The main objectives of the EGAAL doctoral school are

In three peculiar cases, the two recruitment procedures are not applicable:
• PhD project supervised by an international consortium having its own recruitmentprocedure. Applicant selection is organized by consortium or foreign partner (PhD co-tutelle, foreign/Campus France grants, ITN/ETN networks…),
• PhD project funded by a research body having its own recruitment procedures(IFSTTAR, IRSTEA, CNES, Industrial companies, foundations,……),
• When PhD student information must be included in the PhD funding calls (e.g., CIFRE,ADEME, Pays de la Loire…), PhD applicants selection is organized by the PhD supervisor.

In these three peculiar cases, Doctoral School participates to recruitment ifrequested by the thesis offer supervisor.
For any recruitment, EGAAL Doctoral School asks for respect of two fundamental rules:• To open the PhD offer to competition• To respect the eligibility threshold of an application
THE ELIGIBILITY THRESHOLD
In the EGAAL Doctoral School, eligibility of an application is based on three criterion :• Master degree ranking/marks• Applicant’s motivation• Applicant’s adequacy to the project
Each criteria is quantified in order to obtain a final ‘Applicant Mark’. If this mark is lowerthan the eligibility threshold, application is rejected by the Doctoral School.

PhD DURATION IN EGAAL DOCTORAL SCHOOL
• Doctoral studies last 36 months (or up to 72 months max for salaries following PhDstudies in part-time or in a lifelong training program)
• PhD duration may be different in the following cases:o International agreements (Cotutelle thesis)o Long-term work leave due to sickness, parental care, or exceptional circumstanceso Professional positions during the PhD degree
DEROGATION PROCEDURES
• Any request of PhD duration extension (except cases see previously) must besubmitted to the EGAAL Doctoral School before 34th PhD month.
• The extension request includeso The state of progress of the PhD work written by the PhD studento The last Individual Monitoring Committee reporto An opinion of both PhD supervisor and Research Unit
• Also, this request details both PhD defense date and remuneration conditions of thePhD student during extension (at least up to PhD dissertation submission).
As a reminder, the minimum pre-tax monthly amount of required funding forregistering doctoral students is the French minimum wage (SMIC).

According to the Order of 25 May 2016, a doctoral training agreement must bedrawn up for each PhD student.
Attached as an appendix to the Doctoral Charter, this agreement – signed by thePhD student, the thesis supervisors and the head of research unit – must beestablished during the first few months of the thesis.
Agreement must notably specify the student’s individual doctoral trainingprogram, in connection with his/her professional project. Drawn up in closecollaboration between the doctoral student and the supervisors, this trainingprogram must take into account the student’s needs with regard to complementary,disciplinary and cross-disciplinary training courses required for both a successfulthesis and a successful professional project.
This program can be revised upon each reregistration.
DOCTORAL TRAINING AGREEMENT
EGAAL Doctoral School allows students to validate two types of training:
CATALOGUE COURSESDepending on their academic path, thesis program and professional project, PhDstudents choose disciplinary (field-specific) training courses from the EGAAL coursescatalogue and cross-disciplinary courses from the UBL catalogue, with the lattercomprising courses provided by both the UBL Doctorate School and the Site DoctoralCenters. These courses are called “Catalogue Courses”.

CATALOGUE COURSESDepending on their academic path, thesis program and professional project, PhDstudents choose disciplinary (field-specific) training courses from the EGAAL coursescatalogue and cross-disciplinary courses from the UBL catalogue, with the lattercomprising courses provided by both the UBL Doctorate School and the Site DoctoralCenters. These courses are called “Catalogue Courses”.
NON-CATALOGUE TRAININGSThe EGAAL and UBL training course catalogues are non-restrictive. EGAAL doctoralstudents are allowed to pursue outside training courses or activities, known as “Non-Catalogue Trainings”. These outside courses/activities concern:• Disciplinary or cross-disciplinary courses, either in-class or on-line (e.g. MOOCs), provided
by higher education institutions, research bodies, private entities, scientific networks, etc.• Activities pursued during the thesis, such as participating in a scientific gathering,
organizing/coordinating a scientific event, participating in a doctoral-student event,carrying out a scientific stay or a teaching assignment, etc.

My Thesis in 180 seconds'My thesis in 180 seconds' gives PhD students the opportunity to present theirresearch topic, in French and in simple terms, to a wide and non-specialistaudience. The aim is for each student to deliver a clear, concise and convincingpresentation on his research project in three minutes. The only support allowed isa single slide! It is coordinated by the UBL for the West of France.

Activities pursued during the thesis, such as participating in a scientific event,organizing/coordinating a scientific event, participating in a doctoral-student event,carrying out a scientific stay or a teaching assignment.
TRAINING COUNTING• These two types of training (“Catalogue Courses” and “Non-Catalogue Trainings”)
are validated in hours
TRAINING RULES• PhD students must validate at least 100 hours of training during the first 36
months of their thesis work.• The doctoral school allows its students to mix cross-disciplinary and disciplinary
training courses/activities within a range of 40-60%.• EGAAL doctoral students must participate in the EGAAL “Science Days”• EGAAL doctoral students must take a course on “Scientific Ethics and Integrity”.
The latter can be the ethics course offered by UBL or that of another institution.
TRAINING IN EGAAL DOCTORAL SCHOOL
TRAINING DISPENSATIONThe total training volume (100 hours minimum) and the mixing of disciplinary/cross-disciplinary trainings (60%-40%) can be revised according to specificities of thestudent's thesis, academic program or professional project.The PhD student must submit a “doctoral training dispensation request” to theEGAAL Doctoral School, signed by thesis supervisors.

ADMINISTRATIVE TRACKING TOOLS
To provide doctoral students with help in their studies and administrativeprocedures, two applications have been created:
• the AMETHIS application for doctoral students in Brittany• the LUNAM Docteur application for doctoral students in the Loire region

A unified application for doctoral students in Brittany and the Loire region is beingdeveloped (in 2019).
USEFUL DOCUMENTSSUMMARY OF TRAINING HOURS
• During the thesis, a PhD student mustcomplete this document.
• Each year, it is attached to the report of theIndividual Monitoring Committee.
• At the time of preparing the PhD defense, thePhD student sends the document to theEGAAL site manager, with all the attendancecertificates gathered in a pdf file. All thepieces must be written or translated intoFrench or English.
SUPPORTS FOR PhD MOBILITY
EGAAL Doctoral School offers funds for PhD students mobility projects (scientific stayor scientific event participating).

Other supports exist, differing by the funder identity, the amounts of the financialsupport, also by the selection criteria and the nature of the projects expected.EGAAL Doctoral School provides research units and doctoral students withinformation on calls for projects. In general, these calls are annual or semi-annualand organized by "campaign".

INDIVIDUAL MONITORING COMMITTEE*
The ‘CSI’ meeting offers PhD students the opportunity to take stock of their thesispreparation and review their progress. Students can also discuss any and allproblems encountered (scientific, material and/or relational difficulties).
Each ‘CSI’ meeting must include a confidential interview of the PhD student by thecommittee in the absence of the PhD supervisors.
At the end of the meeting, a report is written in which the PhD student and thesupervisors detail the progress of the thesis work and the committee gives a detailedopinion on the student’s re-registration. According to this report, the Doctoral School(deputy) director gives a favorable or unfavorable opinion for the 2nd, 3rd or 4th re-registration.
NO ‘CSI’ REPORT = NO RE-REGISTRATION
*COMITE DE SUIVI INDIVIDUEL – CSI
• ‘CSI’ members are first chosen by the thesis supervisors and then validated byEGAAL Doctoral School.
• Composition rules:o The ‘CSI’ must include at least two scientists who are not involved in the PhD work
supervisingo At least, one ‘CSI’ member must have a HDR (accreditation to supervise research)
non-member of the research team (HCERES-evaluated team) and at least twoscientists outside of the student’s registration institution
oMembers can be chosen from the private sector
• A ‘CSI’ member is designated as ‘CSI’ president; she/he shall validate the ‘CSI’report prior to signature. In case of committee member resigning, he/she will bereplaced according to the same procedure.
• Finally, ‘CSI’ members can not be chosen as thesis reviewers (rapporteurs) whenforming the thesis defense jury.
‘CSI’ composition must be submitted within the first 6 months of the thesis
COMMITTEE COMPOSITION
TUTOR APPOINTMENT
At the request of the PhD student, EGAAL Doctoral School may appoint a tutor forhim/her. The tutor is a member of the ‘CSI’, and his/her mission is to advise thePhD student on possible material/professional/relationship difficulties and topromote the successful completion of the thesis work.
CONFLICT AND MEDIATION IN UBL• Any persistent conflict between the PhD student and the supervisor(s) must be
declared to the head of the research unit who will try to find a solution.
• The PhD student, the thesis supervisor(s), the head of the research unit or theIndividual Monitoring Committee could contact the (deputy) director of EGAALDoctoral School. The latter will call a mediation group composed of two membersof the EGAAL Doctoral School council, including a PhD student representative.
• The mediation group will listen to the both parties and propose a solution. Themission of the mediation group implies its impartiality. If the mediation has failed,the PhD student, the PhD supervisor(s), or the head of the research unit may askthe President of the registration institution, the appointment of a new mediator. Incase of new failure, a last resort may finally be filed with President of theregistration institution.
EGAAL doctoral school and the registration institution will keep each other informed ofthe conclusions of the mediation they would have to organize.
IN CASE OF DIFFICULTIES WITH SUPERVISOR(S)• EGAAL Doctoral School proposes a procedure between the appearance of conflicts
and a possible mediation. This procedure applies when the origin of the conflict isthe PhD supervisor(s).
• The procedure allows EGAAL Doctoral School to be informed of a conflict as soonas possible and to quickly assess its severity and to identify possible means ofresolution before any mediation procedure.
• This procedure is not exclusive: it complements other conflict resolutionmechanisms that may exist, in research unit, employer, registration institution…
• The first step of this procedure is the PhD student encounter. EGAAL DoctoralSchool (deputy) director receives him/her in the presence of a representative fromthe registration institution.
If the conflict is based on serious facts relating to criminal proceedings (egpsychological or sexual harassment, physical violence), it must be dealt with by thecompetent authorities.

REQUIREMENTS FOR THESIS DEFENCE
• Favorable opinion from the PhD manuscript referees• The validation of at least 100 hours of training during the thesis• The participation to a ‘Ethics and Scientific Integrity’ training• The participation to the ‘Science Days’ of the EGAAL Doctoral School• At least one communication (oral or poster) in an international event• At least one accepted paper as first author in an international peer-reviewed
journal indexed in Web of Science/SCOPUS. Pre-prints recommended by PCI (PeerCommunity In) is considered equivalent to an indexed paper. Publicationspresenting results from previous works are not taken into account. Participation ofthe PhD student as a co-inventor of a patent regardless of the contribution rate isconsidered equivalent to an indexed paper.
• If the thesis manuscript is not written in French, a substantial summary (10-20pages) in French will have to be written as complement.
In case of thesis with a confidentiality clause, valorization conditions are discussed withEGAAL Doctoral School during the course of the thesis.
THESIS DEFENCE JURY
Rules for jury composition:The thesis defense jury is named by the head of registration institution, upon therecommendation of the EGAAL Doctoral School and the thesis supervisor. The jury comprisesfour to eight members. At least half of the jury members must be French or foreign figuresfrom outside the student’s doctoral school and registration institution, chosen for theirscientific or professional expertise within the relevant field of study. The jury must respect thegender balance.
Rules for the referees appointment:oAt least two referees from outside the student’s doctoral school and registration institution,
and in all cases from the institution where the thesis was doneoNo conflict of interest and no participation in the ‘CSI’ or thesisoThey have the title of professor or hold an accreditation to supervise research (HDR)oThey may be foreigners, of equivalent qualification leveloThe referees can not have joint publications with the PhD student
PhD DEFENCE
The thesis defense is public, unless an exemption is exceptionally accorded bythe head of the registration institution in the event of the thesis subject beingdeemed confidential in nature.
Following the PhD student presentation and the discussion with the jurymembers, the jury deliberates behind closed door to give an opinion on theopportunity to award the doctor's degree and draws up the defense report.The thesis director participates in the jury but does not take part neither the
deliberation nor the writing of the defense report.
SKILLS PORTFOLIO
A portfolio including all the activities of the PhD student during his/her doctoraldegree (teaching, dissemination of scientific culture, technology transfer), andvaluing the skills acquired during the thesis, must be realized.
Writing of this portfolio during the course of the thesis allows the PhD student areal follow-up of his/her career/professional project and his/her skills acquired thathe can valorize for the purpose of his/her professional insertion.

2- To help the organization the ‘Science days’ of EGAAL
• Each second- and third-year PhD students must participate and make apresentation (oral or poster) of his/her thesis work.
• One or two inter-disciplinary research’s theme(s) could be defined.• One or two plenary speakers will be invited according to inter-disciplinary
research’s themes.• Following the number of participants, one session or parallel sessions must
be defined and organized.• Best presentations will be awarded.

The ‘Science Days’ event should be organized by and for PhD students. It shouldtake place at the beginning of July 2019. Location: Rennes
At least 6 PhD students are needed for the organization. At the moment, 3students are voluntary to participate: Chauphi Dinh & Timothee Cheriere(Angers), Imen Jebalia (Nantes). Thanks to them

The Doctoral School Council validates the action plan of the EGAAL DoctoralSchool.
