GLC 27 Federation of Gay Games Records

Introduction

The inventory that follows is a series level description of a body of records which comprise The Federation of Gay Games Archive. At the time of this writing (May 1995), the record group totaled approximately 30 cubic feet. Material continues to be processed and more material is expected at this writing.

Although material for The Federation of Gay Games Archive has been accumulating since 1982, a formal effort to plan the organization of the materials did not begin until July 1992. Actual hands-on organization of the Archive began in February 1995 at California State University, San Marcos. Processing was begun by a graduate student enrolled in the San Jose State University School of Library and Information Services, Fullerton campus program. The student worked under the direct supervision of Terry Allison, Collections Librarian, California State University, San Marcos and a former Board member of The Federation of Gay Games. Professor Debra Hansen, California State University, Fullerton Program Faculty Member and Archival Specialist, provided invaluable technical direction and practical expertise.

Upon completion of initial processing, the Archive was donated to the San Francisco Public Library for its Lesbian and Gay Studies Collection.

The Federation of Gay Games archival material is available to researchers with some restrictions. Some material contained in the Archive is sensitive.

Historical Background

The Gay Games were conceived by 1968 US Olympic decathlon athlete Dr. Tom Waddell, who said, "To do one's personal best is the ultimate of all human achievement." This is the Gay Games philosophy. The Games originated as an opportunity for thousands of individuals at all levels of development to enjoy international competition. Built on the principle of inclusion, any person, of any age, any race, any sex, ability, or sexual orientation may participate in any Gay Games. Whenever possible, women and men compete together, with each sport open to the physically challenged. The overall spirit of the Gay Games is one of openness and honesty.

Since Gay Games I in San Francisco in 1982 with 1,500 participants, the Games have been held every four years: Gay Games 11, San Francisco in 1986 with 3,700 participants; Gay Games 111 in Vancouver, British Columbia, with 7,500 participants; and Gay Games IV in New York with over 10,500 athletes. Gay Games V will be held in Amsterdam the Netherlands in August 1998, the first time the Games will be held off the North American continent.

Seeing the need to fbrther the internationalization of the Gay Games, San Francisco Arts and Athletics, the original parent organization, reorganized itself in 1989 into The Federation of Gay Games and solicited international participation within its Board of Directors. An all-volunteer Board of Directors consisting of over 40 sporting and cultural organizations and individual members ensures that the Gay Games take place and that they are held in strict accordance with the original principles and concepts, emphasizing participation over winning and inclusion over exclusion.

From its inception, San Francisco Arts and Athletics, and continuing with The Federation of Gay Games, recognized the importance of preserving and documenting the history of the Gay Games. Within The Federation of Gay Games, the Archives Task Force requested and received funding to establish a Federation and Gay Games Archive with the materials collected from Gay Games I through IV.

However, Gay Games IV in New York represented the first actual instance in which the contract between The Federation and the Host Organization (New York In '94) included a provision for retention and shipment of archival materials. The bulk of the material described in this document is from Gay Games IV; however, individual holders of material from Gay Games I through III are encouraged to ship the material to The Federation of Gay Games office in San Francisco for initial processing.

In February 1995, Terry Allison, a member of The Federation of Gay Games Board of Directors and Collections Librarian at California State University, San Marcos, received an initial 26-box shipment of Gay Games material from New York. In that shipment, one box contained material from Gay Games I through 111. The remaining 25 boxes contained material from Gay Games IV. Initial processing by a graduate student began immediately.

San Francisco Public Library was chosen as the repository for The Federation of Gay Games Archive because San Francisco is the original home of the Gay Games. San Francisco is a cosmopolitan city with a large gay and lesbian community. The Gay and Lesbian affinity group of the Library Foundation raised 2.5 million dollars for a gay and lesbian studies center at San Francisco's new main library site. The Federation of Gay Games Archive is part of the library's Gay and Lesbian Center Archives.

The material in this archive is a valuable resource for anyone interested in the history of the Gay Games and participation of gay and lesbian athletes in other non-gay and non-lesbian sporting events. People who have participated in the Gay Games and Cultural Festival will enjoy visiting the Archive. And, just as the ad campaign from Gay Games IV stated, "Games Can Change The World," this archive can help change the world.

Scope and Content of the Records

The Federation of Gay Games Archive record group spans the years 1982 through 1984. Records within the first three series, Gay Games I through 111, are, at best, sketchy; for Gay Games I they are scant. The records for all series in Gay Games IV seem to be nearly complete in all respects.

Records for Gay Games I through 111are in original order. They consist primarily of articles, letters, advertisements and statements of intent and policy from The Federation of Gay Games. Much material that would add to these records is currently stored in private collections by those who participated in the Gay Games. It is doubtful that additional material will be received to complete the records from Gay Games I and II. There is a good chance that considerable Gay Games m material will be received from Vancouver. Nevertheless, the Archives Task Force of The Federation of Gay Games will continue to solicit material from private collections during the years ahead.

Fortunately with Gay Games IV, The Federation of Gay Games contracted with the Host Organization for the retention and shipment of Games materials to a location where initial archival preparation could commence. Also, with Gay Games IV, The Federation had budgeted hnds to cover shipment and processing supplies.

Gay Games IV records, while primarily paper, include almost every format: a wide variety of paper, photographs (color and black and white), color slides, videos, audiotapes, camera-ready artwork, original musical scores, and memorabilia. The wide variety of paper records includes letters, faxes, memos, contracts, meeting agendas and minutes, and policy statements. Of these paper records, most were organized as part of an office filing system. Some were organized in three-ring notebooks. Most of the paper records arrived in fairly good order; some appeared to have been shufned as a the result of several people working to clear file cabinets and load packing boxes. For the most part, the paper records were left in original order whenever possible, one exception to this being newspaper clippings which were removed for separate storage until they can be photocopied onto acid fiee paper.

Series Descriptions

I. Gay Games I - Date: 1982 - .1 linear feet - no index. Series contains general information about Gay Games I.

II. Gay Games I1 - Date: 1986 - .4 linear feet - no index. Series contains general information about Gay Games 11, including some material that covers events before Gay Games II. Gay Games newsletters are included in this series. Photocopies of sponsors' advertisements are included; these serve as an interesting barometer of clothing and hair styles.

111. Gay Games III - Date: 1990 - .7 linear feet - no index. Series contains considerable general information about Gay Games 111. A researcher would be able to form a clear picture of this athletic and cultural event. Also, a considerable amount of organizational information is present, giving the researcher a glimpse at the complexity of staging such an event. Information about the host city is included along with an official program.

IV. Gay Games IV - Operations - Date 1994 - 6.6 linear feet - no index This series contains a comprehensive and complex group of records; comprehensive because it contains all the information necessary to stage a major athletic and cultural event; complex because it is the product of many minds and several organizational styles. This series contains everything from a statement of the Gay Games philosophy and

history to complex budget spreadsheets. Some material in this series is housed in three- ring binders probably as the result of being used for office reference or being carried into meetings.

V. Gay Games IV - Official and Related Publications and Printed Items - Date 1994 -1 .I linear feet - no index This series contains official publications and printed material. Looking through this array of brochures, booklets, flyers, folded posters and stickers gives a researcher the flavor of the Games. Researchers will enjoy the artwork represented as well as full color photograph brochures. The copy emphasizes pride, unity of spirit and an upbeat attitude.

VI. Gay Games IV - Registration - Date 1994 - 6.6linear feet - no index Although not indexed, this series is in alphabetical order. This series contains the registration form for every athlete who participated in the Games with the exception of last minute registration problems which are included in the next series.

PRIVACY CONCERN: because this series contains personal information about the athletes, the series may be sealed for 50 years. Conservation note: Although it would be a good idea to remove the staples, due to the number of forms (thousands), it would be extremely labor intensive.

VII. Gay Games IV - Last Minute Registration Concerns - Date 1994 - 1.1 linear feet - no index Although there is no index, folders 3 through 24 are alphabetized by sport. This series contains hundreds of registration problems and last minute correspondence.

PRIVACY CONCERN: because this series contains personal information about the athletes, the series may be sealed for 50 years.

VlII. Gay Games IV - Hosted Housing - Date 1994 - 1.1 linear feet - no index This series contains information about hosting an athlete as well as applications for hosted housing. Also, the series contains forms signed by the athletes waiving their right to sue their host. Considerable effort went into setting up the hosted housing for the Games. Clearly, this program made New York City affordable for athletes who would not otherwise have been able to afford the high hotel rates. Some records in this series can be understood only by their original creators. The series is a collection of forms, letters, memos and frantic notes.

PRIVACY CONCERN: because Folders 22 through 46 contain personal information about the athletes, these folders may be sealed for 50 years.

IX. Gay Games IV - Memorabilia - Date 1994 - 2.2 linear feet - no index This series is housed in archival trays in acid free storage boxes. The series consists of pins, buttons, single stickers and other small items.

X. Gay Games IV - Newspaper Clippings - Date 1994 - .3 linear feet - no index This series contains newspapers clippings; most of the clippings were provided by Burrell's, a newspaper clipping service. The clipping service staples a tab onto each clipping listing the date and the source.

XI. Gay Games IV - Cultural Festival Talent Entries Performer Portfolios -Date 1994 - 1.1 linear feet - no index This series contains talent entries. In many cases, the entry consists of a letter, a photograph, and a description of the entertainer's style and presentation. Many of the entries are enclosed in decorative portfolios.

XII. Gay Games IV - Sports Files - Date 1994 - 1.1 linear feet - no index Although there is no index, the events are alphabetized. The series contains records for all sports events. Records consist of the event schedule, venue description, rules and any other special information as it pertains to each individual sport. Special packets are included for some sports.

PRIVACY CONCERN: drug testing results are listed by social security number requiring that these records need to be sealed for 50 years.

XIII. Gay Games IV - Sheet Music - Date Pre-1994; 1994 - 2 linear feet - no index This series contains original music scores and copies scored for various instruments. The items in this record are oversized.

XW. Gay Games IV - Over the Road Giant Banner - Date 1994 - .5 linear feet - no index This series consists of a single rectangular multicolor banner. The banner appears to be made of fabric with a woven backing covered with vinyl similar to an oil cloth. The banner measures 5 112 feet by 3 112 feet; it is made to be hung by the grommets in its comers. It is the kind of banner that would be hung over a street.

XV. Gay Games IV - Talent Video and Audio Entries - Date Pre-1994; 1994 - 1.1 linear feet - no index This series consists of 40 videotaped entries and one audiotape. These entries are auditions for the Cultural Festival.

XVI. Gay Games IV - Oversize Camera-Ready Artwork - Date 1994 - 1.1 linear feet - no index This series consists of various art paste up boards with the artists' renditions of everything from set ups at various venues to ideas for the Gay Games official logo. Art boards are just as they were when the printer fished with them. They are evidence of the creative work necessary to make such an event a success.

XVII. Gay Games IV - One Athlete's Experience - Date Pre-1994; 1994 - 1.1 linear feet -no index This series consists of memorabilia collected by Terry Allison over his years of participation in the Gay Games, first as an athlete and most recently as a member of the Board of Directors of The Federation. The series contains pins, badges, photographs, programs, periodicals, a giant pencil, and many momentos.

XVIII. Gay Games IV - Photograph Album - Date Pre-1994; 1994 - .3 linear feet - no index This series contains almost 200 color and black-and-white photographs. The photographs are stored in special archival pocket pages according to size. The pages are stored in three-ring albums which fit into dust protective sleeves.

XIX. Gay Games IV - Slide Album -Date Pre-1994; 1994 - 1.1 linear feet - no index This series contains over 60 color slides. The slides are stored in special archival slide pocket pages which are housed in an archival three-ring binder with an outer protective sleeve.
