PARENTS GUIDEOn behalf of our instructors, Queen’s University, and Queen’s Recreation, I would like to welcome you and your child to the Queen’s Summer Sports Camp program. All camps promise to be filled from start to finish with developmentally appropriate activities which promote

life-long learning of recreation and sports skills. The skills are experienced in a recreation setting to encourage each child to explore fun and diverse activities.

We have an excellent group of experienced and enthusiastic instructors leading the program this year who have participated in an extensive pre-camp training program and are certified with CPR/First Aid.

The Athletics and Recreation Centre (ARC) has two facilities; ARC North is located in the Queen’s Centre at 284 Earl Street and ARC South is located in Mitchell Hall at 69 Union Street West. Q campers utilize almost every area of our state-of-the-art facilities and their amenities. The ARC North features two gymnasiums which can be used for a multitude of sports and set for a variety of configurations. The ARC North also has the most squash courts and racquetball courts in Kingston along with the city’s largest pool featuring several swim lanes, two diving boards as well as dedicated pool-side change rooms with showers. Next door in ARC South located in Mitchell Hall we have 3 additional gymnasiums and 35-meter indoor turf area. Q Campers will also use our full-size artificial, multi-season playing fields at Tindall Field, Nixon Field and Richardson Stadium.

Due to renovations of the main entrance of the ARC North all sign-in, sign-out, lunches and canteen will take place in the ARC South located in Mitchell Hall at 69 Union Street West.

PARENT’S NIGHTYou are invited to attend our Annual Parent’s Night in June (date to be determined), in the ARC South located in Mitchell Hall at 69 Union Street West. You will be able to meet the counselors, tour the facility and ask questions!

WHAT TO PACK FOR A DAY AT CAMPCLOTHING AND SHOESCampers should come to camp dressed for a day of activity. We recommend outdoor activity clothes and athletic shoes (no sport-sandals or open-toed shoes). You may want to include an additional pair of socks to help with blister prevention. A hat is also recommended.

WATER BOTTLEWater is a vital component when physically active. Parents are asked to send a water bottle/squeeze bottle each day, labeled with your child’s name. Please encourage your child to drink water while they are attending camps. We also allow for many water breaks throughout the day.

SUNBLOCKYour child will participate in outdoor activities everyday (except for Just for Fish and our Elite camps). For protection from the sun’s rays, we recommend applying SUNBLOCK (SPF #15 or higher) on your child, prior to arrival. We encourage you to send sunblock with your child.

SWIMMING GEARPlease pack a swimsuit every day for your camper. Towels will be provided. If your child is swimming at multiple times throughout the day, a second suit may be required. Backpack/Gym Bag A backpack, gym, or book bag is recommended for your child’s belongings. Please LABEL all of your camper’s items with his or her name.

LUNCHESWe offer four options:

1. Bring your own bagged lunch from home. 2. Purchase a PITA PIT® meal plan option. 3. Purchase food from our on-site canteen (Cheese or Pepperoni Pizza)4. NEW partnership with Grocery Checkout – Healthy Food Items

We are excited to be offering a PITA PIT® and Grocery Checkout meal plans this summer. Our canteen service is also available daily with Gabriel Pizza. PITA PIT® and Grocery Checkout meal plans must be order prior to the week of camp. Orders can be placed through the online registration system used to register for camps or by filling out the forms on pages 11 & 12.

WE ENCOURAGE ALL PARENTS AND CAMPERS TO LIMIT THE USE OF PEANUTS AND PEANUT BUTTER IN CHILD’S LUNCHES. As you are aware, severe peanut and nut allergies are around us and we are trying to do the best we can to control this. We cannot guarantee a totally nut free environment as we are open to the public.

SNACKSPlease include a few snacks in your child’s lunch as we will break from time to time throughout the day.

ARRIVING AT CAMP• March Break and Holiday Camps: A regular March Break and Holiday camp day is 9:00 am - 4:00 pm. Before

and after camp care is available starting at 8:00 am or in the afternoons until 5:00 pm. • Summer Camps: A regular Summer camp day is 9:00 am - 4:00 pm. Before and after camp care is available

starting at 8:00 am or in the afternoons until 5:15 pm.

CHECK-IN PROCEDURESDuring your registration you were asked to list the people who have permission to sign your child in and out of camp. This is essential as we make it mandatory that parents provide photo ID upon both signing in and out their camper. All campers must be checked (signed) in before the start of our camp day at 9:00 am. This summer the Athletics and Recreation Centre’s main entrance will undergo a major renovation. All campers must be signed in and signed out at the ARC South located in Mitchell Hall. From the original entrance off of Earl Street, follow the wayfinding dots and signs to the ARC South entrance. Lunches and canteen service will also be offered in the ARC South.

LATE ARRIVALSALL late arrivals (after 9:00 am) must report to the Q Services desk in ARC South located in Mitchell Hall.

DEPARTING FROM CAMPEARLY DEPARTURESAdvanced notice must be given in writing to the staff at check-in or check-out if your child needs to leave early. ALL campers who need to leave early will be picked up from the ARC South Q Services desk in Mitchell Hall and signed out accordingly. Due to programming, pick-ups must occur before 2:30 pm.

CHECK OUT PROCEDURESAs you will have noted in the online registration system, you were asked to list the people who have permission to sign your child in and out of camp. We will have a list of those people at sign in and sign out, so please ensure it is accurate. It is mandatory that you present photo ID upon signing out your camper. Please pick up (sign out) your child in the ARC South. On page 12, you’ll find a Camper Release Form that will need to be filled out if your child needs to leave camp for any reason ie. Dentist appointment. Please give this directly to your child’s camp counselor.

BEFORE AND AFTER CAMP CARE PROGRAMThis program is available to parents who need to drop/pick up their child outside a typical day of camp. This portion of the camp is supervised with minimal programming. Children will be asked to relax and participate in low activity games or crafts.

SINGLE DAY REGISTRATIONSWe allow campers to register for a single day of Camp on select camps. If you have registered for a single day of camp, you should follow all of the procedures laid out in this document. We are accepting single day registrations in-person only. The cost for single day registrations is $55 per day.

VALUABLESPlease leave all valuables at home. Label all of your belongings. Cell phones, iPods and other portable music players, collector cards, hand held video games, etc are not allowed at camp (even at lunch). Please leave them at home. Items that are not appropriate for camp will be confiscated and locked in the camp office until check out. Queen’s is not responsible for lost or stolen items.

ACCIDENTS AND EMERGENCIESIn the case of an emergency or accident involving your child, you will be notified following notification of the appropriate emergency personnel. All members of the camp staff are certified in First Aid and CPR and have been trained in emergency procedures at all locations.

Please be sure to provide the most accurate and update emergency contact information.

ILLNESSIf your child should become ill while at camp, you will be notified. We do not have a registered nurse on staff, therefore, we will ask you to make the decision whether to remove your child from the program for the day. We ask for your discretion on bringing your child to camp if he/ she is ill. Please call 613-533-6000 ext. 74605, if your child is ill and away from camp for the day.

MEDICATIONS/EPIPENS/INHALERSWe are not responsible for administering your child’s medication. If your child does require medication, the parent/guardian will be required to administer it at camp. The camper is responsible for carrying his/her EpiPen or inhaler with him/her at all times. The camper will show the counselor where it is carried. The use of a fanny pack has proven the most successful way to do this. In the event of an emergency, the camp counselors will administer the EpiPen. Please see the permission form on page 13 that will need to be signed and brought to the first day of camp.

SUMMER CAMP SOUVENIR T-SHIRTEach camper will receive one complimentary Q Camps t-shirt as a keepsake for attending camp. T-shirts will be distributed at the session of camp for which the camper is enrolled.

DISCIPLINEAt the Q Camps, we are aware that there will be a time when every camper has a difficult day. First and foremost, we want to quickly resolve any conflicts and keep your child involved in the activities. On occasion, it may be necessary to give the camper a chance to re-group away from the activity area.

In order for you to have a fun and exciting time, every camper needs to follow the same Camp Rules. Our Camper Code of Conduct is our guide to ensure the enjoyment and safety of all persons attending camps at Queen’s University.

POOL ADMISSIONS REQUIREMENTSTo ensure that children have a safe and enjoyable swimming experience, Queen’s Athletics & Recreation has updated our wristband policy. This system allows staff to identify children at greater risk and ensure adequate supervision when in the pool area.

Additionally, children who are unable to pass the swim test and who cannot touch the bottom of the pool and keep their head out of the water must wear a lifejacket.

*Due to the depth of the Queen’s ARC shallow end, all children who are unable to pass the facility swim test and unable to reach the minimum height requirement of 4ft 10 inches will be required to wear a lifejacket in the shallow end.

Each ratio indicates the maximum number of children that one responsible person (aged 16 or older) is able to supervise. Responsible person should be in proper bathing attire, in the water, actively participating within arm’s reach at all times.High-risk participants must be in a ratio of 1:1. High-risk participants are defined as those who have a condition or illness that may put them at risk in an aquatic environment (i.e. frequent seizures, fainting conditions, etc.) and those who are unable to control behaviour or impulses and require direct supervision.

Facility Swim TestChildren must swim on their front across the shallow end of the pool (50m distance) without touching the bottom. Children may attempt the swim test ONLY ONCE during a scheduled swim time.

Food: The key to preventing an anaphylactic emergency is absolute avoidance of the allergen. People with food allergies should not share food or eat unmarked / bulk foods or products with a “may contain” warning.

A person having an anaphylactic reaction might have ANY of these signs and symptoms:

• Skin system: hives, swelling, itching, warmth, redness, rash• Respiratory system (breathing): coughing, wheezing, shortness of breath, chest pain/tightness, throat tightness, hoarse voice, nasal congestion or hay fever-like symptoms (runny, itchy nose and watery eyes, sneezing), trouble swallowing• Gastrointestinal system (stomach): nausea, pain/cramps, vomiting, diarrhea• Cardiovascular system (heart): pale/blue colour, weak pulse, passing out, dizzy/lightheaded, shock• Other: anxiety, feeling of “impending doom”, headache, uterine cramps, metallic taste

Early recognition of symptoms and immediate treatment could save a person’s life.

Act quickly. The first signs of a reaction can be mild, but symptoms can get worse very quickly.

1. Give epinephrine auto-injector (e.g., EpiPen®, Twinject® or Allerject™) at the first sign of a known or suspected anaphylactic reaction. (See attached instruction sheet.)

2. Call 9-1-1 or local emergency medical services. Tell them someone is having a life-threatening allergic reaction.

3. Give a second dose of epinephrine in 5 to 15 minutes IF the reaction continues or worsens.

4. Go to the nearest hospital immediately (ideally by ambulance), even if symptoms are mild or have stopped. The reaction could worsen or come back, even after proper treatment. Stay in the hospital for an appropriate period of observation as decided by the emergency department physician (generally about 4 hours).

5. Call emergency contact person (e.g. parent, guardian).

CAMPER CODE OF CONDUCTIn order for you to have a fun, exciting time at the Athletic and Recreation Q Camp Program, every camper needs to follow the same Camp Rules. Our Camper Code of Conduct is our guide to ensure the enjoyment and safety of all persons attending camps at Queen’s University at Kingston.

This document is to be read and signed by both parent/guardian and camperConduct which is considered unacceptable and constitutes an offence within the community includes, but is not restricted to the following:1. A violation of published rules and regulations of Queen’s University or any authorized rulemaking body within

the university;2. Failure to comply with the directions of officials of the university, camp staff and if applicable, your school

board/school representatives acting within the scope of their authority;3. Queen’s University is a safe and welcoming environment that recognizes and is respectful of the diverse nature

of the Queen’s and Kingston Community. Discrimination or harassment based on, among other grounds, race, religion, gender, handicap, ethnicity, national origin or sexual orientation may result in being sent home without refund;

4. There will be a zero tolerance towards physical violence and non-physical bullying/aggression. Any camper causing harm, or intending to do so to any other camper, or staff may result in being sent home without refund;

5. Violation of the rights of any member of the university community and/or other participants of your camp/programs;

6. Disruptive camp/classroom behavior that impacts negatively on the learning of other campers;7. Theft, vandalism, and willful or negligent damage to property belonging to other campers or of Queen’s

University or a member of the university community;8. Absence from camp without the expressed consent of camp staff, your appointed supervisor, or parent/

guardian;9. (If applicable) Absence from campus, if you are living in residence, without the expressed consent of your

appointed supervisor;10. (If applicable) If living in Queen’s University residence, not returning to your own floor/wing by the specified

time, not reporting to your supervisor or not being in your own room by the specified time;11. Queen’s University has zero tolerance for the possession/consumption or suspected possession/consumption

of alcohol or drugs , smoking/vaping at any time by any participant of any program regardless of age; if you are suspected you may be sent home at your own expense with the possibility of the activity being referred to the City of Kingston Police;

Incidents of misconduct will be dealt with as follows:Violations of the laws of the land including incidents related to drug or alcohol consumption, assault, theft or vandalism will be handled with the assistance of Queen’s University Campus Security and Emergency Services and, where appropriate, City of Kingston Police. In all cases where serious misconduct has occurred, or is suspected to have occurred, students, parents and if applicable, school officials, will be notified and individuals will be removed from the program immediately at their own expense.If the situation is judged to be very serious, such as in the case of assault or abuse (verbal/physical/psychological), the above steps may be waived and immediate dismissal from camp may be warranted.

DISCLAIMERThe Board of Trustees of Queen’s University, their officers, directors, agents, contractors, employees, volunteers, members and representatives of the Event (all hereunder collectively referred to as “the Released Parties”) are not responsible for any injury, loss or damage of any kind sustained by any person while participating in the activities/events as stated above (the “Event”) and related activities of the Event provided through the Released Parties, including injury, loss or damage which might be caused by the Negligence of the Released Parties. I am aware that participating in the Event has some inherent risks.

ASSUMPTION OF RISKI understand that by virtue of my participation or involvement in all activities related to the Event, that I will be exposed to risks of loss including financial loss, severe injury or death. I acknowledge the existence of known risks and potential unknown risks which may include, but are not limited to the following: • Falls to the ground due to uneven or irregular terrain or surfaces; • Injuries resulting from contact, collisions or malfunctioning structures and equipment; • Failure to properly use any piece of equipment or from the mechanical failure of any piece of equipment; • Spinal cord injuries which may render me permanently paralyzed; • Being struck by other participants, spectators, equipment or vehicles; • Vigorous physical exertion and strenuous cardiovascular activities associated with the Event; • Potential for bone and muscular skeletal injury, such as sprains and strains; episodes of light headedness,

fainting, chest discomfort, leg cramps and nausea;• Failure to follow directions from those in charge of the event; and • Loss due to theft of personal property (e.g. bags, other valuables). I freely accept and fully assume all risks, dangers and hazards and the possibility of personal injury, death, property damage, expense and other loss delay or inconvenience resulting there from or from acts or omissions, including negligence of the Releasees. I understand that I am solely responsible for my own health, medical, dental, and property insurance.

RELEASE OF LIABILITY, WAIVER OF CLAIMS AND INDEMNITY AGREEMENTIn consideration of the Released Parties allowing me to voluntarily participate in the Event, I hereby agree as follows: 1. RELEASE AND WAIVE as against the Released Parties any and all losses, liabilities, damages, injuries including

death, claims, demands, lawsuits, costs, expenses including legal fees and disbursements, and any other liability of any kind including negligence, howsoever arising out of or in connection with my participation in the Event.

2. I shall indemnify and hold harmless the Released Parties from any and all losses, liabilities, damages, injuries, claims, demands, lawsuits, costs, expenses including legal fees and disbursements, and any other liability of any kind including negligence, breach of contract or breach of any statutory or other duty of care, including any duty of care owed under the Occupiers Liability Act, RSO 1990 c.o.2., as amended, on the part of the released parties, howsoever arising out of or in connection with my voluntary participation in the Event.

3. This Agreement is governed by the laws of the Province of Ontario and federal laws of Canada applicable therein. This Agreement survives termination of my participation in the Event. This Agreement cannot be modified or interpreted except in writing by Queen’s University and no oral modification or interpretation is valid.

4. This Agreement ensures to the benefit of and is binding upon me, my heirs, next of kin, executors, administrators, representatives, successors and assigns.

I HAVE READ AND UNDERSTOOD THIS AGREEMENT AND I AM AWARE THAT BY VOLUNTARILY SIGNING THIS AGREEMENT I AM WAIVING CERTAIN LEGAL RIGHTS WHICH I OR MY HEIRS, NEXT OF KIN, EXECUTORS, ADMINISTRATORS AND ASSIGNS MAY HAVE AGAINST THE RELEASEES.

Camp Refund & Cancellation PolicyFull refunds will be issued (less an administration fee) up to three (3) working days prior to the start date of the program. The administration fee for camps is $50. Following this, no refunds will be issued. Exceptions to this policy will only be made for medical reasons.
