Overview
The Hotel Booking Program provides a secure way for advisors to book participating Virtuoso Hotels & Resorts online through virtuoso.com. Soon consumers will also be able to make online
bookings, while still maintaining the level of service to which they are accustomed and working with their Virtuoso advisor.
This Hotel Booking Program Sabre Reference Document is intended in providing basic expectations and guidance using Sabre and does not infer an agency must change internal
processes, if existing. Agencies who have not created internal procedures may use this guide to structure and modify based on agency needs.
The main objective is offering resources and training tools needed to complete a smooth
encounter with all Virtuoso.com hotel bookings. All links will be directed to Sabre, login required.
Requirements
Member will obtain the Sabre booking through email and/or queue placement to agency owned Sabre PCC/Pseudo City Code.
Member/Advisor must contact client within 24 hours of receiving booking. Member and Advisor will take full responsibility for booking, including changes, updates,
cancellations, invoicing, tracking and collecting agency commissions.
For other questions or reference relating to the program, refer to the Hotel Booking Info page.
Any updated requirements will be documented in the virtuoso.com website > Agency Tools > Information Pages > Hotel Booking section.

Agency Process for Hotel Booking Program (Basic)
Member Agency or Advisor will receive booking in their designated Sabre queue
Pull record by assigned queue with format Q/100 (100 = queue number) Pull record by Sabre Record Locator - *ABCIUY (6 Digit Record Locator) Pull record by Last Name *-SMITH/J
Contact Client within 24 hours and confirm reservation details (including cancel policy) Email client itinerary through Sabre using TripCase functions with the PE field (optional)
Agency invoice to back office for tracking commission payments from hotel (optional) Hotel messages are generated through the live booking history and OSI message and
monitored by queues (typically in G or S queue)
Changes, Modifications, Adding Loyalty IDs and cancellations are managed by Agency/Advisor. When working in a queue, if you End (E) the PNR, it will no longer be in
queue.
Sabre Training Resources
Each Sabre login access has training resources through a Web portal or Downloaded Sabre Red Workspace. All the training (with the exception of Sabre Scribe classes) is offered free of charge, however cancellation penalties may apply for late cancellation or no-show (will be stated prior to
enrolling in class)
New to Sabre? We suggest using the modules in My Personal Trainer to guide through each lesson and next module. Modules are interactive averaging 15-20 minutes in length.

Classroom:
Conducted via the Internet using LearnLinc software, these classes offer interaction among
participants and a live instructor. Sessions use a bridge (voice) line for the audio, while
presentations are viewed on the Internet.
Personal
Trainer:
Personal Trainer education software contains self-paced, interactive lessons on virtually
every Sabresystem topic
Quick
Reference:
Quick references are job aids that provide quick access to Sabre system formats or
procedures. Adobe Acrobat Reader is required.

TripCase Email Advisors have the option to send an email confirmation to their clients for hotel bookings
they make on virtuoso.com. And consumer bookings created on Virtuoso.com generate an
email to the traveler. Any Sabre Connected agency can also utilize TripCase Document Delivery,
free of charge. With TripCase Document Delivery, agencies send co-branded travel documents, including the itinerary, eTicket, and Invoice, to travelers seamlessly from Sabre Red Workspace.
By using a few simple commands, you can ensure your travelers have the important travel documents needed to make their trip as smooth as possible.
Documents are delivered via HTML email, in the agency’s choice of 24 languages, and also imported into the traveler’s TripCase Web and Mobile account. Any changes in the itinerary will be reflected in the traveler’s TripCase Web and Mobile account. Travelers can Sign up at

Remove Email Address PE1¤ (line 1, ¤ =change key) By clicking ITINERARY in the Menu bar, you are directed to a webpage of the Live PNR.

Basic PNR Display
Verify records on Queue 500 (assuming 500 is the assigned queue) – 3 records on Queue Count - QC/500 format
Access- Q/500 if more than 1 PNR, use I (ignore) to move to the next PNR, first PNR will remain in queue
Display PNR by Passenger Name, Passenger is listed on Line 5 – enter *5

When viewing the reservation, message will have the cancel policy, however, depending on how
much is added to the PNR. Continually enter MD (move down) to see the rest of the PNR. Sample formats:

and drops into history)

Display hotel details by double clicking on the hotel number 29938- (highlighted blue lettering are links)
Cancel policy is viewed many ways by double clicking the hotel name opening a pop window or enter the format MD/CANCEL POLICY or DEPOSIT POLICY

View available API RATES in Sabre, if rate does not appear the room category is sold out or not available for requested dates.

address to verify booking is correct. Options to modify the email or add notes before forwarding to the client.

By clicking Format Finder, a Pop Window will display at the bottom to search.

Agency eServices Support Desk & Sabre Help Desk Sabre Help Desk is available 24/7, fees are billed to the agency when contacting through phone
or Quick Assist per call, no matter the duration. While in Sabre click the tab Agency eServices > Support. The agencies unique Customer
Support PIN number is listed on this page and required when calling. The quick assist prompts help desk to call at the number entered to assist.
