Process DiscoveryProcess Discovery

The indexer adds the standard indexing information (policy number, scheme number etc.) and also identifies work area, work type and sub-category.

May also need to identify document type (e.g. application from, correspondence, direct debit etc.)

The image is committed to the image repository and an entry will be created in the distribution queue.

Distribution pulls entries from the distribution queue and identifies the relevant workflow type based in work area, work type and sub-category.

Distribution searches for in-flight work items of this workflow type with matching index information. If a match is found, the image is attached to the in-flight work item. Otherwise a new workflow is launched.

At regular intervals, all unallocated work items are assigned to team ‘allocated pools’ based on work area, work type and sub-category.

Unallocated work items may be new workflows created by distribution, existing workflows where the user requirements (e.g. work area, work type, sub-category ir skill level) have changed, or work items which were previously pended or diarised.

Allocation of work items to individuals may be done manually by the team manager or delegate, or automatically where they request another work item but none have been assigned to them by their manager/delegate.

Individuals can only be allocated work items form their own team’s ‘allocation pool’, and where they have the required skill level in the relevant work area, work type and sub-category.

Work items will be processed by a combination of human interaction and/or automated system processing.

The work area, work type, sub-category and/or skill level may be changed between steps in the process map, at this point if the current user no longer meets the user requirements the work item will become unallocated.

If the user chooses to pend or diarise a task it will ‘sleep’ for the specified period, then will become eligible for allocation again (the user may mark the item to be returned to them only).

If a work item is sent for authorisation, the skill level will be changed and it will be returned for allocation.
