1. Each single booth at the 27th
Annual Accounting Show will have abooth space rental of $1,429 perbooth. Booth space rental will cost$1,275 for those who register and paythe balance before May 13, 2012, forthe 27th Annual Accounting Show.Discount rates for multiple booths areas outlined under “Booth Costs” onthe application. Priority booths are anadditional $90 per booth (refer to thefloor plan).
2. Payment in the amount of 50%or full payment must accompany theapplication/contract. Booth spacerental fees are non-refundable. Thebalance must be paid by Aug. 19,2012, for the 27th Annual AccountingShow. Exhibitors will not be allowedaccess to the exhibit hall until all feesare paid in full.
3. Exhibitors are required to havean attendant at their exhibit at all timesduring show hours.
4. Move-in time for the 27thAnnual Accounting Show isWednesday, Sept. 19, 2012, from 10a.m.- 7 p.m. and move-out time isFriday, Sept. 21, 2012, from 2-6 p.m.
5. This agreement includes a one-time list of show attendees. Additionallists may be purchased for a 10%discount from normal rates uponapproval.
6. This agreement is for exhibitspace only; course materials are notincluded. Exhibitors may attend theprogram only if they formally registeras a participant by paying theregistration fee in addition to theexhibit fee.
7. FICPA management reserves theright to approve the character of anyexhibit, any goods therein and theattendant advertising and salespromotion and to prohibit anythingwhich in its judgment because ofnoise or other objectionable featuresmay detract from the show in general.
8. All sound equipment must beregulated so it does not disturbneighboring exhibits. The FICPAreserves the right to determine at whatpoint sound constitutes interferencewith others and must be discontinued.Due to regulations by the musicindustry regarding music at publicmeetings, conventions and shows,exhibitors may not play music duringthe trade show, either live or recorded.
9. Exhibitors will not be permittedto assign, sublet or share with othersany part of the space allotted to them.
10. FICPA management reserves theright to require any exhibitor to movehis exhibit to another location if it is inthe best interest of the show.
11. In accordance with FloridaStatutes Section 212.18(3)(b)3, theFICPA authorizes exhibitors to makeretail sales of tangible personalproperty or service subject to salestax. The exhibitor shall be solelyresponsible for any local, state orfederal tax liability resulting from thiscontract or other tax implicationarising from activities while anexhibitor at the 27th AnnualAccounting Show.
12. No exhibitor is to begin dis-mantling prior to the close of theshow. Any exhibitor dismantling priorto the close of the show will forfeit hiscompany’s right to exhibit at futuremeetings of the FICPA.
13. Advertising materials cannot bedistributed outside of the exhibitor’sbooth.
14. Booths must be kept clean. Thefloor and display areas of the boothmust be clear of debris. Exhibitors willbe liable for any extra clean-up costsincurred due to displays, foodmachines and other means.
15. The use of promotions,premiums, lotteries or giveawaycontests must be approved by FICPAmanagement. Such approval may begranted or withheld with or withoutcause at the discretion of FICPAmanagement.
16. Hospitality suites can be openedonly after the closing of the exhibithall.
17. Use of electrical current isconfined to lighting or the operationof such equipment that is harmless,noiseless and does not releaseundesirable odors.
18. All contractors hired by theexhibitor, other than those officialsuppliers listed in the exhibitor’s kit,must submit proof of liabilityinsurance to the FICPA and to theservice company. Outside contractorsmust have a badge to gain access tothe exhibit hall. Outside contractors ortheir employees who are not on thepre-registration badge list must pick uptheir badges at the exhibitor check-in.A letter of authorization or other proofof affiliation with the exhibitor’scompany must be shown in order toreceive a badge.
19. Objectionable practices byexhibitors or official suppliers shouldbe reported immediately and not afterthe show is completed.
20. No children under 16 years ofage will be allowed in the exhibit areaat any time.
21. It is agreed that the FICPA andthe host facilities shall not be liable forany damage to, or destruction of, anyexhibit from any cause or for the theftor disappearance of any exhibit or anyproperty contained in or about theexhibit booth area.
22. The exhibitor agrees toindemnify and hold harmless theFICPA and the host facilities or theiremployees or their representativesagainst any and all liabilities fordamage, injury or loss to all personsand any and all claims arising out ofacts or omissions of exhibitors, theiremployees or their representatives.
23. The FICPA will not be heldresponsible or liable for charges ordamages for any failure ofperformance due to acts of nature,labor disputes, shortage of materials,governmental authority, or othercircumstances beyond reasonablecontrol of either party.
24. Insurance, if desired by theexhibitors, must be obtained at theirown expense.
25. Exhibitors will not offer educa-tional/training or other programswithin the show facility simultaneousto FICPA show-related programs.
26. The FICPA is not responsiblefor monitoring the proximity ofcompetitors’ booths. Please check ourWeb site at www.ficpa.org for a list, todate, of secured booths.
Booth Construction27. All electrical work and electricalwiring must be approved and installedin accordance with regulationsestablished by the officials of the FireMarshall’s Office.
28. No construction will be allowedat the sides or above the booth, whichmay obscure the view of any adjacentbooths.
29. All materials used for decoratingmust be flameproof.
30. Construction and signs that areabove 8 feet in height are to beapproved by FICPA management.
31. All applicable city, county andstate codes and ordinances must becomplied with, as well as those of thehost facilities.
32. Nothing shall be posted on,tacked, nailed or otherwise affixed tocolumns, walls, floors or other parts ofthe buildings, furniture or equipment.
33. In order to meet the 7 p.m. set-up deadline, FICPA managementreserves the right to order labor to setup any exhibit for the 27th AnnualAccounting Show that is not in theprocess of being erected by 6 p.m. onWednesday, Sept. 19, 2012. The costfor this labor will be paid by theexhibitor. No exhibitor may set uptheir booth on Thursday, Sept. 20,2012, for the 27th Annual AccountingShow.
Booth Assignment34. Booths will be assigned on Oct.10, 2011, to contracted exhibitorsbased on the priority system. All otherbooths are assigned on a first-come,first-served basis pending payment.
ADA Requirements35. In accordance with ADA require-ments, if you are disabled and requirespecial services, please contact ouroffice at (800) 342-3197 (in Florida) or(850) 224-2727.
Interpretation of Rules36. The interpretation of all rulesand regulations is the responsibilityof the FICPA Executive Committee ortheir designated representative. Alldecisions of said group or representa-tives are final.
