s always a challenge in a project: Project constraints

SCOPE: the boundaries of the project

    Project Scope Management

Project Scope Management includes the processes required to ensure thatthe project includes all the work required, and only the work required to complete the project successfully

    • Collect requirements

    • Define Scope

    • Create WBS

    • Verify Scope

    25

  • MODULE 3 – Project Management

    Work Breakdown Structure (WBS)

    • The Work Breakdown Structure (WBS) is a management technique of breaking the project down into a hierarchy of work tasks which represent100% of the work

    • A method of breaking down a project into individual elements(components, subcomponents, activities and tasks) in a hierarchicalstructure which can be scheduled and valued and which represents 100% of the work

    • It defines tasks that can be completed independently of other tasks, facilitating resource allocation, assignment of responsibilities and measurement and control of the project

    • It is developed before identification of dependencies and estimation of activity durations

  • MODULE 3 – Project Management

    Project Change Management

Projects generally don’t go 100% as planned. Project Change management

would typically be composed of the raising and recording of changes,

assessing the impact, cost, benefit and risk of proposed changes, developing

business justification and obtaining approval, managing and coordinating

change implementation, monitoring and reporting on implementation,

    reviewing and closing change request.

    • Filtering changes

    • Managing changes and the change process

    • Reviewing and closing of Requests for Change

    • Management reporting and providing management information

    39

  • MODULE 3 – Project Management

    Project Document Management

Project Document Management is a very important aspect of projectmanagement. It can be a sophisticated software or simple excel sheetsdepending on the project strategy

    • Avoid using obsolete drawing

    and designs for execution

    • Serves a very good engine

for future use of project data

    40

  • MODULE 3 – Project Management

    Project Schedule Management

In a Project It's helpful to be able to see everything that needs to be done,

and know, at a glance, when each activity needs to be completed.

Gantt charts convey this information visually. They outline all of the tasks

involved in a project, and their order, shown against a timescale. This gives

you an instant overview of a project, its associated tasks, and when these

    need to be finished.

When you set up a Gantt chart, you need to think through all of the tasks

involved in your project. As part of this process, you'll work out who will be

responsible for each task, how long each task will take, and what problems

    your team may encounter.

    41

  • MODULE 3 – Project Management

    Project Schedule Management

This detailed thinking helps you ensure that the schedule is workable, that

the right people are assigned to each task, and that you have workarounds

for potential problems before you start.

They also help you work out practical aspects of a project, such as the

minimum time it will take to deliver, and which tasks need to be completed

before others can start. Plus, you can use them to identify the critical path –

the sequence of tasks that must individually be completed on time if the

whole project is to deliver on time.

Finally, you can use them to keep your team and your sponsors informed of

progress. Simply update the chart to show schedule changes and their

implications, or use it to communicate that key tasks have been completed.

    42

  • MODULE 3 – Project Management

    Gantt Charts

    43

  • MODULE 3 – Project Management

    Gantt Charts

    Step 1: Identify Essential Tasks

Gantt charts don't give useful information unless they include all of the

activities needed for a project or project phase to be completed

So, to start, list all of these activities. Use a work breakdown structure if you

need to establish what the tasks are.

Then, for each task, note its earliest start date and its estimated duration

    44

  • MODULE 3 – Project Management

    Gantt Charts

    Step 2:Identify Task Relationships

The chart show the relationship between the tasks in a project. Some tasks

will need to be completed before you can start the next one, and others

can't end until preceding ones have ended. For example, if you're creating a

brochure, you need to finish the design before you can send it to print.

These dependent activities are called "sequential" or "linear" tasks.

Other tasks will be "parallel" – i.e. they can be done at the same time as

    other tasks.

    45

  • MODULE 3 – Project Management

    Gantt Charts

    Step 2: Identify Task Relationships

You don't have to do these in sequence, but you may sometimes need

other tasks to be finished first. So, for example, the design of your brochure

could begin before the text has been edited (although you won't be able to

finalize the design until the text is perfect.)

Identify which of your project's tasks are parallel, and which are sequential.

Where tasks are dependent on others, note down the relationship between

them. This will give you a deeper understanding of how to organize your

project, and it will help when you start scheduling activities on the chart.

    46

  • MODULE 3 – Project Management

    Gantt Charts

Step 3: Input Activities Into Software or a Template

You can draw your charts by hand or use specialist software, such as

Gantto, Matchware, or Microsoft Project. Some of these tools are cloud-

based, meaning that you and your team can access the document

simultaneously, from any location. (This helps a lot when you're discussing,

optimizing, and reporting on a project.)

Several Gantt templates have been created for Microsoft Excel, and you can

also find free templates with a quick search online.
