Operations NotesMaterial Handling Proceduresat U.S. Events

While Rogers Worldwideattempts to have trainedpersonnel on site at the

majority of shows it handles, theremay be occasions when site supervi-sion is cost prohibitive. In theseinstances, exhibitors must navigatethe on site drayage or material han-dling procedures by themselves orwith telephone instruction from aRogers office. Here are some helpfultips to provide exhibitors with whenthey find themselves “alone” on site.

● While unpacking, obtain “empty”labels from the general service con-tractor’s desk located in the exhibitorservice area. Place an empty label onall boxes as soon as they are ready tobe placed into storage, unless you areabsolutely sure that you WILL NOTneed the boxes or crates returned toyour stand after the show. If the crateis not affixed with an empty sticker, itwill be disposed of. ● Remember to mark your woodpallets with empty stickers if you alsowant to receive them back at the endof the show.● Re-crating facilities, repackingservices and materials (tape, bubblepack, etc.) and empty cartons maynot always be available at every showand are very expensive. Bring the nec-essary items and tools for repackingwith you to the show.● Blank labels and MaterialHandling Receipts (MHR), alsoreferred to as bills of lading, arerequired to coordinate the removal ofyour exhibits from show site. Bothcan be obtained from the generalcontractor’s desk in the exhibitorservice area. Often the MHR is deliv-ered to your booth with the contrac-tor’s invoice or receipt. If it is notautomatically delivered, you mayhave an outstanding (unpaid) invoiceon file.

● After the show, make sure thatoutbound labels (at least one perpiece) mention the name of theexhibiting company and stand num-ber in addition to the address of theultimate destination. ● The information contained onthe shipping label MUST also be ref-erenced on the MHR. When con-tractor personnel arrive to removeitems from the stand for loading ontothe outbound carrier, they will lookfor the stand number and exhibitorname on the labels and they willcompare the label with the MHR to

confirm that the correct freight isbeing loaded.● The “Ship To” address on theMHR should be the address of thelocal warehouse/ steamship line/ air-line that the trucking company willdeliver to. Also referenced in thebody of the MHR should be theaddress of the ultimate destination asstated on the label. ● To signal that the freight is readyto be picked up by the outbound car-rier, deliver the completed MHR to

the contractor’s service desk in the exhibitorservice area. Re-check that the pieces, weightand description of the boxes on the MHRmatch the number of pieces, weight anddescription of the boxes on the stand. ● If multiple pieces are wrapped in plasticand palletized, make sure that each individualpiece is labeled and the labels can be viewedthrough the plastic. In a shipment of 10pieces, for example, cartons should bemarked 1 of 10, 2 of 10, 3 of 10, etc. Iflabels cannot be viewed through the plasticwrap, an exterior label placed on the outsideof the wrap should state the number ofpieces on the pallet, i.e. 1 pallet S.T.C. (saidto contain) 10 pieces. The MHR must alsostate the number of pieces on the pallet inthe following manner: 1 pallet S.T.C. 10pieces.● Make sure that the name of the truckingcompany is clearly stated on the MHR. Thisinformation as well as the delivery address tothe local warehouse must be obtained fromthe Rogers Worldwide office in advance.This information may change in relation tothe mode of transport, whether the shipmentis being exported or shipped domesticallywithin the U.S. Sometimes the carrier nameis actually the name of the local freight forwarder/agent instead of the trucking company.

Make sure that each individual piece is labeled and thelabels can be viewed through the plastic.

Remember to mark your wood pallets with empty stickersif you also want to receive them back at the end of theshow.
